4 WebASAP User s Guide Overview Overview WebASAP Applicant Screening Automated Profiles is an online program from InfoMart that automates your employment screening and assists in human resource management. WebASAP has a simple and intuitive interface that allows you to obtain a background profile for current or prospective employees quickly and easily. Simply complete a profile request and submit it to InfoMart. InfoMart will perform a thorough background investigation and generate a complete profile, which you can instantly retrieve online. The program is simple to learn for new users, and users familiar with WinASAP will find that WebASAP has similar functionality. Conventions Used in this Guide Throughout this guide the identifiers explained below are used to emphasis certain topics. Identifier Bold Text Bold Courier Text Italicized Text Purpose Bold text is used to denote a key that should be pressed, button that should be clicked, or something that should be selected. In general it refers to actions that should be taken by the user. Anything that the user should type into WebASAP will be presented in this font. Italicized text is used to denote a screen or field name. This graphic indicates an example of instructions previously explained. If there is something that InfoMart would like you to pay special attention to or information that is valuable but falls outside of the scope of this guide, it will be indicated by this graphic. This graphic points out other areas of the guide that can provide additional reference on a topic. This graphic is used to point out information that you need to read very carefully as failure to follow the instructions therein can be detrimental to your use of WebASAP. 5 WebASAP User s Guide Getting Started Getting Started WebASAP is an online program, so to start using the program you need to first go to the following web address: Now that you have found the WebASAP home page, let s add this to your favorites so you can return to it easily in the future. 1. Select Favorites from your browser toolbar. 2. Select Add to Favorites. 3. Click OK to make the WebASAP login page a part of your Favorites directory. If you are the first person to log in for your account, you will need to access the new user login indicated below. This will bring you to the New Account Login screen InfoMart Page 2

6 WebASAP User s Guide Getting Started Enter the Account Number and Account Password provided to you by InfoMart and click Login. While you will only need to enter your Account Password one time, make sure to keep your Account Number someplace safe as you will need this every time you log in. Once you have successfully completed the New Account login, you will need to create a User ID and Password. User IDs must be 1-8 characters long and can contain letters, numbers, or both. User Passwords must be 6-24 characters long and contain both numbers and letters. The first user to log in to WebASAP will be designated as the account administrator and therefore able to add and remove additional users and administrators. Once you have created a User ID and Password, you will be taken to the User ID Maintenance tab under the Maintenance screen of the program. Please see User ID Maintenance, p. 11 for instructions on how to modify your preferences. After completion, please select the Log Out button at the upper right to return to the initial Login screen. First Login Enter your new User ID, Password, and Account Number. Click Login. Since this is your first time logging in, the first screen you will see will be the Certification of Permissible Purpose and Intent of Use. After reading this agreement, click I Agree to enter the program. The Certification of Permissible Purpose and Intent of Use will be presented for your review periodically when you login to WebASAP InfoMart Page 3

7 WebASAP User s Guide Getting Started Bulletin The first time you log in, you will be presented with the WebASAP Bulletin. This bulletin is a one way InfoMart keeps you up to date on important information about WebASAP and background screening in general. Any time there is new information, WebASAP will take you to the Bulletin page just after you log in. If you ever need to review the Bulletin, simply click the Bulletin button at the top of your WebASAP screen. Click Home from the menu at the top of your screen to start learning more about WebASAP InfoMart Page 4

8 WebASAP User s Guide Getting Started Home The Home screen provides you with a wealth of valuable information about WebASAP. Let s review this information. InfoMart is continually refining the WebASAP program. You can review new and improved features by clicking on Release Notes. Click Feedback to let us know your thoughts on WebASAP. Your feedback is very important to us. If you need help with WebASAP, or simply need to speak to an InfoMart representative, our contact information is readily available in the blue Need Assistance box. There is also a link to the Adobe Acrobat website on the Home page. WebASAP uses the Acrobat PDF format to display many documents. You can download the free Acrobat Reader by following this link. Now that you know where to go if you need help, click the Maintenance button at the top of the screen to start setting up WebASAP for your company InfoMart Page 5

9 WebASAP User s Guide Maintenance Maintenance The Maintenance screen is only accessible by WebASAP administrators (non-administrators have another screen available called Preferences where they can modify their own settings). The Maintenance screen is comprised of six tab pages containing related groupings of setup information. To switch to a specific page, click on the appropriate tab across the top of the window. You can return to the Maintenance screen at any time to modify your setup information by simply selecting the Maintenance button that will always appear at the top of your screen. The maintenance tabs are as follows: Company Setup Packages Setup Billing Code Maintenance Maintenance User ID Maintenance Add a New User Let s explore each tab in greater depth. Company Setup The Company Setup tab contains your company name, address, and contact information, as well as any closing text you wish to include in applicant letters. Complete the fields shown below and click Save Changes InfoMart Page 6

10 WebASAP User s Guide Maintenance Packages Setup Service Packages allow you to assign a name to a group of services. When creating a new profile request, you can choose from all the Packages you have created and the services in that Package will automatically be selected. You can, of course, still modify the services on the individual request. You hire cooks, drivers, administrators, sales personnel, and managers; but you request a different set of services for each type of employee. You decide to create a Service Package named Cook that contains the services you normally request when hiring a cook. Then you create four more like this for the remaining employee types. Now when you create a new profile request, you simply choose the Service Package that matches the job you are filling, and the services will be selected for you. To add a new package, enter a name of up to 30 characters in the New Package Name field and click Add. The package you just created now appears in the Package Selection drop-down list on the upperright of the screen. Click the drop-down arrow and select your new package from the list. Now you can simply click on the selection boxes next to any service you want to include in this package. When you are finished, click Save Changes. To modify or delete a package, select it from the Package Selection field. Click Delete to entirely remove the package, or make any changes to service selections and click Save Changes to modify it. Description of Available Services Criminal History, Federal Criminal History, Civil Records: These searches obtain County, State, Federal, or Municipal public records in the jurisdiction(s) given and include misdemeanor and felony offenses, charge information, date of charge, dispositions, and active warrant information. Nat l Social Sec. Search: With the data returned from a NSSS request, you can create a profile request without typing the applicant s name or jurisdictions. Utilizing this report can often times yield a more accurate criminal history since you may be able to identify jurisdictions the applicant omitted from his or her employment application. Previous Employment: This begins with a professional inquiry of past employers using a series of specially designed questions. Among the types of information obtained are: dates of employment, leadership abilities, management skills, disciplinary history, termination reason, eligibility for rehire, reliability, trustworthiness, job performance, attitude, work skills, and record of attendance InfoMart Page 7

11 WebASAP User s Guide Maintenance Education: This confirms the applicant s graduation, degree earned, major/minor courses of study, graduation date or dates of attendance, and institution attended. Professional Licenses: This confirms the date of certification, type of license, status and expiration date, license number, and renewal date. Depending upon the information available from the licensing agency, InfoMart can obtain restrictions, complaints on file, and derogatory action taken against the licensee. Worker s Compensation: A review of compensation files in available states. Information reported varies widely from state to state, however in most cases we will obtain the nature of the injury, days lost, extent of injury, and any settlement paid. Personal References: A verification and interview of the applicant's personal references. Financial References: InfoMart will interview all financial references to determine financial stability. Information obtained includes payment patterns, current and average daily balances, etc. Motor Vehicle Report: A review of the applicant's driving history in any state requested. Information reported will list all renewals and infractions against the licensee in at least the past three years. If checking a CDL, be sure to select Default to CDL and InfoMart will retrieve a longer history if the state offers one. Credit History: This confirms the applicant s name, social security number, current and former addresses, accounts opened, accounts in both good and negative credit status, high credit range, payment history, opening balance or credit limit, current balance owed and/or past due, charge-off, repossession, and extended debt. This service may also report current and past employers, positions, and wages. Public record information includes garnishments, bankruptcies, collection actions, judgments, satisfied judgments, and civil suit information. Drug Screening: o Six Panel Screens - This test screens for the presence of the following drugs by the EMIT method: Amphetamines at 300 ng/ml, Barbiturates at 300 ng/ml, Cocaine at 300 ng/ml, Opiates at 300 ng/ml, Phencyclidine at 75 ng/ml, and THC at 50 ng/ml o Ten Panel Screens - This test screens for the presence of the following drugs by the EMIT method: Amphetamines at 300 ng/ml, Barbiturates at 300 ng/ml, Benzodiazephines at 300 ng/ml, Cocaine at 300 ng/ml, Opiates at 300 ng/ml, Phencyclidine at 75 ng/ml, THC at 50 ng/ml, Propoxyphene at 300 ng/ml, Methadone at 300 ng/ml, and Methaqualone at 300 ng/ml o NIDA Certified Test - This five-panel test is typically used for drivers who fall under Department of Transportation authority. It screens for the presence of the following drugs by the EMIT method: Amphetamines at 300 ng/ml, Cocaine at 300 ng/ml, Opiates at 300 ng/ml, Phencyclidine at 75 ng/ml, and THC at 100 ng/ml Special Instructions: This allows a user to specify special instructions for InfoMart personnel to follow when processing a request InfoMart Page 8

12 WebASAP User s Guide Maintenance Billing Code Maintenance A billing code is an arbitrary combination of four numbers and/or letters used in a profile request to identify which client, branch, department, or sub-office generated the request. InfoMart s accounting department can arrange your detailed invoice by the billing codes you enter on your profile requests. Billing Codes are not required by WebASAP, but can be a nice tool for your company. There is no limit to the number of billing codes you can establish. To create a new one, complete the New Billing Code and New Billing Description fields and click Add. If you wish to remove a code, select it from the list at the right and click Delete InfoMart Page 9

13 WebASAP User s Guide Maintenance Maintenance You can create a list of commonly used s on this screen. To create a new , complete the New Address field and click Add. If you wish to remove an , select it from the list at the right and click Delete InfoMart Page 10

14 WebASAP User s Guide Maintenance User ID Maintenance From the User ID Maintenance tab you can modify your Password, assign a Default Billing Code, or assign Default Services to your User ID. If you are an administrator, you can also make these sorts of modifications to other User IDs as well as delete any unneeded User IDs. Modifying your own ID If necessary, select your User ID from the User ID drop-down list. Whenever you first enter this screen, your User ID should automatically populate that field. To change your password, simply type a new password in the Password field, and then enter it again in the Confirm Password field. If you wish to be associated with a consistent billing code, select that from the drop-down list. You can also choose Default Services for any profile requests you will create. Finally, you can add your address in the field. Click Save Changes to submit any changes and click OK if a confirmation box appears. Modifying someone else s ID To modify someone else s User ID, select it from the User ID drop-down list. You can make the same changes to another s User ID that you just learned to make for your own. In addition, you can allow the user administrator rights by selecting the Administrator check box. This will grant her access to the Maintenance screen where she can modify any settings for your account InfoMart Page 11

15 WebASAP User s Guide Maintenance Add a New User Each individual who uses WebASAP should have his or her own unique User ID and password. This provides accountability and security for your sensitive human resource data. When you first begin to set up WebASAP, you should create a new User ID and password for any users. Creating a new user is a simple process. Enter a User ID, a password, and then confirm the password. Click Submit to add the new User ID. If necessary, you can then go to the User ID Maintenance screen to make additional modifications to the new User ID InfoMart Page 12

16 WebASAP User s Guide NSSS Requests NSSS Requests It isn t necessary to run a National Social Security Search (NSSS) in order to create a new profile, but it makes the screening process easier and more effective. We will review creating an NSSS request, generating a new profile from a completed NSSS request, and then review creating a new profile from the beginning. By running an NSSS request initially, you can create a profile request without typing the applicant s name or jurisdictions. Utilizing this report can often times yield a more accurate criminal history since you may be able to identify jurisdictions the applicant omitted from his or her employment application. Running an NSSS Request is very easy. Enter the SSN in the New SSN to Submit field and click Submit New SSN. The new SSN number will appear on the right side of the screen with the date and time of submission. As soon as the report is available, a green check mark will appear in the Ready column. Clicking Refresh updates the page to show the latest information. To delete a SSN, simply click on the SSN row to highlight the request and click Delete. Sorting and Searching To sort a column, click one of the three column headings (SSN, Submitted, and Ready). An arrow will then appear to the left of that column heading. Click the arrow to reverse the sorting direction. Click the heading of the sorted column to remove the sort. To search for a match in a column, click to the right of the column heading. A text box will appear for SSN or Submitted and a drop-down box for Ready. Type your search information into the text box, or select your choice from the drop-down menu and press. To return to the original list, press InfoMart Page 13

17 WebASAP User s Guide NSSS Requests Matching Previous NSSS Reports If a SSN is entered that matches one used in an existing NSSS request, the following dialogue box will appear: Click Ok for WebASAP to locate the existing request where you can work with the associated report if it has been returned. Click Cancel to enter another SSN. If the SSN you enter matches that of an existing profile request, you will get a dialogue box similar to the following. Click Ok to locate the profile request along with any associated profile. Click Cancel to continue creating the NSSS request InfoMart Page 14

18 WebASAP User s Guide NSSS Requests New Profile From Report We will explore the details of the profile report in the next section, but let s take a quick look at how to generate a profile from an NSSS report. From the NSSS Admin tab page, highlight the row with the desired SSN and click the New Profile From Report tab. Now select the applicant name by clicking a radio button on the left side of the report. Multiple names may be listed, so be certain to select the correct one. You can choose only one name as the Applicant Name. If you wish to use additional names, click on the Export box to the left of the additional names. For additional addresses, click the boxes to the right of the addresses that need to be searched. Click Create Profile to create a new profile request. Many of the data entry fields will be pre-filled for you based on information from the NSSS report. Review the information carefully to ensure accuracy. Modifications can be made to any information populated from the NSSS report. More information about each field can be found in Creating a Profile Request, p. 18. No Results Found From NSSS When there is no information found from an NSSS request, a dialogue box will appear to indicate There are No Results from the NSSS for this SSN. Although there are several possible causes, this occurs most frequently when the applicant is either young (18-22 years of age), or has recently had the SSN assigned after immigration. In these cases you must click the New button from the menu bar and enter the request manually. To verify the validity of a SSN, you must contact the Social Security Administration at , ext InfoMart Page 15

19 WebASAP User s Guide NSSS Requests Print Report You can print an NSSS report by selecting the desired SSN and clicking Print Report at the top of the screen. Click Print to continue the printing process. You can now print the actual report by selecting the Print icon on your Browser toolbar or selecting Print from the File menu InfoMart Page 16

20 WebASAP User s Guide NSSS Requests Report You can also an NSSS report by highlighting the row with the desired SSN and clicking the Report tab at the top of the screen. You can add a new address from this screen by typing the address into the New Address field and clicking Add to Address List. You can also remove addresses from the overall list by highlighting them and clicking Delete. Any changes you make to the Address List on this screen will be saved to the WebASAP Address List accessible through Maintenance. To send an , select an address from the Address List and click Add to Recipients. You can repeat this step as often as needed to add multiple recipients. If you add an address erroneously, simply click on it in the Recipients list to remove it. You can modify both the Subject and Note field as needed. Click Send Mail to send the NSSS report to your designated recipients InfoMart Page 17

21 WebASAP User s Guide - Creating a Profile Request Creating a Profile Request There are two ways to create a new profile request. You can submit an NSSS Request and generate a new profile request from that information as documented in the New Profile From Report section, p. 15. You can also click New from the menu bar at the top of WebASAP, which will generate a blank profile request. If you have set any defaults for your User ID in User ID Maintenance, they will be automatically entered upon adding the new request. You are free, however, to change any of the fields that have been automatically completed. There are some basic details common to most or all of the profile pages. Moves you to the Previous tab page Moves you to the Next tab page Takes you to the Confirmation page where you can submit your request. Deletes the current information Ex. In Previous Employment, clicking this will delete the employer that is currently displayed. This drop-down arrow indicates that the connected field can be populated only with data from the drop-down list. Click it to display the list and then select an appropriate item from the list. This drop-down arrow indicates that the connected field can either be populated by typing directly into the field or with data from the drop-down list. You can simply type in the field or click this arrow to display a dropdown list of choices. Below are the names of the tab pages for adding a profile request. Most fields on these tab pages are self explanatory, so the details in the following pages may not discuss every field. 22 WebASAP User s Guide - Creating a Profile Request Applicant Identifiers/Services This tab includes more than simply a list of requested services. It is also where you enter the applicant s basic information and billing details. Listed below are various fields available on this tab along with any pertinent information about those fields: Request Purpose: There are four choices available in this drop-down list - Initial Hire, Retention, Promotion, and Legal Requirement. If none of these choices are appropriate, you can simply type a new purpose directly into the field. Applicant Information: Enter the applicant s social security number, full name including suffix, additional or maiden names, birth date, gender, if the applicant has signed a release, and current state of residence. o SSN: WebASAP will verify that the SSN you have entered is valid after you submit your request. If it is invalid, you should check for typographical errors or check with the applicant to ensure the number is correct. If the supplied number is correct and yet invalid, contact the Social Security Administration at ext. 6 to verify the validity of the SSN. Ordering a profile with an incorrect SSN may result in incomplete searches. o AKA and Maiden Names: If the applicant has a maiden name or alias, enter the information in these fields and select either AKA or Maiden Name. If the applicant has more than two aliases, click Add to insert another alias line. To delete an alias, simply click the next to the one you want to delete. o Birth Date: You must enter the birth date in the following format: MM/DD/YYYY (for example 01/01/1960). If you do not have the date of birth, please enter 11/11/1911. This allows WebASAP to recognize the date, yet tells InfoMart that you do not have the actual date of birth. o Gender: Select the gender of your applicant by choosing Male/Female from the drop-down list InfoMart Page 19

23 WebASAP User s Guide - Creating a Profile Request o Has Signed Release?: Indicate whether the applicant has signed a release form authorizing a background investigation by choosing Yes/No from the drop-down list. o Current State of Residence: Select the applicant s current state of residence from the drop-down list. Billing Details: o Billing Code: The Billing Code drop-down list is populated with any billing codes you created during setup. To pull up a billing code, either type the billing code in the text box or select the billing code from the drop-down list. For reference on adding billing codes, please see Billing Code Maintenance, p. 9. o Reference #: This is an optional field for your own use. The field is 45 characters long and accepts letters, numbers, and punctuation characters. The information entered here will be returned on the profile as well as on your invoice. Service Package: This drop-down list is populated with any service packages you created during setup. If you have already created a Service Package that applies to this applicant, select it from the available drop-down list. This will complete the Services to be Performed section with the selections appropriate to that service package. For reference, please see Packages Setup, p. 7. Services to be Performed: Initial selections in this section are made based upon the Default Services associated with your User ID. These settings were established from the User ID Maintenance or Preferences screens. If you select a Service Package, these defaults will change to reflect the appropriate selections from the Service Package. In either case, the default selections can be manually modified. Each Service has a corresponding tab across the top of the screen. If a Service is selected, that tab becomes available. If a Service is not selected, the corresponding tab appears grayed out and is unavailable. To move to a new tab page, you can either click on the appropriate tab, or use the arrows in the upper right-hand corner of your screen. NSSS: The NSSS check box is tied into the NSSS function. If you entered a SSN on the New Profile from Report screen of NSSS, this option will be grayed out. This is to prevent a duplicate National Social Security Search. 24 WebASAP User s Guide - Creating a Profile Request Credit History This tab page allows you to enter an address for a Credit History search. There is a box at the top of the screen that, when checked, will allow this information to be used for a Criminal History search as well. If you choose to use this address information for Criminal History searches, the address will only be editable on the Credit History page. Entering the Current Address for a Credit History There are some guidelines for entering the current address. They are imposed by the credit bureaus and failure to follow these rules may result in an incomplete or failed search. You can choose three types of address: Standard, Route/Box, or Military. The fields available on the screen will vary with your selection. Every field is explored below. Street # (Standard, Military): Enter the street number only. Pre Dir (Standard, Military): If a pre-directional is part of the address, select it from the dropdown list. For example, if the address is 123 North Main Street, the Pre Dir would be N. If the directional comes after the street name, please use the Post Dir field explained below. Be careful though, an address such as 123 North Street has no directional as North is actually the street name. Street Name (Standard, Military): Enter the street name. Spaces may be used, but punctuation is not allowed. Numeric street names must be entered as numbers only with no text. For example, First Avenue would be entered as Street Name: 1 and St Ext: Ave. This format is required by the Credit Bureaus. St Ext (Standard, Military): Select the street extension or type from the drop-down list. Post Dir (Standard, Military): If a post-directional comes after the address, select it from the drop-down list. For example, if the address is 456 Main Street South, the Post Dir would be S. If the directional comes before the street name, please use the Pre Dir field explained 2002 InfoMart Page 21

25 WebASAP User s Guide - Creating a Profile Request above. Be careful though, an address such as 123 South Street has no directional as South is actually the street name. Apt # (Standard, Military): Enter the apartment number, if applicable. Both numbers and letters may be used, but no punctuation. P.O. Box (Route/Box): Enter the P.O. Box number. Rural Route (Route/Box): Enter the Rural Route number. Zip: Enter the Zip code. If you also requested any type of criminal history, the value entered here automatically appears in the first jurisdiction. City: Enter the city name. State: Select the state from the drop-down list. Easy Entry by Zip Code If you enter a Zip code, WebASAP will try to locate it in its Zip code table. If found, it will automatically fill in the city and state InfoMart Page 22

26 WebASAP User s Guide - Creating a Profile Request Previous Employment On this tab you can enter all information about prior employers of the applicant to enable an employment background investigation. Please Select Employer: Initially, there will be only 1 listed in this field. Any information you enter under Employer Details will be saved as employer 1. To enter additional employers, simply click Add. To edit an employer, select it from the list and the relevant details will be populated for you to edit. Navigating away from this page saves any edits you have made. Employer Details: Complete all available information about the applicant s prior company. o Current employer?: If you select Yes from the drop-down list, the question May we Contact? appears. o May we contact?: This question is only presented if you indicate the applicant is currently employed at this company. If you answer No to this question, InfoMart will not process this employer; the information entered on this employer will be for your own documentation purposes only. o Country/Phone Number: If you need to enter a phone number for a country other than the United States, click the arrow next to Country. When you select another country, the phone number format changes to reflect the appropriate format for that country. In addition, the appropriate country code will display in front of the phone number entry field. o o o Position Code: The Position Code field is a drop-down list of categories that specifically identify the type of position held by the applicant. It is arranged by industry and allows InfoMart to obtain information from the employer that is unique to the position. Comments: This field is entirely optional and can be used for any additional information not covered elsewhere on the screen. Are you faxing : This informs InfoMart whether to expect a follow-up fax of supporting documentation InfoMart Page 23

29 WebASAP User s Guide - Creating a Profile Request Criminal History The criminal history page reflects any names you entered on the Applicant Identifiers/Services page. In addition, if you checked the Use this information for Criminal History box on the Credit History page, that address will appear here. If you want to edit that address, you will need to return to the Credit History page. Please Select Name: Select a name from the list. This list is generated from the names entered on the Applicant Identifiers/Services page. Additional names must be added there. Jurisdictions: In order to correctly identify the jurisdiction and give InfoMart the information needed to perform an accurate background check, you must enter either a : o Zip code, o State and city, or o State and jurisdiction (county) As long as one of these three requirements is met, the other fields can be left blank. Do not enter not applicable, NA, unknown, not given, same, or any other similar entry as it can cause problems with your request. Also, do not use periods or commas in the city and jurisdiction columns. You also must choose if you want a Criminal, Federal, and/or Civil Criminal History search by checking the appropriate boxes. Easy Entry by Zip Code You can enter a maximum of 20 jurisdictions. International criminal history searches are available by entering IS in the State field. The City and Zip fields can then be completed as needed (ex. Zip-blank, State-IS, City-Beijing, Jurisdiction-China). If you enter a Zip code, WebASAP will try to locate it in its Zip code table. If found, it will automatically fill in the state, city, and jurisdiction InfoMart Page 26

30 WebASAP User s Guide - Creating a Profile Request Easy Entry by City & State If you do not know the Zip code, leave it blank and use WebASAP s city lookup feature. First enter the state or select it from the drop-down menu. Then as you begin to type the city, WebASAP will try to identify the correct city. If its initial guess is wrong, continue typing until the correct city is recognized. Press Tab to accept the correct city. WebASAP then automatically fills in the jurisdiction. The Zip code will not be filled in automatically as this would disable the city lookup feature. Some cities are spread across multiple counties. If you use the city lookup feature for one of these cities, WebASAP will prompt you to select which county to use for the jurisdiction. But once you move off the current row, the prompt will be removed. You can also click the down arrow beside the jurisdiction field to select from a list of valid values for the state entered. The check boxes on the right of the page indicate which jurisdictions InfoMart will search for each name you entered. By default, all jurisdictions will be searched for every name you enter. If there is a name you do not want searched in a particular jurisdiction, simply select the name from the Name list, then remove the check mark next to the undesired jurisdiction. Special Jurisdictions Some states allow statewide and sex offender searches. These can be accessed by clicking the down arrow beside the Jurisdiction field. WebASAP includes symbols next to these jurisdictions to note if these searches are recommended by InfoMart or discouraged. InfoMart recommends this search. 33 WebASAP User s Guide - Creating a Profile Request MVR / Work Comp This tab page is enabled when you select the Worker s Compensation or Motor Vehicle Report service. What appears on the screen depends upon which service was selected. In the example below, both services were chosen. License Details: WebASAP will remove any spaces or dashes you enter in the Driver s License Number. When you save the profile request, WebASAP will verify the License Number for the state you entered. If what you entered fails the verification, you should check the applicant s license for the correct number. WebASAP will allow you to transmit the request without correcting the Number, but the state DMV may reject the request. The verification requirements for each state are listed below. Worker s Comp. Details: In Worker s Compensation States, you may select up to 10 states. When you click on a state, it appears in the States to Search column. 39 WebASAP User s Guide - Creating a Profile Request Finishing a Profile Request Once you have entered all of the information for your profile request, click Applicant Profile Request Confirmation page will appear. to finish it. The This page allows you to review the information you have entered. If you find anything that you wish to change, click the Edit link for the appropriate section. WebASAP will take you directly to that page where you can make any changes necessary. Click the button again to return to the Confirmation page. As you can see above, WebASAP also points out entry errors that effect processing. Clicking Make Corrections will return you to the appropriate page, where more information is provided about the nature of the errors InfoMart Page 36

Fax Cover Sheet From the Confirmation page, you can create a fax cover page should you need to fax any information to InfoMart. Click Fax Cover Page. An Adobe Acrobat file will open with the fax fields already completed. Click Submit to print the page. When you have reviewed all of your information and made any necessary corrections, click Submit to send the profile to InfoMart. The View Status page will appear with your new profile listed. Under Order, appears denoting that the order has been sent. This symbol will change to a date when InfoMart receives the order. We will review the Status pages in more detail in the following section InfoMart Page 37

41 WebASAP User s Guide - Status Status The Status pages give you an overview of profiles you have requested. It also gives you the option to view profiles in depth, modify requests, print profiles, and profiles. Let s take a look at the different tabs within Status and how they can help you. View Status The first tab page within Status is View Status. This is an overview page listing all profiles requested within a selected time frame. This page is highly customizable so you can see exactly the information you want and hide any extraneous information. From the View Status tab, you can choose to view profiles from within the last year, quarter, month, week, or view all profiles. Simply select the drop-down arrow for Starting From Last and select the appropriate time frame. You can also choose which columns of information you want to view. The screen above shows every available column, but you may prefer to simplify your screen and view only that information that is immediately pertinent. Select the drop-down arrow for Columns. Clicking on a column name will toggle it on or off InfoMart Page 38

42 WebASAP User s Guide - Status Sorting and Finding Information Once you have selected your time frame and chosen the columns to view, you can further customize this page by sorting by a particular column. To do so, click on the column name. An arrow will appear next to the column name pointing in the direction of the sort. Clicking on this arrow will reverse the sort order. To search for a specific item in the column, click on the magnifying glass to the right of the column name to pull up a search box. Enter your search criteria in the search box and then click Apply. WebASAP will list any requests that match your search criteria. To return to the original list, click. Flags and Symbols Within the View Status table, several simple flags are used to give you visual cues about different information. Holding your mouse pointer over the symbol will give you more details about the specific issue. Let s look at what happens when you create and submit a profile and the various symbols that are associated with each stage. Within WebASAP, you can always obtain more information about one of these symbols by pointing to it with your mouse. A bubble box will appear with more information. Order Column The symbols that appear in this column indicate the status of the order created and not submitted, sent to InfoMart, or received by InfoMart. Date This symbol appears when a request has been created or revised, but not yet submitted. Clicking on the trashcan will delete a request that has not yet been submitted. This symbol appears in conjunction with the open folder. This symbol appears when a profile has been ordered, but has not yet been received by InfoMart. Once InfoMart receives the order, the moving folder is replaced by the order date InfoMart Page 39

43 WebASAP User s Guide - Status Profile Column The symbols that appear in this column indicate the status of the profile. Several of the symbols can appear in the column at the same time. The caution symbol appears if you make modifications to a request, but the available profile doesn t reflect those changes. For instance, you have received a profile report from InfoMart and then decide to perform an additional MVR search. Until InfoMart returns the MVR data, the caution symbol will appear notifying you that the profile does not yet reflect this modification. The following two symbols will never appear simultaneously. You will see either one or the other. Indicates that the profile has been received by WebASAP and is complete. Indicates that portions of the profile have been received by WebASAP. This option is only available if your account is set up to receive profiles piecemeal as sections are completed rather than all at once. The following symbols indicate the last action taken with a profile. Clicking on them will open the activity history log so you can review all actions taken. Indicates the last action was the profile being received into WebASAP. Indicates that the last action taken was to view this profile. Indicates that the profile was printed. Holding your mouse pointer over this symbol will cause the print date to appear. Indicates that the profile was ed. Holding your mouse pointer over this symbol will cause the date to appear. Flag Column These symbols only appear if you have a graded account with InfoMart. Graded accounts can provide set hiring criteria to InfoMart. These symbols indicate if a profile has successfully met your established criteria. The profile meets your established criteria. The profile does not meet your established criteria There are questions about the profile s status and InfoMart is unable to determine if it meets your requirements. Sent Column Indicates that Adverse Action information has been printed. Holding your mouse pointer over this symbol will cause the print date to appear. 44 WebASAP User s Guide - Status Note Column Indicates that a note has been entered on a profile. Adding Notes WebASAP gives you the option to enter notes for returned applicant profiles.. To open the different sections of the profile, click to the left of the SSN column. The button will change to a button. The sections of the applicant profile will similarly open and close using the and buttons respectively. After opening a section of the profile, a text box will appear. You can now enter pertinent notes that will appear in this section of the profile. If you would like the notes to be readable by other users on your account, check the View by group box. If you do not check the box, the notes will be readable only by yourself InfoMart Page 41

52 WebASAP User s Guide - Status Modify Request Modify Request is the third tab page in the Status section. This page allows you to change any information you previously entered for a profile request. In order to modify a request, highlight the appropriate profile from the View Status page and click the Modify Request tab. The Modify Request screens are identical to the data entry screens. For additional information about the options available here, please see Creating a Profile Request, p. 18. Modifying a request that has already been ordered will reset the request s order date. Be sure to use the View Request tab if you just want to look at the request details. Print Profile/Letters In order to be printed, a profile must be complete. You can easily spot completed profiles by the green checkmark or blue clock in the Profile column. Available profiles will be marked with one of these flags. To begin the print process, highlight a completed profile and click the Print Profile tab. Select the documents you wish to print by clicking in the appropriate checkboxes. When you select either the Pre-Adverse or Adverse Action Notifications, several address fields appear that you must complete. Once you have selected all appropriate documents, and completed the address fields if needed, click Continue. The finalized versions of the documents will appear in the Adobe Acrobat reader. Click the print icon at the top of the screen to print out the documents. Click the save icon to save a copy of the documents to your hard drive. When you are finished, close the window to return to WebASAP InfoMart Page 49

53 WebASAP User s Guide - Status If you printed an Adverse Action Notification, you will see a printer icon in the Sent column when you return to the View Status page. Printing the profile will cause a printer to appear in the Profile column. If you move your mouse over these icons, a field will appear showing the date the information was printed. Profile If a Profile is not complete, you can still access the Print Profile/Letters page. You will only have the option to print the Consumer Notification/Release, the Fax Cover Sheet, or the Consumer Rights. ing a profile is very similar to printing one. The Subject field will be automatically completed for you with information pertaining to the profile. You can modify this information however you wish. You can also add a Note if needed. Next, select the documents to attach to the . As with printing documents, if you select the Pre- Adverse or Adverse Action Notification, additional address fields will appear that you must complete. Once you have selected recipients and the needed documents, click Send Mail to send the documents. If you ed an Adverse Action Notification, you will see an envelope icon in the Sent column when you return to the View Status page.
