1 Michelin Credit Card Management Credit Card Registration Quick Reference Guide In a continuing effort to protect your privacy and to ensure the security of credit card data, Michelin is launching a new process of storing this data for use in future business transactions. This document serves as a quick reference guide to assist in registering credit card data in Michelin s Credit Card Management system. The credit card management system can be accessed via Michelinb2b.com. Credit Card Management Credit Card Management application will require a user name and password to access the secured database. User Name will be populated based on Michelinb2b login. However, for security reasons, password must be re-entered to access the secured credit card database. Connecting to Michelinb2b 1. Click on Internet Browser. (Note: Internet Explorer and Fire Fox are the preferred browsers for Michelinb2b applications). 2. Type 3. Type User Name and Password. 4. Press Enter or click Login to launch the Michelinb2b Home Page. Re-enter password and press Enter or Click Login. The Credit Card Management Application home page will be displayed. The Credit Card Management Link will be located on the Michelinb2b Home Page under Quick Links for Fleet and Truck Associate Dealers (TAD) customers. NOTE: The credit card management system can be accessed via the View Your Statement menu options for Dealers. Add/Create Credit Card Record Credit Cards stored within the Credit Card Management application will be Owned by the individual User ID. Owner is defined as the individual ID that has access to change and/or delete existing credit card records. The owner of a credit card can also add associated users to the card for use within other ebusiness applications. (This will be described later in this document.) 5. Click Credit Card Management button to launch secure Credit Card Management database. Once the Credit Card Management application has been launched, the Search and Create functions can be accessed via MY CARDS. 1

2 The display when selecting MY CARDS will appear as follows: Once all information has been entered, click Save Card. Screen will refresh with message that card has been created successfully as shown below. To create a card, select Add a Card. If required information is missing or not valid, when attempting to save, the system will prompt with error message. All errors must be resolved before credit card entry can be saved. Examples of Error message Credit Card already exists shown above. Once the Add a Card selection has been made, enter information to store credit card. Keyed data, such as name on card should match the name displayed on face of actual Credit Card. Address entered should match the billing address shown on credit card statement. Invalid information entered could result in a failure to receive authorization from the bank for any future transactions using that card. All fields, with the exception of Alias, a special name that can be given a card for easy identification within ebusiness apps, and Phone # are mandatory fields. Be sure to check for the system generated messages to ensure the card has been added successfully. There is no limit to the number of cards that can be entered by an individual ID; therefore it may be necessary to scroll down to see the actual message prior to leaving the credit card application. Updating Credit Card Records Log into Michelinb2b.com and click to access the Credit Card Management Application from quick links. Log into Credit Card Management and select My Cards. The screen will load displaying all existing credit cards stored in the database as shown below: NOTE: Michelin currently accepts MasterCard, Visa, and American Express in all ebusiness applications. 2

3 1. Select Card by clicking directly on the line of the desired credit card. The credit card details screen will display. 2. Click on Update Card make the necessary changes. Ex: Expiration Date (All fields with exception of Credit Card Number can be modified.) Adding Associated Users The owner of a stored credit card can add associated users to that card. An associated user can be defined as an individual that would need to apply a stored card within an ebusiness applications such as efleet, Approve Orders, and BibPay. Individuals must have their own unique user name and password in Michelinb2b to be designated as an associated user. (If user name and password is needed, individuals can log into the Michelinb2b and self register). To add associated users to a registered card, complete the following steps: 1. From the Search Screen, select the card by clicking the line containing the desired credit card. The Card Information screen will displayed. 3. Click Save Card 2. In the Link User to the Credit Card box in the area that says Enter Name, type in the Michelinb2b User ID of person to be associated to the card. 3. Click Fetch. NOTE: All modifications to existing credit card records require the SAVE action to complete changes. If Save is not clicked, updates will not be made. Deleting Credit Card Records 1. Select Card by clicking directly on it from the list screen. 2. The Card Information screen will appear. 3. Click Delete. User Name, phone number and address associated to the specified ID will be displayed. Validation of the person being assigned to the card must be done by card owner before confirming. 4. Click Confirm User. 4. When the Remove Card prompt pops up click OK. Message will be displayed indicating the User ID has been linked as an Associated User. Additional associated users can be added by completing steps 1-4. There is no limit to the number of associated users that can be added to a single card. 3

4 Associated Users will now have visibility of the token card information within the ebusiness applications where applicable. Note: All changes or deletions can be canceled prior to doing a Save by clicking Cancel. Selecting Cancel will set all pending changes back to their original values. Deleting Associated Users The owner of a stored credit card can delete associated users from their card. To delete associated users, complete the following steps: 1. From the search screen select the card by clicking the line containing the desired credit card. 2. The Users Linked to this Credit Card box contains a list of all linked users. To unlink a user, click on the X to the far right of the linked user information. Search by DR Type in the DR number in the Document Number/Remittance box and hit Search. 3. When the Unlink User prompt pops up, click OK. 5. You will receive a message stating User Unlinked to Card. Searching Transactions On the Home Page, select Transactions. You can either review the Transactions by scrolling through the List view or you can search using Advance Mode. Additional Features token information Text message token information Expiring credit card notifications Advance Mode search allows a search using different criteria such as date range, transaction source, document or remittance number, approval code, the last four digits on the credit card and cardholder name. 4

5 Token Information You can send token information via . From the Home page, select My Cards. Click on the desired token and at the Card Information page, click on Send . Expiring Credit Card Notifications Enter the address and click on Send . An will be sent immediately to the address you have entered. If you have a valid address on file with your ID in Michelin b2b, an will be sent automatically to that address when your credit card is about to expire. The s will be sent 60 days prior to expiration, 30 days prior to expiration and again when the card has expired. From the Home page, select My Cards. Click on the desired token and at the Card Information page, click on Send SMS. Enter the phone number to which the text will be sent and click Send SMS, 5
