3 Introduction Z.stream has been developed to provide a simple method for you to transact Zurich s products. This reference guide has been developed to give you an explanation of the Web Direct functionality available to access Z.stream. Web Direct allows you to have full access and control of your policies via the internet. Your access will be limited to quotes and policies in your designated accounts. Should you have any questions that are not covered in this reference guide, please speak with your local Zurich representative. CTP Web Direct Reference Guide v1.0 Page 2

5 1 Z.stream Web Direct Internet Address. Launch your internet browser and navigate to the following web address: Select Z.stream login button on the right hand side of the website. 2 Login and password. 7 1 Terms and Conditions. The first time that you login to Z.stream, you will be prompted to review and agree to the Terms and Conditions. Once you have reviewed the Terms and Conditions : Select I agree' My workbench will then be launched Note: You will only need to accept these Terms and Conditions once. 9 1 Quick Launch. Enter your Quote or Policy number into the field provided and click on the open button to launch the quote or policy. My workbench. Select to: Create Tab to start a new quote or policy Search Tab to search for existing quotes and policies Product. Select the appropriate product from the drop down list. Transaction Type. Select the transaction type you would like to process from the drop down list. Branch/Account. Type in the first few letters of the account name. Select the correct account from the resulting pop up list. Note: This lists the accounts that have been linked to your login details. Client Ref. Either search for an existing client or create a new client. Search client. To search for an existing client, select Search client. This launches the following popup window: This popup window allows you to search for existing clients that you have set up in Z.stream. Check Advanced search for additional search fields. Enter the search criteria you wish to search by and then select Search. Note: To clear your search criteria on the Client Search popup window, select Clear. New client. To create a new client, select New client. This launches a Master Client Details popup window. Complete all mandatory fields: Client Ref. Enter your client reference. Legal Entity Name. Enter the legal entity name. ITC. Enter the ITC. Save. Select to save the newly created client reference. 3 Effective Date/Expiry Date. Select Effective Date and Expiry Date for the policy. 11 1 Product. Select Zurich CTP Personal Injury Insurance Transaction Type. This is pre-populated to Quote. Transaction Subtype. This is pre-populated to Single Vehicle. If a CTP Fleet or a short term CED Fleet is required, you can simply click on the Transaction Subtype and selection the transaction required. CTP Fleet is for 10 or more vehicles insured with Zurich. If you have 10 or more vehicles, you should select CTP Fleet and then complete the details as required. If you have a vehicle to add to a CED Fleet and it is for a short term to align to common expiry date, users can select the Short Term CED and complete the details as required. 2 Account. If only one account exists, this will be added by default into this section. If more than one account exists for your brokerage, you will need to select an account from the drop down list. All accounts will have account descriptions. Client ref. This is the reference used to identify your client. 3 Registration Start Date. This is the start date of the registration 4 Create. 13 1 Quote Number. Is shown as your reference number. 2 Registration Type. There are three options for Registration Type, Registration Renewal, Establish Registration or Trade Plate. Select the appropriate Registration Type for your vehicle. Registration Renewal. Used for when the vehicle has already been Registered with the RMS in NSW. There are 4 search types within Registration Renewal. 1. If you have the Registration Papers, you can use the Plate Number AND the RMS Billing Number, located in the top right hand side of the registration papers 2. If you have the Drivers Licence of the registered operator, you can use the Plate Number AND the Drivers Licence Number from the registered operator s licence. 3. If you have No Identifiers you can select No Identifiers and complete the details as required. CTP Web Direct Reference Guide v1.0 Page 12

14 Click Registration Usage and select the appropriate Registration Usage for the vehicle. Click Vehicle Shape and select the appropriate shape for the vehicle. In Vehicle Search enter the make, type and year of the vehicle into the field. The vehicle descriptions matching your selection will then be listed. Select the correct vehicle description from the list. Once the vehicle description has been selected, the Make, Family, Model and Year fields will be automatically populated, complete the GVM as required. CTP Web Direct Reference Guide v1.0 Page 13

15 4. Advanced Search If you have some identifiers, Advanced Search allows you to search for the Vehicle using a combination of one vehicle identifier and one customer identifier. Establish Registration. Used for when the vehicle is being established in NSW, such as a new vehicle or a transfer from interstate. There are 2 search types available. 1. Vehicle Identifiers allows you to search for the Vehicle using a combination of different identification such as VIN, Chassis and Drivers Licence Number. CTP Web Direct Reference Guide v1.0 Page 14

16 2. No Identifiers you can select No Identifiers and complete the details as required. Trade Plate. Used for when the vehicle is a Trade Plate and you have the Plate Number. 3 Vehicle Identification. Once the Vehicle Details are found RMS will send the Vehicle Identification details to Z.stream in Real time. In addition to this information, RMS will send the Registration Details, including Status Type, Duration, Period, Registration Usage and Garaging suburb and post code. Also, Registered Operator Age will be supplied by RMS. If any of the information from RMS is not correct, the Registered Operator will need to contact RMS directly to get the information corrected. Z.stream cannot update the RMS system. 4 Coverage details RMS will supply the coverage details back to Z.stream on the successful search. If any of the information from RMS is not correct, the Registered Operator will need to contact RMS directly to get the information corrected. Z.stream cannot update the RMS system. 21 1 Complete Page Payments can be made by Credit Card or you may have credit terms. If you have access with credit terms, you will be further presented with Cash Credit Terms Cheque from Insured This is to help you reconcile your monthly remittance. 2 Click Done to save the CTP quote. Click Purchase to purchase the CTP policy Complete the details as required. For credit cards, a pop up window will appear. A receipt number will be supplied once the credit card details have been completed. CTP Web Direct Reference Guide v1.0 Page 20

22 CTP Referrals required for cancellations When a red referral flag is shown on the left hand navigation panel the transaction must be referred to Zurich. To review the referral details, click on the Referral icon and you will be presented with the Referrals pop up window. See below. The Referrals pop up window contains current and historic referral information. You can review detailed information relating to an individual referral and the referral decision within the Message section of the Referral pop up. If a risk is declined, you will not be able to proceed with this risk. Broker referral comments and the Underwriter s decision can be included for referrals. This can be a useful way to record underwriting information relating to each referral and can assist Zurich in making an underwriting decision. Note: These comments will not print on policy documents. System generated referrals cannot be removed. The green referral flag shown on the left hand navigation panel indicates that the referral has been approved. No further action is required. CTP Web Direct Reference Guide v1.0 Page 21

23 Tools Attachments Adding attachments. Relevant documents e.g. cancellation request, can be attached to the policy transaction via the attachments section. 1 Enter the name of the document. 2 Select the document type from the drop down list. 3 Enter a description of the document. 4 Select Browse to attach a document from a directory on your PC. 5 Click Attach to complete the process. The document will then be available for viewing by Zurich. To view a previously added document, select the attachment and double click to open. CTP Web Direct Reference Guide v1.0 Page 22

25 1 Transaction details. This provides a broad overview of the policy including quote/policy number, period of cover, transaction type, status and overview of premiums. Note: Channel. When Channel displays Manual, then the quote/policy is temporarily in Zurich s control (e.g. when a Zurich underwriter needs to action a referral). You will not be able to edit your quote/policy until the Channel displays Web Direct again. Insured details. This section displays the Client Reference and Insured name. Click View Details to view additional insured details such as ABN number, business address and contact numbers, etc. Account details. This section displays the Intermediary, Account Name and Account Number details. Printable documents. At each stage of the policy life cycle, documents will become available for printing. These include: Quote schedule New Business Schedule Endorsement Schedule Cancellation Schedule Renewal Invitation Renewal Schedule You are able to select documents (check the required document) and either Open to view them in PDF format or the documents. 2 Action Panel. Dependent on where you are in the process, different action buttons will become available. Select to purchase the Quote Select to copy the Quote Select to view the Quote/Policy Select to reject the Quote/Policy Select to cancel an action Select to proceed with an action Select to accept the Cover Note/Policy Select to delete the current transaction Select to edit the Policy Select to submit for manual underwriting CTP Web Direct Reference Guide v1.0 Page 24

26 Select to close the Cover Note/Policy Select to cancel the Policy Select to lapse the Cover Note/Policy Select to amend the Cover Note Select to endorse the Policy Select to renew the Policy 3 Policy History. This details the history of the policy i.e. details of transactions by terms. The latest transaction is always at the top of the Policy History list. To view the different transactions, double click on the line you wish to view and the details will be reflected in the top part of the screen. Attachment History. This details all of the documents that have been attached to the policy e.g. claims experience listings, debtors letter, etc. Double clicking on the attachment will launch it for viewing. Print history. This details a history of the documents that have been opened (printed) or ed for this policy. Referrals. This details all of the referral history for the policy including decision makers and referral decisions, comments and dates. RTI History. This details all of the RMS Real Time history for the policy including status and the RMS Receipt Number. CTP Web Direct Reference Guide v1.0 Page 25

28 Navigation, Functions and Alerts Navigation around Z.stream couldn t be easier. Below you will find an introduction to the Navigation menu along with the common alerts and buttons relating to system functionality. The left hand panel (referred to as the Navigation menu) is where you will find the various screens and sections that relate to the product. The CTP section contains various screens relating to the policy and its coverage. The Tools section allows you to add attachments. Alerts. Various alerts will be displayed in the navigation menu based on mandatory information requirements and referral triggers. * A red asterisk highlights the mandatory fields required to complete the transaction. The red flag in the navigation menu indicates that a referral has been generated in that particular section and requires further underwriting consideration. The green flag in the navigation menu indicates that the referral has been approved. The red flag with an X in the navigation menu indicates that the transaction has been declined. The icon in the navigation menu alerts you to mandatory information that is missing. Where this appears in the navigation menu a more detailed explanation will be shown at the top of the respective screen. For example: Bottom Panel. At the bottom of the screen, you will find another menu containing a number of functional and navigation options. A yellow alert indicates a calculation is required. Press Calculate to refresh or calculate the premium. Select Done to complete the transaction. This will automatically take you back to your broking system. Allows you to add a manual referral. Allows you to move to the next screen Click to add page notes. These print on the schedule. Allows you to net rate the quote/policy. Allows you to re-apply standard commission to the quote/policy. Allows you to return to the previous screen. Saving and Exiting. Users can choose to select the Done button shown above, or they can use the Save & Exit buttons at the top right of the Z.stream screen. The Save option allows you to intermittently save your work without exiting. This exits the transaction any unsaved data will be lost. Note: If you press Save and Exit you will be taken back to the broking system where the transaction will be in an incomplete status. CTP Web Direct Reference Guide v1.0 Page 27

Allows you to search for quotes, policies and clients that have been set up in Z.stream. Quotes & Policies. Select to begin a search for a quote or a policy. Search. Enter your defined search criteria in the appropriate fields and select Search. From the resulting search list, select the required quote/policy by double clicking on the listed quote/policy. This will launch the quote/policy s home page for review. Export. Select to export your search results as a Microsoft Excel document and when prompted, select Open or Save. Clear. To clear your current search criteria, select Clear. 3 Vehicle. Allows you to search for quotes and policies using the registration number of the vehicle. 4 Navigation Panel. At the bottom of the Search screens, you will find a number of navigation options. Returns you to the first page of the search results Enter the page number you wish to navigate to Takes you to the final page of the search results Returns you to the previous page of the search results Takes you to the next page of the search results Refreshes your search results CTP Web Direct Reference Guide v1.0 Page 30

33 1 Search Tab. Click on the search tab to create a report of all transactions within a date range. 2 Product. Select Zurich CTP Personal Injury Insurance Transaction Date. Select the transaction date range eg 26/10/2015 to 26/10/2015 for all transaction completed on this day. Click Search 3 Export. Click Export to create an excel spreadsheet of the transactions.
