1 Talent Management System (TMS) Instructions for Trainees The VA requires all staff, including employees, contractors, Health Profession Trainees, and volunteers to use the VA Talent Management System (TMS) for all required training. The following steps are used by Health Profession Trainees to create a TMS account and complete their training. 1. Go to 2. The following window will open. Click on Create New User. 3. 1

2 4. Select Health Professions Trainee and click on the Next button. 5. You will be asked to enter specific information related to your account request. Password Use the guidelines listed above the Password box to create your password. You will use this password every time you enter TMS. Security Question and Answer this is protected. No one else will have access to the question or answer. Social Security Number (SSN) Your Social Security Number is only used to ensure that you have a unique account. It will not be visible once your account is created. You are required to enter your actual SSN. Date of Birth (DOB) Your actual date of birth Legal First and Last Name Because of the system links with our Human Resources database it is important to use your legal first and last name, as it would appear on legal documents. Your middle name is optional, but may be 2

3 helpful to identify you if you have a common name, such as John Smith or Mary Jones. Address You may enter any valid address of yours; it does not have to be a VA address. The address will be used in your TMS User ID and will also be used to communicate with you regarding the TMS (i.e. due dates for training). Phone number You may enter any phone number of your choosing. Information you will need specific to your VA assignment. The following specific information is needed to complete your registration: o VA City: Roseburg o VA State: Oregon o VA Point of Contact for Health Profession Trainees: First Name: Linda o VA Point of Contact for Health Profession Trainees: Last Name: Holbrook o VA Point of Contact for Health Profession Trainees: Address: _Linda.Holbrook3@va.gov VA Phone Number (do not include hyphens: HIPAA Training Required: If you have access to patient health information or personally identifiable patient information (i.e. patient records) you must check this box. After entering the requested information click on Submit. 6. The following message screen will appear indicating your account has been created. Click Continue. 3

4 7. The TMS Log on page will open. Your User ID is your first name followed by a period, your last name and your address. For a person named Jeffrey Pilot with an address of Jeffrey.pilot7@contractor.com, his TMS user ID is Jeffrey.pilot7@contractor.com. For a person named Joseph Learner with an address of my .com, his TMS user ID is Joseph.learner@my .com Use the password you created. 4

5 8. Next your TMS Home Page will open. Your To-Do List will either show one or two courses, depending on whether you are required to complete the HIPAA training. Courses are displayed with their due dates and titles. 9. Click on the course title to open and begin the course. If you receive an error message, if the course does not function properly, or if you have any other problems, please refer to the TMS Problems and Help section at the end of these instructions. If you cannot complete the course in the initial session your progress with be bookmarked. To complete the course, follow the same log-on process and click on the course title. Next click Launch Course. 5

6 10. It may take some time for the system to record the course completion (depending on the demands on the system.) Once a course is completed, if it is a continual requirement (i.e. annual requirement) it will continue to show on your To-Do List, as In progress, but the due date will change. If the course is a one-time only requirement it will disappear from the To-Do List. 11. Completed training will be shown by clicking the Completed Work button. You will be able to view completed courses by Item number or by date. You may also print a certificate of completion if needed for your records. 6

7 TMS Problems and Help: The TMS requires specific computer settings and software, such as JAVA and Adobe. Minimum screen resolution for optimal use is 1024 x 768. If you need assistance with your computer settings or have any problems with the VA Talent Management System (TMS) contact the VA TMS Help Desk at vatmshelp@va.gov (available 24/7) or request help over the phone Monday through Friday between 8am and 10pm EST at 1 (866) Additional information about TMS can be found by clicking Inside TMS on the TMS home page. 7
