2 What s New To automate and simplify the process of communicating Job progress to the appropriate contacts, FieldAware is adding the capability to send SMS Notifications. This new feature ensures that notifications are sent to the Job Contact when a Job is scheduled, when travel has started on the Job, when the Job has been started, and when the Job has been completed. Examples of Workflow Use Case 1: Building Facilities Manager Tonya is a building facilities manager in charge of several office and apartment blocks. She is constantly moving between locations, so she wants to be kept up to date on maintenance and repair work even if she's not on site. Ascend Elevators Inc., a FieldAware customer, has the contract to service the lifts in all the buildings managed by Tonya. They set Tonya up to receive SMS Notifications. Whenever a job schedule is confirmed, and she is the Job Contact, she is notified of the scheduled date and time. On the day of the job, she receives an SMS telling her that the Ascend Elevators technicians are on their way to the site, as well as when they start and complete the job. This way, she can follow progress even when she's at another location, and if necessary, arrange to travel to the site to meet the technicians. Use Case 2: Manufacturing Plant Supervisor Peter is the Plant Supervisor for a large pharmaceutical facility. His job is to ensure that the plant equipment runs smoothly. His time is divided between the main office and the different manufacturing buildings, so he relies heavily on his work cell phone to stay in contact. The mechanical engineering contractor, MCI Mechanical, a FieldAware customer, regularly sends out technicians to carry out planned maintenance or repairs. Sometimes there may be more than one job in progress at a time. MCI Mechanical sets Peter up to receive SMS Notifications on his work cell phone. This way, Peter can keep track of the various technicians that are arriving on site, and also keep track of ongoing work. This also helps him to be available to sign off the job on the tech's device when the job is complete. Types of SMS Notifications (1a) Contact Activation SMS: "You have been activated for SMS Job notifications. <Company Name>." When a user successfully saves the contact's record with a validated mobile number, that contact will receive a message to say that they have been signed up to the service. There is no automatic opt out option. It is the company using the feature who must seek permission before signing up any contacts if it is required. To opt out, a Job Contact must get in touch with the company to switch them off. (1b) Job Confirmation SMS: Job <Job IID> has been scheduled for <Day of Week>, <Month + Date>, <Time>, <Company Name>. See section below "Sending a contact the job's schedule from the Job page". 1
3 (1c) Job Travel SMS: <Job Lead Name> has started traveling to Job <Job ID>, <Company Name>. The first time that a technician selects to start travelling on the Job, a message will be sent to the Job contact. For customers who use Job travel to track time, this may not be a true reflection of the team actually travelling to the Job. This is important to note. (1d) Job Started SMS: Work has been started on Job <Job ID>, <Company Name>. When the first person starts the Job, the Job contact will receive a message. (1e) Job Completed SMS: Work has been completed for <Job ID>, <Company Name>. When the last person on the Job completes the Job (sending the Job into a completed state), the Job contact will receive a message. 2
4 Setting Up a Contact to Receive SMS Notifications A Contact can be enabled to receive SMS messages by sliding the switch to On. (See in image below) When enabled, a valid mobile number is entered and saved. The user should receive an activation text message. (See in image below) An enabled Contact, with a valid number will automatically receive the following messages for Job activity. 1. Travel to Job 2. Job started 3. Job complete A manual selection must be made to trigger the SMS message for the scheduled date and time. 3
5 Send the Job Schedule to a Contact from the Job Page When a Job is created in FieldAware, a scheduled date and time is automatically applied to the Job. Because this schedule may be changed, after Smart Scheduling work for example, a user must manually select to send a schedule Job to the Job Contact. (See in image below) The user will be asked to confirm that they want to send the message with the name and number of the Contact displayed. If there has been no change in the SMS Contact or schedule date and time of a Job, then the user will be advised of this. Users can choose to resend. How to Enable SMS Notifications in a Business Several steps are required to enable SMS Notifications for a business.
