1 Supplier news June 2011 Stocktake instructions It is important that you read EVERYTHING below. It could mean the difference between an accurate result and being charged for lost crates!!! Remember you are responsible for processing your own reversal and rejection transactions in SAVI (as well as your checkins/dehires). Ensuring your SAVI balance is correct relies solely on you entering the transactions accurately and making sure they are kept up to date. With 2 weeks until stocktake, it is time to review your transactions and ensure they have ALL been entered in SAVI and have the correct quantities and crate type. To ensure you are prepared we recommend that you compare your SAVI balance/inventory to your physical count and make sure they match. If you need instructions for any processes, you can download the supplier manual from our website Do I need to participate in the stocktake? Yes. If you have received this , you (or one of your colleagues) must submit your response online confirming your physical crate count for the June 2011 Stocktake. What if I don t have any crates onsite at stocktake? Even if you have a ZERO balance, you must still respond to the stocktake confirming your zero count. When is the stocktake? 2 New Zealand 02:00 PM Sunday 19 th June 2011 If you do not count your crates at the correct time then your count will not correspond to your SAVI balance as at stocktake time - which may result in a bill for lost crates. If you are unsure when to do your count, please contact us FIRST. Q: Can I count my crates and complete my stocktake response earlier than this time? A: Once you have done your last crate movement and entered the last SAVI transaction before the stocktake day/time you can count your crates and submit your results using the link below in this . However, if you have crate movements right up until stocktake time, you must wait until the exact time before counting your crates. Submitting your count to Logtek The stocktake can only be completed online - link to the online survey is in this (below). This is a unique link for your SAVI site. We will NOT ACCEPT s or faxes. If there are multiple people in your company that would have received the Stocktake Instructions from Logtek (on Monday 6/6), then you will need to nominate ONE person to submit your stocktake count. When you click on the Stocktake link it will open your internet to the website where you can submit your stocktake response. If the link is not active (ie does not automatically open the internet) you just need to copy and paste the link into your web browser. If you need this information please contact Logtek Customer Service ( or cratesrus@logtek.com.au and request that your Stocktake Instructions be re-sent to you)
3 If you have any problems completing the online stocktake, please don t hesitate to contact us. Important Information The crate type can be determined by the imprinted Letter on the side of the crate. (A,B,C or E) Crate Type is Important recording the wrong crate type will result in account discrepancies. Remember to check for crates under tables, tarpaulins and even in the office they can be stored in the most unlikely places! COUNTS ARE TO BE PROVIDED IN CRATES QUANTITIES NOT PALLET QUANTITIES! If you are a Grower type site your crate count should: Include DO NOT Include Empty, packed & damaged crates Crates I have borrowed from other suppliers Crates you have loaned to other suppliers Crates already Checked In (dehired) in SAVI prior to stocktake count Crates collected from Logtek (even if they haven t arrived on site yet) Crates at all my sheds, pack-houses, ripeners, coolrooms etc... If you are a DC type site your crate count should: Include DO NOT Include Empty, packed & damaged crates Crates I have borrowed from other suppliers Crates you have loaned to other suppliers Crates where SAVI checkout to grower site has been done prior to stocktake Crates checked in/transferred into my SAVI Crates where SAVI transfer out to DC/Coles site (even if you haven t received them yet) has been done prior to stocktake Crates at all my sheds, pack-houses, ripeners, coolrooms etc... Your site type (Grower or DC) is listed above in this . What does it mean if I am exited from the Stocktake survey and receive an UNSUCESSFUL message? The online stocktake is designed to ensure that you are completing your response at the correct time and have all the information you need to complete the response (so that it doesn t time out). If you are exited from the stocktake website and are unsure why, then please contact Logtek Customer Service ( ) for assistance. How will I know if my online response has been SUCCESSFULLY received by Logtek? You will see the following message on the screen.
4 Submission Deadline: Close of business on Monday 20th June 2011 What happens if I don t submit a count? Logtek will inform Coles that you did not respond to the stocktake. We will assume that you have a ZERO physical count. If you have crates on your SAVI account, you will be billed $15 for each crate on your account. What if I make a mistake on my physical count? There is no room for error and there will be no opportunity to re-submit or change your count. Remember that you are billed based on your result and submitting an inaccurate count may result in a bill for crates at $15 each.
5 What happens with my count? Logtek collate all responses from suppliers confirming the physical count and compare this to the balance on SAVI at stocktake time (midday Eastern Standard Time Sunday 19th June 2011). If the count that you provide us is different to the SAVI balance then Logtek will adjust SAVI to match your physical count (and notify you by once this has been done). The results are reported and forwarded to Coles. Logtek must submit this report to Coles on Tuesday 21st June - which is why it is important that you submit your count by the deadline. Coles review the report and any supplier who shows a crate loss will be liable for a bill of $15 per crate. Once the Coles review has taken place, Logtek will you confirming your final result for the stocktake period of 15 November 2010 to 19 June This is likely to happen within about two weeks from stocktake date. There is no opportunity to dispute this result or resubmit the result is final. Coles have advised us that if you receive a bill for lost crates, but can then subsequently provide evidence that you have not lost the crates, the bill will be reversed - but only at the following stocktake not before. Another incentive for you to spend the time reconciling your account and following the above instructions!!! We wish you all the very best and leave you with these final words... If in doubt please contact us. PLEASE don t leave your preparations to the last minute there are nearly 500 supplier sites, and we cannot help you all at once.
