1 The University of Arkansas, and its advisory partner ISG Public Sector, will be using an online collaboration tool called DecisionDirector to collect input on the system requirements for a new software solution for financial management, human resource management, payroll, procurement and student administration. It is easy for you to get going in DecisionDirector (DD). The basic steps are: 1. You will receive an invitation to join. Click the link in the to start the process. 2. The very first time, you will have to create an account. You will use your address and create your own password. After creating your account, you will verify it by clicking a link in a verification Log in to DD. You will be presented with messages within DD. Click the message called Invitation to Contribute and accept the invitation. 4. When you are ready to review the requirements, click Collaborate on your main screen. 5. Read each requirement in your area and make a response. When you have responded to all applicable requirements, you are complete! The following pages in this document illustrate the screens you will see as you get started in DD. A few notes: 1. All system requirements available to you. You only need to respond to the requirements that are applicable to your functional area. 2. Access to the requirements is only available by invitation. An uninvited user can set up an account in DD but will not have access to the University s response collaboration environment. If you need help: 1. Once you have access, if you experience any technical issues with using the DD application, help is available by using the contact information located in the Support tab appearing at the top right of the DD screen. 2. If you have questions about specific requirements, you will use DD to submit these, and your questions will be addressed during your respective Focus Group sessions. 3. 2 STEP 1: Invitation. You will receive an similar to the one shown below. Click the link in the to get started. Page 2 of 19

3 STEP 2a: CREATE ACCOUNT. Enter your address and choose a password. Enter your name as your profile web key. You must answer the simple math problem as a security question. Click Submit to create your new account. Page 3 of 19

4 STEP 2b: CREATE ACCOUNT (continued). You will receive a completion screen similar to the one below. Next, please check your for a verification from DecisionDirector. It should arrive within 15 minutes. This verification will come from an account named notify@decisiondirector.com. Please be sure that your system will accept messages from notify@decisiondirector.com, and that they aren t blocked or sent to your spam folder. If you do not receive the verification , please check your spam or junk folder, or contact your mail administrator for assistance. Page 4 of 19

5 STEP 3a: VERIFY ADDRESS. Open the verification and click the link in the to verify your address. Page 5 of 19

6 STEP 3b: VERIFY ADDRESS (continued). You should receive a screen similar to the one below. Your account setup is now complete. You are ready to log in to DD using your address and new password. Page 6 of 19

7 STEP 4: LOGIN TO DD. Click the login link on the Account Verification screen if it is still open, or navigate to advantiv.decisiondirector.com in your browser. Enter your address and your password. You may want to bookmark this page in your browser (add it to your Favorites) so you can return here easily. Page 7 of 19

8 STEP 5a: ACCEPT YOUR INVITATION. DD will first show your messages. You should have a message for Invitation to Contribute as illustrated below. Click the underlined text to open the message. Page 8 of 19

11 STEP 6: START COLLABORATION ON REQUIREMENTS. The screen below illustrates your typical dashboard for DD. To begin the process of reviewing requirements and offering your feedback, click the Collaborate link. Page 11 of 19

12 STEP 7: OPEN YOUR FUNCTIONAL AREA. Listed on the left side of the screen are all of the functional areas for the system requirements. Click on the functional areas where you wish to contribute. When you choose a functional area, such as Accounts Payable, the system will show you subcategories of those requirements. Choose a sub category to start your review. Page 12 of 19

13 STEP 8a: REQUIREMENTS REVIEW. For a particular sub category, you must respond to every requirement to be complete for that functional area. You may accept the default response shown, or click on the arrow to the right of the response to choose a different response. You will have four possible choices for each requirement: 1. As Is. I agree with the requirement as written. This is the default choice. If the requirement is acceptable as is, click Accept Defaults or choose this option from the pull down. 2. Remove. This requirement is not needed or not applicable and should be eliminated. This requirement is not needed for your business or doesn t apply. (The requirement will not be removed until it is discussed in your session.) 3. Question. I have a question or comment about this requirement. (Use Questions link below) To offer input, comments, feedback or questions about the requirement, choose this option. Then enter your text by clicking the Questions link in the lower left corner of the requirement box. All constructive questions or suggestions will be discussed during your session. 4. Rewrite. I have a suggested rewrite for this requirement. (Use Suggestions link below) If you think there is a better way to state the requirement, choose this option. Then enter your text by clicking the Suggestions link in the lower left corner of the requirements box. Either choose a response from the pull down menu of choices, or click Accept Defaults Page 13 of 19

14 STEP 8b: REQUIREMENTS REVIEW (continued). Once you have clicked Accept Defaults or chosen a different response option from the pulldown menu, the status for that requirement will change to Input Complete. Your goal is to complete your input for all requirements in your functional area. Page 14 of 19

15 STEP 8c: REQUIREMENTS REVIEW (continued). If you choose the response option for a Question, you should then click the Questions link in lower right corner of the requirements box to enter your text. Page 15 of 19

16 STEP 8d: REQUIREMENTS REVIEW (continued). If you choose the response option for a Rewrite, you should then click the Suggestions link in lower right corner of the requirements box to enter your text. Page 16 of 19

17 STEP 8e: REQUIREMENTS REVIEW (continued). To suggest a new requirement, use the Suggestion link under the heading. Click the link and then enter your requirement(s) in the text box that appears. Page 17 of 19

18 STEP 9: SAVE YOUR WORK. Click Save when complete with entry, or as often as you like. (If you get a dialog asking whether to stay on this page or leave the page, it is because you haven t saved your changes. If you leave the page without saving, your work will be gone.) Notice that the box surrounding the Save button will be striped if there are unsaved changes in your work. Page 18 of 19

19 STEP 10: MONITOR YOUR PROGRESS. Click on Collaboration Summary to get a summary of how many responses you have completed in an area and how many still await your response. Page 19 of 19
