2 Starting up Accessing the website The website can be accessed at: First it is recommended you explore the site as a Public User (i.e. without logging in), to familiarise yourself with the content everyone can view. Each section of the site is listed on the menu in the left pane. The menu will remain in place regardless of which sections you navigate to. The content and options available to you on the website depend on your status within the system, these are as follows: Public a general user who has not registered as a member or logged into the website Logged in member A registered member and has logged into the website Logged in member and a Participant A registered member who has logged into the website and is listed as a Mentor, Mentee or unattached participant in a program Logged in member and Coordinator of a Program A registered member who has logged into the website and is also listed as the Coordinator of a Mentoring program 2

3 Public users can: Read public pages and information including Resources set as public, public information about the Mentoring Programs and FAQs Register to gain immediate approval with password by (note. Is this still the process?) Contact a Mentoring@Griffith Coordinator Participants can: View any program they are a part of Contact Coordinators and other Participants (In the same programs) Make comments, suggestions or provide feedback regarding their program Coordinators can: Access and edit information pertaining to their program, including text and pictures Add and remove participants, including Coordinators, Mentors and Mentees, in their program In order to gain access to any of the above you must register as a user, existing staff members or students may use the guide below to register or if you have already registered may log in as shown on page 5. Register as member (staff or student) or guest In order to register as a staff/student or guest member you must: 1. Click the green Log in button in the top right-hand corner of the screen (as pictured below) 2. Below the red and green log in options click Register as shown below 3

If you are a student or staff member of Griffith type your s-number in the Username field, then click check username this will retrieve your information from the PeopleSoft Data set as pictured below. An s-number or username, full name and preferred address are required to register. 4. If you are NOT a student or staff member of Griffith you may enter a Username, Full name and preferred address. After entering a Username click Check username, as pictured above, to ensure it is not currently in use. a. Optionally, you may fill in the Telephone, Mobile and Address fields located under Contact Information and the Faculty or School, Main Campus, Program Level and Year of Study fields located under Professional Information. Otherwise you can edit your profile after registration. 5. Finally, after filling all desired fields, select an option reflecting your reason for joining the Mentoring@Griffith website and click the Register button at the bottom left as pictured below. 4

5 Logging in To log in to the website follow the instructions below: 1. Click the green Log in button in the top right-hand corner of the screen (as pictured below) 2. Click either the red or green log in option as shown below (Red if you are an existing student or staff member, green if you have already registered) 3. If you selected the red option the following field will display: Enter your Griffith s-number and password and click login in order to log in 5

6 4. If you selected the green option the following field will display: Enter your pre-registered Username and Password and click Accept conditions and login in order to log in 5. A successful log in will redirect you to the home page and display your name in the top right-hand corner as pictured: Editing My Profile If all fields were not filled during registration you may need to edit your profile in order to display additional information about yourself (e.g. Contact details, School or Faculty, Main Campus etc.) 1. In order to edit your profile click the My profile button located on the menu in the left pane: 6

7 2. Your profile will be displayed in the centre of the screen, this will display general information as well as mentoring information. In order to edit this information click the Edit Profile button below your profile: 3. This will display a number of fields to input information (they are fairly selfexplanatory) as well as allow you to upload a picture to be displayed on your profile and a thumbnail image to be displayed on Mentoring Program pages where you are listed as a Participant and change your password (for Guest Members): In order to upload an image click Browse (top for profile picture and bottom for thumbnail) and select the picture you want to upload following the guidelines detailed on the page. 7

8 4. The profile page will also display Mentoring Information for the programs you are a Participant in. The program, your role, any partners you have and the actions available to you in regards to that program will be shown: You may edit and view a sample profile In order to familiarise yourself with the function of your profile before actually editing it, you may use Mentor One (Username: m1 Password: m1 using the Green log in option pictured on page 5). Mentor One is set as a Mentor in a number of pages. Joining a program Join by application The steps to join a program by applying are as follows: 1. If you have not already, register using the instructions beginning on page 3 and log in using the instructions beginning on page After logging in you may browse the Mentoring Programs available by clicking Mentoring Programs in the left hand menu pane, as pictured below: 8

9 3. When you have found the program you wish to join click its name and you will be taken to its profile page. From there, you may apply to join the program by clicking Apply for this program, as pictured below: 4. This will display an application page. Please select the Access level you are applying for from the drop down menu (i.e. Participant, Mentee or Mentor) and provide your reason for applying to join the program. Then click Submit, as shown below: 5. If the application was successfully submitted a Save Result will be displayed confirming this, for example: 9

10 Join by invitation You may receive an from a Program Coordinator inviting you to join their Program. In this case you will be registered as a Member or Guest, if you were not already registered, and made a Participant of the program. In order to continue simply log in, using the steps detailed on page 5, with the appropriate username and password (Griffith s-number and password for Staff and Students or details received in the invitation or pre-registered details for Guests) Participating in your program(s) In order to participate in various aspects of your program follow the steps below: 1. In the left hand menu pane click Mentoring Programs, as show below: 2. This will display a drop down menu, from this menu select My Mentoring Programs, as pictured below: 3. This will display a list of Mentoring Programs you are participating in, or have applied for. To view the Profile for a particular program click its name. 10

11 4. The program profile will display a number fields, as well as a number of actions available to you. These are all shown below and are explained in more detail. Program notices this displays any notices posted on the program by Coordinators. Resources this displays any resources posted to the program, as well as a description of the Resource and a link to it. Show archive will display a list of older Resources. Resources generally may be explored through the Resources button on the left hand menu pane. Access level for this mentoring program this displays what access level is required to view the program s profile page. Public means anyone can view it, Member means only members of the Mentoring@Griffith website can view it and Participant means only Participants of the program can view it. Member level this displays the access level you have for this program and generally will reflect your role in the program (e.g. Mentee or Mentor) 11

12 Actions Progress report Allows you to lodge a Progress Report for Mentoring sessions held by providing detailed information about the session(s). Add feedback/suggestion Allows you leave feedback or make suggestions to the Program Coordinator Program evaluation Allows you to rate or evaluate the program on questions set by the Coordinator(s) Request promotion Allows you to apply for a new role different from your current one Request mentoring relationship Allows you to request a Mentoring relationship with a certain Mentee, or if you are a Mentee with a certain Mentor. View participants and relationships Allows you to view the relationships between Mentors and Mentees depending on the settings the Coordinator has chosen. If the Coordinator(s) of the program has allowed for Participants to see all other relationships in the program you will see: o Mentor/Mentee Relationship This table provides a listing of all Mentor Mentee relationships within the program o Participants this table provides a listing of all Participants in the program along with their role. o You will also have the option to Request Mentoring Relationship as above If the Coordinator(s) of the program has not allowed Participants to see all other relationships in the program you will see only the relationships between you and others in the program. Send communication to my mentees This allows you to send an to all Mentees you are listed as a Mentor for. Select which mentees will receive the by unchecking the box next to their name, fill in the subject and content and then click send to send the message, as shown below: 12
