1 Welcome To Addressing for Success

2 Addressing The delivery address is key to successful processing and delivery of all mailpieces The address information also provides data to the USPS to assist with managing the flow of mail through the system The address is always read from the bottom to the top Charlie Smith 123 Street Road Apt 14B Anytown US

3 Addressing Whenever possible the address should be in all CAPS without punctuation Street names should always be spelled out whenever possible Directionals and street suffixes should always be part of the address and abbreviated per USPS specifications Unit numbers should be part of the delivery address line

4 Addressing Street addresses and PO Boxes should not be used in the same address block The mail will be delivered to the address line directly above the City, State, and ZIP Many times the ZIP doesn t match the delivery address line Foreign mail should always have the name of the country on the last line in ALL CAPS Charles & What s Her Name 1 Buckingham Palace Dr London A4UR86 ENGLAND

5 Addressing-Alternative Methods All addresses must have an individuals name unless one of the following methods is used Or Current Resident may be added to an address if the mailer is not concerned about who currently lives at a specific address The word Occupant or Resident can be used to replace an individual s name Substitutions like To Our Friends At or Pizza Lover can be used

6 Address Quality The Postal Service processes over 9.2 billion UAA pieces every year About 40 million people change their address each year Mail can be considered undeliverable for many different reasons Incomplete or inaccurate addresses Addressee moved and didn t notify the USPS About 20% of movers Forwarding order expired Address is vacant No mail receptacle

7 Undeliverable as Addressed Mail First class Mail will be forwarded or returned free of charge Periodical Mail will be forwarded free of charge for sixty days Subscription periodicals must subscribe to Address Change Service which provides address updates electronically to publishers Standard Mail will be recycled unless instructions are provided on what to do with the undeliverable mail

8 Move Update The Postal Service spends over 2 billion dollars a year to process UAA mail Addresses used on discounted mail must be updated within 95 days prior to mailing NCOA link Address Change Service Ancillary Service Endorsements Alternate Methods First-Class Only

9 Move Update - Compliance National Change of Address (NCOA) Database of address changes provided to the USPS by anyone who has moved About 40 million changes annually 20% of people who move never tell the USPS Licensees compare client data against NCOA linktm database and identify moves Date of move Type of move Family, Individual & Business Reason for non-match Only matches past 24 months of moves (rolling)

10 Move Update - Compliance Address Change Service (ACS) Subscription based program where address changes are provided electronically based on information printed in the address block or encoded in the IMB Two versions of ACS Traditional OneCode ACS Fees for this process vary by which program you are participating in Free with Full Service IMB

11 Return Addresses Should not be on the back of the mailpiece Maximum size 1/2 the length and 1/3 the height Should be 2 3/4 above bottom edge of mailpiece Pieces with multiple return addresses from different cities are not mailable

13 Lettersize Address Placement To obtain maximum discounts the address must be parallel to the long dimension The address must also read parallel to the permit When designing postcards always leave enough room for a complete address containing at least 30 characters per line Leave at least 4 of clear space for the barcode DO NOT put a vertical black line to separate the copy from the address area

15 FLATS Address Placement Specific location for address placement on all flats except First-Class Preferred font types, sizes and spacing Arial, Courier or Helvetica preferred Script fonts are OK, but not recommended Pieces without barcodes Font must be at least 8 pt. 19 The Changes, They Are A Comin The tabbing/gluing changes apply only to automation and machinable rate lettersize folded self mailers Not to envelopes, cards or booklets Effective date - January 5, 2013 The IMB changes apply to automation rate letter and flat size mail Also applies to Qualified Business Reply Mail (QBRM) Effective date January 28, 2013

20 The Major Changes Specifications Maximum Height 6 Down from 6 1/8 Maximum Length 10 1/2 Down from 11 ½ Thickness, weight and aspect ratio remain the same Changes DO NOT apply to envelopes or cards

21 The Major Changes Minimum Paper Basis Weight All paper weights are based on book weight paper specifications One ounce or less 70# book / 28# bond Over one ounce 80# book / 32# bond Optional elements that are added can impact paper weight requirements Newsprint is only allowed in quarter folded design format

22 New Folding Requirements Horizontal fold (when looking at address) Final fold must be on bottom No open edges on bottom of mailpiece All flaps must fold over top to back of piece Z (accordion) folded pieces are not allowed Vertical Fold (when looking at address) Final fold must be on lead (right) edge Short panels must fold from right around to back of piece
