3 PART I : MY ENTITLED SOFTWARE Before you start : If you haven't set your User Preference yet, make sure you have selected the correct Brand in the brand selection filter on the right hand menu. The Brand selection is your system brand. After registering your customer number, you will be prompted by default to My entitled software welcome page. Click on one of the different functions in the left hand menu bar to work with your machines. Note: The different functions will only show if you have access (authorizations for at least one customer number) to it or depending on which brand you have selected. 3
4 Power i, iseries, AS/400 software keys (IBM i only) Before you start : Brand selection. This application is only available for IBM I. Make sure you selected the correct brand in the Brand selection menu or the function will not be visible in the left hand menu bar. Step 1 : Select the machine you want to work with. 4
5 The Current IBM i OS version of your machine is based on the active key for the PID number 57XX-SS1 Code 5050) The list of IBM i OS level keys available for the selected machine is based on the active keys available for the machine. The list of available keys for a version or release are based on compatibility - so the products not following the selected IBM i OS level will show if it is compatible with the selected i OS. Note: The application only supports V5r3 and higher release or version. If you happen to have a machine in a lower version or release than V5R3, please contact customer support for keys retrieval. Phone number and address can be found under Contacts For IBM internal user : Due to the changes made on Power i, iseries, AS/400 software keys. it is not possible anymore to look for a machine not registered under you profile under this function. You will have to register the customer number or machine hardware serial number before retrieving the keys. NEW LPAR feature: IF there is active SWMA on the machine and the current IBMi OS level is supported by the website, it is possible to retrieve as well the keys in a lower version or release. NEW Release upgrade ( From V7R1 to V7R2) without placing an upgrade order If there is active SWMA on the machine and current IBMi OS is at V7R1, V7R2 keys can be retrieved without a software upgrade order is required. Note: Ensure that the machine is compatible with V7R2 and that no physical media is needed. It will not be possible to order physical media after selecting V7R2 keys. If physical media is needed a release upgrade order has to be processed through ESU (see under Software Updates). If a release upgrade was done by mistake and media is needed please contact the keycenter. 5
6 Step 3 : Select the keys and click on one of the command further below. You can : View the keys for a selected machine. Download the keys and save the file on your computer. Install the keys directly onto the IBM i machine ( need administrator rights to access the machine and connection to the IBM i machine) Send the keys ( it will be send to your address registered with your user ID) 6
7 Software Updates ( IBM i and AIX) Before you start : Brand selection. Make sure yo u have selected the correct brand. The list of customer numbers and machines will be limited to the selected brand. Step 1: Machine selection Select a customer number and a hardware serial number Note: If there is no active SWMA, the machine will not be available in the drop down list or you will get an error message that no updates are available for this machine. Check SWMA Records function to verify SWMA availability. 7
8 Upgrade to base release selection (IBM I only) Conditions of a successful upgrade order for IBMi : 1)There is an epoe for the product or the sw serial number is correctly linked to the system number and customer number in the inventory (US only). 2) There is active SWMA Upgrade to a Higher release : Current base release is based on the licence key of the i/os highest level ( PID : 57XX-SS1 5050) The upgrade to base release: will show by default the highest release available for the machine based on availability and SWMA. Click on show details to see the list of products available for a release based on the machine's entitlements. Update of a single product : If a product licence key is at a lower version or release than the i/os version or release, the product will be listed in the list of products for the current version. Select the upgrade to base release to be the same as the current release and click on continue. In that way you can upgrade licences that for some reasons are still in a lower version to the current version. 8
9 Product selection ( AIX only) SIPO NUMBER Conditions for a SW upgrade, refresh or update order for IBM AIX : There is active SWMA Porduct name & number Next step: Updates availability -The list of products available for updates is based on active SWMA. -Products are separated by SIPO Number : ( Ex: 5692-A6P for AIX V6.1.) -Click on show feature code to see all different Products and features available under a SIPO number. - When placing an upgrade order you will receive the latest TL and SP version available. Earlier TL or SP level for AIX OS are available depending of the SWMA under SIPO number : 5799-HKS and 5799-HKU. Note: AIX is only available on DVD. 9
10 Next step select a language for your order. ( IBM I only ) 10 The language selected as main language will be by default the individual language for each product, unless the product is not available in that choice. In that case, select an alternative language and click Continue to process the order. Note: IBM i V7 products use language groups. See Help "IBM i V7 language groups" for a list of languages included in each group.
11 Step 2 : Terms and conditions (IBM I and AIX) IBM I and AIX programs are governed by the terms of the IBM international Program License Agreement ( IPLA ) Ensure you visit and review the T&Cs applied before you proceed with the submission. 11
12 Step 3 : Order Summary ( IBM I and AIX) Delivery options: I want to download the order now. When you select this option, as soon as you press the submit button, you will be directed to Software downloads can start downloading the newly ordered software. I want to download the order later You can place the upgrade order and use software downloads whenever it pleases you. I want to receive the order as a physical shipment. *, ** Use the drop down menu to select the type of delivery (Products code and Pubs) * : This option is not yet available in all countries. Contact Customer Support for more information. ** For customers from USA, UK, France, Germany and Italy : You will be invoiced 350 US Dollars (310 Euros) + sales fees for the order if you choose physical shipment (see next page for more information) Entitled software updates order You can see the list of media features that will be sent. Confirm with A confirmation will be sent to your address. You can add other s by clicking on add additional addresses» 12
13 For customer numbers from USA, France, Italy, UK and Germany When you select physical media delivery as delivery options Customers from USA, UK, France, Italy and Germany who choose physical shipment will be invoiced 350 USD (310 Euros) + sales tax if applicable. Note : The warning message will appear only once in your browser session. You can at anytime change your delivery option to Download now or download later. If you want to continue and choose physical delivery, fill up the mandatory billling information. Fill up the Purchase order number or customer reference. Enter the internal purchase order you receive from your company. If your company does not use a purchase order process, enter a reference to help you track your invoice. Note that this reference needs to be unique. Fill up the phone number. Both information are mandatory, you will not be able to submit the order before you have filled up the information. Verify the bill-to and ship-to address: Both are pre-filled based on the customer number. If you need to make any changes, make sure you do it on both as the billing address will not be automatically changed if you change the delivery address ( and vice versa) 13
14 Step 3 : Order Summary Edit shipping address ( IBM I and AIX) Note : Order can only be shipped into the country the licence is registered under. You can not place upgrade order and ship it into another country Review the delivery address and make any changes by clicking on edit shipping address - The current delivery address will be the one related to the customer number. The attention name will be your name per default. 14
15 Last Step : The order confirmation Whatever delivery options you have chosen, an confirmation will be sent to your address and any other additional addresses you have added. The same information as in the confirmation page will be sent to your address. The confirmation includes the software order numbers. You will need this order number to follow on the shipment. To follow up on your order delivery : You can track your orders on CSOL (Customer Support Online) website The direct link can be found under order update in the right hand menu. 15
16 Software Downloads (IBM I and AIX) Step 1 Select the operating system and version Brand selection: Select IBMi or AIX. The drop down list of operating system and version are not dependant of the brand you selected ( IBMi or AIX) For download of Power related software (IBMi, AIX, Linux, Compilers or rational) You can select from the drop down list the operating system and the version of the software you want to download. Then click on continue The list of software will be of active products compatible with the operating system and version you selected. 16
17 Software Downloads (Storage) Step 1 Select customer number ( for storage Brand selection: Select Storage The drop down list of operating system and version are not dependant of the brand you selected. downloads only) The list is of customer numbers you registered previously and has active software maintenance for storage software. Select a customer number and click 17 to continue.
18 Step 2 : Select product ( Storage ) Step 2 : Select the software you wish to downlaod (IBMi and AIX) After you selected the operating system and version you want to download, you will get a list of products available for download. Download for storage is based on active software maintenance. If there is no active SWMA available for the selected customer number,, the product will not be listed. Check SWMA Records function to verify SWMA availability. ( SWMA should be in active status or in shipping status) Select the product to be downloaded and click on continue. 18 The software available for download is based on all active entitlements (epoes and software maintenance) associated with all customer numbers registered under your profile. If you do not find the software product you want to download : - Verify under view epoe that you are licenced for the product. - Verify that there is active software maintenance if you want to download another version that the one you are licensed for.
19 Step : Language selection After selecting the product to download, you will be requested to select the language ( For IBMi only) Select the main language for your download if you want all selected software downloaded in the same language or select a an individual language for a specific product. Note that some products do not have language selection, either because they are available in one language only or as MULTI language. ( EX: 5733-WQX) For V7, languages are presented under 3 different groups. Check the help section for further information. 19
20 Step 3 : Product download package selection In the right hand column, user can see the size in MB of each file. The file has been checked the size of the total download will be updated. Use the Expand/collapse button to see the list of all the components available for Download under a product number. You can either choose to download individual software components by checking the box in front of the components or download all the components included under a PID by checking the box at the PID level. Click on Continue.. 20
21 Step 4 : Terms and conditions ( available for IBMi, AIX and storage) Before you begin downloading, click the I agree button below. Click on View in order to see and read details of a licence or all licences related to a specific product number. By clicking I agree you agree that you have had the opportunity to review the terms and conditions for all products you are downloading and that such terms and conditions govern this transaction. Select I disagree to exit or cancel to return to the previous page if you do not want to continue with downloading. 21
22 Step 5: Start Download Estimated download time for the selected SW is displayed 2 download options: Download Director: Click on Download now in order to use DD. Use of applet, single-click to download entire package, pause/resume capabilities HTTP: Each package to be downloaded individually, no pause/resume capabilities 22
23 Use the different links of the last page to help you with the Download and installation of your software. Step 5: Start Download Step 5A Choose how to download : Download Director or http Download Director provides high-speed downloads, checkpoint/restart, and enhanced data integrity checking. There are several benefits to using the Download Director. You can download all of the selected products with one click. Downloads are faster because the files are packed (that is, "zipped") and because multiple connections are used. You can pause and resume downloads at any time without retransmitting the bytes that were already downloaded. Click Download now to start the Download Director. An applet will start and guide you through the process of downloading the images. HTTP provides basic support for downloading images with slower download speeds than Download Director. To use HTTP, click on Click here to use HTTP. You will go to "HTTP download". If you have any further questions on DD or http, click on the DD FAQ link. Step 5B: Prepare for installation Prepare the installation of the software by reading instructions given through the different links. The same information can be found under help - Electronic Software Delivery. 23
24 IBM i Evaluation, Try & Buy and NLV download (IBM i software only) The function T&B is available under IBMi and AIX Brand. Make sure you selected the correct brand in the Brand selection menu or the function will not be available in the left hand menu bar. 24 Try and buy allows you to download licensed keyed software products, secondary language and other bonus programs without the need of entitlements nor keys. An active SWMA is not required neither in order to download trial software products.
25 25 Select the product you want to download and the desired language (for i/os evaluation software only), then click the Continue button to proceed to the next step. Only one product can be selected at a time. Select one of the IBM i/os software product number (5722-SS1, 5761-SS1 or 5770-SS1) and download the complete evaluation software version of IBM i V5R4, V6R1 or V7R1. Software keyed products and other bonus programs will be available under the i/os product number. A detailed list of the media content and labels is available under the licence machine code feature, "product publication". Go to the help section IBM i Evaluation, Try & Buy and NLV download for any further information. Select one of the NLV product number and download secondary National languages Version for your IBM i softwares at V5R4, V6r1 and V7r1. Some other bonus programs can be available for trial. New products available under T&B will be announced via Newsflash.
26 Next Steps : Package selection, Terms and conditions, Start Download The next steps are the same as described under Software Downloads. Please refer to Software Download for further information. 26
27 Entitlements Entitlements is available under IBMi and AIX brand. Make sure you selected the correct brand in the Brand selection menu or the function will not be available in the left hand menu bar. Entitlements is available under IBMi and AIX Brand. Currently only IBMi entitlements are showing under Entitlements but we will soon show as well AIX entitlements. An announcement will be sent when this happens. Stay tune! Select a customer number and a machine serial number from the drop down list to see a list of active epoes for a machine. Note : Transfer is now available under Entitlements - If you have transfer authorization for the selected customer number. 27
28 Tooltips: We have added tooltips along the way to help you. Pass your mouse on the exclamation mark to read more about the information you see under «entitlements». Licence type SWMA status For transfer : Click on Transfer button. You can see it if the customer number you selected has transfer authorities 28
29 Transfer of epoe Step 1: Select transfer from customer/hardware serial number and click on the validate donor machine button. have You need transfer epoes authorization in order to access to the customer number. Step 2: Select transfer to target customer number/hardware serial number and click on the validate target machine button. You can only transfer within enterprise So you can only transfer an epoe if both donor and target machines are registered under the same customer number. When you click on validate target machine, a list of epoes available for transfer on the donor machine will be presented as available for transfer based as well on the information found on the target machine. ( see transfer rules for further information) Step 3: Select the epoe(s) to be transferred and click on the Continue button. If an epoe can not be transferred based on the target machine inventory. The check button in front of the epoe will be greyed out and an error message in red will appear. 29
30 Verification and Validation screen All the epoes selected should be listed and once verified that the list is correct and that the machine target is correct click on the Continue button. It is in this phase that ESS will highlight possible error message or advise user of iupgrade option (see next slide for more info on general transfer rules on ESS) Confirmation screen This page will confirm the transferred has been successfully executed. User can decide if to continue to operate working on Entitlements clicking Continue button or to choose a different activity on the menu on the right. 5. november 2013
31 What to remember when make a transfer through the website : Both source machine and target machine should be registered under the same customer number or affiliate number. IBM i/os and per processor ( product 57XX-SS and 5051, 5052, 5053) are not transferrable via the web. Contact customer support for further information. Per user ( 5733-QU2, 5761-WDS, HAS...) products are not transferrable on the web. Please contact Customer support to request the transfer. You can transfer Epoe from one Hardware serial number to another or transfer to none (blank) so the Epoes will only be link to your customer number and ready to transfer to another machine if you are making replacement of one of your IBM i machine. If you would like to see the list of epoe(s) that might be assigned on blank hardware serial number, select the customer number and none option.. Unless the entire License Product (LPP) is being transferred (LPP Base eg. PT1 Base and associated Options eg. PT1 Manager, PT Tools), ESS will require for the transfer of Option(s) without Base a Base to exist on the designated target machine. Selecting the LPP Base only to be transferred, ESS will add Option(s) associated to the Base automatically so those will transfer along with the Base to the designated target machine. When transferring LPP Option(s) and the required entitled LPP Base on the designated Target machine is at a Higher Version, ESS will initiate the LPP Option to be upgraded to a higher Version during the transfer to match the existing LPP Base. A valid Software Maintenance Agreement on either donor or target machine is required. This function is called i-upgrade and user will be advised with warning red msg on the Verification/validation screen if this scenario needs to be activated for the selected epoes. The transfer of LPP Option(s) only to a designated Target Machine with a Base active at a lower version is not supported. This will require the LPP on the target to be upgraded prior transfer. Transfer to blank via ESS will be allowed only if the entire LPP (Base and Option(s)) is selected. Exception is SS1 for which the Base is tied to the Machine and therefore not transferable. The Applet for transfer is no longer available. Software Entitlement(s) for both donor and target machine are to be registered under the same customer number. For countries for which ESS is able to validate Enterprise information ESS will support the transfer between different customer numbers which are related to the same Affiliate. (active only for USA) 31
32 SWMA records (IBM i, AIX, Storage) Select a customer number and hardware serial number and click on > The list of available SWMAs is displayed. Click on View all to have a list of all SWMA's active and inactive ever registered under the selected customer number and machine hardware serial number. The status can be read as followed: = ACTIVE = INACTIVE = SWMA is still active but close to expire. SHIPPED= shipped but not installed NOTE :The SWMA in status shipped allows software download operation ONLY for Storage Brand For AIX and I-series a status 'shipped' SWMA is considered as INACTIVE 32
33 For IBM AIX you can click on View SIPO details to access the supply features available for this machine. You will have the list of software products available according to the SWMA. 33
34 To view detail information about the SWMA, click on the product ID. You can find valid information as system number, supported release, affiliate number.. 34
35 Data report (IBM i, AIX, Storage) Step 1 : Select the report type You need to have the necessary authorization for the function in order to see the report type. For example: You need 'SWMA view' authorization in order to be able to select an SWMA inventory report. The function needs also to be available in the country for which the customer numbers are registered. Step 2 : Select a customer number or an hardware serial number The list of customer number will only be available when the report type has been selected. You have the option to filter the report content based on a customer number and a hardware serial number. - If the requested customer number is not listed, verify that you have the necessary authorization for the selected report type and customer number and that the function is available in the country. - Only the last 5 digits of the hardware serial number needs to be entered. Leave the filter blank if you want to include all machines under a customer number in your report. 35
36 Report descriptions : * SWMA Inventory report Active : List unexpired SWMA records with active status. * SWMA inventory report - Expire within three months : List all active SWMA records that will expire within the next three months. * SWMA Inventory report Inactive: List all SWMA records that have expired or have inactive status. * SWMA Inventory report All: List all SWMA records with active and inactive status. * Electronic Proof of Entitlement (epoe) report : List the Proof of Entitlements(ePoEs) available within your profile. * Key Version and Release Inventory report - Active keys: List all active keys and their version and release available for a machine hardware serial number. * Permanent key installation commands: List all permanent active keys included the ADDLIC command and licence key information necessary to add a new licence key on a machine. * ESS software update orders report. List all software update orders generated on ESS ( ESU orders starting with YV or YW) and the detail of its features contents. (Available to IBM internal users only) 36
37 Step 3: Submit the report. When all required information has been entered, click Submit. The report will be generated and sent to the address registered in your profile. 37
38 PART II : MANAGE AND VIEW AUTORIZATIONS Manage customer numbers - Manage authorizations: This option is only available for Administrator and Primary User. - - You can add a new user ID to the customer number and select the authorizations you wish to give to the user. You can edit authorizations for a user and add or remove authorizations. You can remove a user ID from a customer number. - Edit nickname You can in this option give a specific name to an hardware serial number. How to manage a Primary user role? You can transfer the Primary Contact authorization to another User ID without losing your access to the customer number, but you will need to have at least Administrator authority. 38 => Edit another User ID and check Primary contact, the primary contact will be automatically unchecked under your own user ID. => If you are an admin, you can as well uncheck Primary contact from one user ID and add it to another User ID. => If you remove a user ID with Primary user role, the Primary user role will be automatically assigned to you.
39 View my authorizations Step 1: Show all customer numbers registered on your profile or select a customer number from the drop down list. Click on View authorization details Step 2: You can only view the authorizations for a registered customer number. To request additional access click on Contact admin or request additional access To remove the customer number from your profile, if you are the primary contact, transfer first the authorization to another user. 39
40 User preferences With this function you will be able to customise your User Id and set your Default Brand platform when accessing ESS Subscribe to News flash to get notifications on scheduled maintenance installation, latest enhancements, or any information on the software products supported on ESS. Get authority for receiving notification, when you register a new customer number. Note : You need to have administrator authority in order to get this authorization added to your profile. If you for example have Business Partner profile, the authiroty will have to be added by the primary user or one of the adminstrators. Go to View my authorizations for verifying your authorizations for a customer number and contact the primary user if necessary. notification for SWMA about to expire: You will receive an 60 days before the SWMA for a registered customer number arrives to its term. notification for new software orders : You will receive an for any new software orders placed for the customer numbers registered under your profile. Brand preference: Select between the 3 different brands supported on ESS website : IBM i, AIX and Storage. The selected brand will be kept as your default brand when you sign in on ESS and will limit the list of customer numbers under the different functions to the chosen brand. 40
41 Register for Business Partner Access If you are an IBM Business Partner, you can set your user ID as Business Partner. Please see how to register an IBM user ID if you do not have a user ID yet. The BP role allows you to register your customer s number, even if there is already a Primary Contact assigned to that number. You will receive the following default authorizations: - VIEW KEYS - VIEW EPOES - DOWNLOAD - ORDER UPDATE - SWMA INVENTORY RECORDS For further authorization send a request to the primary contact or Administrator. - TRANSFER EPOES - ADMINISTRATOR ACCESS - notification for SWMA about to expire and New orders received in LMS. If there is no Primary user or Administrator: 1. You may encourage the End Customer representing the company to register the customer number, be assigned the Primary Contact and provide you with the extended, additional access. IF your client has given you full authority on managing their inventory and does not wish to use the website: 2. You may request the Business Partner User Profile to be removed from your IBM ID, register the customer number again and you will be assigned the Primary Contact representing the company. 3. You may create an second user ID with no Business Partner Profile. Note: When you are registered as Business Partner, the option to register for Business Partner access will disappear from the left hand side menu. 41
42 Step 1 : Fill in the form accordingly and click continue Note : Your address domain should be related to the company name otherwise the request might be rejected. Step 2 : Accept the terms & conditions Read the T&C before you click on I agree and finally submit your request. You will receive a reply within 48 hours. 45 TROUBLESHOOTING REGISTER IBM ID Q. There are no ibm.com accounts associated with the IBM ID and/or password A. Contact the Help Desk, please access Q. We are unable to validate IBM ID/password at the moment. Please try later A. Contact Customer Support REGISTER CUSTOMER NUMBER 1317 Validation is not passed Match between customer number and order/system number/hardware serial number is not correct. Please review the information on the packing list received with the software. After I type customer number, the options to select order number or system number or SWMA contract number are greyed out There is already a primary contact registered for this customer number. Please contact the primary contact to request authorization for this customer number 1206: Unknown customer number Verify if information was correct typed and the correct country code was selected. Customer number are the 6 or 7 last numeric digits. The country code are the first three numeric digits 45
46 MANAGE CUSTOMER NUMBER 3144: IBM registration user ID xxxx not found The user ID that you are trying to edit is not yet registered in ESS. Please inform the user to create an IBM ID. 3151: IBM registration user ID already authorized The user ID is already authorized for this customer number, to check The customer number is not listed in the pull down box -> There are two possibilities: 1. There is no primary user / administrator registered for the customer number yet. Please access administrator functions, register customer number. 2. You don t have administrator authority for the customer number (only users with administrator authority can manage customer numbers ) You can contact the administrator for the customer number HERE 46
47 ORDER UPDATE Error 1317: IBM records show that there are no valid subscriptions on the machine serial number you selected. If you feel the IBM records for your model are incorrect, please contact your IBM sales representative. - Please check SWMA status on menu SWMA Inv. - Contact you business partner or IBM Representative. Error 4006: No updates available for the selected system -Products on the machine are already in the highest version release available. Please check the key on Key Management. - The SWMA available for your system doesn t support higher version release. Please contact your BP or IBM representative Note that Order Update is available only for USA, Canada and most EMEA Countries. If you are not included in this countries availability, please contact your BP or IBM representative 47
48 SOFTWARE DOWNLOADS 4007: No downloads available for the selected system IBM i: there are no epoes for the products on your machine. Epoes are available for version 5.2 after june 2004 and higher releases. Please contact Customer Support Error 1317: IBM records show that there are no valid subscriptions on the machine serial number you selected. If you feel the IBM records for your model are incorrect, please contact your IBM sales representative. Please check SWMA status on menu SWMA Inv.
