Managing Courses Use the Manage Courses functions to: import new content 1 replace existing content preview a course 2 adjust course player settings promote a course view course details A course size can be up to 100 MB When a SCORM course is uploaded into the Intradiem LMS it must be promoted to make it available to be assigned. Once it is promoted it shows as an available task 3 to assign to users. This is only required for SCORM courses that are imported into Intradiem for assignment. To point users to a third-party system to take a SCORM course, promotion of the content in Intradiem is not needed. To manage courses: On the Navigation bar, click Content. The Courses view is displayed. 1 A course or course group that can be assigned for a user to take during a session. 2 Content that is assigned for a user to take during a session. 3 A Specific unit of work that can be assigned to a user. 3 To display a list of courses, enter part or all of a course name in the Search field, and click the Search icon. To display all available courses, enter an asterisk (*) in the Search field. Manage Courses View For each course, the following is displayed: Course Name Imported Date Promoted Date To sort by any column, click in the column header. To reverse the order, click a second time. A small arrow in the column header indicates the current sort. Selecting a Course Select a course to display a menu of options for the course: Preview Course Player Settings View Details To select a course: Left-click on the course name. 4 Non-SCORM Time Tracking This topic describes the time tracking process for time in assignment for non-scorm assignments. Non-SCORM assignment time is tracked using events from the Agent Console within the Intradiem product. These events are communicated to the server through a TCP connection to the Legacy Messaging Service, and are also used for monitoring users and tracking the time users spend in Sessions. For tracking time in non-scorm assignments, the following events are tracked: Event Description Notes Action The user 1 has clicked an attach- Start: ment for an assignment within the agent console The user has clicked the Start This Assignment 2 Now button on an assignment within the agent console The user has clicked a start prompt for a session 3 and an A start event 4 is sent when a user is considered to have started working on an assignment. The start event must have an associated assignment ID. Since time tracking begins when the user clicks a button or link, time spent reading instructions is not tracked. 5 Event Description Notes Action Pause: A pause event is any event that puts the user into a "Passive" state, but doesn't fall into one of the other categories. A pause event is most likely to occur when the user switches to a window that isn't configured for tracking. When time tracking for an assignment is "paused", no time is added for the time spent paused. If the tracking is resumed within a minute, time will continue tracking for this assignment. If the pause duration is more than a minute, the record will be closed and sent to the database, and no time will be tracked until the next "Start" event is received. Any number of pause events will have the same effect as a single pause event. Every thirty seconds, all records are checked to see if any have been paused for more than a minute. Any record that has been paused for more than a minute is queued to be sent to the database. Temporarily suspends time tracking when the user briefly leaves and assignment A resume event signals that time tracking should start back up if it has been paused. If tracking hasn't been paused, resume events have no effect. Resume: Resume events are distinct from start events because they do not have an associated assignment ID and so they cannot start the tracking if it has been stopped. Any time the user goes into an "Active" state (goes to an approved window title or domain), a resume event is processed. Any number of resume events will have the same effect as a single resume event. Starts tracking again when the user returns from a paused state If tracking is already ongoing (even if paused) and a start event is received for the assignment ID currently getting tracked, then the new start event will be processed like a resume event Intradiem Page 384 of 1658

6 Event Description Notes Action End: An end event signals to the server that the user is no longer working on the current assignment. The user has logged off from Intradiem The server is no longer receiving data from the client, so the client is considered disconnected The user has not interacted with the computer for a configurable amount of time; the user is assumed to be gone. The user has click the "Confirm Complete" button for the assignment (the Confirm Complete button is not available on all A Start event can act as an End event if it is for a different assignment ID than the assignment currently being tracked. In this case, the current record is closed and sent to the database, and a new record is opened for the new assignment. An end is processed when the tracking has been paused for more than one minute. Unlike a pause, an end event causes the record to be sent to the database, and the current assignment ID to be "forgotten". No more time will be tracked until a new start event is received. Signals that the user is no longer working on this assignment and that the final time can be recorded in the database assignments). Every thirty seconds, immediately following the pause check, the queue of records to be sent to the database is processed. The list of events is parsed by starting at the first event and going one event at a time, adding up the time segments, excluding when the tracking is paused. Time is tracked for Non SCORM assignments when there are no window titles configured and sessions are prompted using Start and End prompts. Time tracking for non-scorm assignments depends on the same active and passive 1 events used by Session time tracking. Time will not be tracked for an assignment that directs to an unknown window title or domain. If time is not getting tracked, make sure that the correct window titles and domains are configured. Time will get tracked for any configured window title / domain even if that window title or domain has nothing to do with the current assignment. The Intradiem system does not associate window titles or domains to assignments. If the agent console is not able to connect to the server via TCP, then no events will reach the server, and time can not be tracked. The following table lists session scenarios in SCORM and non SCORM courses, and their productivity behavior. Session Type Activity Productive? Creating a Tip Bank A Tip Bank is a container for a group of related Tips. To create a new Tip Bank: On the Navigation bar, click Content. The Course Management view is displayed. On the Course Management view, click the Tips and Questions tab. The Daily Tip And Question Manager is displayed. Click the View By Type field, and select Tip Bank. Click Add New. 10 Enter a unique name to describe the new bank of Tip, then click Finish. On the displayed confirmation message, click OK. The Tip Bank is added and displayed in the list of Tip Banks. To sort the displayed list of Tip Banks, click any column header. An arrow in the column header indicates the column that is currently sorted. To reverse the sort, click the column header again. 12 Click Manage Tips. The Manage Tips window is displayed for the selected Tip Bank. If Tips have already been entered for this Tip Bank, they are displayed. Click Add New. The Add Tip window is displayed. Enter a name for the tip. The name will be displayed in the list of tips for the tip bank. Enter the tip content 1. To format the content, use the formatting tools along the bottom of the window. There is no character limit for the tip content. 13 Click Finish. The tip is saved in the tip bank. A confirmation message is displayed. Click OK. The tip is displayed in the window for the tip bank. To add another tip, click Add New. Tips of the Day (TOD) This topic describes how to schedule Tips of the Day. For more information about Tip of the Day, see Managing TOD / QOD or Creating a Tip Bank. You can schedule tips of the day for delivery on a specific date or a date range. The following table presents options for scheduling TOD and how they will be delivered to the Desktop Experience. Tips Schedule Delivery to Desktop Experience One tip One day One tip on scheduled day. One tip Date range Tip delivered each day in the date range. Multiple tips Multiple tips Date range All Dates One tip per day, starting on the first day of the date range, ending on the last day of the date range. Delivery sequence is random. 15 To add a new schedule, click Add New. The Add Daily Tips window is displayed. Enter a name to describe the new schedule, and then click Add Tips. The Add Tips window is displayed for your new schedule. Navigate to the tips to include in this schedule. Click to place a checkmark in the box next to each tip to include. To include all tips within a tip bank, click to place a checkmark in to the box next to the tip bank name; all tips in that bank will be selected. You can select multiple tips from multiple tip banks to include in this schedule. To schedule these tips without a start or end date, click All Dates. When you select All Dates, the selected tips, once assigned, are available to the agent at any time. To view multiple tips in the schedule, the agent can click Next, and scroll through all assigned tips in one session. Click Finish. Your selected tips and dates for the schedule are displayed on the Add Daily Tips window Intradiem Page 394 of 1658

16 To add more tips to this schedule, click Add Tips. You can select additional tips for the same or a different date range to add to the same schedule. When your schedule is complete, click Finish. Click OK on the Confirmation message. Your schedule is saved and displayed in the Daily Tip and Question Manager. To make the schedule available for assignment to agents, complete the steps in the topic Managing Student Today Intradiem Page 395 of 1658

20 Click Manage Questions. The Manage Questions window is displayed for the selected Question Bank. If Questions have already been entered for this Question Bank, they are displayed. Click Add New. 21 Click in the Question Type field, and select a question type for this question. The Answer window changes according to your selection. In this sample, Multiple Choice Multiple Answer is selected. By default, three multiple choice answers are displayed and the first answer is selected as the correct answer. Editing Answer Text To edit the displayed answer text: Left-click on the text. A menu is displayed. Click Edit. The Add Answer window is displayed. Enter the answer text. Click Finish. The question text is saved and displayed. 22 question. To add an answer: Click Add New. The Add Answer window is displayed. Enter the answer text. Click Finish. The answer is added to the Add Question view. Selecting the Correct Answers In the Multiple Choice Multiple Answer question type, you can select one or more correct answers for the question. Any answer with a check mark next to it is marked as a correct answer. To select the correct answers: Click to insert a check mark in the boxes for the correct answers. To deselect a selected box, click in the box to remove the check mark. If you are adding coaching content, click the Coaching tab. If you are not adding coaching content, click Finish. 23 Coaching content is displayed after the user 1 answers the question. To add coaching content: Click the Coaching tab to display the Coaching Content view. Enter content to display after the user answers the question. To format text, use the selections on the formatting toolbar. Click Finish. The question is saved. A confirmation message is displayed. Click OK. The new question is displayed on the Manage Questions view. To add another question, click Add New. To return to the Daily Tip and Question Manager view, click Cancel. Questions of the Day This topic describes how to schedule Questions of the Day from the Question Banks. For more information about Question of the Day, see Managing TOD / QOD or Creating a Question Bank. When you create a schedule of questions of the day, you select a group of QODs for a selected date range. Once you have created a schedule, you can assign the schedule to be delivered to a selected group of users. Select QODs from one or more question banks for a specified date range. If a user 1 starts a QOD/TOD but does not complete the answer, the QOD/TOD is presented again when the user logs in, before the current day's QOD/TOD is displayed. In this case, reporting will reflect all completed questions of the day. Scheduling a Question of the Day (QOD) To schedule a Question of the Day from a Question Bank: On the Tips and Questions view, click the View by Type field. Select Scheduled Questions of the Day. 25 To add a new schedule, click Add New. The Add Daily Questions window is displayed. Enter a name to describe the new schedule. Optionally click to select Force coaching on correct answers or on incorrect answers. The Best Practice is to select Force Coaching for both correct and incorrect answers. This is an opportunity to provide additional information and reinforce a user's understanding, whether the answer is correct or incorrect. Click Add Questions. The Add Questions window is displayed for your schedule. Questions are displayed in a hierarchy 1 within question banks. Navigate to the questions to include in this schedule. Click to place a checkmark in the box next to each question to include. To include all questions within a question bank, click to place a checkmark in to the box next to the question bank name; all questions in that bank will be selected. You can select multiple questions from multiple question banks to include in this schedule. 1 A tree structure with branches or levels that represent levels of authority in an organizational structure. 26 To save this schedule without an end date, click All Dates. The schedule will remain in effect until you edit delete the schedule. To enter a date range, click the calendar icons next to the start date and end date fields and select dates from the displayed calendars. Click Finish. Your selected questions and dates for the schedule are displayed on the Add Daily Questions view. To add more questions to this schedule, click Add Questions. You can select additional questions for the same or a different date range to add to the same schedule. When your schedule is complete, click Finish. Click OK on the Confirmation message. Your Schedule is saved and displayed in the Daily Tip and Question Manager. To make the schedule available for assignment to agents, complete the steps in the topic Managing Student Today Intradiem Page 405 of 1658

27 Overview of SCORM SCORM is a set of technical standards for e-learning software products. Specifically, SCORM governs how online learning content 1 and Learning Management Systems (LMS) communicate with each other. SCORM does not speak to instructional design, it is purely a technical standard. By way of an analogy, consider a DVD. When you buy a new movie on DVD you don t need to check to see if it works with your brand of DVD player. A regular DVD will play on any DVD player. DVD movies are produced using a set of standards. Without these standards a studio releasing a new movie on DVD would need to make uniquely formatted DVDs for each brand of DVD player. This is how online learning was handled before SCORM was created. SCORM is produced by ADL, a research group sponsored by the United States Department of Defense (DoD). SCORM stands for Sharable Content Object Reference Model. A Sharable Content Object (also known as a SCO) is a unit of online training material that can be shared across different systems. Basically, SCORM governs two things: packaging content and exchanging data at run-time. Packaging content determines how a piece of content should be delivered in a physical sense. At the core of SCORM packaging is a document titled the imsmanifest. This file contains every piece of information required by the LMS to import and launch content without human intervention. This manifest file contains XML that describes the structure of a course 2 both from a learner s perspective and from a physical file system perspective. Questions like, Which document should be launched? and What is the name of this content? are answered by this document. Before a piece of SCORM content can be imported into Intradiem, it must be packaged in a zip file. Typically, if you are using elearning authoring tools like Captivate, Articulate, or Presenter, the zip file is created as part of the publishing process. This process lets you specify reporting options and course behaviors as well as the version of SCORM that is to be used. Although Intradiem is both 1.2 and nd Edition SCORM-compliant, Intradiem reports are able to report more performance data statistics with the 2004 format. Run-time communication, or data exchange, specifies how the content talks to the LMS while the content is actually playing. This is also called delivery and tracking. There are two major components to this communication. First, the content has to find the LMS. Once the content has found it, it can then communicate through a series of get and set calls and an associated vocabulary. Conceptually, these are things like request the learner s name and tell the LMS that the learner scored 95% on this test. Based on the available SCORM vocabulary, many rich interactive experiences can be communicated to the LMS. The Intradiem product includes a SCORM Engine built by Rustici. The SCORM Engine greatly simplifies the process of upgrading any LMS to be SCORM conformant. The SCORM Engine is easily integrated into your current LMS with almost no changes to your system using an integration layer architecture. This topic details the steps to convert a PowerPoint presentation into SCORM content 1 using Udutu. You can optionally insert quiz pages after the conversion. The finished project must then be published to a SCORM-compliant zip file and imported into Intradiem before it can be promoted and assigned. Follow these steps to convert a PowerPoint file to a SCORM-compliant zip file in Udutu: In your browser window, enter udutu.com. When the udutu.com site opens, click to maximize the window. Click the Use myudutu button. Enter your address and password to log in to Udutu (if you have not set up an account, click the click here to sign up to use myudutu for free button. Complete and submit the form provided). In the Your course 2 name field, type the name of the new course. This is the course name that will will display for agents. Click create new course. Select a theme for the course. To browse for additional themes or create a new theme: - Click my themes. - Locate a theme and click activate theme or follow the instructions to edit one of the customer themes. - Add the logo, modify the font and show the toolbar buttons. - Click save. - Click the blue Workspace tab. 29 In the displayed window, click Browse and select the PowerPoint file. Click save. A new folder with your course name is displayed. A New Group sub-folder is created by default. To delete the (1) New Group folder: - Click delete (right side of screen). - If prompted, click the message in your browser 'This website is using a scripted window to ask you for information. If you trust this website, click here to allow scripted...' In the displayed menu, click Temporarily Allow Scripted Windows. - Click delete again. An Explorer User Prompt window is displayed. - Type DELETE in the window and click OK. The New Group folder is deleted. Click the main course folder for your course. Click save. Select a SCORM extraction option: SCORM 2004 or SCORM 1.2. SCORM 2004 has enhanced reporting capabilities. Click the distribute tab in the top right section of the screen. In the Option B section, click extract. When the zip file is ready, a link to the file is displayed. Click Click Here to get your course!. The File Download window is displayed. Click Save, then browse to the location to save the zip file. Close the Download Complete window. Close the extract course window. Click the create tab. The new course is added and displayed with your existing courses. Before a Captivate course 1 can be imported into Intradiem, the project must be published in Captivate. You will only be able to import the project into Intradiem when the output file of the publish process is a SCORM-compliant zip file. View the Publishing Captivate to SCORM demo Publishing a Captivate Project to a SCORM-compliant zip file In Captivate, with the completed project open, click Publish. Make Publish selections then click the Preferences button in the Publish window. Expand the Quiz section. Click the Reporting option. Check Enable reporting for this project. Select Standard in the LMS section. Click the Manifest button. Select the SCORM version. In the Title field of the Course section, type the name of the course as it will appear in Intradiem. 34 Publishing Presenter Content to SCORM 2004 Overview This topic lists the steps required to publish Presenter Content to a SCORM-compliant format that can then be imported into Intradiem. Content should be published in SCORM 2004 edition to take advantage of enhanced reporting capabilities. Select Report quiz results only radio button under Tracking / Reporting. This forces the content 1 to be recorded with the review scores. Before the course 2 can be imported into Intradiem, the project must be published in Presenter. You will only be able to import the project into Intradiem when the output file of the publish process is a SCORM-compliant zip file. Publishing in Presenter To publish a Presenter course to a SCORM-compliant zip file: Select Adobe Presenter Quiz Manager. Verify the correct quiz is selected, then click the Edit button. Open the Required list, select Pass Required. Make Settings selections. Enter Quiz result messages. Select only Display percent score (e.g., 70%) in Score section. Click the OK button. Select the Pass or Fail Options tab. In If passing grade field, specify Action Go to slide and select the last page of the course. In If failing grade field, specify the number of attempts (or Infinite attempts). Specify Action Go to slide and select the first page of the course. Click the OK button. Select the Reporting tab. Select the Enable reporting for this presentation check box. Select the SCORM radio button. Click the Manifest... button. Content Builder is not SCORM 2004 compliant and is no longer supported by Intradiem. The three authoring tools being compared against Content Builder include Articulate, Adobe Captivate 5.5 and Lectora Enterprise. While the settings for a required pass are correctly set, the course might read as Complete within Intradiem with or without a passing score. There have also been reported issues where a passed course is deemed Failed and therefore Incomplete. While it is possible to branch courses and quizzes within Captivate 5.5, you have to manipulate the passing score in order for the agent to pass. If there are ten questions in the entire course, but due to branching the agent is only required to answer five, the total score will still be calculated out of ten questions. As a result, it is necessary to lower the required passing score in order to account for this. Lectora Enterprise Regarding surveys, it is not possible to simply input a survey into your course and then publish the course. Since there is not a score gathered from that information, it is necessary to alter the settings of the course. Insert an Action that Modifies Variables. For the target, insert AICC_Lesson_Status and completed for the value. For any quiz or survey in Lectora, you must insert an Exit button in order for the scores to be recorded within Intradiem. Use the Button Wizard capability and set the action 4 to Exit Title / Close Window. 1 Shows the answer response, but doesn t list the written question on the report. 2 SnagIt for Lectora enables capture of screen recordings. 2 Snap by Lectora is an add-on in PowerPoint 4 The result of a rule. 41 Shell Courses Using Shell Courses in Intradiem Shell courses enable users to deliver time for agents to complete specific content 1 that is external to Intradiem. For example, you might want agents to complete an elearning course 2 in your LMS or have agents review an article in the company knowledge base. Rather than re-create these courses and articles and import them into Intradiem, you can instead create a shell course that includes a link to the specific piece of content in the external application. When the shell course is delivered to the agent, the agent clicks the link. A separate window opens to display the content from that link. The following describes the shell course process, shows what a shell course might look like, and lists best practices and recommendations related to creating and using shell courses in Intradiem. The Shell Course Process The process of creating and using shell courses in Intradiem includes the following steps: 1. Using a SCORM authoring tool, create a course with an embedded link to the content in the external application. Embedded links can include: the URL to a course in the LMS the path to a file Examples of SCORM authoring tools: Articulate (2nd or 3rd edition) Captivate Lectora 2. From the SCORM authoring tool, publish the shell course to SCORM 2004 format, creating a ZIP file. 3. In Intradiem, import the ZIP file and promote the shell course. Intradiem does not distinguish between a shell course and any other course. 4. In Intradiem, assign the shell course to users / user 3 groups, following the same steps that you use to assign any other content. 1 A course or course group that can be assigned for a user to take during a session. 2 Content that is assigned for a user to take during a session. 3 A person authorized by a login and password to access the IntraDiem application Intradiem Page 420 of 1658

42 Result: Intradiem delivers the shell course to the agent. The agent clicks the embedded link in the course. A new window opens, and displays the linked content in the external application. The agent reviews and completes the content and any applicable assessment in the external application. The agent closes the shell course and returns to the Intradiem console. Shell Course Best Practices and Recommendations Using an authoring tool such as Articulate, Captivate, or Lectora, create a standard template for shell courses. Consider creating different templates for different types of content; for example, a template for critical bulletins, and another for general training. This can help agents distinguish between different types of content. The course name, designated in the authoring tool, should be less than 70 characters; special characters should not be used in course names. Each course should be less than 20 MB. This is true for any SCORM content imported into Intradiem. Include appropriate information and instructions for the agents in the shell course regarding the use of the shell course. Include instructions specific to the content the agent will be directed to through the link. Configure each hyperlink to open in a new browser window. Ensure hyperlinks are configured properly in the shell course according to the capabilities of the authoring tool For example, Articulate does not recognize hyperlinks in tables. To track shell course completion in Intradiem, complete the following in the authoring tool, as needed. Add a final page to the shell course and direct the agent to advance to the next page only after completing, and passed if applicable, the external assignment. Configure shell course completion to be based on all pages viewed. Alternatively, add a simple Yes/No quiz at the end of the shell course for the agent to confirm review of the content, and if applicable, passing of the quiz. Configure course completion based on the agent s response Intradiem Page 421 of 1658

43 Because every authoring tool is different, Intradiem recommends reviewing the options and capabilities of the authoring tool being used, particularly as it relates to SCORM. Contacting the authoring tool s Support organization and participating in related Forums, is also recommended. Test the templates in Intradiem to ensure the overall template design works as expected, particularly as it relates to course completion. Once the templates is finalized, it is simply a matter of inserting the proper link and updating instructions, as required, to create a specific shell course. When creating the shell course templates in the authoring tool, test the templates in SCORM Cloud: ( SCORM Cloud is a free, simple-to-use web-based service. If a course works in SCORM Cloud, it should work in Intradiem. This is true for any SCORM content imported into Intradiem. Test each shell course in Intradiem to ensure the links behaves as expected. Update the Windows Title / Domain configuration in Intradiem, to ensure that Intradiem will recognize the external application as acceptable and to credit agents with time in training when they access the link included in the shell course. Shell Course Tasks The following tasks are associated with creating and using shell courses in Intradiem.
