3 Matriks Mail Configuration Matriks Mail Configuration The Matriks Mail management product consists of a range of Dynamics NAV database objects and a mail handling DLL. These are delivered as 2 fob objects and 1 setup.exe file containing a mail DLL. The Dynamics NAV objects are installed configured and uninstalled using the Dynamics NAV client. In order to perform these tasks successfully, Matriks Mail requires that the Dynamics NAV client is properly installed and connected to a valid Dynamics NAV Database. Prerequisites 2 Matriks Mail FOB files and 1 mail DLL Dynamics NAV 5.0 (see requirements under Matriks Mail Technical Notes) Application Server for Dynamics NAV 5.0 running the JOBQUEUE as startup parameter Optional: Microsoft Outlook 2003/2007 For customers: Execute Granule ID (To run Matriks Mail) or For developers: Execute Granule ID (To modify/run Matriks Mail) Installing Matriks Mail uses the Dynamics NAV Job Scheduling feature. The installation step 3 must be performed on the machine that is running Dynamics NAV Application Server because the Matriks Mail job scheduling codeunit will only compile/run in an environment where the Matriks Mail setup.exe file has been successfully executed. No other Dynamics NAV users/environments needs to run the Matriks Mail setup.exe file. The installation procedure is divided into the following steps: 1. Backup of Dynamics NAV objects for uninstall purposes 2. Get the Matriks Mail files 3. Run the Matriks Mail setup.exe file 4. Import the Matriks Mail objects 5. Install Matriks Mail help files Step 1: Backup objects In order to be able to uninstall the Matriks Mail software it is necessary to backup the Dynamics NAV objects before installing the Matriks Mail objects. Please perform the following tasks: Open the Dynamics NAV client and connect to/open the Dynamics NAV database Login as SUPER user Open the Object Designer (Tool->Object Designer) Click on All button in the designer menu Select All objects (CTRL + A) Select Export Objects in file menu (File->Export) Export objects to a before_mm1.fob file Keep the before_mm1.fob in a safe place Close Object Designer MICROSOFT BUSINESS SOLUTIONS DYNAMICS NAV ADDON 3/27

4 Matriks Mail Configuration Step 2: Get Matriks Mail files In order to retrieve the Matriks Mail software you need to access to the internet. This will require a partner login. Please perform the following tasks: Go to Click on Products in the left menu bar Click on Matriks Mail in the left menu bar Click on Download in the left menu bar Enter your Partner password and click on Login Select the Dynamics NAV version Download and unzip the Basic Objects FOB file that match the Dynamics NAV executables (Ex.: MM1.00 compiled for 5.00 ) Download and unzip the Interface Objects FOB file that match the Dynamics NAV version (Ex.: W15.00 ) Download and unzip the help file that matches your language (Ex. English ) Download the Matriks Mail setup.exe file ( Setup.exe ) Have these files ready for step 4-5 Step 3: Run Matriks Mail setup.exe (Installs mail DLL) (Must be performed on the machine that runs the Dynamics NAV Application Server) Please perform the following tasks: Run the Matriks Mail setup.exe file and complete the install procedure Make a note of the install directory for later configuration purposes (Check Matriks Mail DLL Registry Changes under Technical Notes for more info) Step 4: Import Matriks Mail objects Please perform the following tasks: Open the Object Designer (Tool->Object Designer) Select Import Objects from the file menu (File->Import) Find and select the Basic Objects FOB file Choose Yes to import all objects (No conflicts should be found!) Select Import Objects from the file menu (File->Import) Find and select the Interface Objects FOB file Choose Yes to import all objects (No conflicts should be found!) Close Dynamics NAV client Step 5: Install Matriks Mail help files Please perform the following tasks: Go to the Dynamics NAV client installation folder (on each machine that needs help files) Copy the 2 help files (addin_b.chm, addin_b.hh) to: o folder ENU if United States o folder ENG if United Kingdom o folder ENA if Australia Open the properties on addin_b.chm and click the Unblock button in the bottom of the General tab if the button is present. 5 Matriks Mail Configuration Configuration Before you can use Matriks Mail you must now complete the following configuration: 1. Setup of Matriks Mail Roles and Security 2. General setup of folders, number series, etc. 3. Setup of SMTP gateways to allow for relaying 4. Setup of Persons that can be assigned as team members 5. Setup of Teams and their POP3 account relations 6. Setup Matriks Mail in Job Queue 7. Optionally test/debug Matriks Mail Job Scheduling 8. Start Matriks Mail Job Scheduler Step 1: Security Setup In order to secure Matriks Mail everyday usage and ensure that ordinary users do not inadvertently alter the Matriks Mail configuration we recommend that you define the following Dynamics NAV roles and apply them to users. Perform the following tasks: Open the Dynamics NAV client and connect to/open the Dynamics NAV database Login as SUPER user Open the Roles window (Tools->Security->Roles Menu) 1. Insert a new Role (press F3) and call it MM-CONFIG with description Matriks Mail Configuration 2. Select Role->Permissions. 3. Insert permissions from the MM-CONFIG table below. 4. Close Permissions. 7 Matriks Mail Configuration Step 2: General Setup Open the Matriks Mail General Setup Card (Matriks Mail -> Setup -> General) Select the General tab Enter a valid path in the Drop, Backup and Error folder fields. The setup.exe in install step 3 has prepared 3 folders in the install directory. Use a path to each of these folders if you do not have other preferences. Enter an administrator in the Admin Error field. This will receive s that cannot be routed / forwarded elsewhere Select the Numbering tab Define and select the Dialog, and Route number series. Each number series must have Default Nos. and Manual Nos. checked, and contains at least 6 digits. Close the General Setup Card Step 3: SMTP Setup (This step requires technical proficiency similar to that of setting up an Outlook account) Open the Matriks Mail SMTP Setup Card (Matriks Mail -> Setup-> SMTP) Select the General tab Enter a Name and Description Enter valid outgoing server values Select the Login tab Enter the authentication method of your SMTP gateway Enter the login User Name and Password, if Use POP3 Login is not checked Close the SMTP Setup Card Step 4: Person Setup Open the Matriks Mail Person Card (Matriks Mail -> Setup -> Person) a: Insert a new record b: Select a Dynamics NAV user (fills out Name ) or enter a new code c: Change or enter the Name d: Optionally select a Salesperson (might fill out ) to be related with person e: Change or enter a valid f: Check person as Active Repeat steps a-f above for each person needed Close the Person Setup Card MICROSOFT BUSINESS SOLUTIONS DYNAMICS NAV ADDON 7/27

8 Matriks Mail Configuration Step 5: Teams Setup (Some elements in this step requires technical proficiency similar to that of setting up an Outlook account) Open the Matriks Mail Teams Card (Matriks Mail -> Setup -> Team) a: Select the General tab b: Insert a new record c: Enter a Code and Description d: Select Sender Matching option depending to control how Matriks Mail should attempt to pair incoming e- mails based on the FROM address, with the address on Dynamics NAV customers, suppliers or/and contacts e: Select Matched Routing option to control how Matriks Mail should route s to team members and assign dialog ownership with regard to s that can be matched with a Dynamics NAV customer, supplier or/and contact f: Select Unmatched Routing option to control how Matriks Mail should forward s to team members with regard to incoming s that cannot be matched with a Dynamics NAV customer, supplier or/and contact g: Enter the From Address to be used on s sent from this team h: Check Add Members to CC if Matriks Mail should add a team member to each dialog s CC list, when a team member replies to a mail on a dialog which the team member does not own i: Check the Team as Active j: Select the Schedule tab k: Optionally change the default Available... / Work Hour... field values that defines your company s work week and work day. i: Optionally change the default Resend After Work Hours value that specifies how many work hours a dialog can remain in unanswered state before the owner is resent the mails since last team member answer. m: Optionally change the default Resend Delay Work Days value that specifies for how many work days the resending of unanswered dialog mails can be delayed if the dialog is assigned to an owner currently not active n: Optionally change the default Close After Work Days that specifies how many work days a dialog can remain in answered state before automatically closing the dialog o: Optionally change the default Close Grace Work Days that specifies how may work days a closed dialog can continue to save directed to it, before a new dialog is created to such s p: Select the Mail Account tab q: Enter valid incoming server values r: Enter the login User Name and Password s: Select the authentication method option of your POP3 account t: Select a SMTP code previously defined in Step 2 u: Click on menu button Team->Members v: Insert members from Matriks Mail Persons x: Change the default Matched/Unmatched Priority to control who among the team s members will receive e- mails when turn-based routing is performed on the team. As long as there are active members/persons with a higher priority, members with lower priority will not receive s when turn-based routing is performed on the team Repeat steps a-x above for each team needed Close the Team Setup Card MICROSOFT BUSINESS SOLUTIONS DYNAMICS NAV ADDON 8/27

9 Matriks Mail Configuration Step 6: Setup Job Queue Open the Job Queue Setup (Administration -> Application Setup -> Job Queue -> Job Queue Setup) Deactivate the Job Queue and close form. Open the Job Queue Entries Card (Administration -> Application Setup -> Job Queue -> Job Queue Entries) Insert a new record Register code unit (Matriks Mail Scheduler Job) Assign it a maximum of 5 attempts Select the Recurrence Tab Mark it as a Recurring Job on every day, and with 5 minutes between runs Click on button Job Queue->Reset Status Close the Job Queue Entries Card Step 7: Optionally test Matriks Mail Job Scheduler (Must be performed on the machine that runs the Dynamics NAV Application Server) (Must be performed by an NAV Application Developer) Open the Matriks Mail General Setup Card (Matriks Mail -> Setup -> General) Select the Debugging tab Fill out the 3 log file names. Make sure the files has read/write permission Close the General Setup Card Open the Object Designer (Tool->Object Designer) Click on Codeunit Select codeunit Matriks Mail Scheduler Jobs ( ) Export the codeunit to a file called MMJOB_ORG.fob Click Design, remove the Job Queue Entry Rec parameter in OnRun() and save the changes. a:now send a mail from a non-team member address to a team mail address b: Make sure codeunit Matriks Mail Scheduler Jobs ( ) is selected and click Run c: Make a note of any errors messages d: Examine log files Repeat a-d until log files shows that POP3 and SMTP activity is recorded and completes without errors If problems persist, send a mail to supportteam@matriks.com with a description of the problem, each Team/SMTP setup, and attach the log files Import the MMJOB_ORG.fob again. Close the Object Designer Open the Matriks Mail General Setup Card (Matriks Mail -> Setup -> General) Select the Debugging tab Remove the 3 log file names Close the General Setup Card If no problems persisted continue with step 8 Step 8: Start Job Queue Open the Job Queue Setup (Administration -> Application Setup -> Job Queue -> Job Queue Setup) Activate the Job Queue and close form. 10 Matriks Mail Configuration Uninstalling The un-installation procedure is divided into the following steps: 1. Remove Matriks Mail from Job Queue 2. Uninstall the Matriks Mail setup.exe 3. Restore Dynamics NAV objects 4. Remove Matriks Mail basic objects 5. Remove Matriks Mail Security Roles 6. Remove Matriks Mail help files Step 1: Stop and remove Matriks Mail Job Scheduling Open the Job Queue Entries Card (Administration -> Application Setup -> Job Queue -> Job Queue Entries) Remove the code unit (Matriks Mail Scheduler Job) record Close the Job Queue Entries Card Step 2: Uninstall Matriks Mail setup.exe (Uninstalls mail DLL) (Must be performed on the machine on which it was originally installed. This should be the Dynamics NAV Application Server machine) Please perform the following tasks: Uninstall the Matriks Mail setup.exe from the Windows Control Panel Go to the Matriks Mail install folder and remove all folders with content Step 3: Restore Dynamics NAV objects Open the Dynamics NAV client and connect to/open the Dynamics NAV database Login as SUPER user Open the Object Designer (Tool->Object Designer) Select Import Objects in file menu (File->Import) Find and select the before_mm1.fob file (made during install) Choose Yes to import all objects Click No to open Import Worksheet Put a *MM* filter on column Existing Object Version List Click on Replace All Click on Ok Step 4: Remove basic objects Click on All button in the Object Designer menu Put a MM* filter on column Version List Select the Matriks Mail Setup table ( ) a: Click Run b: Select all lines (CTRL + A) c: Click on Delete in the Toolbar (F4) d: Click Yes to delete selected lines e: Close Table Run (Esc) Repeat a-d for all subsequent Matriks Mail tables Select all Matriks Mail objects (CTRL+ A) Click on Delete in the Toolbar (F4) Click Yes to delete selected lines Close the Object Designer Step 5: Remove the Matriks Mail security roles Open the Roles window (Tools->Security->Roles Menu) Find and remove MM-CONFIG, MM-SUPER and MM-USE Find and remove other Matriks Mail roles that you may have defined yourself Close the Dynamics NAV client MICROSOFT BUSINESS SOLUTIONS DYNAMICS NAV ADDON 10/27

11 Matriks Mail Configuration Step 6: Remove Matriks Mail help files Go to the Dynamics NAV client installation folder Remove the 2 help files (addin_b.chm, addin_b.hh) from: o folder ENU if United States o folder ENG if United Kingdom o folder ENA if Australia Open the Dynamics NAV client and connect to/open the Dynamics NAV database Verify that Matriks Mail and the corresponding help files have been removed. 12 Matriks Mail Technical Notes The following topics has been supplied in order to give the Dynamics NAV professional a more thorough understanding of the scope of the Matriks Mail software and how a Dynamics NAV professional can manually implement Matriks Mail into installations in scenarios where the general purpose installation cannot be used. Please note that Matriks Mail objects does not restrict or break any standard Dynamics NAV functionality. Footprint The Matriks Mail software is delivered in 2 FOB files called basic objects and interface objects. The basic objects contain objects in the 6069xxx object range that make up the core of the Matriks Mail application. The interface objects contain Dynamics NAV objects from various application modules that have been altered to integrate with the basic objects. 15 Modifications When a customer database has been modified by other add-ons or one needs Matriks Mail interface objects for a Dynamics NAV version that is not currently supplied by Matriks A/S, it may be required of the MBS professional to build the interface objects manually. By following the modification instructions below, it is possible for any with a little C/AL experience to add Matriks Mail functionality to Dynamics NAV objects. It is the same recipe used internally by Matriks A/S to make interface objects for new versions of Dynamics NAV. Normal Forms Most of the changes to Dynamics NAV forms are about adding a new menu item called Dialo&gs to the forms leftmost Menu Button. Place the new menu item under Comments or if Comments is not present, then make a menu separator in the bottom of the menu item list and place the Dialogs menu item last in list.
