1 HETAS Online Notifications April 2014 Exclusively for HETAS Registered Installers HETAS is committed to providing value for and working with our registered businesses to help streamline the way you work, reducing your overheads and the time you spend dealing with your documentation and notifying your work. We are now inviting you to begin notifying your jobs online via the HETAS website. This will be faster and cheaper for you. This document will explain in a clear and concise way the step-by-step process of notifying your jobs online. Bruce Allen, CEO Commissioning Sheets are available from the HETAS shop. You can collect all the relevant information needed to notify, and at the same time leave a formal record with your customer. You can use the information you gather on the sheet to enter the information required by HETAS online at a convenient time such as when you return to your home or premises. This online notification must be within seven days of job completion as per CPS scheme rules. Online Notifications: Procedure: The magnifier shows you where to click in the screen shots. Start by clicking login at (at the top right of the HETAS homepage) 1 HETAS 2014
2 HONSBSV22814 On the next page click to confirm you are a HETAS Registrant. You will then be directed to the online notification login page. Enter your pre-assigned user name and password in the white form fields; if you do not already have them please contact info@hetas.co.uk to request them. Then click Sign in. 2 HETAS 2014
3 Once logged on you havefi v e main tabs to view: Overview including your current contact details. Notifications a list of all the installations notified by your business. Operatives a list of your installers, their Id number, addresses (if provided) and their status. Notices any notices you may have received from HETAS. Web Credit Account a transaction history of credits and notifications. On the left hand menu, there is a tab entitled Register Notification. Click on this. You will then be taken to the page where you can notify your jobs. A red asterisk * indicates a requiredfield. 4 HONSBSV22814 Follow the step-by-step-guide below to notify. 1. Enter your reference number (could be an invoice number for the job or any chosen reference) 2. Enter the work COMPLETION date 3. Is the property a new build? Tick the check box if yes. 4. Should you tick this option you will be required to enter the Local Authority in which the installation took place. Then click on Go to Step 2 in which the installation took place. Then click on Go to Step 2 Your reference in here. Work completion date in here. Tick if the dwelling is a new build and if so enter the name of the respective Local Authority. A text field will open for this if you tick the box. Click Go to Step HETAS 2014
5 5. On the next screen type the householder s name (use CAPITAL LETTERS and check it is correct. These details will be used to post out the Certificate of Compliance) 6. Enter the telephone number for the householder. 7. Enter the house number (and/or name) and the postcode. 8. Click Search Address 9 9. 6 HONSBSV Are you fitting a HETAS Approved or non-approved appliance? Select the appropriate option. You can check if the appliance is HETAS Approved at or in the printed HETAS Guide) In the event an Approved Appliance does not appear as a drop-down option please follow the Non-Approved Appliance instructions. Approved Appliances: Enter the operative name/number and select them from the drop down menu Select the installation type/type of work carried out wet/dry/biomass Tabs will then appear for Manufacturer and Model Name enter both and select them from the drop down menu Select what the installation replaces or select new heat source Enter the location (or description of the installation). This is a free form box If you make a mistake, click the remove appliance symbol at the end of the free form line. The entry will disappear and you can try again. Please Note: You are required to notify chimney work. Repeat Step 14 for each appliance/chimney system associated to the installation. Please notify liners as unlisted appliances. 6 HETAS 2014

Please note: You can notify up to three appliances/chimney systems per online notification. This will use up one web credit. This screenshot shows a notification of one appliance and one flexible flue liner being notified. 7 HETAS 2014
8 HONSBSV22814 Non-Approved Appliances: Tick to confirm unlisted appliances meet all required regulations. Ticking this box verifies that the work complies with all relevant Building Regulations. Please Note: See guidance on page 8 of the printed HETAS Guide 2014 for information on fitting non approved appliances. Please note the page number in the updated online Guide may be different. Enter the operative name/number and select them from the drop down menu. Select the installation type/type of work carried out wet/dry/biomass. Tabs will then appear for Manufacturer and Model Name type in the details of the appliance you have installed. Enter the output in kw for the appliance (not required for chimney/flue). Enter the fuel type for the appliance. Select what the installation replaces or select new heat source. Enter the location of the appliance at the premises (or description of the installation). This is a free form box. 8 HETAS 2014
9 12. When you re sure all the information for that installation is correct, click Go to Summary 13. Review the information for the notification you are to submit, including: Is the Local Authority correct? Is the customer s address correct and in capital letters? Are all the mandatory fields filled in? 14. When you ve finished, click Submit Notification Please Note: Should any errors occur the system will highlight in orange any corrections that will need to be made. Your online notification is complete! A Certificate of Compliance will be posted to the customer. You can view a history of your notifications using the Notifications tab from the Home page. 10 HONSBSV22814 Frequently Asked Questions Q -Where do I get my Online Notification Credits? A- You can purchase online notifications through the HETAS Online Shop, by calling with your payment card at hand, or by completing an order form from HETAS. Q - What paperwork do I give to the customer? A - Your customer will receive a Certificate of Compliance via post from HETAS, however if you would like to leave a formal written record with your customer on the day of installation Commissioning Sheets are available to purchase from the HETAS online shop. Q - Do I need to notify the installation of a CO alarm? A- No, by submitting the online notification you are confirming the installation complies with all relevant Building Regulations - this includes the correct installation of a CO alarm, correct positioning of a notice plate, and a suitable hearth etc. Refer to Building Regulations 4 & 7 and Approved Documents J, G & L as applicable.
