1 Gas Safe Notification User Guide Viessmann Installer Portal User Guide 1

2 1. Introduction This document is a step-by-step user guide which shows how to notify Gas Safe of your Viessmann installations. Performing Gas Safe notifications through the Viessmann Installer Portal is free; the normal charge levied is covered by Viessmann and the warranty is automatically registered for all installed products. 2. Getting Started To get started click on the Gas Safe logo on the right-hand side of the screen or click Profile on the top menu, this will take you to the My Gas Safe screen. The first time you use the My Gas Safe screen you will be asked to confirm your identity and your Gas Safe registration number as shown on following screen shot. Click the Confirm button to confirm your identity or if the name or Gas Safe number displayed is not yours click the Cancel button and contact Gas Safe on Note: It is important to only click Confirm if the details are correct! 3 3. Adding a Notification Until you have added a notification, this screen will show the message No installations to be displayed. To add a new notification, click the Add Notification button. The My Gas Safe screen will show a list of all the installations you have entered via the Installer Portal. On the initial Add Notification screen enter the date the work was completed. The date entered must be a valid date and must be within the last 30 days. If the work was NOT subcontracted click the Continue button. If the work was subcontracted tick the Subcontracted checkbox and then enter both the Gas Safe registration number & card number of the engineer that performed the installation. 4 After clicking Continue you will be presented with a form to fill in as shown in the figure below. Please note that once a notification has been submitted the details cannot be altered therefore it is important to ensure all information is correct prior to submitting. The available Work Categories are determined by your Gas Safe certification and the work completion date entered on the previous screen. If the work has been sub-contracted then the Work Categories are determined by the subcontractor s Gas Safe certification. 5 Job Details Date completed Job reference Job Name & Address Contact type This displays the date the work was completed entered on the previous screen. Enter your reference for the job. (optional) Enter the name & address of where the installation work was performed. Select the appropriate contact type from the available list: Title First name Last name Telephone Postcode Enter the title (e.g. Mr, Ms, etc.) and the first and last names of the contact for the installation. Enter the first name. Enter the surname. Enter a contact telephone number. (optional) Enter the postcode of the installation address then click the Lookup button to find and select the address. If the address is not listed select (Other address). Selecting an address will auto-populate the individual address details and the LA code (Local Authority code). Note: the LA code is a mandatory field and must be the correct code for the address. New build Tick the new build checkbox if the installation address is a new premise. 6 Certificate Details address Enter the contact address. (optional) Method of dispatch Select how the certificate is to be delivered. If Send certificate via is selected then you must enter a valid address. If Send certificate to different address is selected then the screen will display additional fields to allow you to enter a separate address. You can use the postcode lookup facility to find and auto-populate the certificate address as described for the Postcode above. Viessmann Installer Portal User Guide 6

7 Installed Appliances Enter the details of each installed appliance. If several appliances were installed at the same time then enter the details of all appliances on a single notification form. You must enter the details of at least one installed appliance on each Gas Safe notification Work Category Select the appropriate work category from the available list. The available Work Categories are determined by your Gas Safe certification and the work completion date entered on the previous screen, or if the work was sub-contracted then the Work Categories are determined by the subcontractor s Gas Safe certification. Manufacturer Model Version The Manufacturer and Model will automatically default to those available for the selected Work Category Select the version of the model that was installed from the list available. 8 Installed Appliances (Continued) Location Select the location for this installed appliance from the list available. Product serial number Enter the serial number of the appliance and then click the Add this appliance button. Added Appliances The screen will display the installed appliance details. You can add further appliances by repeating the process starting at selecting the Work Category. An installed appliance can be removed from the list by clicking: Viessmann Installer Portal User Guide 8

9 Submit Notification When all the information has been entered click the Submit Notification button at the bottom left of the form. On clicking the Submit Notification button the information entered is validated and if any problems are found an appropriate error message is displayed. For example, All validation errors must be rectified before the notification is submitted to Gas Safe. Viessmann Installer Portal User Guide 9

10 On successful submission the following message is displayed and an confirmation is sent to your registered address. The certificate will be sent directly either via or post as specified on the form and the warranty product will be registered automatically. Viessmann Installer Portal User Guide 10
