5 Basic Reservations Y Messages and Communication Y Messages Reference: HELP YMSG Introduction Outgoing messages can be generated from the computer. Worldspan refers to this function as a Y message because the format begins with the letter Y. This format allows a single message of 5000 characters to 32 addresses. and FAX messages have largely replaced this function. They are easier to use and have more functionality than Y Messaging. However, there are still worldwide locations that do not have access to the latest communication devices and for these locations, Y messages are the best means of communication. Guidelines Messages should pertain to company business and not for personal use. It is best to be brief and to the point. Always omit unnecessary words such as please, thanks, appreciate etc. Use authorized abbreviations whenever possible. Not all systems accept or print special characters the same. Use caution when adding special characters to Y messages. Use the double asterisk (**) as a carriage return / line feed to begin a new line. The keystrokes <shift> <enter> can also be used as a carriage return/line feed Page 1
6 Y Messages and Communication Basic Reservations Addressing the Message Step Action 1 Start the message with the letter Y. A carriage return or the double asterisk (**) must follow the letter Y. 2 Follow with the address or addresses desired, for example, HDQRMXX or MIARRXX - XX= the airline/vendor code. Messages can be sent anywhere in the world (e.g., hotels, resorts, ships at sea) as long as the address is known. It is correct to continue to type beyond the end of the line. Example Entry: Y**ATLCG1P MKCCG1P MIARRUP MIARRKX HDQRMAA Multiple addresses should be separated with a space as indicated in the example above. 3 Once all addresses are entered, another double asterisk (**) must be entered. Identify whom the message is from. This is the Communication Reference (COMM REF) line. It begins with a period (.) and is followed by the 7-character teletype address. Worldspan appends the date, time, computer address, and agent sine automatically. The end of the address line should end in double asterisk (**) as shown in the example below. 7 Basic Reservations Y Messages and Communication Message Text Worldspan generates 68 characters per line to the printer. If line breaks are needed between words, use the double asterisk (**). If line breaks are not a concern, text can be continuously typed; however, breaks may appear in words. Depending on screen length, 12 to 15 lines per entry is the maximum allowed. When additional text is needed, use the end item key (# for this manual) as the last character on any line. Teletype hardware does not always support special characters (e.g., % # ( ),! $ ). It is best to limit the use of special characters to the dash (-), slash (/), asterisk (*), and period (.). Example 1 (continuous typing) A CLEAN CLEAR STREAM TO FISH IN. WOOD NEARBY FOR COOKING. This response continues the message and indicates the number of characters available. Start the second message with Y and the text: >YWHEN NOBODY DID IT EVERBODY GOT ANGRY BECAUSE IT WAS EVERYBOD Y*S JOB.**EVERYBODY THOGUHT THAT SOMEBODY WOULD DO IT BUT NOBODY REALIZED THAT NOBODY WOULD DO IT.** **SO CONSEQUENTLY EVERYBODY BLAMED SOMEBODY WHEN NOBODY DID WHAT**ANYBODY COULD HAVE DONE I N THE FIRST PLACE. <ENTER> Response: *MSG COMPLT 0535 CHR USED When using the double asterisk for carriage returns, placing a space between the double asterisks generates a blank line. Worldspan responds with message complete and the number of characters used. Page

This indicates more information is available by moving down. Each line of text has a line number. Do not be concerned about the format of the display. The display does not appear as it prints due to line numbers and spacing. The line numbers are for editing purposes and do not transmit. The address lines can be edited. 10 Y Messages and Communication Basic Reservations Example 1: Line 8 has a misspelled word and lines 8 and 9 split the word IT. Line 8 has more than the maximum of 68 characters. If length is not an issue, the following steps correct the spelling error. Using the cursor controls 1. Place a SOM (>) on the first space of line 8 and type the letter Y. 2. Using the right arrow key, move the cursor over the number 8 and place a slash. 3. Using the right arrow key, move the cursor over to the misspelled word and correct the spelling. Then move to the end of the text and press enter. >Y8/ EVERYBODY THOUGHT THAT SOMEBODY WOULD DO IT BUT NOBODY REAL IZED THAT NOBODY WOULD DO I <enter> Response: *OK 0535 TTL CHRS USED If line length is a concern, use the following steps: 1. Place a SOM (>) on the first space of line 8 and type the letter Y. 2. Using the right arrow key, move the cursor past the number 8 and type a slash (/). 3. Judge the line length from line number 7 or count the characters, type ** before the word THAT and press enter. 7. WHEN NOBODY DID IT EVERYBODY GOT ANGRY BECAUSE IT WAS EVERY BODY*S JOB.** >Y8/. 11 Basic Reservations Y Messages and Communication Redisplay the message (Y*) and move down to display line 9. Follow the same process. 1. Place a SOM (>) on the first space of line 9 and type the letter Y. 2. Using the right arrow key, move past the number 9 and type a slash (/). 3. Using the right arrow key, move the cursor to the letter T and insert the words deleted from the previous line and press enter. >Y9/. THAT NOBODY WOULD DO IT.** <enter> Line 10 contains the ** indicating a blank line. To delete a line, type the line number with no text. This replaces whatever was on this line number with a space. >Y10/ <enter> When corrections are complete, type Y and press enter to send the message. >Y <enter> The sent message looks like this: 91PRR1P.MCIPK1P /021B03LJ ONCE UPON A TIME THERE WERE FOUR PEOPLE. THEIR NAMES WERE EVERYBODY SOMEBODY NOBODY AND ANYBODY. WHENEVER THERE WAS AN IMPORTANT JOB TO BE DONE EVERYBODY WAS SURE THAT SOMEBODY WOULD DO IT. ANYBODY CO ULD HAVE DONE IT BUT NOBODY DID IT WHEN NOBODY DID IT EVERYBODY GOT ANGRY BECAUSE IT WAS EVERYBODY*S JO B. As shown above in this example, it is best to use ** to make the message easier to read. The first line of the message contains the addressees. This example has only one, but all of the addressees appear on each location message. In longer messages, the system inserts page breaks and identifies each new page with the address and PAGE X of X Page 7
12 Y Messages and Communication Basic Reservations COMM REF The first line is the receiving address; the second line is the sender s address along with the date, time in GMT (Greenwich Mean Time), CRT address, and agent sine that generated the message. The last line of the message is the receiving CRT, the message number, the month/day and GMT. This is the Communication Reference Line. Its nickname is COMREF is the day of the month, 2123 is the Zulu time. The CRT 031B03 Message number Date stamp 09/152123/ (09 September, 15 is the day of the month, 2123 is the time received). Ignoring Messages It is not necessary to ignore a single page message. Just clear the screen and make the next entry. To ignore a multiple page message, type Y## and press enter. Removing the Last # If an end item (#) is included to save the message, then it is discovered nothing needs to be entered, remove the last end item or Worldspan keeps responding CONTINUE MSG. To remove the end item, type Y@ and press enter. Page
13 Basic Reservations Y Messages and Communication Receiving Y Messages Y messages print on a hardcopy printer. When installed, be sure to understand from the installer, what the Y message address (also called the hardcopy address) is, as well as which printer is the receiving device. See the printer section for checking printer status and repeating printer messages. Y Message Responses Response CK FORMAT *CK LINE NUMBER *CONTINUE MSG *CORRECTION TOO LONG *FINISH MSG INVLD ADDRESS INVLD ORIGIN INVLD ENTRY *MSG COMPLETE *MSG IGNORED *MSG TOO LONG *MSG SENT DONT REPEAT OK Explanation Entry is not in correct format order or an invalid character is found. Response to Y* entry when last screen/line contained a # Entry contained a # and data has been saved. Specific line correction exceeds 340 characters (approximately 4 1/2 CRT lines); retype correction. Response to Y* entry when last screen/line contained a # Address(es) is in improper format or period (.) is missing from signature line. Use line-by-line correction. Signature does not match character length of address(es). Use line-by-line correction. Invalid Y function entry. Text is completed and saved for redisplay and/or changes prior to transmission. Text is no longer saved and has been ignored. Multiple screens of text exceed 5,000 characters. Shorten the message using the edit process Message has been sent. Line by line correction entry has been accepted Page 9
14 Y Messages and Communication Basic Reservations CRT Communications / Unsolicited Messages Worldspan provides the capability of sending messages between computer terminals. When someone sends a message to the terminal, it is called Unsolicited or a U Message. The duty code determines the ability to send unsolicited messages; SU, RC, and PD duty codes are required. GS duty codes are NOT allowed. To retrieve the Unsolicited Message, press the UNSOL key; on Worldspan for Windows, this is the <ALT + F5>. Typing the letter U and pressing enter also achieve this. There will be an unsolicited message indicator on the status bar at the bottom of the reservations screen; UMSG appears next to AVBL. Using the function or system program keys turns off the message indicator; using the letter U does not.
