3 PowerPoint - 03 Macros Macros record sequences of keystrokes, allowing frequently used inputs to be made quickly and accurately by pressing the playback keystroke combination, or by right clicking the mouse over the Res Window to display a playback list. Macros are to Go! Res as Ready Keys are to Res Manager. Each Macro is known by its name, rather than its keystroke. If a Macro results from a Ready Key conversion, its name is the same as the Ready Key description. Otherwise, the name is given when saved from the Macro Editor. PowerPoint - 04 Personal Macros Personal Macros are saved based on an agent s Go! Res login ID. You can have an unlimited number of Personal Macros. 4/7/2003 Page 3

4 Personal Macros are like Ready Keys that are unique to each individual. PowerPoint - 05 Office Macros Office Macros are a set of commonly recorded keystrokes, stored in a single file, available to all agents within the same office. Office Macros are like Office Ready Keys. These are Macros to be shared throughout the whole office. An office is defined as using the same SID/Customer Name combination, not just the physical location. Now that we know the definition of a Macro and the difference between Personal and Office Macros, let s take a look at how to access the Macros list for getting, editing, and converting Macros. Since this is an advanced class, I have already logged into Go! Res for you and also sined into area A. Page 4 4/7/2003

5 Application Sharing 1. Click Tools on the Navigation Bar. Once logged into Go! Res, your default setting opens Go! Res into a split screen view. It is not necessary, but for teaching purposes only, I have clicked the Full Window Layout button to open one large Res Window. 4/7/2003 Page 5

7 3. Move pointer over each line in Macros. With the Macro link expanded, you now have three options: Get Office Macros This option allows you to copy the current set of Office Macros to the Office Macro Directory on the workstation where you are currently working. When Office Macros are downloaded to the workstation, the complete set of Macros is replaced. Macro Editor This option allows you to create or modify your Personal Macros or customize Office Macros. We use this in detail later in the class. 4/7/2003 Page 7

8 Ready Key Converter This option allows you to easily create Office Macros from existing Office Ready Keys. Verbal Questions 1. Are you familiar with the Ready Key Converter? ANSWER: If you are familiar with it, then we will move on to the next section. If you are not familiar with it, then I will give you a brief overview. The Ready Key Converter is a tool used for converting Worldspan for Windows Ready Keys to Go! Res Macros by using the Ready Key to Macro Conversion utility. Page 8 4/7/2003

11 This section covers several areas such as Ready Key Explanation, Pre-Worldspan Go! Res Conversion, and the Conversion Utility. In order to convert a Ready Key to a Macro, you need to know the agent s previous file extension. The file extension can be found in Res Manager under Employee Profiles. Note: This is a good time to clean up your Ready Key files: o Within each Ready Key file delete any Ready Keys that are no longer used, or that are duplicate keys. o Duplicate descriptions (including blank descriptions) become duplicated Macro file names. o Ensure that every Ready Key has a description because each one is unique and can cause fewer interruptions during the conversion. The conversion runs for each different Ready Key file used at the workstation (e.g., if both Office Keys and individual Ready Keys were used, the utility would run twice). The utility converts the Ready Keys to Macros and saves the Macros to the correct directory. Now I am going to go back to the Res Window so we can continue with the lesson. 4/7/2003 Page 11

13 The Ready Key to Macro Converter is activated. You can click the Open File Button, which displays the File/Open dialog box. Next, you can either start the conversion of all Ready Keys or convert each key individually. Let s begin with converting all keys: Each Ready Key is stored as a separate Macro. The Ready Key s description is used as the Macro name. A. If Windows '95 Profiles are used, then Macros created from Office.Key are stored on C:\WINDOWS\PROFILES\user name\application DATA\WORLDSPAN\OFFICE MACROS But, all other macros are stored on C:\WINDOWS\ PROFILES\user name\application DATA\ WORLDSPAN\PERSONAL MACROS B. However, if Windows '95 Profiles are not used, then Macros created from Office.Key are stored on C:\WINDOWS\ APPLICATION DATA\WORLDSPAN\OFFICE MACROS But, all other macros are stored on C:\WINDOWS\ APPLICATION DATA\WORLDSPAN\PERSONAL MACROS We can now move on to converting each key individually: It enables the Previous, Next, and Save As buttons. It also allows you to change the name of the Macro to be created, store it in another directory, or skip conversion. 4/7/2003 Page 13

14 After converting all of your Ready Keys, we need to save them. You can click the Save Macro As Button, which produces the Save As dialog box. The Save Macro As Button allows you to change the name of the Macro and the directory in which it will be stored. Now let s take a closer look at the Macro Editor. Application Sharing 7. 16 Record/Edit Window Displays the keystrokes assigned to a Macro Open Record Stop Play Save Assign Keystrokes Open a Macro Records the keystrokes entered in the Res Window or in the Macro Editor s Window Stops the recording mode Initiates playback of the Macro being recorded Saves the Macro currently being created or revised Opens the Macro Key Assignment box to help you select an unassigned keystroke combination to assign to a Macro Copy Office Macros Allows an Office Macro Editor to: * Copy the master Office Macro file to the local hard drive * Copy new or revised Office Macros to the Office Macro server * Delete selected Office Macros from the Office Macro server or local hard drive Tools Menu Accesses the Tools Menu Get Standard Macros Displays the Standard Macros Window with instructions to save or use the Macros Now let s learn how to create a basic (simple) Macro. 17 Application Sharing 9. Click the Record button, then notice the cursor blinking in the Res Window. The Macro Record button is located in the lower left hand corner. Sometimes you have to click the button twice. If there is an existing Macro present, a dialog box appears advising a current Macro has not been saved. You can click Yes to save it or No to start a new Macro. 4/7/2003 Page 17

18 When recording a Macro, enter what you want to record in either the Res Window or in the Macro Editor Window. For our example, let s enter in the Res Window. Application Sharing 10. The Stop button is enabled and the function is recording. Page 18 4/7/2003

19 In the Macro Editor Window, you know the recorder is on because of the <INSERT_OFF> function and the Stop button is enabled. Application Sharing 11. Type the Worldspan remarks format in the Res Window. 5RM-THIS IS A PENALTY FARE<ENTER> 4/7/2003 Page 19

20 This entry creates a remark in the PNR, which prints on an itinerary/invoice document and/or transmits in the accounting interface message. Notice we typed the information in the Res Window and it recorded in the Macro Editor Window. The Modified field also shows Yes. Now we must click the Stop button to turn off the recording mode. 21 When you are creating a Macro it is recommended, but not required that you play it back to make sure it works properly. Now let s playback this Macro and see how we did. Application Sharing 13. Click the Play button to play your Macro. 4/7/2003 Page 21

23 15. Select the Personal Macros Directory to save the Macro. In the File name field, type the name of the Macro key. Replace the asterisk (*) with your file name. In our example, we will name our file Penalty_Remarks.wsm. There is a character limitation for naming a file; it is dependent on your operation system. The Macro must be saved in the proper directory. If the Macro is being recorded as a Personal Macro, select the Personal Macros Directory. Our Macro is a Personal Macro so we are going to make sure personal is selected. 4/7/2003 Page 23

25 Verbal Questions 1. Can you tell me how to access the Macro Editor? ANSWER: You would click Tools on the Navigation Bar. Click the Macro link to expand it, then select Macro Editor. 2. What are the basic steps to create a Macro? ANSWER: In the Macro Editor, click the Record button Record entries in either the Res Window or the Macro Editor Click the Stop button Click the Save Button Assign a name for your Macro Click the Save Button You can also edit an existing Macro. 27 Application Sharing 18. In the Open Macro screen, select the Personal Macros Directory. Highlight the File name (Penalty_Remarks.wsm) and double-click on it or click once on the Open button. 4/7/2003 Page 27

28 19. Click in the Macro Editor Window and place the cursor where the correction should begin. Type a period (.) after the word Fare and click the Save button. The Modified field now shows Yes. Page 28 4/7/2003

29 20. The Save Macro box appears, click the Save button to complete the edit. Helpful Hint: The Help section in Go! Res also give you very useful information about Macros. Click the Help button on the Navigation Bar to view topics such as Edit Keys and Host Entry Keys under the Macro Keys subject. That s it! You have finished recording, playing, saving, and editing a basic Macro. Now let s practice a more involved Macro. 4/7/2003 Page 29

35 This is a Macro with a Menu, Pause, and a Tab Stop. When using the Shift + ~ <PAUSE> function, nothing appears in the Res Window, it is only shown in the Macro Editor. Application Sharing 26. Click the Stop button to stop recording. 4/7/2003 Page 35

37 28. In the File name field, type the Macro name, then click the Save button. Nonrefundable_Charges The Nonrefundable Charges Macro is now complete. So far we have covered a basic Macro (Penalty Remarks) and one slightly more difficult Macro (Nonrefundable Charges). Our next example demonstrates a more advanced Macro. We will create a Macro for booking a rental car from an itinerary segment. This Macro includes tab stops and several pauses, which waits for 4/7/2003 Page 37

38 you to type in a response and then continues with the Macro entry. Once again, we have to click the Tools Menu, the Macro Link, and the Macro Editor to get to a clear screen. We also need to Ignore and clear the Res Window. I can do that now. With the cursor blinking in the Res Window, I can click the Record button. Now we are ready to start recording our new Macro. 40 When creating complex Macros like this, you are bound to make a typing mistake! If you make a mistake while typing with the recorder on, don t panic. Just backspace as needed and type the correct text. You can then use the Macro Editor after saving the Macro to clean up any errors. Let s playback this Macro to make sure it works. In the Res Window, we need to Ignore (I + enter key) all transactions and then clear (F4) the screen. Page 40 4/7/2003

42 31. Click the Save button to save the Macro. In the File Name field, type the Macro name then click the Save button. Car_Booking That completes the car rental Macro. That worked just great. Now let s assign a Macro to a keystroke. Once again, we have to click the Tools Menu, the Macro Link, and the Macro Editor to get a clear screen. In the Res Window, we also need to Ignore (I + enter key) and clear (F4) the screen. I can do that now, then I will create a Macro. Page 42 4/7/2003

45 34. Click in the checkbox next to the desired keystroke. The Personal Macro Keystroke Assignments page appears. If the key is already assigned, you can click twice (once to unassign and again to assign). 4/7/2003 Page 45

48 Note: Make sure either the Personal or the Office buttons are marked correctly. The personal keystroke button defaults automatically. Now let s practice playing back this Macro by using the assigned keystroke. Verbal Question 1. Does anyone know how to playback this Macro by keystroke? 51 Verbal Question 1. Is there anyone who would be responsible for copying Office Macros? ANSWER: If there is no one who would be responsible for copying Office Macros, then we will skip this section. If you would be responsible, then let s practice. Copying Office Macros allows the Office Macro Editor to: Copy existing Office Macros from the Macro server to the local Macro directory for modification. Copy new or modified Office Macros from the Office Macro directory to the Office Macro Server and makes them available to the entire office. Delete selected Office Macros from the Office Macro Server or Office Macro Directory. When Copy Office Macros downloads Macros: It copies Macros from the Office Macro Server and adds them to the local Office Macro Directory. This is different from Get Office Macros, which deletes any Macros on the local Office Macro Directory and overlays them with Macros from the Office Macro Server. When Copy Office Macros uploads Macros: It copies Macros from the local Office Macro Directory and adds them to the Office Macro Server. 4/7/2003 Page 51

52 This is different from the Submit process in My Preferences (when Personal Macros are included), which deletes any Personal Macros on the server and overlays them with Macros from the local Personal Macro directory. 53 Here is information on creating a Macro that calls up a Personal Key, Office Key, Go! Script, or Script Pro Script. Please Note: If you need the Macro to do something after it has been assigned to a keystroke, then that command must be added to the first office key (e.g., Office Key A is set up to run, then call Office Key B) because the key stops recording once you call the key.
