3 2 Introduction Inprowiser contributes to the AGILE community and JIRA users through development and distribution of useful add-ons. Capacity Tracker is a simple but most valuable JIRA cloud add-on for scrum masters, product owners and SCRUM / Agile teams. It allows your team to view, adjust, and track work allocation throughout the sprint cycle. The add-on indicates if any assigned members are over-allocated or under-allocated, and help to calibrate the work allocation. It helps in planning activity and in monitoring capacity throughout the sprint. Challenges How can I know the capacity of each team members throughout the sprint? Upon story/task assignment, how can I know who is over-allocated? How can I know who has bandwidth available to take up more work or help others? Scrum master / Product owners do not want to overspend time in planning, and rather wants to elevate the efficiency and effectiveness of planning by using smart add-ons and tools. The work distribution and allocation report is not automatically updated and available during the sprint. Features Configure assigned members daily capacity, role, and days off. Automatic listing of team members as stories and tasks are being assigned during the sprint planning. Configure public holidays and working days for the board. View work bar graphs anytime during the Sprint and figure out work allocation issues. Ability to drill-down work allocation through expandable bar chart. Benefits Get more visibility on assigned members capacity and work allocation across all team members. Manage assigned members more effectively and expedite deliveries. Help Identify risks by regularly monitoring Capacity Tracker during sprint. Save time during the Sprint planning.
4 3 Installation and pre-requisites Installation and pre-requisites to be performed by JIRA administrator of your company. Installation 1. Log into your Jira instance as an admin. 2. Click the admin dropdown and choose Add-ons. (If you are using old JIRA user interface) OR Click on Settings on the dashboard page, navigate through Add-on section and search for Capacity Tracker. The Find new add-ons screen loads. 3. Locate Capacity Tracker. 4. Click Free trial to download and install your app. 5. You're all set! Click Close in the Installed and ready to go dialog. Alternatively, Installation steps 1. Log into your Jira instance as an admin. 2. Go to Atlassian Marketplace site 3. Search for Capacity Tracker 4. Click Free trial to download and install your app. 5. You're all set! Click Close in the Installed and ready to go dialog.
5 4 Pre-requisites Enable time tracking settings of JIRA. Many companies use the time tracking field actively to estimate and track the remaining work hours. If you can see Original estimates, Remaining estimates fields in your JIRA tasks/sub-tasks, then it indicates that the settings are already setup properly. If these JIRA settings have not been configured, then please use following guidelines on How to: Enable JIRA time tracking feature from the administration panel. Get started with Capacity Tracker The starting point for Capacity Tracker usage is the Sprint planning meeting. Capacity Tracker will start showing the resource work allocation charts and configurations as soon as following steps are followed: 1. Start a sprint. During planning meeting user can start a sprint with immediate time or in future time and date. 2. Team members pick up the stories and sub-tasks, OR in some organizations stories and tasks are assigned to team members. 3. Sub-tasks are usually smaller unit of work breakdown of the story and estimated in hours or man days. Based on the above three conditions, Capacity Tracker will start reflecting resource availability and their capacity utilization.
6 5 Team capacity and availability can be adjusted from the configuration section. The configuration section of Capacity Tracker provides following abilities. Define daily capacity for the team members (availability man hours per day) Define team member s role. Add personal leaves or vacation days with exact dates. New feature! Configure working days in the board. New feature! Configure companywide public holidays in the board. New feature! During the sprint planning, team can see the current capacity and work distribution across team members. This allow teams to calibrate and adjust work distribution for the optimal efficiency and outcome. Team can avoid situations where some team members are over or under allocated.
7 Users can review capacity planner during sprint, monitor progress, identify risks, and resolve proactively. 6
8 7 User guide - Settings and configurations JIRA Administrator guide to enable Time Tracking Note: These settings and configurations are available to JIRA administrator or users with administrator privileges, and required to be enabled. URL: 1. Enable JIRA time tracking feature from the administration panel. (legacy JIRA interface) Steps: Administrator icon Click on Issues Select Time tracking Enable time tracking.
9 8 2. Enable JIRA time tracking feature from the settings. (New JIRA interface) Steps: JIRA Dashboard Click on Settings Click on Issues Select Screens Select Time tracking Enable time tracking.
10 9 3. Configure JIRA time tracking in the project screens and scheme. Administrative privileges are required to enable following settings. Steps: Administrator icon Click on Issues Select Screens Select on your project specific screen schemes Click on your project specific scheme Lists Field Tab Add Time tracking.
11 10 For New JIRA interface: Steps: JIRA Dashboard Click on Settings Click on Issues Click on Screens Select your project screen schemes and default scheme Click on Configure Go to lists Field Tab Add Time tracking from the drop-down menu.
12 11 4. Enable the display of time tracking fields within tasks/sub-tasks. Steps: Go to Projects Open any sub-task Click Edit Select Configure fields Select Time Tracking. Users can see and use original time tracking fields (estimates, remaining estimates) in the project. If you do not see the time tracking fields in the selection list, please check following options.
13 12 a) Click on Where is my field? Start typing Time Tracking Add once appeared. b) If the time tracking selection option is not listed, then please contact your JIRA administrator to enable, per guidelines above on how to add field to a project scheme screen.
