4 ACTION ITEM TRACKER 1. INTRODUCTION Action item tracker is an application to manage the task assignation of particular user for particular team. This application is only accessible by the users to whom tasks are assigned by DMO Team. To get application on users profile user needs to get this application from the satori application center. To get satori application center user need to click Menu=>Apps=>Manage Apps from the right panel of the satori home page. [Tip-1] Satori application center can also be opened from the Keyboard shortcut by pressing g then a then c. Figure 1 Manage Apps Once user opens the satori application center page it will be looking like the Figure-2. Where moving mouse around the applications, a button called Add to my profile will be revealed (Blue circled part), by clicking that application will be added to the user s profile. 5 When this application was added to profile then user can find the application by clicking the Menu->Apps->Action Item Tracker. As shown in Figure-3. User can also get application suggestion from the dashboard page, if user uses this application often. [Tip-2] User can also get application opened by using this keyboard shortcut. ( g then a then i.). Similarly all the other application can also be added like this and applications which are already added like this are also listed along with the application which is been added now. Figure 3 Added application Since "Action Items Tracker" application is only accessible by the users to whom tasks are assigned by DMO Team, all users cannot access this application and for those who cannot access this application can send request to particular team by submitting the form shown in Figure-4. Figure 4 Request form From this form user have to mention name, ID and message regarding the problem and the team DMO will consider about the request. If user already has the privilege to access this application and still this page is being displayed, then user need to mention that in the message box and submit. Then the respective DMO team will look after the issue. 4

6 2. ROLES AND PRIVILEGES In Action Item Tracker users will be having three different roles in it. Admin Owners Admins of action item tracker application are having privileges to do following operations. Can able to create new action item Can able to assign the task to particular user. Can able to edit the task. Can able to delete the task Can able to view reports. Owners of the action Items are user who are being assigned by the admins. Which mean who owns the action item are called as Owners and these people can able to perform following operations. Can either accept the action item or refer it back to the Admin. Can able to edit only status and remark of the field. And either Admins or owners of the action items can able to see the filter options which will help user to find particular action item alone. 3. PROCESS FLOW. Process flow of Action Item Tracker will start from creating new action item to approving the action item. 7 Process flow of Owners are little different compare to the admins, since Admins cannot create new actions they can do processes which are mentioned in Figure-6 Accept or reffer back Action item Edit Accepted Items (If accepted) Figure 6 Process flow of Owners of Action Item Owners can only able to accept the Action item and edit the preference entered by the owner. 4. DESCRIPTION. After adding Action Item Tracker application into the profile, User can see the page which will be looking like Figure-7. Figure 7 Action Item Tracker Dashboard 6

8 This page is the default page for the Action item trackers. And this page will show the statistics of the actions assigned to the RDUs like Open Actions, Work in process Actions, Work on hold Actions, Closed Action, Grand total and percentage of completion. User can able to filter the report from filtering options mentioned above the statistics. From there user can filter entries by categories, GEO, RDU, DU, Customer, and Timeline dates. a) Creating new Action list. From the Dashboard page (Figure-7) user can select menu of the application (Top right corner of page) by clicking settings. There User can find Add new Action Item By clicking that user can get opened the following page to create new Action Item Figure 8 Creating Action Item. From this page user need to select the owner for action item and need select an OMC for Action Item from drop down box mentioned in the page. After that user can fill out the Title, Category, Description and Start date of the action Items. User can able to create five action items at the single time by clicking Add more Action Item button over the bottom of the page. By clicking 7

9 create button user can create action items and a mail will be sent to the respective user who is included as owner while creating action item. Once it is created it will be added in the All Action item list mentioned in Figure-9 Figure 9 All Action Items From there user can able to find respective attribute of the action item and RAG status and Acceptance status. User can also edit the Action items by clicking this icon. To see overall detail about action item user need to click this icon. User can also delete the action item by clicking this icon. As like dashboard page user can filter the list by using tools provided above. Along with that user can able to download the reports in the form of (.xls) file. b) Reports. User can able to see all the reports of RDU and respective category. As shown in Figure-10 user can able to download the reports from the button Download report mentioned as blue circle in Figure-10. User can able to filter the report from filtering options mentioned above the statistics. From there user can filter entries by categories, GEO, RDU, DU, Customer, and Timeline dates. Downloading file will be having the result of the filters. It will not be having all the entries present in the list. These reports are listed vertically so user need to scroll vertically to see more reports. 8

11 There user can able to either accept the action item or refer back if user feels the information is wrong. If user accepts the action item then it will be changed to Edit or if action item referred back it will be mentioned like Referred back. While accepting the Action item user can find the page like Figure-12 Figure 12 Accepting Action item Owner need to enter the target closing date and status of the action item (open, Work in progress, and work in hold or close) and remark then accept. This will be updated to the admin who creates the action item. Later user can edit the accepted action item where user can find only the status and remark. While editing user cannot find the target closing date. 5. FREQUENTLY ASKED QUESTION QUESTION: Can I delete an Action Item? ANSWER: User can delete action item by clicking this icon from each of the action item record. QUESTION: ANSWER: What is the three colors mentioned in dashboard? Red which mean completed process, Green which mean opened and Yellow which on progress. 10
