10 1 Before Using the Machine Preface Before Using the Machine 1 Thank you for selecting the Fuji Xerox ApeosPort 550 I/450 I/350 I, DocuCentre 550 I/ 450 I. This guide describes a number of configuration procedures for using this machine on a network. This guide assumes that the operator has a basic knowledge of the operating environment of the personal computer in use, networking environments, and how to operate a personal computer. Please read this guide thoroughly to obtain the best performance on the machine. After reading this guide, be sure to keep it handy for quick reference. It will be useful in case you forget how to perform operations or if a problem occurs with the machine. Refer to the User Guide for the machine operation, clearing paper jams, daily maintenance, setting various items and safety information. For details about optional accessories, also refer to the guide provided with each optional accessory. In this manual, safety instructions are preceded by the symbol. Always read and follow the instructions before performing the required procedures. 16 2 Product Overview Machine Components This section describes the main components and their functions of the machine. 1 Product Overview No. Component Function 1 Duplex automatic document feeder (optional) Automatically feeds 2 sided originals from a stack. Note In this manual, the duplex automatic document feeder is abbreviated as document feeder. 2 Control panel Consists of operation buttons, LED indicators and a touch screen. Refer to "Control Panel" (P.28). 3 Exit 2 tray (optional) Printed or copied documents are delivered with the printed side facing down. 4 Center output tray Printed or copied documents are delivered with the printed side facing down. 20 2 Product Overview Overview of Features The following features are provided in a network environment. Print CentreWare Internet Services Scan Product Overview 2 Print ifax This section describes the environment where the machine is able to provide print services. This machine can be used as a local printer by directly connecting to a computer, or as a network printer when connecting to a network. Enable the necessary port using the control panel. Using as a Local Printer When using as a local printer, the machine can be connected by the following methods. Parallel : Used to connect the machine with a computer using a parallel interface cable. USB : Used to connect the machine with a computer using a USB interface cable. USB 2.0 kit (optional) is required. Using as a Network Printer When using as a network printer, the machine can be connected by the following methods. LPD : Used when communicating with the machine using the TCP/IP protocol. NetWare : Used when sharing the machine using a NetWare server. SMB : Used when printing through Microsoft Networks. IPP : Used when printing through the Internet. 18

CentreWare Internet Services CentreWare Internet Services provides services such as displaying the status of the machine and jobs, and altering configurations using a web browser in a TCP/IP environment. For setting as a printer, the properties screen of the services allow users to configure the system settings and port settings for each network that are otherwise operated on the touch screen on the machine. The following are functions offered under each tab within CentreWare Internet Services when the machine is enabled with the Internet Services (HTTP) port. 19

Property Displaying and setting the following items: Machine information, date and time, structure information such as memory and printing language, configuration of the counter, paper trays and papers, energy saving mode, address book, mailboxes, job flow sheets, security, certificates, mail notice, setup/auditron administration, Internet services, and port activation. Scan The following scan services are available: Note This feature does not appear for some models. An optional package is necessary. For details, contact our Customer Support Center. Scanned documents can be converted into an electronic format and transmitted via E- mail. Note This feature is only available for ApeosPort 550 I/450 I/350 I. Scan to Mailbox Scanned documents are saved into a mailbox. When the machine is connected to a TCP/IP network, scanned documents in a mailbox can be retrieved from a computer connected to the network. Network Scanning (Job Template Scanning) A job template is a configuration file for defining scanning conditions. You can apply a template to a scanned document on the machine. The scanned document will be saved to the hard disk of the machine and then sent automatically to computers (servers) such as an FTP or SMB server connected to the network. CentreWare Scan Service (optional) is required to create job templates and set a forward destination. Note This feature is only available for ApeosPort 550 I/450 I/350 I. Scan to FTP/SMB When the machine is connected to a network which can use either the FTP or SMB protocol, the scanned documents can be saved on a network computer. 20

23 Overview of Features Job Flow Scanning Scanning is performed according to a job flow. Note This feature is only available for ApeosPort 550 I/450 I/350 I. The following services are available: Note This feature does not appear for some models. An optional package is necessary. For details, contact our Customer Support Center. Scanned documents can be converted into an electronic format and transmitted via e- mail. Note This feature is only available for ApeosPort 550 I/450 I/350 I. Printing with attachments in either TIFF or PDF format can be sent to the machine from computers. Received will automatically be printed. Note This feature is only available for ApeosPort 550 I/450 I/350 I. Product Overview 2 Mail Notice When the machine is configured with the rejected IP addresses notice or rejected mail domains notice, a mail notice can be sent to a specified recipient. Job Completion Notice When a computer has submitted a job to the machine, its completion can be notified by . ifax You can send and receive data scanned by the machine as attachments via a corporate network or the Internet. This feature differs from regular faxes in that you do not need to transmit data via a telephone line. Note This feature does not appear for some models. An optional package is necessary. 24 2 Product Overview Tools The following tools are provided with this machine. Configurable items vary by the tools. Product Overview 2 Control Panel The control panel is located at the center on top of the machine. It consists of operation buttons, LED indicators and a touch screen. The touch screen is located at the center of the control panel. Messages required for operation and feature buttons are displayed on this display. You can directly touch the buttons and tabs displayed in the touch screen to set features or to instruct operations in screens. CentreWare Internet Services CentreWare Internet Services provides services such as displaying the status of this machine as a printer and its print data, altering configurations and operating on mailboxes using a web browser in a TCP/IP environment. For setting as a printer, the properties screen of the services allow users to configure the system settings and port settings for each network that are otherwise operated on the touch screen on the machine. CentreWare Utilities CentreWare utilities is included in the CentreWare Utilities CD-ROM. It is a tool to enable operations on devices and various applications within one window. Therefore, it will reduce the inconvenience of using various tools and the effort of print driver configurations. Documents can be printed or sent via fax by dragging and dropping files using a mouse. Also, this tool enables the remote operation of mailbox registration and scan configuration. When a print job is submitted from a computer, the machine status such as out of paper, toner low, paper jams, starting and completing the job, will be displayed. It also allows the users to confirm the print data processing status, and to pause, restart, and stop the print jobs. CentreWare EasyAdmin CentreWare EasyAdmin is a tool to reduce the management tasks for printers, faxes, and scanners. It allows user to centrally configure multiple items on multiple devices from a computer. Note CentreWare EasyAdmin is an optional. 22

26 2 Product Overview Power On / Off Product Overview 2 Powering On Turn on the power before operating the machine. The machine is ready for operation within 35 seconds after the power is turned on. Turn the machine off at the end of the day or when it is not in use for a long period of time. Also, use the power saving feature when not in use for a while to reduce the power consumption. For information on the power saving feature, refer to "Power Saver Mode" in Chapter 2 of the User Guide. Important Switching off the power of the machine may cause loss of data being processed. When the power is turned off, all functions of the machine will stop. Do not turn the machine off if it is used all day for receiving faxes. The procedure for turning on the power is as follows. 1 Press the power switch to the [ ] position to turn the power on. Note The Please wait... message indicates that the machine is warming up. The machine cannot be used during warming up. Note When the power does not come on, check if the <RESET> button is in a reset state (button is pressed in). <TEST> button <RESET> button Powering Off The procedure for turning the power off is as follows. Important Turning off the power of the machine may cause loss of data being processed. 1 Before turning the power off, make sure that all copy or print jobs have completely finished. Also, make sure that the <Online> indicator and the <Job in Memory> indicator are not lit. Important Never turn the power off in the following instances: - While data is being received - While jobs are being printed - While jobs are being copied - While a scan is being executed - While jobs are being faxed 24

27 Power On / Off 2 Press the power switch to the [ ] position. Important Power off processing is performed internally on the machine for a while after the power switch is turned off. Therefore, do not unplug the power cord from the power outlet immediately after turning the power switch off. Note Before you turn the power back on after turning it off, first make sure that the touch screen has gone out. Product Overview 2 25

28 2 Product Overview Interface Cables When connecting the machine directly to a computer, use either the parallel interface or USB interface. When connecting to a network, use the Ethernet interface. Using the Parallel Interface Product Overview 2 This section describes the installation procedure for the parallel interface. Note When connecting with a computer using parallel interface, our parallel interface cable (optional) is required. For details, contact our Customer Support Center. 1 Confirm that the machine is off. 2 Insert the connector of the interface cable into the machine s parallel interface connector and fasten it with the clips on either side of the connector. 3 Connect the other end of the interface cable to a computer. Parallel 4 Switch on the machine. 5 Restart the computer. For details of setting items, refer to "Installation When Using Parallel Port" (P.37). Using the USB Interface The USB interface (optional) supports USB 2.0. This section describes the installation procedure for the USB interface. 1 Confirm that the machine is off. 2 Connect a USB interface cable to the USB 2.0 interface connector on the side of the machine. USB Connect the other end of the USB interface cable to a computer. 4 Switch on the machine. 5 Restart the computer. For details of setting items, refer to "Installation When Using USB Port" (P.41). 26

29 Interface Cables Using the Ethernet Interface The Ethernet interface supports the following 2 types. 100BASE-TX 10BASE-T This section describes the installation procedure for the Ethernet interface. 1 Confirm that the machine is off. 2 Connect a network cable to the Ethernet interface connector. Bi-directional Communication Configure the parallel port for either half duplex transmission or full duplex transmission. Input Prime After receiving an input prime signal, the machine will reset itself. This signal is only valid when [Print Mode] is [ESC/P] or [HP-GL/2] mode. Note Adobe Communication Protocol can be configured when the PostScript 3 Kit (optional) is installed. Do not need to change the default settings for normal use. Some items may be required to be changed depending on the operating system on the computer. 5 Select [Close] repeatedly until the [System Settings] screen is displayed. Either the address cannot be obtained automatically or manual configuration is preferred, configure an IP address, a subnet mask, and a gateway address. 1) Select [Protocol Settings]. 2) Select [TCP/IP - Get IP Address] and then select [Change Settings]. 3) Select one from [DHCP], [BOOTP], [RARP], [DHCP/Autonet] or [Manual] and then select [Save]. If you select anything other than [Manual], proceed to Step 4. Note When using a DHCP server, also configure the WINS (Windows Internet Name Service) server. 4) Select [TCP/IP - IP Address] and select [Change Settings]. 5) Enter the IP address using the numeric keypad. Note Enter address in the format xxx.xxx.xxx.xxx. The "xxx" should be a numeric value in the range from 0 to 255. However, 224 or 225.xxx.xxx.xxx and 127.xxx.xxx.xxx cannot be used. When you make an entry mistake, press the <C> (clear) button and enter again. When you want to move to the next value without entering all 3 digits, select [save/select next]. 6) Select [Save]. 7) Configure [TCP/IP - Subnet Mask] and [TCP/IP - Gateway Address] as the above. Note Enter address in the format xxx.xxx.xxx.xxx. The "xxx" should be a numeric value in the range from 0 to 255. However, 224 or 225.xxx.xxx.xxx and 127.xxx.xxx.xxx cannot be used. Specify the subnet mask by a combination of the numbers 0, 128, 192, 224, 240, 248, 252, 254, and 255. However, you cannot use 0 between non-zero values. If you do not want to set the gateway address, enter " ". 4 Select [Close] repeatedly until the [System Settings] screen is displayed. 5 Select [Exit]. 6 After the machine is restarted, print out a settings list to confirm that the LPD or Port 9100 port is enabled and TCP/IP is configured. NetWare server TCP/IP or IPX/SPX network environment CentreWare Utilities CD-ROM (provided with the machine) Installation Procedure Installation Overview Installation When Using NetWare 6 The machine supports a PServer mode both for the NetWare Directory Service and Bindery Service. The PServer mode enables the machine to function as a print server and to capture print jobs in the print queue to output. The printer created for the machine consumes one file server license. Note The machine does not support a Remote Printer (RPrinter) mode. You can use the machine as a printer in a NDPS environment by using a Novell NDPS Gateway. When using in a NDPS environment, settings of the machine to be used under a NetWare print environment are required. Or, you need to enable LPD in advance and set it as a gateway destination in a Novell NDPS Gateway setup. However, attribute information that can be set or captured by NDPS is not supported. Supported interfaces 100BASE-TX 10BASE-T Supported frame types Ethernet II specification IEEE802.3 specification IEEE802.3 / IEEE802.2 specification IEEE802.3 / IEEE802.2 / SNAP specification Note The machine will send packets of each frame type on the network, and will initialize for the same frame type as the first reply packet received. You can fix a flame type in use. However, if there are multiple protocols running on the same network, use Ethernet II specification. Some network equipment (hubs, etc.) may not support the automatic frame type detection. If a data link indicator corresponding to the port of the network equipment connected with the machine does not light up, change the settings of the frame type of the machine to the frame type of the file server. Configuration can also be performed using CentreWare Internet Services. The following describes the configuration procedure to connect the machine to a NetWare network. Configuration on the Machine - To use IPX/SPX, the machine is configured using the CentreWare Utilities CD- ROM after enabling the NetWare port of the machine. - To use a LPD port in NDPS, the machine is configured using the CentreWare Utilities CD-ROM after enabling the LPD port of the machine and setting TCP/IP. The following features are available by exchanging s. ifax Printing 11 Mail Notice Job Completion Notice Note , and printing features are only supported by ApeosPort 550 I/450 I/350 I. These features do not appear for some models. An optional package is necessary. For details, contact our Customer Support Center. ifax Scanned documents can be converted into an electronic format and transmitted via E- mail. Unlike conventional fax machines which utilize public phone lines, the machine can transmit or receive scanned data as attachemens using either corporate networks or the Internet. Contents of are processed according to the settings of [Print ifax Headers and Contents] in CentreWare Internet Services. Printing with attachments in either TIFF or PDF format can be sent to the machine from computers. Received will automatically be printed. Contents of are processed according to the settings of [Print Mail Headers and Contents] in CentreWare Internet Services. Mail Notice containing contents (status of consumables, paper, and replaceable parts, etc.) set in [Mail Notice Settings] of CentreWare Internet Services is sent to a specified recipient. Enabling Port and Setting TCP/IP The following describes the configuration procedure to use TCP/IP on the machine. First enable the port, then set the IP address. Note The configuration can also be performed using CentreWare Internet Services. For information on how to use CentreWare Internet Services, refer to "Using CentreWare Internet Services" (P.65). 1 Display the [System Administrator Menu] screen. 1) Press the <Log In/Out> button. 2) Enter the user ID with the numeric keypad or a keyboard displayed by pressing [Keyboard], and select [Confirm]. Note The default user ID is When using the Authentication feature, a password is required. Note When using a DHCP server, also configure the WINS (Windows Internet Name Service) server. 4) Select [TCP/IP - IP Address] and select [Change Settings]. 5) Enter the IP address using the numeric keypad. Note Enter address in the format xxx.xxx.xxx.xxx. The "xxx" should be a numeric value in the range from 0 to 255. However, 224 or 225.xxx.xxx.xxx and 127.xxx.xxx.xxx cannot be used. When you make an entry mistake, press the <C> (Clear) button and enter again. When moving to the next value without entering all 3 digits, select [Next]. 6) Select [Save]. 7) Configure [TCP/IP - Subnet Mask] and [TCP/IP - Gateway Address] as the above. Note Enter address in the format xxx.xxx.xxx.xxx. The "xxx" should be a numeric value in the range from 0 to 255. However, 224 or 225.xxx.xxx.xxx and 127.xxx.xxx.xxx cannot be used. Specify the subnet mask by a combination of the numbers 0, 128, 192, 224, 240, 248, 252, 254, and 255. However, you cannot use 0 between non-zero values. If you do not set the gateway address, enter " ". 4 Select [Close] repeatedly until the [System Settings] screen is displayed Select [Exit]. 6 After the machine is restarted, print out a settings list to confirm that the ports are enabled and TCP/IP is configured. 102 12 Using Scan Service Scan Service Overview The machine is capable of scan services. The following functions are available by using the scan services. Scan to Mailbox Using Scan Service 12 Job Template Scanning Scan to FTP/SMB Job Flow Scanning Note This feature does not appear for some models. An optional package is necessary. For details, contact our Customer Support Center. , Job Template Scanning, and Job Flow Scanning are only supported by ApeosPort 550 I/450 I/350 I. Scanned documents can be converted into an electronic format and transmitted via E- mail. Scan to Mailbox Documents which you want to take in as data can be scanned and stored into a mailbox. Stored documents can be accessed from network computers. In addition to scanned documents, documents received by the Remote Mailbox feature from other fax machines can be retrieved from a mailbox. Job Template Scanning A job template is a configuration file for defining scanning conditions. You can apply a job template to a scanned document on the machine. The scanned document will be saved to the hard disk of the machine and then sent automatically to the computer (server) such as an FTP or SMB server connected to the network. CentreWare Scan Service (optional) is required to create job templates and set a forward destination. Scan to FTP/SMB When the machine is connected to a network, scanned data can be stored on network computers using the FTP or SMB protocol. Documents which you want to take in as data can be scanned and stored on network computers. Job Flow Scanning You can perform scanning using a job flow processing a scanned document from a network computer with CentreWare EasyOperator. 100
