1 Faxing within McKesson Lytec MD using Zetafax Zetafax 2007 (Version 11) and Zetafax 2009 (Version 12.5) is an integrated part of Lytec MD. Zetafax 2007 is certified for Lytec MD and Zetafax 2009 is certified for the latest release of the Lytec MD Patient Records. Sending faxes electronically from Lytec MD is easier than ever through Zetafax s secure, fast, and cost effective fax server technology. Zetafax has numerous uses for the office over and beyond what it is capable of doing within Lytec MD, so we are offering it as a full, feature rich fax server solution. It can be used within Lytec MD for specific Integrated functions, and also outside of Lytec MD to help more effectively manage the sending and receiving of faxes. What are the key benefits of the Zetafax & Lytec MD Integration? Easy to use the Zetafax/Lytec MD integration makes it easy to fax prescriptions, progress notes, letters and charts directly from Lytec MD without the hassle of printing and feeding traditional fax machines. Saves Time Lytec MD integration allows for quick, efficient, automated, paperless faxing and is up to 80% faster than sending faxes conventionally. 2 Page 2 of 11 Faxing Prescriptions Since Lytec MD now allows you to store pharmacy information such as name, address, telephone, and fax number, you can associate patients with the pharmacy for easy and efficient faxing. You have the option of linking multiple pharmacies with a single patient allowing you to direct a script to the pharmacy of the patient s choice. If the patient does not have an associated pharmacy, you can select a pharmacy on the fly. 3 Page 3 of 11 Choose Configuration> Patient Pharmacies (New) > Pharmacy ID / Type/ Preferred / Notes and then choose OK Faxing prescriptions is straightforward. You can fax the patient s prescriptions as a group and you can also choose to print paper copies. Just click OK and the fax is sent. If there are multiple pharmacies associated with a single patient, you simply select one from the list provided. If there is more than one pharmacy, you will be prompted to choose between the pharmacies listed. Pharmacies can be assigned when the prescription is written. As noted you can fax and print to paper, allowing you to provide a copy of the prescription to the patient, while still sending the faxed RX directly to the pharmacy. Image 3.0: Faxing Prescriptions Faxing Progress Notes, Letters and Charts Zetafax makes it easy to electronically fax progress notes, letters, and charts without going through a fax print dialog. You can save valuable time by sending faxes directly from Lytec MD to an outside provider, patient, or other entity. For example, to fax a patient s progress note to an outside provider, all you have to do is press the Fax button, select the provider to whom you wish to send the fax and press OK.

6 Page 6 of 11 Are all the Zetafax features enabled within Lytec MD? No. The Lytec MD / Zetafax integration is primarily designed to make it easy for providers to fax out going prescriptions, progress notes, letters, and charts directly from Lytec MD. Additional features such as the ability to receive incoming faxes require the utilization of the Zetafax Client as described below. What are the features that can be utilized outside of the Lytec MD Integration? The Zetafax Server has a number of additional features that are available for use outside of the Lytec MD integration, as a standalone product to help your office more efficiently manage fax related tasks. Some of the key benefits and features of Zetafax are noted below. Key benefits of Zetafax as a standalone fax server: Versatile faxes can be generated from a commonly used application such as Word, Excel, PowerPoint, and Outlook from any workstation with the Zetafax Client. Additionally, users can receive incoming faxes into Zetafax where they can be easily electronically filed or distributed via to the appropriate party. Improved Efficiency A range of keyboard shortcuts and drag/drop features in Zetafax make it quick and easy to use. The intuitive fax client also includes an address book, an incoming fax alert, a fax preview pane, and full feature tool bar for easy access to server functions Better Fax Management Zetafax offers a rich range of management features including complete records of both faxes sent and received. Inbound faxes can be reviewed either within the Zetafax Client or to the practice s system. Faxes can be routed to a specific individual (the fax administrator), who can then distribute the faxes electronically to the appropriate party, helping insure that faxes are not lost. Inbound faxes can be archived as well, providing an easy to retrieve backup. Easy Editing Zetafax provides features such as fax annotation, editing, and control options, allowing users to mark up faxes prior to internal distribution. Network Friendly Zetafax is designed to work within your existing IT system. For instance, you can use your system s address book to store your fax numbers. New with Zetafax 2009 Support for Server Virtualization: Zetafax 2009 supports VMWare servers using VMWare ESX or ESXi 3.5. The full server feature set is supported, so users are unable to distinguish between the server running under VMWare and one running on a Native operating system. Support for Fax over IP (FoIP): A chargeable add on, Zetafax includes FOIP which provides an efficient way to integrate a fax server and phone systems. Contact Equisys for more information. 7 Page 7 of 11 What are the Hardware and Software requirements for using Zetafax? While Zetafax can function on a Lytec MD Server, installing it on a separate machine helps minimize the storage and processing burden to the primary database server. Zetafax integration requires Lytec MD version 9.2 and either an external fax modem or an internal fax board (which can be easily installed in any computer with an available PCI slot). For the highest performance and greatest reliability, we suggest the Brooktrout TruFax and TR1034 Intelligent Fax Board for the computer that will be hosting the Zetafax Server. Zetafax Server: Window 7 and Window Server 2008 R2 support is now available to customers using the Zetafax 2009 SP1 Platform Feature Pack. When using the Gateway (a software tool that allows you to send faxes through programs such as Outlook), we recommend you use a dedicated fax server. I have Lytec MD ASP. Can I use the integrated fax features? The Zetafax integration function is not currently available to our ASP customers, however Zetafax can be used as a standalone product with Lytec MD ASP. How do I set up Zetafax for use with Lytec MD? The Zetafax Server is easy to setup by using the install and configuration wizard. The Zetafax Client must be installed on each computer that will run Lytec MD with Zetafax. Setting up fax server integration requires some configuration within Lytec MD. This primarily consists of configuring settings in the ppart.ini file as well as in the new ppfax.ini file. For more information on setting up the fax server integration in Lytec MD, please consult the Patient Records Users Guide or review the help file within the application. Note: As part of your purchase of Zetafax from Lytec MD, you will receive (the Zetafax API add on ) that facilitates the integration between Lytec MD and Zetafax; this software is included as part of your purchase from Lytec MD and will not be included if your purchase Zetafax from another organization.

8 Page 8 of 11 Will I be able to use the Zetafax services over terminal services? Yes, you can use The Zetafax Client over terminal services. Network users can be provided with faxing capabilities at remote sites and can use Zetafax in thin client sessions. (The Zetafax Server is not supported in this environment) What is the price of Zetafax? Pricing for Zetafax is based on a named user basis (as opposed to the number of workstations). A named user refers to the individual directly using the Zetafax application. The use of the Zetafax integration within Lytec MD counts as a single universal user. The systems noted below support 2 lines meaning the system is capable of either sending or receiving up to 2 fax communications at the same time. If the site s fax volume requires additional lines, these can be purchased incrementally. However, Equisys is a reseller of all the major manufacturers of fax boards and is happy to assist you with any fax board related inquiries or purchase requests. After September 2008, you must have a valid Premium Technical Support Contract in place to obtain the API License. This is an annual cost and you will be required to maintain the yearly fee in order to continue utilizing the Lytec MD integration. What are the advantages of purchasing Zetafax over using the Windows 2003 Fax Server? Windows 2003 Fax Server can be used as a very basic fax server; however it lacks many important fax features that Zetafax provides. Some of the unique features within Zetafax that are not available with Windows 2003 Fax Servers are as follows: Zetafax supports a wide range of routing options for received faxes, allowing you to route incoming faxes directly to a specific user. Zetafax allows PDF files to be attached to faxes and it can forward incoming faxes in a variety of file formats. Faxes can be forwarded over the network to other Zetafax users or by . Zetafax also converts most regularly used document types to either.pdf or.tiff format so they can be faxed as attachments. Zetafax provides server monitoring tools that make it easy to manage the status of both incoming and outgoing faxes as well as reporting tools (fax volume by day, time of day, by user) enabling sites to better manage their fax activity Zetafax allows you to and fax to users at the same time, as opposed to only being able to fax Zetafax provides a junk fax filter option that allows you to blacklist senders of unwanted faxes
