7 GWFax Installation & Configuration Guide 7 1 Introduction GWFax is an enterprise-class document transport solution with native GroupWise integration that offers GroupWise users a range of functionality to securely transmit and/or convert documents from GroupWise and other printer accessible desktop applications. GWFax is a unique paperless storage solution that is fullyintegrated with GWArchive to ensure the same level of regulatory compliance and message security available with GWArchive. With GWFax, you can: 1. Send secure fax messages to fax recipients listed in the GroupWise Address Book or by entering a fax number. 2. Receive faxes directly into the GroupWise inbox. 3. Select to archive fax messages sent through the GWFax Client Plug-in to your GroupWise inbox to an external repository in XML format using GWArchive. The GWFax Installation & Configuration Guide explains how to install and configure the Esker Platform Server and Client Plug-in components. Below is a brief description of the components of GWFax and the documentation available for each. The documentation listed below can be found in the Messaging Architects Manuals folder in the GWFax package or by clicking Documentation from the Autorun screen of the GWFax CD. Component Description Documentation Server A back-end component that interfaces between the client plug-in and the GWFax hardware. GWFax Installation and Configuration Guide DID Manager (Optional) A ConsoleOne snap-in that allows the IT administrator to easily assign and manage the DID (Direct Inward Dial) numbers of users. The DID Manager provides automatic, real-time DID number tracking. DID Manager Installation and Configuration Guide Client Plug-in A client-side GroupWise C3PO that allows end users to send faxes as easy as clicking on the GWFax icon located on the GroupWise client interface, selecting a recipient from the GroupWise Address book, or entering the recipient s fax number. 9 GWFax Installation & Configuration Guide 9 2 Pre-Installation Procedures This section provides an overview of the pre-installation procedures you need to complete before beginning the GWFax installation procedure. It also includes information about upgrading to the latest version of GWFax. Prior to installing GWFax, ensure that your system meets the GWFax minimum system requirements listed in System Requirements. Then you may launch the installation and set-up procedure that includes: 1. Install the Esker Server Platform software and its components. If upgrading from a previous version of GWFax, select the Upgrade Components options from the installation procedure. 2. Configure the Esker Server Platform. 3. Install the DID Manager (optional see the GWFax DID Manager Installation and Configuration Guide). 4. 10 GWFax Installation & Configuration Guide Local and Domain Permissions Requirements The GWFax installation program automatically configures your system for use with GWFax. However, the following conditions need to be fulfilled to configure GWFax correctly: The logged on user must have administrator rights to the local server. To create a domain user account during the GWFax installation, the logged on user must have domain administrative rights to that domain. During the GWFax installation, the program automatically makes some configuration changes to optimize GWFax s functionality. These changes include: 1. Creating an EskerAdmin user account in the Domain and Local Administrator groups with full access rights to all local directories and appropriate network drives. 2. Giving rights to the EskerAdmin user account to log on as a service, log on as a batch and act as part of the operating system. 3. Disabling Print Notification. 4. Changing Event Log settings. If you encounter problems with the automatic configuration setup, refer to the instructions provided in Creating and Configuring User Accounts. 2.3 Fax Modem or Board Requirements GWFax supports Brooktrout fax boards. These boards come with their own installation procedure. We recommend using the instructions from the fax board manufacturer. For Brooktrout fax boards, use the drivers that are included as part of the GWFax installation procedure. If you are installing GWFax for demonstration/evaluation purposes only, you can do so without installing a fax board Installing a Fax Modem GWFax uses the TAPI standard interface to configure your modem settings. This interface has the following advantages: 1. A simple modem installation procedure due to automatic detection. 2. A single configuration. Once configured, the modem can be used by other communication applications. Install and configure your modem using the Modems icon in the Windows Control Panel. Once installed, your modem will be detected automatically Installing a Fax Board Before installing the Esker Platform Server, install the recommended fax board. This does not apply to the fax board simulator software (also called the Demonstration Driver). The Brooktrout fax board driver installation and configuration is included in the GWFax installation program. For others fax boards, install the driver software before proceeding.

11 GWFax Installation & Configuration Guide 11 3 Installing the Esker Platform Server A successful installation of GWFax requires a step-by-step completion of the following checklist. Once all of the procedures outlined below have been carried out in the appropriate order, you should be able to enjoy the full functionality of GWFax. On Windows 2000 SP4, you must install the Brooktrout fax driver provided with GWFax when the fax board is detected by your system and before installing the Esker Platform Server. Indicate the \BoardDrivers\Brooktrout\PnP subfolder of the GWFax CD-ROM to search for the driver files. Then install the Esker Platform Server as explained in this section and let the installation program configure the fax board drivers. GWFax Checklist Done 1. 12 GWFax Installation & Configuration Guide Quick Step-by-Step Installation Procedure The following is a quick step-by-step guide to install GWFax. For more information on the installation procedure, see Detailed Installation Procedure Install the Esker Platform Server 1. Insert the GWFax CD. When the installation wizard launches, click Next to begin the installation, or run the setup.exe file from the CD root. 2. Click Next to review the EULA. Click Yes to accept. 3. Enter the license key provided to you. If you do not have a license key yet, leave this screen blank and click Next to run a 30-day trial of GWFax. 4. Enter the IP address you will use to access the Esker Platform, otherwise leave the default settings on the Identification Settings screen. Enter the user name and password you want to use to administer the Esker Platform. If the user does not exist, the setup will create a user for you with sufficient rights. Click Next to continue. 5. On the Localization and Configuration Information screen, accept the defaults (United States, English, 3890), and then click Next. 6. On the Choose Destination Locations screen, accept the default locations or click Browse to select alternate locations. Click Next to continue. 7. On the Select Components screen, select which components you want to install, and then click Next. 8. Enter a database size, or click Next to accept the default size on the Data Storage screen. 9. On the Data Connection screen, enter passwords for both administrators and users, and then click Next. 10. On the Fax Drivers screen, select to use either a Fax Board Simulator (for demo purposes only), or one of the other available options. 11. Enter a program folder, or click Next to accept the default. 12. On the Start Copying Files screen, review your settings and then click Next to continue. 13. If you selected to use a Brooktrout board, the Brooktrout Configuration Wizard is now launched. For more information, see Brooktrout Driver Installation Wizard. 14. The installation of the Esker Platform is now complete. If you don t have Adobe Acrobat Reader installed, the installation will prompt you to install it before continuing. 15. When the Acrobat Reader installation is complete, you will be prompted to reboot the server and log in as the user created in step 4 of the installation.

13 GWFax Installation & Configuration Guide Brooktrout Driver Installation Wizard If you selected Fax Board Driver as one of the components to install and then selected Brooktrout, the Brooktrout fax board driver installation wizard is launched during the installation program. 1. The Brooktrout wizard is launched after step 13 above. Depending on your knowledge of the Brooktrout fax boards, choose simple mode (first option) or advanced mode (second option). Click Next. 2. The Brooktrout Device Settings screen shows any existing configuration and allows installed fax boards to be configured. The information required to fill this screen is provided on your board. 3. To configure a board, click Add board and fill the required fields in the boards list. To remove a configured board from the list, select this board and click Remove board. Click Next to continue. 4. Follow the remaining screens of the wizard until you reach the Validate Configuration screen. Click the Validate button to ensure your board(s) is detected correctly. Click Next. 5. Click Finish to begin the file transfer Install the Esker Document Manager After completing the Esker Platform Server installation, the Esker Document Manager Installation Wizard launches automatically. 1. On the Welcome screen, click Next to begin the installation. 2. On the Destination Folder screen, accept the default location and then click Next to continue. 3. Click Next to begin the installation on the Ready to Install the Application screen. 4. Click Finish to complete the Document Manager installation. 5. At the end of the installation, you are prompted to restart the server and login as the user created during the setup Configure the Server After completing the Esker Document Manager installation, you have to configure the server. 1. Choose Start > Programs > Esker DeliveryWare Platform > Esker Administrator to log in and complete the Configuration Wizard as well as configure the default connectors to integrate with the GWFax Client Plug-in. 2. On the Welcome screen, click Next to begin the installation. 3. On the Connectors Selection screen, ensure the Internet Mail Connector and Printer Connector are selected and click Next. 4. On the Esker Administrator Configuration screen, enter the address of the administrator and click Next. 5. On the General screen of the Internet Mail Connector, enter the IP address of your server and click Next. 6. On the Send Test Settings screen, select to send a test fax or message, and then click Next. 7. On the Summary screen, click Finish to complete the configuration Install the GWFax Client Plug-in 1. Insert the GWFax CD. When the installation wizard launches, click Next to begin the installation, or run the setup.exe from the CD root. 2. On the Choose Destination Location screen, accept the default locations or click Browse to select an alternate location. Click Next to continue. 3. When prompted, click OK to install the Esker API components. On the Choose Setup Language screen, select the language from the available options and then click OK. 4. When the Esker API Components Wizard launches, click Next to begin the installation. 5. On the Setup Type screen, depending on your knowledge of the API components, choose Typical mode (first option) or Custom mode (second option). Click Next. 6. Enter the IP address of the server on the Esker Platform Address screen, and then click Next. 7. On the Address Book LDAP Parameters screen, enter the required information. Click Next to continue.

14 GWFax Installation & Configuration Guide Click Install on the Ready to Install the Program screen, or Back to change any of the installation settings. 9. Click Finish to complete the installation of the Esker API components, and then click Finish again to complete the GWFax Client Plug-in installation. To view the Client Plug-in, start GroupWise and you will see the GWFax icon on your GroupWise toolbar. 3.2 Detailed Installation Procedure Below is a detailed explanation of each step of the GWFax Installation process Setup Load the GWFax CD-ROM, and click Next on the screen that appears automatically (Autorun). If you are not launching the GWFax installation from a CD, double-click the setup.exe file. The installation program will guide you through the installation (Figure 1). 15 GWFax Installation & Configuration Guide 15 On the License Agreement screen (Figure 2), review the license agreement, and then click Yes to begin the installation. Figure 2: License Agreement Screen On the Registration screen (Figure 3), enter the license key provided to you with the GWFax software, or click Next to install an evaluation version of the product. The evaluation version installs the software with main functionality, but is only valid for a limited time (30 days). Click Next to continue. Figure 3: Registration Screen To install a licensed version after using the demo, refer to Converting an Evaluation License to a Fully Licensed Product. On the Identification Settings screen (Figure 4) that appears after the Licensing screen, the IP Address is automatically detected by the installation program. If several addresses are available on the computer, select the one you want to use. You can also edit the IP Address field to enter a specific server name instead of a numeric IP address.

16 GWFax Installation & Configuration Guide 16 On the same screen, the Unique Server ID field is automatically detected by the installation program. You can leave this field as is, or edit it and enter a specific name to uniquely identify the current machine. This is useful if you are setting up a remote system with various servers and want to ensure each remote server has a unique name to easily identify it. The user name and password you enter in the Identification Settings screen are used by the system to run the server after you install it. This user has administrative rights and other permissions. At the end of the installation, reboot the machine and log on again using the user you specified to successfully complete the installation. Click Next to continue. Figure 4: Identification Settings Screen On the Localization and Configuration Information screen (Figure 5), specify your culture. The culture selection is important for determining phone settings and regional options. Select the language of the interface, and if necessary, change the LDAP port. Click Next to continue. 17 GWFax Installation & Configuration Guide 17 The Choose Destination Locations screen (Figure 6) allows you to choose the folder paths where Esker Platform Server data and database information are stored. Click Next to continue. Figure 6: Choose Destination Locations Screen The Select Components screen (Figure 7) allows you to view and choose the components that will be installed. In the event of an upgrade, use this screen to select the components you want to add to your server or the components you want to upgrade. Click Next to continue. Figure 7: Select Components Screen All messages sent by the Esker Platform Server are stored in an SAP DB relational database management system, offered as an open-source system by SAP and included with GWFax. The database storage capacity is based on the license purchased. However, you can increase the database size if needed, using the dedicated scripts provided with the database management tools. According to your license, the database size is calculated to fit your storage needs on the Data Storage screen (Figure 8). You can change the value proposed during the setup if the default database volume is too high or low. We recommend changing this default value only if you are sure that the new value is compatible with future use. Click Next to continue.

18 GWFax Installation & Configuration Guide 18 Figure 8: Data Storage Screen The database can be accessed by two users, depending on operations to perform: the database system administrator user (ESKDBADM) and the Database Manager operator user (ESKDBOPE). On the Database Connection screen (Figure 9), you are prompted to assign a unique password to these users. Note this password carefully as you may need it to access the database for maintenance or troubleshooting purposes. Figure 9: Database Connection Screen On the Fax Drivers screen (Figure 10), select the Brooktrout board option. On Windows 2000 SP4 you must install the Brooktrout fax driver provided with GWFax before the GWFax installation. Indicate the \BoardDrivers\Brooktrout\PnP subfolder of the GWFax CD-ROM to search for the driver files. Then install the Esker Platform Server as explained in this section and let the installation program configure the fax board drivers.

19 GWFax Installation & Configuration Guide 19 If you received the Brooktrout fax board directly from the manufacturer, please disregard the driver software shipped with the boards. You must use the Brooktrout driver provided on the GWFax CD-ROM for a successful installation. 20 GWFax Installation & Configuration Guide 20 You may be prompted to install support for Crystal Reports during the installation, however this version of GWFax does not include support for Crystal Reports. On the Start Copying Files screen, review your settings and then click Next. Figure 12: Start Copying Files Screen If you selected to use a Brooktrout board, the Brooktrout Configuration Wizard is now launched. For more information, see Installing and Configuring Fax Board Drivers. The installation of the Esker Platform Server is now complete. If you don t have Adobe Acrobat Reader installed, the installation program will prompt you to install it before continuing Install the Esker Document Manager After completing the Esker Platform Server installation, the Esker Document Manager Installation Wizard launches automatically. Click Finish to log off. Figure 17: Main Installation Finished Screen 3.3 Converting an Evaluation License to a Fully Licensed Product Following a GWFax evaluation, you may have configured many of the GWFax components as a proof-of-concept exercise. Your configuration will not be lost when you convert the demonstration license to a fully-licensed product. You do not need to reinstall GWFax. In fact, all that is necessary is a licensing process with the full product license. 1. Start Esker Administrator from the GWFax machine by selecting Start > Programs > Esker DeliveryWare Platform > Esker Administrator. 2. Right-click the server icon and select Licensing. Complete the fields as for a licensed installation.

23 GWFax Installation & Configuration Guide 23 4 Configuring the Esker Platform Server 4.1 Starting Esker Administrator After completing the Esker Document Manager installation, you have to configure the Esker Platform Server. To begin, choose Start > Programs > Esker DeliveryWare Platform > Esker Administrator to log in and complete the Configuration Wizard as well as configure the default connectors to integrate with the GWFax Client Plug-in. 4.2 Configuration Wizard On the Welcome screen (Figure 18), click Next to begin the installation. Figure 18: Welcome Screen On the Connectors Selection screen (Figure 19), ensure the Internet Mail Connector and Printer Connector are selected, and then click Next.

26 GWFax Installation & Configuration Guide 26 Figure 23: Summary Screen 4.3 Fax Connector Upon arrival of an inbound fax on your fax server (via the Fax connector), you can route this fax to any recipient you want (such as an individual, a printer, a scanner, a web site, etc). Available recipients depend on the connectors that you previously configured. The easiest way to receive inbound faxes is to select a default user to whom all inbound faxes will be routed. By default, all inbound faxes are routed to the administrator you defined when you first launched the Esker Administrator. For more information, see Modifying the Default Routing Rule. Later on, you can define other users and define the routing rules to allow you to further specify how inbound faxes are routed based on the characteristics of the faxes. You can route an inbound fax following: A simple routing rule: inbound faxes are routed depending on telecommunication information (calling number, called number, line number, date, time, etc.). An advanced rule: inbound faxes are routed depending on telecommunication information and fax content information extracted by the OCR. For more information on creating advanced routing rules, see the online documentation available from the Esker Administrator by choosing Help > Help Topics. To route inbound faxes, you must: 1. Configure and enable the connector used to route inbound faxes to the selected recipients. For example, if you want to print inbound faxes, you must enable the Printer Connector. For more information on the Printer Connector, see Printer Connector. 2. Define the user you want to route the fax to and define the user properties required for routing. 3. Creating routing rules to know where to send any inbound fax, according to specific fax properties. 4. Test the routing rules to verify that the fax line is operational and that all services and components are running properly

27 GWFax Installation & Configuration Guide Configuring a Default User If You have never started Esker Administrator or you have canceled the execution of the postinstallation wizard and authorized its initiation at a later stage You have already completed the postinstallation wizard You have irreversibly canceled the postinstallation wizard execution Then You can reproduce the steps described in the initial configuration section by launching the post-installation wizard and completing the onscreen instructions. You can verify that the connector and the user you have defined are those that you want to use. The default user is the user that will receive all inbound faxes which match no routing rule Launching the Post Installation Wizard The post-installation wizard is displayed automatically the first time Esker Administrator is launched. If you completed the onscreen wizard or if you canceled the execution of the wizard without authorizing its subsequent re-launching, you cannot re-launch this wizard. On the other hand, if you canceled the wizard and authorized its subsequent re-launching, you can launch the wizard again: From Esker Administrator, right-click the server icon ( ) and select Launch Post Installation Wizard. Close and launch the Esker Administrator again.

By default, the Esker Administrator browses the user address book you configure in the General Properties dialog box of the Address Book folder Testing the Routing of an Inbound Fax To test the routing of an inbound fax, you can: 1. Test the routing without sending a message. 2. Test the routing by transmitting a message to your own fax number (or to any number, if you use the Fax Board Simulator software). 1. Testing the Routing Without Sending a Message The Esker Administrator provides a simple function to test the routing. This test is designed to analyze the existing routing rules and determine the users to whom inbound faxes are sent. To test the routing without sending a message: 1. Choose Connectors > Fax Connector > Routing Engine. Right-click Routing Engine, and then choose Tests > Test for Routing. 2. In the Test for Routing dialog box, enter any fax number or the last digits of a fax number (such as 2523) and then click OK. Figure 26: Test for Routing dialog box

30 GWFax Installation & Configuration Guide Any inbound fax sent to a number ending with 2523 will be routed to the user whose name is displayed in the Users list. 2. Testing the Routing by Transmitting a Message If you have a real fax board (and not the Fax Board Simulator software), you can send a fax to your server and test the routing of this fax. To check the fax transmission, choose Queue Manager > Queues > Outbound Faxes > All folder to check the fax transmission. Wait for the transmission to complete and then open the Queue Manager folder that contains the routed message. If you use the Fax Board Simulator software, you can simulate the reception of a fax by sending a test fax to a bogus fax number (e.g.: 123). The fax server recognizes the fax as an outbound and inbound fax and is able to route it. To send a test fax to your server or to a dummy fax number using the Fax Board Simulator: 1. Right-click the name of the server in the Esker Administrator tree view and select Quick Send. 2. On the Transport Selection screen, select the Fax icon and click Next. 3. On the Fax screen, enter your own fax number. If you are using the Fax Board Simulator software, enter any fax number, as well as the message subject and body, and then click Next. 4. On the Message screen, complete the Sender and Recipient information and click Next. 5. On the Inserted Files screen, click Finish without inserting any attachments. 6. Choose Queue Manager > Queues > Outbound Faxes > All folder to verify the fax transmission. Wait for the transmission to complete and then open the Queue Manager folder that contains the routed message. 4.4 Printer Connector The Esker Administrator allows you to configure the Printer Connector for outbound printing of documents and inbound routing to printers accessible on the server. To do this, you have to enable the Printer Connector and set up the default printer you want to use. The Printer Connector is enabled if it appears under Connectors in the Esker Administrator. If it does not appear in the list, then you must enable it. To enable it: 1. Right-click Connectors and select New > Printer Connector. 2. When prompted, restart the Esker Connector Management services. A new printer icon appears in the Esker Administrator tree view under Connectors. 3. To test your configuration, right-click Connectors > Printer Connector and select Quick Send. 4. Complete the Quick Send wizard by following the onscreen instructions. 5. To view information about the document that the server has just printed, open the Queue Manager\Queues\Printed Documents\All folder. If a printer does not appear in the Printer column, the default printer configured on the connector was used. Otherwise, the name of the printer used will be displayed Printer Connector Configuration To set a default printer connector to receive specific faxes: 1. Open Connectors. Right-click Printer Connector. If the Printer Connector does not appear, this means that the printer connector was not configured properly. Review the previous section and follow the instructions on how to configure the Printer Connector. The printers defined on the server are listed in the tree view on the right-hand side of the Esker Administrator. If no printers have been defined on the server, you must add a printer using the Start >

31 GWFax Installation & Configuration Guide 31 Settings > Printers and Faxes in Windows. It will be automatically detected and added to the printer list in the Printer Connector. 2. Right-click the printer you want to use and select Properties. The General tab of the Properties dialog box appears by default. Figure 27: Properties dialog box, General tab 3. Under PS format support, select Yes if your printer supports PS format. 4. Under PCL format support, select Yes if your printer supports the PCL format. 5. Select XIP Printer if you want to configure a print with an accelerator card. 6. Click OK Writing a New Routing Rule With the Esker Administrator, it is quick and easy to write a routing rule to route all inbound faxes whose number ends with a specified number to a configured printer. The other faxes will be routed to the default user, as specified by the default routing rule. In fact, the routing rules are used in the order in which they appear in the Esker Administrator tree view. Logically, the default routing rule is always last after all rules above are tested. To write a new routing rule: 1. Choose Connectors > Fax Connector > Routing Engine. Right-click Routing Engine and select New > Routing Rule in the left window of the Esker Administrator tree view.

Leave the default values in the Conjunction, Input and Operator columns. 5. Complete the Value field with the routing digit you assigned to the printer, such as 86. This condition means that the rule applies to any inbound fax sent to a number ending with Click Next. 7. In the OCR dialog box, make sure that Use only telecommunication information is selected, and then click Next.

Test the routing without sending a message. 2. Test the routing by transmitting a message to your fax server. 1. Testing the Routing Without Sending a Message GWFax provides a simple function to test the routing. This test is designed to analyze the existing routing rules and thus determine the users to whom inbound faxes will be sent. To test the routing rule without sending a message: 1. 37 GWFax Installation & Configuration Guide 37 5 Advanced Configurations 5.1 Integrating GWFax with edirectory GWFax allows you to integrate with Novell edirectory through LDAP. You can configure GWFax to perform an LDAP lookup on user information such as DID Fax numbers and addresses in order to route incoming faxes. This allows the administrator to maintain a single point of administration. To configure edirectory support, complete both the Novell NDS Configuration and Creating a Novell Address Book sections below Novell NDS Configuration In order to integrate GWFax with NDS: Configure edirectory to accept LDAP queries on port 389. The Allow clear text passwords options should be checked in the LDAP Group Object. Next, configure an LDAP anonymous user in Novell that will be used to execute LDAP queries. For example: Create a new user (e.g., LDAPUSER). Configure no password and no right to change the password options. Grant Browse/read/compare rights on the LDAP container (i.e., your organization LDAP directory; e.g., users.gwfax.fr). In the LDAP Group object, set the LDAP Anonymous Identity attribute to this user (e.g., LDAPUSER). This procedure will also work with an existing user. For more information, refer to TID at In larger environments with multiple NDS partitions, you will need to properly plan an LDAP implementation with your NDS network administrators to provide access to it Creating a Novell Address Book in GWFax To allow GWFAX to perform LDAP lookups in NDS: 1. Choose Start > Programs > Esker DeliveryWare Platform > Esker Administrator. 2. Right-click Address Books and choose New Address Book.

In the Server textbox, enter the IP address of your Novell LDAP server that contains the information about your users. In the Port textbox, set the LDAP port to the default port number 389. In the User textbox, enter the entire DN of the LDAP anonymous user configured above using the syntax cn=ldapuser,ou=users,o=tma (where cn=ldapuser represents the name of the LDAP proxy user you created in the Novell NDS Configuration section above, ou=users, and o=tma defines the context where the user resides within NDS). In the Password textbox, no password is required.

Change the address book to the newly-created Novell address book. 2. Right-click the Address Book object you just created and select Properties. Click the Contacts and Users tab. When prompted, click OK to restart services. 4. Right-click on the Address Book object again and select Properties. Click the Mapping tab. 5. Scroll down the list of Virtual attributes until you locate Routing digits (DID) and double-click the Value. 6. 43 GWFax Installation & Configuration Guide 43 6 Installing and Configuring Fax Board Drivers This chapter helps you with the installation of fax board drivers. If you are evaluating GWFax with the Demonstration driver program (Faxboard Simulator) or if you do not use the fax server functionality, you can skip this chapter. 6.1 Installing the Brooktrout Fax Driver To successfully install and configure your Brooktrout fax board: Be sure that all switch settings on the fax boards are correct and the boards are installed in the machine. Install this driver and NOT the drivers that are included with the boards (if you received directly from the manufacturer). The installation and configuration of your Brooktrout fax board can be performed: During the Esker Platform Server installation program (via the Brooktrout driver installation wizard). At any time, through an independent procedure Using the Esker Platform Server Installation program (Brooktrout Driver Installation Wizard) If you selected Fax Board Driver as one of the components to install and then selected Brooktrout, the Brooktrout fax board driver installation wizard starts during the Esker Platform Server installation program. 1. The Brooktrout Device Wizard is now launched. Depending on your knowledge of the Brooktrout fax boards, choose simple mode (first option) or advanced mode (second option). Click Next. Figure 42: Brooktrout Device Wizard 2. The Brooktrout Device Settings screen displays any existing configuration and allows installed fax boards to be configured. The information required to fill this screen is provided on your board. 3. To configure a board, click Add board and fill the required fields in the boards list. To remove a configured board from the list, select this board and click Remove board. Click Next to continue.

Click the Validate button to ensure your board(s) is detected correctly. Click Next. 5. Click Finish to begin the file transfer Independent Installation You can use the independent installation procedure to install and configure your Brooktrout board driver at any time. 1. Run setup.exe located in the \BoardDrivers\Brooktrout sub-folder of the GWFax CD-ROM. 2. Depending on your knowledge of the Brooktrout fax boards, you can perform a simple mode (first option) or an advanced mode (second option) installation. If you select the simple mode installation, advanced parameters will be automatically configured and will not appear in the installation procedure. Choose one of the two modes. 3. Indicate the installation path of the Brooktrout driver files, then click Next. 4. Follow the onscreen instructions as described in Using the Esker Platform Server Installation program (Brooktrout Driver Installation Wizard) Configuring the Brooktrout Driver from Esker Administrator To configure a Brooktrout fax board from Esker Administrator, you must have already installed a Brooktrout fax board. The advantage of using the Brooktrout wizard is that it allows you to modify the parameters of the existing board or to define a new set for a completely new fax board. Starting the Esker Administrator Choose Start > Programs > Esker DeliveryWare Platform > Esker Administrator. If you are starting Esker Administrator for the first time, the post-installation wizard is run so that you can define the basic configuration. Setting the Brooktrout Board 1. From the Esker Administrator, right-click \Fax Server. 2. Select Launch Brooktrout Wizard.

45 GWFax Installation & Configuration Guide Follow the onscreen instructions as described in Using the Esker Platform Server Installation program (Brooktrout Driver Installation Wizard). 6.2 Setting Fax Board Parameters from Esker Administrator This section describes how to set some options that improve the management of a fax using the Esker Administrator. 6.3 Shared Settings The items of information described in this paragraph can be displayed under Esker Administrator irrespective of the type of fax board you are using. The operations whose parameters can be set are: Defining the method of distributing faxes to the lines. Retransmitting a fax in a case of failure. Checking the numbering rules. Setting the maximum number of attempts in cases of voice answers. Defining the format for storing fax files. Defining the format for transmitting fax files. Recovering ISDN error codes. Setting the number of routing digits. Displaying the status of a fax line during use. Defining the Method of Distributing the Faxes to the Lines 1. In the Lines Distribution list, there are three possible ways of routing a fax, depending on the telephone network lines available: Option Use the first free line starting from the first line Use of circular lines Use the first free line starting from the last line Description The system polls the fax server's lines for availability, starting from the first telephone network line. When it finds a free line, it sends the fax on that line. When that line becomes busy, the program uses the next one. The fax is sent on the line after the last busy line. The system polls the fax server s lines for availability, starting from the last telephone network line. Checking the Numbering Rules You may want to check that the program conforms to the numbering rules followed in each country, and thus avoid any errors (for example, a minimum delay between two attempts not respected when retransmitting). 1. From Esker Administrator, open Connectors. Right-click Fax Connector. 2. Choose Properties, and then click the Scheduler tab. 3. Select Checking dialing requirements. We recommend that you deselect this option if you are in a test phase or in a situation where the fax board returns an unsuitable error code. Setting the Maximum Number of Attempts in Cases of Voice Answers If the fax number corresponds to a voice answer, you may want to limit the number of attempts made to retransmit the fax. 1. From Esker Administrator, open Connectors. Right-click Fax Connector. 2. Choose Properties, and then click the Scheduler tab. 3. Select Stop after a maximum of voice answers.

46 GWFax Installation & Configuration Guide 46 Defining the Format for Storing Fax Files 1. From Esker Administrator, open Connectors. Right-click Fax Connector. 2. Select Properties and open the Brooktrout Driver tab. 3. To save disk space on your PC, select the two options concerning the storage of fax files received and fax files ready to be sent: G4 for reception G4 for sending G4 defines the optimal compression format (MMR type) for fax files, also known as TIFF files, with the.tif. extension. G3 defines the MH fax files compression format. Defining the Format for Transmission of Fax Files 1. From Esker Administrator, open Connectors. Right-click Fax Connector. 2. Select Properties and open the Brooktrout Driver tab. 3. To optimize the transmission time of a fax on the telephone network, select the fax data transmission format best suited to your configuration. G3/G4 depending on the remote machine capacity (G3 /G4). If the remote machine supports it, the G4 format, giving optimal compression of fax data, will be used, else the G3 format will be used. G3: the compression format is MH. Recovering ISDN eeror Codes 1. From Esker Administrator, open Connectors. Right-click Fax Connector. 2. Select Properties and open the Brooktrout-Advanced tab. 3. To get more explicit error messages when the routing of a fax fails, select Trace ISDN errors. When an error occurs whilst routing a fax, come from the ISDN protocol and replace those given by the fax board. Routing Digits In the case of Brooktrout type fax boards, it is important that the value of the routing digits is less than or equal to that configured during the installation of the Brooktrout driver. To display the value of the routing digits configured on installation, output the btcall.cfg file located in the \GWFax\BoardDrivers\Brooktrout\bin\ directory and look at the value associated with the did_digits field or run the Brooktrout wizard and check the Routing digit length field of the Brooktrout General properties window, then click Cancel. Brooktrout type fax boards can give variable numbers of routing digits. The entry in the Routing digit length field is used to ensure that routing works correctly. Displaying the Incorrect Fax Call Numbers From Esker Administrator, open Connectors. Open Fax Connector > Wrong numbers. The list of failed numbers of faxes appears in the right-hand window: The type of error at the origin of the incorrect number is displayed in the Status column.

47 GWFax Installation & Configuration Guide 47 Displaying the Status of a Fax Line During Use From Esker Administrator, open Connectors. Open Fax Connector > Lines. The list of available fax lines is displayed in the right-hand window: The status of a fax line is represented by an icon in the Name column and a description in the Line status column. 6.4 Specific Settings for Brooktrout Boards In the case of Brooktrout fax boards, you can choose the method of reception of a fax number. Choosing the Method of Reception of a Fax Number 1. From Esker Administrator, open Connectors. Right-click Fax Connector and choose Properties. 2. Click the Brooktrout-Advanced tab. 3. In the box entitled Inward call, you can choose the method of capturing the call numbers of incoming faxes according to the routing numbers and the PABX, by selecting one of the following options: Option Use the routing digits that were passed by the PABX to the board Use the routing digits that were passed by the network to the PABX Description The fax is routed according to the routing digits of the fax board receiving the telephone set number given by the PABX. This is the operating method used by default. The fax is routed according to the routing digits of the fax board receiving the external number given to the PABX by the network, as it was dialed by the sender.

48 GWFax Installation & Configuration Guide Troubleshooting Problem The boards are generating 3211 errors after startup or 3072 when sending. When the GFSH.EXE program is run, the connect statements receive an error "Sh lib error 104, Transmit time slot type (local- external)". This can occur under several different circumstances when the channels are not able to get the desired time slot. Solution The GFSH.EXE did not complete successfully. Watch the GFSH.EXE execute the batch file without an error. Any improperly configured SC2000 chip will generate noise to the point that every board picks up the line because of a phantom ring. Make sure that the PEB cable is properly attached to all boards in the system. The boards that are at the physical ends of the cables should be terminated, and the boards in the center should not be terminated.

From GroupWise, click Create New Fax icon on the toolbar. 2. By default, the Message tab is displayed. In the message text box, type the message text for the cover page.

In the Deliver To field, enter a fax number or select a recipient from the GroupWise address book by clicking the icon. 4. Multiple fax numbers should be separated from each other with commas. You can also select an entire Group from the address book, however, note that all entries in the Group must be from the same address book. 5. If desired, type a subject for this fax under Subject. This text will appear on the cover page after the word Subject: 6. Select any file(s) you want to attach by clicking on the Attach icon. 7. Click the Send Options tab.

Select a cover page from the dropdown list under Cover Page. 12. If you do not wish to send the fax now, you can schedule a fax to be sent at a later date and time by selecting the Delay Delivery option. 13. Click the Send icon to send the fax. You can create or modify these template files from any application that supports RTF file format. The following names can be used as fields on the cover page. You must put the name inside angle brackets to designate it as a field. 59 GWFax Installation & Configuration Guide 59 9 Installing Esker Administrator on a Remote Workstation This chapter explains how to install the Esker Platform administrative tools (Esker Administrator) on a remote client workstation. You can access the server using the Esker Platform user account or any administrator user previously declared on the NT server. Esker Administrator is an application that runs on any Windows 98, Windows NT or Windows 2000/XP client PC. It offers a user interface through the Microsoft Management Console (MMC), and enables the administrator to manage every component of the Esker Platform Server. The installation procedure enables you to install the complete Esker Platform Administrator tool or specific components: Queue Manager Esker Platform Users and Address Books 9.1 Installation Procedure 1. Load the GWFax CD-ROM in your CD-ROM drive. When the installation wizard launches, click Next to begin the installation. 2. On the Setup Type screen, select Complete to install all the Esker Administrator components. Select Restricted if you want to install only specific components (Queue Manager, Esker Platform User and Address Books), and then click Next. 3. In the User settings screen, enter the User Name and Password needed to connect to the Esker Platform Server. Set the language you want to use in the user interface, and then click Next. 4. In the Server Settings screen, enter the IP address (or the NDS if you have a DNS on your network) and LDAP port of the Esker Platform Server you want to administrate from the remote workstation, and then click Next. 5. Review your settings in the Start Copying Files screen, and then click Next to begin the installation. 6. Click Finish Starting the Administration Tool (MMC) Select Start > Programs > Esker Platform > Esker Administrator. The first time you start Esker Administrator, the Esker Configuration Wizard launches. Once you've completed the wizard, the Microsoft Management Console opens Terminal Server If Terminal Server is installed on a Windows 2000 system, the setup procedure must be performed in the INSTALL mode. 1. If you launch the setup procedure via Autorun, click OK to display the Add\Remove Programs dialog box from the Windows Control Panel and switch automatically to the INSTALL mode. 2. Then, choose to install a new program from a CD-ROM, and enter the Esker Platform install command line (setup.exe) from the CD-ROM root. Important: When setup is complete, the system is in INSTALL mode. Please follow the Add\Remove Programs instructions to switch back to the EXECUTE mode. 9.2 Adding Remote Users to the Administrators Group To administer the server via Esker Administrator, the administrator must use the user name created during installation and declared in the Logon Information screen of the installation procedure.

60 GWFax Installation & Configuration Guide 60 For a Windows user to administer the server remotely, the user must be specified in the local Administrators group of the Esker Platform Server Adding Remote Users Under Windows From the Windows 2000 Computer Management console, open System Tools\Local Users and Groups\Groups and double-click Administrators. 2. In the Administrators Properties window, click Add. 3. Select the user(s) to be added and click Add. 4. Click OK. The names should be listed as members of the Administrators group in the Administrators Properties window. Click OK again.

61 GWFax Installation & Configuration Guide 61 Appendix A: Creating and Configuring User Accounts The Esker Platform Server installation program will automatically configure your system. However, if you encounter problems with the automatic setup, the following information gives instructions on how to perform this configuration manually before installing the Esker Platform Server: 1. Create an EskerAdmin Account. 2. Give rights to the EskerAdmin Account to logon as a service, logon as a batch and act as a part of the operating system. 3. Disable print notifications. 4. Change NT event log settings These are explained in the following sections. Esker Admin Account Before installing the Esker Platform Server, you must create an Esker Admin user in the Domain and the Local Administrator groups with full access rights to all local directories and appropriate network drives. If you want to install GWFax on a Windows 2000 server, refer Creating an EskerAdmin Account on Windows 2000 Using Active Directory if you are using Active directory, otherwise refer to Creating an EskerAdmin Account on Windows Creating an EskerAdmin Account on Windows 2000 This procedure applies only if you are not using Active Directory. 1. Select Start > Programs > Administrative Tools > Computer Management. 2. Right-click System Tools > Local Users and Groups > Users and select New User. 3. In the New User dialog box, enter the user options: Figure 57: New User dialog box 4. In User Name textbox, enter the user s first name. In Password and Confirm password, enter the user s password. You will need to know this password when installing the Esker Platform Server. 5. Make sure that User Must Change Password at Next Logon is not selected. Select Password Never Expires. 6. Click Create. The new user should display in the details pane.

Click Add and select the Administrators and the Domain Users groups. The domain account should have read, write, create and execute rights to all required network directories. We DO NOT recommend giving the EskerAdmin account domain admin rights. These three rights must each be configured separately. The Log on as a Service right permits an account to be used to automatically start services. The Log on as a Batch Job right permits the successful launch of COM objects used for inbound routing. The Act as Part of the Operating System right permits remote administration of the Esker Administrator via the MMC interface using any NT user previously added to the Administrators group. Note: Messaging Architects recommend adding these rights even though you may not currently use some of these features. Giving Rights on Windows Select Start > Programs > Administrative Tools, and then click Local Security Policy. 2. Open Local Policies > Users Rights Assignment. The right pane will contain all the available policies:

Right-click the policy and select Properties. Figure 62: Log on as a batch job Properties dialog box 4. Click Add User or Group. 5. In the Select User or Groups dialog box, select your local machine. 6. Select EskerAdmin from the list and click Add User or Group. 7. Click Apply. The EskerAdmin user appears in the Local Security Policy Settings dialog box. 8. Click OK again to add the policy. Configuration The following steps must be performed after a user has been added manually. Print Notification The Esker Platform Server uses the Esker printer driver to convert most file types to fax. The default NT operation notifies the account that the Esker Platform Server service is logged in and that a job has printed successfully. This notification needs to be disabled in order for GWFax to run smoothly.

65 GWFax Installation & Configuration Guide 65 Disabling Print Notification 1. Select Start > Settings > Control Panel > Printers and Faxes. 2. Select File > Server Properties, and open the Advanced tab. Figure 63: Printer Server Properties dialog box 3. Make sure that the Notify when remote documents are printed option is not selected. 4. If the printer is a NetWare printer then within the printer's properties, under (intra) Netware settings, there is a Notify option. Make sure that this option is not selected. Changing the Event Log Settings on Windows Select Start > Programs > Administrative Tools > Event Viewer. 2. Right-click Application Log and select Properties. 3. Select Overwrite Events as needed. 4. Increase the Maximum Log Size to This is useful for debugging. 5. Click OK.

67 GWFax Installation & Configuration Guide 67 Appendix B: Installation and Configuration of the GWFax Client Plug-in on GroupWise version 6.5 and earlier The following section applies to users running earlier versions of the GroupWise 32-bit Win32 Client (pre-7.0). Installing the GWFax Client Plug-in 1. Insert the GWFax CD click the Install Client Plug-in for Windows 9X or Install Client Plug-in for Windows NT, 2000, XP button, depending on which version of Windows you are running. Alternatively, or run \GWPlugin\ClientPlugin_9X\setup.exe or \GWPlugin\ClientPlugin_NT\setup.exe. 2. Select the installation path and click Next. 3. Choose Yes or No to set the cover page initialization file. If you would like all your users to use the same cover page, select Yes. If you would like users to have the option of using a different cover page select No. Figure 64: GWFax Cover Page Configuration dialog box 4. If you selected Yes, select path of global INI file. Click OK. 5. Click Finish. To view the client plug-in, start GroupWise and you will see the GWFax icon on your GroupWise toolbar. Network and Infrastructure Considerations GWFax requires a host name (e.g. GWFax.[yourcompany].com) in order for it to communicate with the GroupWise Internet Agent (GWIA). When you send a fax via the GWFax client plug-in, the GroupWise client actually sends the fax as a speciallyaddressed , which GWIA then recognizes due to an addressing rule we will configure during this setup. GWIA will send the directly to GWFax as per the addressing rule. GWFax then converts the into a fax job and passes it along to the fax board for transmission. Due to this process, GWFax s IP address needs to be reachable from GWIA. In order for GWFax to work properly, you can use one of two different methods to accomplish this: Create an A and an MX record in your primary DNS Server. DNS servers convert host names (e.g. GWFax.[yourcompany].com) to IP addresses (e.g ). Reference your DNS server s documentation for assistance in creating these. Use a ROUTE.CFG host file. ROUTE.CFG is used by GWIA to bypass DNS lookup. Due to infrastructure and security considerations, most customers prefer to use the ROUTE.CFG bypass method. As a result, we explain this type of configuration in detail here in this guide. IP Routing GWIA is usually set to resolve IP addresses by using a DNS server (typically hosted by your ISP). To avoid making any modification to your firewall and DNS server, GWIA can be configured to bypass certain DNS lookups by checking entries in a local host file called ROUTE.CFG. This file has a specific syntax and is located under the <DOMAIN \WPGATE\GWIA directory. More information about GWIA s host file is available from (TID s , , and ). We recommend you use EDIT.NLM to create and edit the ROUTE.CFG file, as other text editors can insert undesirable and/or invisible characters.

68 GWFax Installation & Configuration Guide 68 Here is the text of a sample ROUTE.CFG file: GWFax.messagingarchitects.com [ ][Enter][space] VERY IMPORTANT: Make sure that there is a <CR <LF at the end of the ROUTE.CFG file (Carriage Return and one space). The IP address specified MUST be the IP address of GWFax! GWIA must be re-loaded in order for it to recognize changes in ROUTE.CFG! A GroupWise system can have many domains; theses domains can share a common GWIA. Make sure ROUTE.CFG is created on the server hosting the GWIA NLM! GroupWise Addressing Rule In order for GWFax to function properly, you must configure the following Addressing Rule by using NWADMIN or Console One. Follow the instructions below for your particular version of GroupWise. The GroupWise Client plug-in will not work without this setting! Due to this addressing rule, GWIA recognizes that an sent from the GroupWise client to the address #@GWFax.[yourcompany].com should be passed directly to GWFax. GroupWise 6.x 1. Load NWADMIN or ConsoleOne, Select the Tools > GroupWise System Operations menu. 2. Select Addressing Rules. 3. Create a new addressing rule by clicking on the New button, and setting the following options: Description: FAX Name: FAX Search String: *@FAX Replace with: %1@GWFax.[yourcompany].com IMPORTANT NOTE: The host name MUST be the one you configured in ROUTE.CFG, or be the host name for GWFax as entered in your DNS server!
