3 Note for Merlin Project Express users The following functions are only available in Merlin Project. Publishing This short guide describes how to use the»publish«function in Merlin Project. This automates the exporting of project content. The Publish option lets you configure Actions, with which you can make content available regularly to other users. You publish content from a project as follows. Open the menu item File Publish Settings Click one of the three available publishing options or click the plus icon. You can choose between three publishing types: Calendar Export Reminders For the Calendar and Reminders options, allow access to the Calendar and Reminders apps in macos. 4 In macos open System Preferences > Security & Privacy > Privacy and tick the checkbox next to Merlin Project for the options Calendar and Reminders. 2 Publishing

5 Calendar The Calendar option lets you publish project content locally to the macos Calendar app. Click Calendar or the plus icon to create a new publishing action. Configure the calendar settings by entering a name for the calendar publishing action and selecting which information is to appear in the calendar. 6 Publish Activities Publish Assignments Publish Events In each case, tick the checkbox to publish this item or several items of content to the calendar. Click the magnifying glasses to configure the options for publishing activities, assignments, and events to the calendar. The first magnifying glass lets you assign the information to the calendar fields. The calendar fields are set by the macos Calendar app and cannot be changed. 4 Calendar

7 The second magnifying glass includes various publishing conditions. This allows information to be filtered and published in the calendar as required. You can also modify the above options for any of your calendar publishing actions at any time. In the final step, under the To calendar option select a calendar from the Calendar app or create a new calendar. WARNING! This step cannot be undone: If a calendar that already exists in the Calendar app is selected, publishing will delete the existing calendar entries. Guides for Merlin Project Publishing 5

8 It is best to create a new calendar to publish to. To do so, select the Create new calendar option from the drop-down menu. In the Publishing tab, tick the checkbox next to Publish: When saving. This will update the published content automatically each time you save your project. To update content manually, click the Publish button or use the menu item File Publish Publish. When using the menu item File Publish Publish, every publishing action you use is executed. 6 Calendar

9 Export The Export option lets you publish content from your project using the built-in exporter. Click Export or the plus icon to create a new publishing action. Configure the export options. The following options are available: Name Exporter (must be selected) Account File name Folder First enter a name, then click Select to select an Exporter. Guides for Merlin Project Publishing 7

10 In the Export window, select a publishing format and configure it as required. The Account option is set to Local file by default. This means the export is published locally to your Mac. Select Manage Accounts or create new accounts if you do not want to publish to your local machine. Exporting via a server Create new export publishing accounts under Preferences > Accounts. Click the plus icon and select one of the available account types: Merlin-Sync Server (in conjunction with Merlin Server) FTP 8 Exporting via a server

11 SMTP WebDAV Accounts let you publish content to Merlin Server, FTP servers, WebDAV servers, or SMTP servers. Name the export file and select the folder you want to save the file to. In the drop-down menu, click Choose and select a folder on your Mac. In the Publishing tab, tick the checkbox next to Publish: When saving. This will update the published content automatically each time you save your project. Guides for Merlin Project Publishing 9

12 Merlin Server projects, which have been subscribed to, allow you to schedule publishing. For this purpose, at least one account needs to be set up in Merlin Server. The Accounts are available in the settings under the Publish menu item. To activate scheduled publishing of the export, call up the Publishing tab. 10 Exporting via a server

13 Scheduled publishing is only possible when using Merlin Server. To learn how to do this, please visit Merlin Server Guide»Publishing - Accounts«. To update content manually, click the Publish button or use the menu item File Publish Publish. When using the menu item File > Publish > Publish, all configured publishing actions are executed. 14 Reminders The Reminders option lets you publish content from your project to the macos Reminders app. Click Reminders or the plus icon to create a new publishing action. Configure the Reminders settings by entering a name for the Reminders publishing action and selecting which information is to appear in Reminders. You can choose between two options: Publish Activities Publish Assignments In each case, tick the checkbox to publish this content to Reminders. 12 Reminders

15 Click the magnifying glasses to configure the options for publishing activities and assignments to Reminders. The first magnifying glass lets you assign the information for the calendar fields. Calendar fields are set by the macos Reminders app and cannot be changed. The second magnifying glass includes various publishing options. This allows information to be filtered and published as reminders as required. You can also modify the above options for any of your calendar publishing actions at any time. In the final step, under the To Reminders list option select a Reminders list from the Reminders app or create a new Reminders list. Guides for Merlin Project Publishing 13

16 WARNING! This step cannot be undone: If a reminder that already exists is selected, publishing will delete the existing reminders. As such, it s best to create a new reminders list to publish to. To do this, select the option Create new reminders list from the drop-down menu. In the Publishing tab, tick the checkbox next to Publish: When saving. This will update the published content automatically each time you save your project. Scheduled publishing is only possible when using Merlin Server.
