2 ALL RGMS USERS: A. I have never used RGMS before. Where do I start? If you don t already have an RGMS username and password, consult the RGMS website for instructions on requesting an RGMS account. Once you have an RGMS username and password: 1. Review the policy document for the funding scheme you are applying for. 2. Review the training tutorials on the RGMS website. 3. Login to RGMS at: 4. From the Overview page (circled below), review the latest versions of the RGMS How To and FAQs information sheets available under Site Links on the Overview page. Keep all of these documents handy for future reference. 5. Follow the instructions below to enter your Profile and CV information. B. How do I update my Profile and CV? 1. Login to RGMS at: 2. From the Overview page click Edit My Profile and CV under the Edit Account heading, or click My Profile and CV from the main menu on the left of the screen (circled below). 3. Click your name (either first or last name). 4. Review the information on screen and then click the Profile tab at the top of screen (circled below). Click each page listed in the Profile sub-menu and complete each of the fields on-screen. 5. 3 C. How do I upload a file to auto-populate the Publications section of my CV? Hints and instructions for creating a Publication Upload file are available in the CV section. To access these: 1. From the Overview page click Edit My Profile and CV under the Edit Account heading or click My Profile and CV from the main menu on the left of the screen. 2. Click your name (either first or last name). 3. Click the CV tab at the top of the screen. 4. Click the Publication Uploads link in the sub-menu. 5. Click the NEW button. The hints and instructions for creating the upload file (or using the template) are displayed on screen. D. Where can I find user guides and other reference documents? The Library, also known as the knowledge store, can be accessed by clicking Relevant Documentation under any of the following headings on the Overview page: Applicants, Assessors, Panel Members, Referees, RAOs (only available for RAOs) or by clicking Library from the main menu on the left of the screen, and then the Public folder. There are several folders in the Library containing valuable information and documentation. Once you click Relevant Documentation you will see the following options: 1. All Users Contains high level FAQ and How To information sheets. 2. Application Documentation (click on your scheme e.g. Projects) Contains Advice and Instructions, funding rules and some templates. 3. Assessor Instructions (including external assessor instructions) (click on your scheme e.g. Projects). Contains guides for external assessors. 4. Assigner (Academy Member) Instructions. 5. Broadcast History Contains the history of RAO Alerts. 6. Publication Templates Contains templates for publication uploads. 7. RAO Contains RAO guide to Rebuttals and an example letter of Rebuttal. 8. Referee Templates Contains NHMRC Postgraduate Scholarships Referee Reports for Referees. 9. RGMS Offline Forms Contains RGMS Offline Forms for most schemes, including Application Part A. and Application (per scheme) Part B. 10. Schedules Instructions and Signature Block Contains instructions for Completion and Return of Schedules and Signature Blocks for Schedules. 11. User Documents & Instructions Contains the Assessor flowchart, COI flowchart, FAQ document as well as other useful documentation. Contact: help@nhmrc.gov.au Page 3 of 25

4 E. How do I change my address and other contact details? To update your address: 1. Login to RGMS at: 2. Click Overview in the main menu or click the Home icon from the top right of the screen. 3. Click Change My Account Details link under the Edit Account heading. You can also click on Change My Account Details in the Site Links menu on the right hand side of the Overview page (shown below). 4. Follow the prompts on screen to enter your new details. 5. Click submit. Once the change is approved by NHMRC, your new address will appear in your RGMS Profile. To update your phone number and/or other personal details: 1. Login to RGMS at: 2. Click Overview in the main menu or click the Home icon from the top right of the screen. 3. Click Edit My Profile and CV under the Edit Account heading or click My Profile and CV from the main menu on the left of the screen. 4. Click your name (either first or last name). 5. Click the Profile tab. 6. Click through the pages in the sub-menu (i.e. Pro-PD: Personal Details, Pro-FR: Fields of Research, etc.) and update your information, making sure you click save before leaving each page to avoid losing any changes. From the Overview page click Continue My Current Application under the Applicants heading or click Applications from the main menu on the left of the screen. 2. Click the Filter button to display your active applications 3. Applications on which you are nominated will be listed on screen. The far right hand column denotes the application s current status. B. How do I access an application on which I have been added as a CI? 1. From the Overview page click Continue My Current Application under the Applicants heading or click Applications from the main menu on the left of the screen. 2. Click the Filter button to display your active applications and then click the title of the application you want to continue with. 3. Click the Detail tab at the top of screen. 4. Click the Part A link. 5. Click each page listed in the Part A. sub-menu and review each of the fields on-screen. 6. Click the Part B link 7. 6 CHIEF INVESTIGATOR A (CIA) ONLY: A. I am going to be the CIA on an application. How do I start an application? 1. From the Overview page click Create New Application under the Applicants heading (or click Applications from the main menu on the left of the screen followed by the New button.) 2. Complete the fields on-screen. 3. Click the Save button. This has created the shell of your application and you can now return to the application to complete all other remaining sections. 7 B. How do I access/continue an application that has been started? 1. From the Overview page click Continue My Current Application under the Applicants heading or click Applications from the main menu on the left of the screen. 2. Click the Filter button to display your active applications then click the title of the application you want to continue with. 3. Click the Detail tab at the top of screen. 4. Click the Part A link. 5. Click each page listed in the Part A. sub-menu and complete each field on-screen. 6. Click the Part B link. 7. 8 C. How do I view a summary or print a copy of my application (Snapshot Reports)? The Snapshot Reports function can provide document versions of your application. This can include an application summary document and a full application document. To create Snapshot Reports for your application: 1. From the Overview page click Continue My Current Application under the Applicants heading or click Applications from the main menu on the left of the screen. 2. Click the Filter button to display your active applications. 3. Click the title of the application needed. 4. Click the Properties tab (as circled below). 5. Click the Request latest snapshot link in the sub-menu (as circled below). NB: Only the CIA can make this request. 6. Read and follow the instructions on-screen. 7. After allowing some time for the snapshot report to run, click the Snapshot Reports tab (as circled below). The snapshot reports and any associated attachment/s that have previously been uploaded will be provided in the list. A timestamp of when the snapshot was run is also displayed. 9 D. How do I add a Chief Investigator team member to my application s team? 1. From the Overview page click Continue My Current Application under the Applicants heading or click Applications from the main menu on the left of the screen (as circled below). 2. Click the Filter button to display your active applications 3. Click the title of the application needed. 4. Click the Detail tab (as circled below). 5. Click the Part A link (as circled below). 6. Click the Research Team and Commitment link (as circled below). 7. Click the New button and select Chief Investigator (as circled below) then click the Save button (as circled below). 7. Fill out the details for the Chief Investigator. Click the Save or Submit button. 8. Your research team list will then reflect the new team member (as per screen shot below). 10 E. How do I add a non-chief Investigator to my application s team? 1. From the Overview page click Continue My Current Application under the Applicants heading or click Applications from the main menu on the left of the screen (as circled below). 2. Click the Filter button to display your active applications 3. Click the title of the application needed. 4. Click the Detail tab. (circled below) 5. Click the Part A link. (circled below) 6. Click the Research Team and Commitment link. (circled below) 7. Click the New button (circled below) and select Associate investigator, Professional research person or Technical Support Staff then click the Save button. This will take you to a new page. 8. Click the 'Browse' icon ( ) and choose from a list of existing investigators (they will appear in the list if they have an RGMS account). If the investigator is located successfully, click the radio button next to the investigator, click the Add button, then the Save button. After saving, refresh the page to see the name/ fields populate. There may be a short delay while the contact details are transferred from the account holder's RGMS profile. Please note, you must wait for the fields to populate before proceeding. If you click submit before the fields populate the team member will have Incomplete or TBA as their status. If this happens please cancel the team member s nomination and try again. Please note: If the team member you are adding does not have an RGMS account you may enter their details in the free text fields provided. Contact: help@nhmrc.gov.au Page 10 of 25

11 F. How do I change the Chief Investigator (CI) role assigned to members of my Research Team? (From CIB to CIC, or CID to CIB etc?) 1. From the Overview page click Continue My Current Application under the Applicants heading or click Applications from the main menu on the left of the screen. (circled below) 2. Click the Filter button to display your active applications 3. Click the title of the application needed. 4. Click the Detail tab (circled below). 5. Click the Part A link (circled below). 6. Click the Research Team and Commitment link (circled below). 7. Click the team member you wish to change (circled below). 8. Use the Role drop down list to assign a new role to the team member you selected. Click Save or Submit to confirm the change. Please note: You are only able to select available/unassigned roles from the drop down list so you may need to make multiple changes before your team order is correct. Please note: If the change you wish to make involves the CIA, your request to Help@nhmrc.gov.au only RGMS administrators can make changes involving the CIA. Contact: help@nhmrc.gov.au Page 11 of 25

12 G. How do I remove/cancel a team member nominated on my application? To remove/cancel any type of team member from an application (whether it is a CI, PRP, Technical Support Staff etc.): 1. From the Overview page click Continue My Current Application under the Applicants heading or click Applications from the main menu on the left of the screen. 2. Click the Filter button to display your active applications 3. Click the title of the application needed. 4. Click the Detail tab (as circled below). 5. Click the Part A link (as circled below). 6. Click the Research Team and Commitment link (as circled below). 7. Click the Type link for the nomination you want to cancel (as circled below). 8. Click the Cancel Nomination sub-page link. 9. Change the drop down to Yes and click the Save or Submit button. After a short delay, the role will now be marked as Cancelled in the Research Team and Commitment list and can be deleted by checking the tick box next to their entry and clicking the Delete button. Please note: If the team member cancelled is a CI, this will also trigger a handy system to the CI to notify them that their nomination has been cancelled. H. How do I change the CIA on an application? If the change you wish to make involves the CIA, please your request to Help@nhmrc.gov.au only RGMS administrators can make changes involving the CIA. 13 I. How do I change the Administering Institution that appears on my application? 1. From the Overview page click Continue My Current Application under the Applicants heading or click Applications from the main menu on the left of the screen. 2. Click the Filter button to display your active applications 3. Click the title of the application you wish to change. 4. Click the Properties tab (circled below). 5. Click the Request change of admin institution link (circled below). 6. Follow the instructions on screen to complete the request. 7. RGMS processes the request automatically. Refreshing your browser will display Request Complete in the Request Status line when the process is complete. J. How do I start the certification process for my application? Starting the certification process will lock down the application and prevent further edits. CI Certification can only be commenced by the CIA, and should only be commenced once the application is complete and has been checked by CIs and RAO for accuracy, spelling errors and other proofing. It is recommended that the CIA alert their RAO before certification is started. This is because it is much easier for RAOs to communicate spelling errors and other edits to the CIA before certification has started. If the RAO picks up errors and edits when it is sent to them for RAO certification, they have to reject the application and return it to pre-ci certification to allow the edits to be made. To start the CI certification process: 1. From the Overview page click Continue My Current Application under the Applicants heading or click Applications from the main menu on the left of the screen. 2. Click the Filter button to display your active applications 3. Click the title of the application you wish to start certification. 4. Click the Certification tab. (circled below) 5. Click the CI Certification link in the sub-menu. 6. Select Yes-Request CI Certification from the drop down list. 7. Click the Save or Submit button. Contact: help@nhmrc.gov.au Page 13 of 25

14 K. How do I certify my application? Once the certification process has been started, the CIA must certify the application. Starting the certification process will automatically deliver an to the CIA listed on the application prompting them to login to RGMS and certify their application. To access the application certification screen: 1. The CIA can use the link provided within the or alternatively login to RGMS, click Overview in the main menu and look for the Action Items section under the Site Links heading (as marked below). An item will appear within the Action Items section. 2. Click on the Action Item marked: RGMS Alert: CI Certification Request. The certification screen will appear. 3. Read the instructions on screen. Select Certify from the drop down list. 4. Click the Save or Submit button. You have now certified the application. Please note: If certification of this application is rejected or cancelled by the RAO at any time, you will need to re-certify the application before it can be submitted. If re-certification is required, you will receive notification via . L. How do I cancel or reject certification of my application? Follow the certification process described above. At Step 3, within the Action Items section instead of selecting Certify from the drop down list, select Reject instead. Contact: help@nhmrc.gov.au Page 14 of 25

15 M. How do I delete an extra, unwanted or duplicated application? 1. From the Overview page click Continue My Current Application under the Applicants heading or click Applications from the main menu on the left of the screen. 2. Click the Filter button to display your active applications 3. Click the application you would like to delete. 4. Click the Detail tab (as circled below). 5. Under the General heading change the Mark for deletion drop down box to Yes (as circled below). 6. Click the Save button. Please note: Selecting 'Yes' and clicking the Save button will authorise NHMRC to delete this application. N. How do I find my Rebuttals Letter (Assessors Comments)? 1. From the Overview page click Results and Rebuttals under the Applicants heading or click Results and Rebuttals from the main menu on the left of the screen. 2. Select the relevant Initiative and Round then click the Filter button. 3. Click on the properties icon ( ) next to your application. 4. Click the icon ( ) in the Letter of Results column (circled below) to open your letter of result. Contact: help@nhmrc.gov.au Page 15 of 25

16 RESEARCH ADMINISTRATION OFFICER ONLY (RAO): A. How can I find information about applications that have been submitted by researchers at my institution? Use the RAO dashboards (provided for RAO accounts only). The RAO dashboards can be accessed from the Overview page by clicking View My RAO Dashboard under the RAOs heading (only available for RAOs) or clicking RAO Dashboard from the main menu on the left of the screen (circled below). The RAO Application Progress tab (circled below) displays: a) How many applications are currently active for your institution. b) Links to view the content of each application. c) An indicator showing what stage each application is at. d) Highlights to show which applications require attention. The RAO Application Summary tab (circled below) displays: a) Statistical information on applications for your institution. b) Option to drill down for further details. c) Links to view the content of each application. d) Budget Summary. e) CIA and contact information. f) Whether RAO edit access has been granted for each application. 17 B. How do I view a summary or print a copy of an application? (Snapshot Reports) The Snapshot Reports function can provide document versions of your application. This can include an application summary document and a full application document. To create Snapshot Reports for your application: 1. From the Overview page click Continue My Current Application under the Applicants heading or click Applications from the main menu on the left of the screen. 2. Click the Filter button to display your active applications 3. Click the title of the application needed. 4. Click the Properties tab (as circled below). 5. Click the Request latest snapshot link in the sub-menu (as circled below). 6. Read and follow the instructions on-screen. 7. After allowing some time for the snapshot report to run, click the Snapshot Reports tab (as circled below). The application, assessor & summary documents, and any associated attachment/s that have previously been uploaded, will be provided in the list along with a timestamp of when the snapshot was run. Please note: The RAO can only request Snapshot Reports if the applicant has granted the RAO edit access to the application. Contact: help@nhmrc.gov.au Page 17 of 25

18 C. How do I endorse an application? (RAO Endorsement) Once the CIA has started the certification process and has certified the application, it will be available for RAOs to both endorse and certify. RAOs can use the RAO Dashboard section to track this progress and also access the applications awaiting endorsement and certification. To endorse an application: 1. From the Overview page click View My RAO Dashboard under the RAOs heading (only available for RAOs) or click RAO Dashboard from the main menu on the left of the screen. 2. Click the Application Progress tab. 3. Click the title of the application you wish to endorse. 4. Click the Certification tab (as circled below). 5. Click the RAO Endorsement link in the sub-menu (as circled below). 6. Click the NEW button (as circled below). 7. Follow the instructions on screen to complete a new endorsement record. Please note: Once you have completed the endorsement record, you must continue on to certify the application before it is considered submitted (see below for the RAO Certification process). D. How do I reject endorsement of an application? (RAO Rejection) Follow the steps 1-6 at Part C. above. Then: 1. After clicking the NEW button to create a new endorsement record, select No -Minor change(s) are required or No-Major change(s) are required. Please note: Rejecting the application for a minor or major change will require the CIA to recertify the application after revising the necessary change(s). Contact: help@nhmrc.gov.au Page 18 of 25

19 E. How do I certify an application? (RAO Certification) Once RAO Endorsement is complete, the application can be certified by the RAO. 1. From the Overview page click View My RAO Dashboard under the RAOs heading (only available for RAOs) or click RAO Dashboard from the main menu on the left of the screen. 2. Click the Progress tab. 3. Click the title of the application you wish to certify. 4. Click the Certification tab (as circled below). 5. Click the RAO Endorsement link in the sub-menu (as circled below). 6. Click the latest endorsement record made by the RAO (as circled below). 7. Click the Certification link (as circled below). Follow the instructions provided on-screen to complete the RAO certification. Once this RAO certification is completed, the application will be marked as Submitted to NHMRC in the RAO dashboard. 20 F. How do I view and update institutional information? To view and update institutional information (RAOs only): 1. From the Overview page click Institution Information under the RAOs heading (only available for RAOs) or click Institutions from the main menu on the left of the screen. 2. Use the fields in the filter to locate your institution. Click the institution title. 3. To update institutional information, click Location Details and enter your institution s address and electorate details. 4. Click the Save or Submit button. There are several pages of information available to you in the Institution Properties section: General: Contains information regarding the Institution and type (e.g. if the institution is an administering institution). Location Details: Contains courier details and location information. Deeds of Agreement: Contains information of the different Deeds types, Researcher Support, Researcher Funding, IRIIS and Funding Agreement. Financial Report Upload: Click the New button. 21 GENERAL CERTIFICATION INFORMATION: A. Overview of the certification process START Application in progress CIA starts certification CIA certifies application RAO endorsement RAO certification Submitted to NHMRC FINISH If RAO rejects CIA must recertify Application can NOT be edited at the stages listed directly above unless certification is rejected by the CIA or RAO B. Commonly asked questions about the certification and endorsement process I m the CIA on my project. Do I have to certify the application after starting the certification process? Yes, the CIA must certify the application after starting the certification process. There are two steps to completing the CI certification: 1. Request Certification (see above in the CIA only section) 2. Certify the request (see above in the CIA only section) Can the CIA edit the application after the certification process has been started? No, the application certification must be rejected by the CIA (or RAO if it has progressed to RAO endorsement/certification) in order to unlock the application for editing. Can my RAO edit my application and submit it to the NHMRC after the CIA has certified it? No, if edits are required after the RAO is prompted to endorse/certify the application, it will need to be rejected by the RAO in order to unlock it and allow further edits by the CIA. If the RAO rejects for a minor or major change, then the CIA needs to re-certify the application using the CI certification process. At what point does the application actually get submitted to the NHMRC? After RAO certification, the application is marked as Submitted to NHMRC (this follows CIA certification and RAO endorsement). I ve certified my application but now need to change it. What should I do? Either the CIA listed on the application (or the RAO if it has progressed to RAO endorsement/certification) will need to reject certification of the application to unlock it and allow further edits. 22 GRANTEES A. How do I create a new variation request? 1. From the Overview page click Create New Variation Request under the Grantees heading. 2. Complete the Grant ID, Variation description and Variation type fields and click the Save button. 3. This home page contains basic summary information, general properties and other information relating to this variation request. 4. Proceed by completing all relevant fields on each of the sub-pages located on the left of screen (under Home) in sequence. Once you have completed all relevant sections you will need to certify your request to ensure that it proceeds through the approval process. B. How do I view my grant information? 1. From the Overview page click Grantee Administration under the Grantees heading or click Grantee Variation from the main menu on the left of the screen. 2. Expand the filter (top right) and select the relevant Initiative, Round, Grant ID etc. and click the Filter button. 3. Click on the properties icon ( ) of your Grant. 4. The types of information you will find here are: Properties Grant Summary Information Financial Information Conditions and Milestones Variations Summary Reporting Summary. C. How do I create a scientific (progress) report? 1. From the Overview page click Create Scientific Reports under the Grantees heading or click Scientific Reports from the main menu on the left of the screen. 2. Click the New button and select the RGMS ID, Report Type and Reporting Period (you MUST select a Grant ID first in order to select a Report Type and Year). 3. Click the Save button. 3. Click on each of the sub-menu pages and fill out the relevant fields. 4. There are also tabs with information regarding Grant Summary information, Certification Status etc. 5. 23 ASSESSORS ONLY: A. How do I access/download all of the application documents that I have been asked to assess? 1. Login to RGMS at: 2. Click the Download documents link in the left hand menu under Custom Objects (circled below). 3. Click the NEW button (note: leave all other fields blank) (circled below). 4. Select the round (e.g. 2012_Project Grants_funding_commencing_2013). 5. Select the document type you wish to extract and click the Save button (circled below). 6. Review the information and instructions on-screen. 7. Select the document type you specified above from the left hand sub-menu. 8. Select the name of the Assessor (yourself) who will be downloading the documents. 9. For assessor application summaries and post-coi documentation, in the Applications For dropdown list specify whether you wish to export your panel member assignments or external assessment documentation. If you have previously downloaded post-coi documents, you will also have the choice to download only those applications that had a conflict of interest created since the last download. 10. Choose a password (case sensitive with a maximum of 20 characters) and enter it in the password field. This password will be needed later to open the zip file. 11. Select YES from the Generate Zip File dropdown list. 12. Click the Save button. Contact: help@nhmrc.gov.au Page 23 of 25

24 13. After a short wait, refresh the page (using the F5 key or CTRL+R ) and the URL field will be populated with a link allowing you to download the zip file. 14. Click on the URL link to download the zip file to your computer. For Windows users, click Save when prompted to Open or Save the file. For Mac users, the file should automatically download to a default location (typically /Users/<user ID>/downloads). If an error message appears stating that the target item is not available, close the error message and wait five minutes before reselecting the URL. Files are available for download for 48 hours after creation. To download the files after that time, you will need to repeat the steps above. 15. Navigate to the downloaded zip file and double click to open. When opening the file, you may be asked to specify a save location and will be prompted to enter the password you defined at Step 10. For Mac users, this password protected file is not compatible with Apple s default Archive Utility program. You will accordingly need to use an alternative utility such as Stuff IT Expander (freeware available on the web) or similar. To do this, highlight the zip file, select Open With from the File menu in the Finder and choose an alternative utility to unzip the file. 16. The extracted files should now be available for viewing. These should include all application documents that you specified at steps 5, 7 and 9 above plus a document called AAA_[Assessor Name], which itemises the applications contained in the zip file and indicates the currently assigned assessment type for each one. 25 B. I ve been asked to complete my conflict of interest (COI) within RGMS. How do I do this? 1. From the Overview page click Complete my Conflict of Interest under the Assessors or Panel Members headings or select Conflict of Interest from the main menu on the left of the screen. 2. Select the appropriate round from the Round Browse icon ( ) by (i) clicking on the binoculars symbol: (ii) clicking the circle next to the relevant round: and (iii) clicking the Add button. 3. Select your name from the Assessor Browse icon ( ) by (i) clicking on the binoculars symbol: (ii) clicking the circle next to your name: and (iii) clicking the Add button. 4. Click the Filter button. 5. Select Edit Mode from the [--Actions--] drop down list in the top right hand corner. 6. Click on the Paper Clip symbol ( ) if you wish to view the Application Summary Snapshot. 7. Under the Are you in Conflict? heading, make a selection from the Browse icon ( ). If you have no conflicts, leave the default value unchanged. 8. Under the Declaration Complete?' heading, select Yes if you have completed your declaration. If you have not completed your declaration leave as No. 9. Click the Save button. 10. From the [--Actions--] drop down list select Display Mode. Please note: By selecting Yes and then Save, you are indicating to the NHMRC that you have completed your declaration for the particular application, and that the information provided is true and correct.
