1 xplan 3.8 for ipad Project management with Gantt charts Documentation ENGLISH VERSION

2 REQUIREMENTS xplan requires ios 8 and any ipad or ipad mini compatible with it. It s available in English, French, German, Italian, Spanish, Japanese and Chinese. TUTORIL 1. Launch the application 2. You will arrive to the main screen of the app 3. Touch the + icon. This window will open: 4. Enter a name for your project. Choose a date for the start and a date for the end. 5. Touch the create button. 6. Touch the gear icon of the toolbar and select Settings : this small icon on the left allow you to hide the bar. You will see it often in the application.

3 7. This is your project settings. C E D F. You can edit the file name of your project. You can change the date for the start and the date for the end C. Enter the default currency and a budget (optional) D. Select working days E. Select the week format. US or European format. NOTE : this is how the week numbers are displayed on the calendar. ased on the choice, week 1 is not the same. F. Select when the week begins.

Touch the arrow to return to the main screen NOTE : when you open a project from icloud or Dropbox, the location of the file is added to the file name. F. Search field G. 5 D C. Handle Move the handle to the right to expand the view or use the icon. List of items The tasks, processes and milestones are displayed in a spreadsheet view. C. Calendar view The Gantt chart is displayed in this zone. ll items can be moved or modified with the finger. D. You can now switch view by doing a double touch on a timeframe.

6 elow, you can see an example of tasks, milestones and processes (group of tasks) displayed on the Gantt view. D F E C From the list of tasks, you can move the task () to a process () by a simple drag and drop. You can see the hierarchy of items (C) and close an arrow to build a simpler view of a process. You can change the order of the display with these buttons (D). Try to move a process (E) with your finger to the right or the left. You will see that tasks that are inside a process will automatically follow! Magical and very powerful. When you select a task or a process on the calendar view, you can resize the duration with your finger. Tip : Processes (group of tasks) can also be used to handle multiple projects inside the same document. Each process can be a project. This way, you can keep an eye on multiple projects on the same document.

7 To play with an example made with xplan, return to the home screen (arrow icon) and touch the xplan logo at the top and left. It will open an example. 10. Creating dependancies (smart links) between tasks. Select the first task. You will see options. Select Link. Select the second task. C. That s all, your link is created! Now, when you move the first task, the linked tasks will automatically follow. For each link, you can setup the type, the color and style. Touch a link and choose Edit to change settings or use the Delete option.

8 11. Events The events () are always displayed on the first line. Events are useful to register meetings or appointments related to a project at a certain date. For each event, you can setup a duration or an ending date, select a color. You can even add notes.

9 12. Tasks G C E D For each task, you can define a name, a color (), a begin date, a duration or a date for the end (). You can setup a cost (C) that is fixed for this particular task or computed by used hours or used resources. You can setup a completion level (D) that will be displayed on the calendar. The completion level will also update the main dashboard on the top and right. t the right of the inspector (E), you can assign resources to a task or write notes related to it. NOTE : Documents added from the Mac version are not accessible on the ipad version of xplan. To close the Inspector, touch the arrow icon (G).

10 13. Resources For each project, you can assign resources to tasks. Go to the list of resources. Click the + button in the top bar to add resources. Click on the edit button () in the list to edit a resource of your project. You can move them inside groups (). resource can be human or material. You can also setup a default cost for each resource based on working hours, working days or fixed (C). To import a resource from pple Contacts application, use the Import button (D). C D

11 14. Calendar and Resources view The innovating calendar view with resources is very useful to see assigned tasks. You cannot see dependancies on this view. 15. Report view To access the report view, touch the gear icon and select Report.

13 17. Sync projects with the Mac version of xplan or another ios device. With version 3.7, it s more easy and reliable to sync documents between your devices.. Using icloud Drive sync service icloud Drive sync requires any mobile device with ios 8 or a Mac with at least OS X Yosemite. We removed the support of the old icloud version because it s not technically possible to support both versions for an app. If you use older versions of OS X, you can use Dropbox service (see case ) On the ipad, you can move a document to icloud Drive from the home screen. Choose move to option (G point on the previous topic). On the Mac, icloud Drive is accessible directly in the Finder. Read the FQs section of our support website for more details and a tutorial. NOTE : you also need to enable icloud Drive in ios preferences

14 . Using Dropbox sync service We added the sync service of Dropbox to the Mac and ios versions. On the ipad, you can move a document to Dropbox from the home screen. Choose move to option (G point on the previous topic). On the Mac, the dropbox option is available from the File menu. To use this service, you just need to create a free account at dropbox.com When you save a file to dropbox, it s automatically sent to.zip format. It s because dropbox do not support some OS X file format. When you open a file from dropbox, it s automatically unzipped by xplan. Important : on your Mac, do not use drag and drop to your Dropbox folder. lways use the menu Open from Dropbox and Save option from xplan. Tip : Dropbox is the best solution to sync a document between multiple users. You can create one dropbox account for all users of a team.

15 11. Microsoft Project documents xplan is compatible with most Microsoft Project documents. You can export to this format (XML only) and import any document (XML only). We do not support other format that requires a license. Only XML is open to developers. ecause xplan is more simple than MS project, all features are not imported / exported.
