3 STANDARD CHANGE TEMPLATE LIBRARY MAPP This mapp can be installed with virtually no impact on any Cherwell Service Management system. It was designed to complement the Change Request Business Object Standard Change offering with a library of typical requests seen throughout the IT world. Furthermore, the library table can easily be expanded to meet the needs of any IT organization. ENHANCEMENTS / MODIFICATIONS The library and the associated Standard Change Toolbar Button provide several benefits for users, including: Allow users to quickly enter a Preauthorized Standard Change Pre-approved fields are automatically populated minimizing data entry and providing consistent categorization of Standard Changes Expedites the delivery of Standard Changes to the implementation team Provides a best practice categorization structure for the library of Changes Provides a pre-built foundation where customers can expand their own library Creates a Journal Entry for each change automatically to ensure audit and compliance data is maintained The Standard Change Request has been enhanced to improve the quality of information captured and to streamline the entry of Pre-authorized Standard change tickets. 4 STANDARD CHANGE LIBRARY USER INSTRUCTIONS Users can take advantage of the Standard Change Library when creating a new Change Request. New Change Request opens a Normal type and prefills Requestor with User s name if listed in customer table. Page 4 of 11

5 User may choose the Apply Standard Change Template button located in the Toolbar at the top left as well as in the Task Pane, Change Request Actions section. The system presents a list of Active choices. Most of the required information is prepolated by the selected Pre-authorized Standard Change selection. Page 5 of 11

6 The user completes the remaining required fields and Saves the new Change Request STANDARD CHANGE LIBRARY MAINTENANCE Cherwell Service Management Administrators may expand and adjust the list of Standard Change Templates as needed. The Change Standard Change Library table is managed like any other Supporting Table in the system via the Tools/Table Management option. Editing existing records: Select one of the records listed to see the detail form. Page 6 of 11

7 Edit the values as needed and save the record. Adding new records can be done by choosing New while displaying either a detail form or the grid. A blank form is presented for data entry that is to be prepopulated into the Pre-authorized Standard Change. Note: Active must be checked to allow Change Users to see and select it. Page 7 of 11

8 INSTALLATION STEPS FOR THIS MAPP Copy the mapp installation file to a directory accessible to the Cherwell Service Management system. It is recommended that it be located on the CSM application server. The mapp filename is: PreAuthCR.mApp Note: The CSM Application does not require a restart. However, existing client session will not fully recognize this change until they log out and back in. Web connections may take a few more minutes before they can recognize the changes. Note: Installation of all mapps must be performed by an Administrator using the administrator client. It is recommended the installation be performed using a direct connection to the Cherwell database. 1. Locate the mapps option and choose Apply a mapp. 2. Navigate to and select the mapp application. PreAuthCR.mApp 3. Read and accept the terms then choose Next to proceed. 4. Choose the third option Don t ask me unless absolutely necessary and Next to continue. Page 8 of 11

9 5. Review the Summary then choose Next to continue. Page 9 of 11

10 6. Choose the second option Attempt to publish the changes directly and choose Finish. 7. Choose Publish to proceed with creating a Blueprint of all the application components. 8. Select a folder and enter a name for the Blueprint. (A rollback blueprint will be created too) Page 10 of 11

11 The system then Scans and Publishes the new mapp Blueprint and finally presents this message. OBJECTS INCLUDED IN THE UNLOAD SET mapp file PreAuthCR.mApp The mapp file contains all the objects needed to add the Standard Change Library to CSM. Page 11 of 11
