5 1 Introduction Program Summary Chapter 1 provides a program summary, document conventions, technical support, and a feedback mechanism for SYSCO On Line Advanced Reporting (SOLAR) System Network Administration. SOLAR assists operating company management by providing real time information and flexible access to sales data. It is a customized reporting tool designed for the SYSCO Uniform System (SUS) and offers a variety of options, such as Daily Sales Totals and Weekly Comparisons. Audience This guide is intended for use by network administrators responsible for supporting the SOLAR system at operating companies. It provides instructions for setting up user access and security permissions for SOLAR users. Document Conventions Typographic Cues Document conventions include visual cues, such as a symbol, text, or font differences, and flag paragraphs, such as note, important, and warning paragraphs, that help you quickly understand the system and its procedures. Typographic cues provide a visual alert, such as font color, size, symbols, and terms, that help you understand the content and use this manual effectively. 7 2 Getting Started Reports Overview SOLAR Software Chapter 2 contains an overview on various reports, a discussion of sales data downloads, and a discussion of organization levels and how they relate to Sales Order data access and data security levels. Several reporting packages are available at your operating company, and it may be confusing to know which one to use. The following sections include a brief description of the main reporting systems. SOLAR software is a customized reporting tool designed exclusively for the SUS application and offers a variety of options, such as Daily Sales Totals and Weekly Comparisons. Access these reports through menu paths and drill down to further research sales detail. You can view information from the company level down to an item on a customer s invoice. SOLAR uses information downloaded from SUS to the Enterprise Data Warehouse (EDW) each morning and each weekend to compile report data. In SOLAR reports, the daily sales amounts should match the Flash Sales Report (OPMF69RB), while the weekly sales amounts should match the MSCS13PR Report from SUS. Be sure that you are aware of the SOLAR weekly maintenance window before allowing access to the system. Contact GSD at extension 1190 for assistance. Business Objects Software AS/400 Reports Business Objects is a software package that offers the ability to create customized reports that retrieve information directly from the AS/400. Many corporate defined and operating company defined reports have been created and are available through the software. The theory behind Business Objects is very similar to Crystal Reports software. SUS ad hoc (also known as on demand) and Robot reports created by programmers are available to run queries and pull information directly from the AS/400 using menu and scheduling options in SUS. 8 Data Security Levels Getting Started Ad Hoc Reports Robot Reports Data Security Levels Use SUS ad hoc reports to generate custom reports on your computer. Create these reports by selecting files and fields from the AS/400 server and screens to display data in any manner needed. Several ad hoc reports are available by selecting menu options in SUS. Robot reports are AS/400 versions of View Direct (a system for viewing reports online without printing them) on line reports. You can generate Robot reports when the AS/400 Robot scheduling job runs. Associates use SOLAR reports to view sales data based on the permissions allowed by their individual data security level. These levels include Corporate, Corporate Regional, Company, Department, Region, District, and Territory. Corporate and corporate regional users see a cumulative report for all the operating companies combined or all the operating companies in their assigned region, respectively. SOLAR limits access using permission groups attached to network IDs in Active Directory (AD). The data security levels for Department, Region, District, and Territory have additional restrictions set in the Level Maintenance screen in the SUS system. SOLAR displays sales data from your operating company s Sales organization. The Sales and corporate organizations together have seven levels, sequenced in the order shown in Table 3. 9 Getting Started Data Security Levels SUS Sales Organization 000 Solar opco secondary: Allows access to restricted operating company information Note: Department, Region, District, and Territory levels (4 7) are normally included in the 000 Solar opco secondary group in AD. Users in the 000 Solar opco secondary group have restricted access to SOLAR information based on their level in the SUS Sales organization structure. If a level 4 7 user requires company wide access to SOLAR for their operating company, the network administrator can assign them to the 000 Solar opco group without making any changes in the Sales organization structure. Network administrators assign each operating company SOLAR user for Department, Region, District, and Territory (levels 4 7) to a level in the operating company s Sales organization chart in SUS. The user s position in the chart determines the organizational levels they can access. The network administrator controls these permissions using the chart. The user logs in to the system with their normal operating company network ID and password after the network administrator assigns them a level in AD and adds them to a level in the sales organization chart. Each level is made of entities. An entity is a person, a group of people, or a job responsibility. Every entity in an organization has a system identification code or Entity ID. Sales management assigns item and customer responsibilities to entities at the lowest level of the organization: the territory or Marketing Associate or MA level. For example, regional managers are limited to viewing details for their regions only. Because they have access to a region, they can also drill down to view data for every district in that region, every territory in each of their districts, and each customer in each of their territories. Regional managers cannot, however, drill up to view details for another region, another department, or the entire company. Only corporate or corporate regional level users can access information for the whole region or all operating companies. Customers are attached to MAs at the Territory level. A customer can only be attached to one territory. A territory can only be attached to one district. A district can only be attached to one region, and so on. SOLAR automatically displays the highest organizational level to which a user has access. Users can then use the drill down feature to view sales figures for the entities in the current level. Organizational levels and entities vary between operating companies. Figure 1 displays an example of a Sales organization chart at an operating company. For corporate level users, SOLAR displays the information at the regional or corporate wide level. SOLAR Network Administrator Guide 5

10 Corporate and Corporate Regional Users Getting Started Figure 1 Example Sales Organization Chart Note: Every morning, the details for the data security levels and entities on SOLAR reports download from the SUS Sales organizational structure to the EDW. Maintain levels and entities using the Level Maintenance (Quick Access LM) and Entity Maintenance (Quick Access EM) screens in SUS. Corporate and Corporate Regional Users Corporate and corporate regional users see a restricted number of reports when they log in to SOLAR. These users can only see the first three reports: Daily Sales Totals, Week to Date Sales, and Weekly Comparisons. Also note that corporate users see the cumulative information for all operating companies, giving them a company wide perspective. On each report, corporate users can drill down to the regional level and then to an individual operating company level. Corporate regional users first see the cumulative information for their assigned regions, then they can drill down to the individual operating company level. The reports and layouts are otherwise the same for all users. 6 March 2009

11 3 Operating Company SOLAR Administrators Active Directory Groups To use SOLAR, the network administrator must assign each associate at an operating company to a level in the company s Sales organization structure and add them to the appropriate group in AD. The associates use their normal network ID and password to access the SOLAR system. For example, an MA s permission level may restrict them to only viewing information for their territory and customer accounts, while a district sales manager s permission level may allow them to view sales totals for their entire district, the regions within the district, associated territories, down to an item on one of their customer s invoices. Operating company network administrators are responsible for assigning each SOLAR user to the appropriate group in AD, and making sure the Sales organization structure is current. If any level, associate, or entity data is changed in SUS, the network administrator may need to update the group settings in the AD to reflect the changes. For example, if an associate is promoted from district manager to corporate regional manager, the network administrator should change his group assignment in AD to give him access to the regional sales data as well as each district within it. This section describes the screens used when setting up or modifying SOLAR user groups and also features step by step procedures. AD uses a number of SOLAR specific groups to set up user permission levels. For operating companies, there are only two permission levels in AD: 000 Solar opco: Allows access to all operating company information, no restrictions 000 Solar opco secondary: Allows access to restricted operating company information The first group should only include level 3 or company level associates, per the Data Security Level table (Table 3on page 4). All security levels beneath level 3 of the table are rolled into the second group, as they all have various restrictions applying to their SOLAR views. Those levels (4 7) include Department, Region, District, and Territory (MA). SOLAR Network Administrator Guide 7

Users in the 000 Solar opco secondary group have restricted access to SOLAR information based on their level in the SUS Sales organization structure. If a level 4 7 user requires company wide access to the SOLAR for their operating company, the network administrator can assign them to the 000 Solar opco group without making any changes in the Sales organization structure. Network administrators must assign themselves to the 000 Solar opco network admin group to add users to the SOLAR groups in AD (see Requesting Network Administrator Group Privileges). Requesting Network Administrator Group Privileges You must be assigned to the 000 Solar opco network admin group to add new users to the AD groups. To request membership in the 000 Solar opco network admin group: 1. Click the Internet Explorer (IE) icon ( ) located on your desktop. The Microsoft Internet Explorer window displays. 2. In the IE Address field, type the following address: AllItems.aspx 3. In the displayed form list, select SOLAR Access Request Form. The SOLAR Access Request Form screen (Figure 2) displays. New button Figure 2 SOLAR Access Request Form screen 4. Click New in the middle menu. The SOLAR Access Request form opens in Microsoft Office InfoPath 5. Select OpCo Request at the top of the form to open the operating companyspecific form. The full form (Figure 3) displays with operating company specific options. 8 March 2009

In the Associate Information section, type your information. 7. In the Requestor Information section, type your information again. 8. In the Manager Information section, type your manager s information. 9. In the SOLAR Access section, select OpCo Network Administrator. 10. At the bottom of the form, click Requestor Submit to Manager to send it for approval. The direct supervisor for the associate must approve the request and send it to the corporate network administrator. On manager approval, corporate network administrators add you to the 000 Solar opco network admin group. Setting Up Operating Company Users Without Restrictions SOLAR security requires network administrators to define permissions controlling the sales information users can view by assigning them to an AD group. These users do not have to be in the Sales organization structure and can view all the SOLAR information for the entire operating company. To set up operating company users without restrictions (level 3 or selected individuals): 1. You must be assigned to the 000 Solar opco network admin group to add new users to the AD groups. Use the SOLAR Access Request form to request group membership from the corporate network administrators (see Requesting Network Administrator Group Privileges). 2. Log in to AD. The Active Directory Users and Computers application displays. 3. Right click on na.sysco.net and select Find from the pop up menu. The Find dialog displays. SOLAR Network Administrator Guide 9

The list at the bottom of the Find dialog displays 000 Solar opco. 5. In the Find dialog, double click on the 000 Solar opco item. The 000 Solar opco relative group object displays. 6. Select the Members tab. 7. Click Add. The Select Users dialog displays. 8. In the Select Users dialog, type the user s network ID. 9. Click OK to close the Select Users dialog. 10. Click OK accept the addition to the 000 Solar opco group. 11. Notify the new user; be sure to include a link to the SOLAR website ( solar.sysco.com) and instructions to how to use their network ID to access the system. Setting Up Operating Company Users With Restrictions SOLAR security requires network administrators to define permissions controlling the sales information users can view by assigning them positions in the Sales organization structure and assigning them to a group in AD. These users can only view a subset of the SOLAR information for their operating company, depending on their level in the Sales organization structure. Updating the Sales Organization Structure to Add a New User To add operating company users with restrictions (levels 4 7) to your operating company s sales structure: 1. Log in to your operating company s SUS box. 2. From the SUS main menu, select Marketing and Sales > Organizations > Entity Maintenance, or enter QA code EM. In the Organization ID field, type the organization name. SALES is usually the organization name. 10 March 2009

In the Entity ID field, type the entity name (if known) of the organizational level you want to view to maintain. The Entity ID field is not required. Entering an entity name limits the display. Press F4 (Prompt) for a list of valid entity entries. 5. Press Enter. The Entity Maintenance screen (Figure 5) displays. Figure 5 Entity Maintenance screen 6. In the Opt field of the parent entity, type 5 (Work with Children). Because organizations sequence in a specific order, enter the Work With Children option multiple times to advance through each level until the desired child entity displays. 7. Press Enter. The Entity Maintenance screen displays the child entities of the selected parent. The Child Level field located at the top of the screen includes the level displayed. 8. Edit existing data within the desired organizational level. 9. After you locate the proper entity ID assigned to the parent ID, change the associate ID. The associate ID must correspond to the current user network ID. If the associate ID does not match the userʹs current network ID, the user cannot access the data in the new SOLAR application. Important: SUS validates any changes to this field against the associate master file. 10. Place your cursor on the associate ID field and press F4 (Prompt) to locate and select a specific associate to populate this field from a list. 11. Press F7 (Update) to update and store the changes. 12. In the Opt field next to the associate ID, type 4 to delete an entity and associate ID. You may need to enter additional data to meet specific requirements before deletion. 13. To add to an organizational level, enter a new associate ID in one of the blank areas under the appropriate parent entity (Figure 6). SOLAR Network Administrator Guide 11

You must wait for the structure to update in the EDW to begin the next part of the process. To update AD and finish adding a restricted user to the SOLAR group: 1. You must be assigned to the 000 Solar opco network admin group to add new users to the AD groups. Use the SOLAR Access Request form to request group membership from the corporate network administrators (see Requesting Network Administrator Group Privileges). 2. Log in to AD. The Active Directory Users and Computers application displays. 3. Right click na.sysco.net and select Find from the pop up menu. The Find dialog displays. 4. In the Find field, type 000 Solar opco secondary, and click Find now. The list at the bottom of the Find dialog displays 000 Solar opco secondary. 5. In the Find dialog, double click 000 Solar opco secondary. The 000 Solar opco secondary relative group object displays. 6. Select the Members tab. 7. Click Add. The Select Users dialog displays. 8. In the Select Users dialog, type the user s network ID. 9. Click OK to close the Select Users dialog. 10. Click OK accept the addition to the 000 Solar opco secondary group. 11. Notify the new user; be sure to include a link to the SOLAR website and instructions on how to use their network ID to access the system. When an associate leaves the operating company, remove them from the Sales organization structure in SUS. No further action is required, as their AD information is deleted when the corporate network administrators remove their network ID. 12 March 2009

17 Operating Company SOLAR Administrators Requesting Permission to View Another Operating Company s SOLAR Data Requesting Permission to View Another Operating Company s SOLAR Data If an operating company associate with unrestricted SOLAR access needs to view another operating company s SOLAR system (regional mangers, for instance), they must fill out the SOLAR Access Request form at: AllItems.aspx Note: The associate must fill out the form themselves. A senior vice president (VP) at the operating company must approve the request before the corporate network administrators can implement the additional view. After the corporate network administrators add the new permission, the associate sees a new link at the bottom of the Sales Analysis list (new screen shot to be inserted). To request an additional operating company SOLAR view: 1. Click the Internet Explorer (IE) icon ( ) located on your desktop. The Microsoft Internet Explorer window displays. 2. In the IE Address field, type the following address: AllItems.aspx 3. In the displayed form list, select SOLAR Access Request Form. The SOLAR Access Request Form screen (Figure 7) displays. New button Figure 7 SOLAR Access Request Form screen 4. Click New in the middle menu. The SOLAR Access Request form opens in Microsoft Office InfoPath 5. Select OpCo Request at the top of the form to open the operating companyspecific form. The full form (Figure 8) displays with operating company specific options. SOLAR Network Administrator Guide 13

In the Associate Information section, type your information or the information for the final user. 7. In the Requestor Information section, type your information. 8. In the Manager Information section, type the associate s manager information. 9. In the SOLAR Access section, select Access to another OpCo s SOLAR data Requires Sr. VP approval. An additional section displays for the senior VP information. 10. From the Sr. VP drop down list, select the senior VP for the associate s operating company. 11. In the Sr. VP field, type the address for the selected senior VP. 12. At the bottom of the form, click Requestor Submit to Manager to send it for approval. The senior VP for the associate must approve the request and send it to the corporate network administrator. Modifying Default Columns for Tax-Based GP$ and GP% By default, the SOLAR view for MAs hides the tax based GP$ and GP% columns in the reports, while the default SOLAR view for district level users displays these columns. To change the defaults, use the SOLAR Exception Security Admin Tool. To modify the default settings for tax based GP$ and GP% columns: 1. Click the Internet Explorer (IE) icon ( ) located on your desktop. The Microsoft Internet Explorer window displays. 14 March 2009

In the User Name and Password fields, type your network ID and password to access the program. The SOLAR Exception Security Admin Tool main menu screen (Figure 10) displays. If you do not have administrator permissions, use the SOLAR Access Request form to request added permissions (see Requesting Network Administrator Group Privileges on page 8). From the Company type drop down list, select the company type (Broadline, Freshpoint, or Sygma). 6. Select By User ID to set tax based GP access options for a specific District or Territory user. 7. In the User ID section, type the user s network ID. 8. Click Submit to display a table with the user s GP access information (Figure 12) at the bottom of the screen. The table includes columns for the user ID, company number, operating company abbreviation, GP access, and Sales organization level. The current option for the user is grayed out. Next to User Id, click Approve to allow the specified user to view the tax based GP information in SOLAR, or click Deny to hide the tax based GP information in SOLAR. The screen changes to display a confirmation question at the top of the Users TB GP Access section (Figure 13). 16 March 2009

Click Yes to approve the change. The screen displays a confirmation message (Figure 14) if the change was accepted. 23 4 Corporate SOLAR Administrators Active Directory Groups To use SOLAR, the network administrator must add corporate associates to the appropriate group in AD. The associates use their normal network ID and password to access the SOLAR system. Corporate network administrators are responsible for assigning corporate SOLAR users to the appropriate groups in AD, and adding options for operating company users to view additional SOLAR systems. They also add operating company network administrators to the appropriate AD group. Chapter 4 describes the screens used when setting up or modifying SOLAR user groups and also features step by step procedures. AD uses a number of SOLAR specific groups to set up user permission levels. For corporate associates, there are only two permission levels: 000 Solar corporate: Allows access to all operating companies in SYSCO, no restrictions 000 Solar corporate regional: Allows access to operating companies within a specific region The first group should only include level 1 or corporate level associates, per the Data Security Levels table (Table 3on page 4). The corporate regional group corresponds to level 2 in the table. Network administrators must also be assigned to the 000 Solar corporate network admin group to users to the SOLAR groups in AD. Contact your supervisor if you are not already part of this group. Requesting Corporate Level SOLAR Access Corporate users must first request SOLAR access using the SOLAR Access Request form, and their direct supervisors must approve the request before network administrators add users to the different groups. To request membership in the 000 Solar corporate or 000 Solar corporate regional groups: 1. Click the Internet Explorer (IE) icon ( ) located on your desktop. Click New in the middle menu. The SOLAR Access Request form opens in Microsoft Office InfoPath 5. Select Corporate Request at the top of the form to open the corporate specific form. In the Associate Information section, type your information or the information for the final user. 7. In the Requester Information section, type your information. 8. 25 Corporate SOLAR Administrators Setting Up Corporate Users Setting Up Corporate Users 9. In the Solar Access section, select Corporate Access All SYSCO owned operating companies or Corporate Regional User, depending on the desired access level. 10. If you select Corporate Regional User, a new section displays with the regional options. Select the region you oversee. You can select North Central (NC), North East (NE), South, or West. 11. At the bottom of the form, click Requestor Submit to Manager to send it for approval. The direct supervisor for the associate must approve the request and send it to the corporate network administrator. SOLAR security requires network administrators to define permissions controlling the sales information users can view by assigning them to an AD group. These users can view all the SOLAR information for all operating companies. To set up corporate users without restrictions (level 1): 1. Log in to AD. The Active Directory Users and Computers application displays. 2. Right click na.sysco.net and select Find from the pop up menu. The Find dialog displays. 3. In the Find field, type 000 Solar corporate and click Find now. The list at the bottom of the Find dialog displays 000 Solar corporate. 4. In the Find dialog, double click 000 Solar corporate. The 000 Solar corporate relative group object displays. 5. Select the Members tab. 6. Click Add. The Select Users dialog displays. 7. In the Select Users dialog, type the user s network ID. 8. Click OK to close the Select Users dialog. 9. Click OK accept the addition to the 000 Solar corporate group. 10. After AD updates (about 8 minutes), notify the new user; be sure to include a link to the SOLAR website and instructions on how to use their network ID to access the system. Setting Up Corporate Regional Users SOLAR security requires network administrators to define permissions controlling the sales information users can view by assigning them to the 000 Solar corporate regional group in AD. These users can only see a subset of the SOLAR information for operating companies in their assigned regions, as set by the SOLAR Exception Security Admin Tool. The following sections describe these two processes. Adding Corporate Regional Users to AD To add corporate regional users with restrictions (level 2): SOLAR Network Administrator Guide 21

Right click na.sysco.net and select Find from the pop up menu. The Find dialog displays. 3. In the Find field, type 000 Solar corporate regional, and click Find now. The list at the bottom of the Find dialog displays 000 Solar opco. 4. In the Find dialog, double click 000 Solar corporate regional. The 000 Solar corporate regional relative group object displays. 5. Select the Members tab. 6. Click Add. The Select Users dialog displays. 7. In the Select Users dialog, type the user s network ID. 8. Click OK to close the Select Users dialog. 9. Click OK accept the addition to the 000 Solar corporate regional group. Wait 8 minutes for AD to update before proceeding to the next set of steps. Adding Regions for Corporate Regional Users with the SOLAR Exception Security Admin Tool To add regions for corporate regional users: 1. Click the Internet Explorer (IE) icon ( ) located on your desktop. The Microsoft Internet Explorer window displays. 2. Click Submit to display a table of the user s information (Figure 20) at the bottom of the screen. The table includes columns for the company type, operating company number, and operating company name. 28 Setting Up Corporate Regional Users Corporate SOLAR Administrators 7. In the Add new security section, choose a company type from the Company Type drop down list (Broadline, Freshpoint, or Sygma). The operating company list changes depending on the company type. 8. From the drop down list of operating companies, choose an operating company. Note: Only assign one operating company from each region to the corporate regional level user s network ID. For example, if the corporate regional level user only needs to view the South region, you can assign the Austin operating company to their network ID. They will then be able to view the whole region. 9. Click Submit. The Users current security section updates to include the new operating company (Figure 21) and displays a confirmation message. In the Users current security section, next to Company type, click Delete to remove an operating company from the list. Adding Users to Additional SOLAR Systems If an operating company associate needs to view another operating company s SOLAR system (regional mangers, for instance), they must fill out the SOLAR Access Request form at: AllItems.aspx SOLAR Network Administrator Guide 25

A senior vice president at the operating company must approve the request before corporate network administrators can implement the additional view. After the corporate network administrators add the new permission, the associate sees a new link at the bottom of the Sales Analysis list. To add users: These users must already be assigned to the 000 solar opco AD security group. If not, then you must add them to this group before continuing (Setting Up Operating Company Users Without Restrictions on page 9 or Setting Up Operating Company Users With Restrictions on page 10). 1. Click the Internet Explorer (IE) icon ( ) located on your desktop. The Microsoft Internet Explorer window displays. 2.
