4 Downloading Nomads Notes You will have received a pdf file from the link in your invoice. This pdf file is called DownloadNomadsNotes.pdf. It contains all the links and information you require to download and install Nomads Notes Step 1 Save the DownloadNomadsNotes.pdf file for future use. At the top left of the DownloadNomadsNotes.pdf page click File>Save as Copy Leave this screen open as you will need to come back to these instructions Step 2 Click on the download link in the pdf file you have downloaded Save the file to your hard drive. Windows Vista and XP will look like the image below. Window 7 will download the file to your downloads folder Open or Run the software by double clicking on the newly downloaded file called NomadsNotesV3.exe 4

5 You will be asked to enter a license code. Go back to the DownloadNomadsNotes.pdf file that you still have open on your desktop. Ensure you are still connected to the internet Click on the link for your License Code Type in your name and address Click Continue 5

6 Your code can be misinterpreted if you insert a 0 instead of an O. Please do not write the code down. Copy and Paste the code instead Copy your new code (highlight then click Control C) from the page. Click on the click here to continue link Go back to the screen you have open that was requesting the licence code. Paste your code (Control V) into the box. Ensure you use the paste function to ensure you do misinterpret the code. Ensure you are still connected to the internet Click Validate 6

7 Installing Nomads Notes The Setup Wizard will start Click Next The default location for the program is suggested. If you are happy with the default location click Next. If you would like to install in somewhere else click Browse and choose a different location. 7

8 Confirm the installation by clicking Next Wait for the program to install. Once installation is complete click Close The Nomads Notes icon (the front half of a motorhome) will appear on your desktop. Double click on the icon Select a folder to store your database by clicking Browse A note on Managing data files You can install Nomads Notes on two computers, therefore you may want to share the data on the program between your two computers. To achieve this you can store your data on a no cost web-based file hosting service like Dropbox ( This way you have the same data on each computer. To do this, choose your web-based folder to store your database. If you select this folder on each computer you install the program on, each time you close the program on one computer the information will be there on the other. If you are not on-line at the time of updating your other computer will be updated next time you are on-line. If you do not have a web based file hosting service as yet you can get started by choosing a local folder (see below) and change to the web based folder later Alternatively if you choose not to use a web based file hosting service select a suitable folder on your hard drive eg My Documents. You can change to a web base folder at a later date if you wish Choose which measurement language you would like to use based on the country you live in (eg Metric for Australia, Imperial for the US) 8

9 If you live in Australia for example but still think in miles per gallon check the Show Imperial for Comparison box Choose the language of the Spell check dictionary you wish to use from the drop down arrow (Australian, US, UK or Canadian. If you have a netbook check Netbook Optimized to ensure you screen sizes are suitable Click OK The Nomads Notes program will open up Add a Vehicle The first thing you need to do is add a vehicle (or two if you have a "toad"). On the top level menu click Data>Vehicles>New Vehicle. 9

10 Ensure the title of this new screen is New Vehicle. Add the details of at least one vehicle. Type in your vehicle details ensuring you input at least the Vehicle name. Click OK. Click on the Vehicle icon to view the list of vehicles in your Vehicles screen Edit a vehicle Click on the Vehicles icon Click on the Edit icon at the bottom of the screen 10

11 Change the relevant details and click OK Delete a vehicle Click on the Vehicles icon Select the Vehicle you wish to delete Click on the Delete Vehicle icon at the bottom of the screen 11

12 Start a Trip Once you have at least one vehicle in your database you can then start a trip. A trip can be anything from one night away to a lifetime on the road. Commence a trip each time you leave home. If you are permanently on the road commence a new trip each month, quarter, each year, each state, or each country Click on the Trips icon at the top left of the screen Type in a trip name then select the date you are commencing the trip from the drop down calendar. Type in your destination You will then need to select which vehicle(s) you will be taking on the trip. Click in the green plus sign beside the Vehicle details and select a vehicle you will be taking from the drop down list. Enter the vehicle odometer reading for the start of the trip. All mileage data for the trip will be based on this first reading. 12

13 Click OK to enter the vehicle. If you are taking a second vehicle repeat this process to add the second vehicle to the trip. Click OK again to start the New Trip The trip will now appear on the left hand side of the screen Edit a trip Click on the trip on the left hand side of the screen Right click Click Edit 13

14 Edit the relevant details and click OK Delete a trip Click on the trip you wish to edit on the left hand side of the screen Click Trips>Delete Trip Confirm you want to do this by clicking Yes this will delete all aspects of the trip and it will not be retrievable. Click No if you are not sure Add a Journal entry Next you will want to add a journal entry after your first day of travel. The journal tab is the default tab and will be the one that is open when you open the program. Please do not type your daily journal entry straight into this screen as this will not save. You can add one photo per Journal entry. You can however have as many Journal entries as you like for each day. If you would like more than one photo for each day just add another Journal entry for that day. If you miss a journal entry or you want to add another photo for a particular day you can insert a journal entry Click on the New Journal Entry icon at the top left of the main screen. 14

15 A "new Journal entry" screen will open up. Enter a title, select the correct date and type in your journal entry. If you wish to check the spelling click Spell Check at the top of the screen. Add a Photo to your Journal entry From the New Journal Entry screen (see above) click on Select Photo 15

16 Navigate your way to where your photos are stored on your hard drive and select the photo you want to insert in your journal entry. Click Open and the photo will insert into the journal entry Click OK when finished Once you have several journal entries you can scroll through them with the left and right arrows at the bottom of the screen Edit a Journal Entry Scroll though the journal entries to find the one you want to edit (see above) Change the entry Scroll to the next entry. A dialogue box will open up asking if you want to save your changes. Click Yes Change the Photo on a journal entry Scroll though the journal entries to find the one you want to edit (see above) Click on the Change Photo icon 16

17 Browse your hard drive for the correct photo Type in a new caption Click OK Inserting a missed Journal Entry Add a journal entry as above and choose the correct date. The new entry will be entered in the correct date order Delete a journal entry Scroll to the Journal entry you wish to delete. Click on the red Delete icon at the bottom of the screen 17

18 Click on the Save icon Sharing your Journal with family and friends There are several options for sharing your journal with family and friends. The three options are:- (Click on the link below to take you direct to the instructions for each section) Export Journal to PDF is a simple option within Nomads Notes. You can attach the pdf file to an or print it out for sharing with family and friends Export Journal Entry to HTML is an option for those that have html language knowledge and would like to build their own website or blog Nomads Blog is a paid subscription based service that allows Nomads Notes users to export to a blog with no knowledge what so ever of how to set up a website or blog. Export Journal to PDF Once you have entered your Journal entry click on the Print/Export Journal icon at the bottom of the Journal screen. Your journal entries and photos will appear on the screen 18

19 Click on the Export icon at the top of the screen then click on Acrobat (PDF) file Change the name of the file to a suitable name and click Save You can now print this pdf file or attach it to an to share with family and friends Export Journal Entry to HTML You can export your journal entry to an html file for use on as web page to share with family and friend. Firstly open Nomads Notes and Click File>Settings and note the path of the Nomads Notes database If you have not already downloaded the Journal Export file click here Once downloaded double click on the file Click Run 19

20 Follow the Installer instructions by clicking Next Click close when finished Click on the Nomads Notes Journal to HTML icon on your desktop Click on the top Browse button and navigate to the same path as you found in your Settings box above 20

21 Select a folder where you would like to store the html file for you webpage Select the trip you would like to export Open your Windows Explorer page and navigate to the output folder you selected above Select the Index.html page to open If you would like to change the style of all the output pages open the journal.css page Nomads Blog Nomads Blog is a paid subscription based service that allows Nomads Notes users to export their journal entries to a blog with no knowledge what so ever of how to set up a website or blog. More detailed instructions are at the end of this instruction manual. Click here for a direct link Add an Accommodation Expense Click on the Accommodation icon (4th from the left) 21

22 This will open the Accommodation screen Click on the down arrow next to the date and choose the correct date of the first night or your stay at the campsite. The day number will default to the next number. Click on the down arrow next to the date to choose the correct data for the last night of your stay at this campsite. If it is a one night stay choose the same date as above. Check that the number of nights is correct in the blue text to the right Click on the Cost field and enter an amount (even if zero). This amount is the total amount for all nights. The program will calculate the average for each night and show this amount in the summary report. Choose the correct campsite (if your campsite is not in the database see next section) Choose the correct Region from the drop down list. Choose the correct Town from the drop down list Click on the correct campsite in the list from that town Enter the odometer readings for each vehicle at the end of that day Click OK 22

23 Add a new Campsite A suggested way to categories Regions is States. Then within each State you would have a number of towns. If your campsite is not listed yet click Add New button (see above) or click on the Campsite icon 3 rd from the right Click on the yellow plus sign at the bottom of the screen Enter the information you have about the campsite 23

24 Minimum information includes Region, Town, Site Name, Site Type and Location. The rest of the information is not essential Click OK View a summary of Accommodation Expenses Click on the Summary tab Edit an accommodation expense Click Trips>Accommodation Expenses>Browse Accommodation Expense Scroll on the left of the screen to the day you wish to edit. Edit the data in the right of the screen. Click OK Delete an accommodation expense Click Trips>Accommodation Expenses>Browse Accommodation Expense 24

25 Scroll on the left of the screen to the day you wish to delete. Click on the Remove button at the bottom left Click Yes to confirm the action Click OK Manage Regions or Towns You can edit or delete and Regions or Town. Editing may be necessary when there is a misspelled name. Deleting may be necessary if you no longer want to use the Region or Town. Please note you cannot delete Region or Town if there is a campsite, or Radio or TV Station against that Region or Town. You will first need to move the Campsite, or Radio or TV station to another Region before you delete the Region or Town Editing a Region or Town Click Data>Manage Regions/Towns Select the Region or Town you want to edit (note: South is spelled incorrectly in this example) 25

26 Click the Edit Selected icon at the bottom of the screen or Click Yes to agree to the changes Retype the name to the correct name Click OK Move campsites from a Town to a new Region You will need to do this when you wish to delete a Town Click Data>Manage Regions/Towns Select the Town you want to move to a new Region 26

27 Click the Move Current Town to New Region icon at the bottom of the screen Choose the new Region Click OK Delete a Town or Region You cannot delete Region that has a Town attached to it. Move (see above) or delete the Town first Click Data>Manage Regions/Towns 27

28 Select the Region or Town you want to delete Click on the Delete Icon at the bottom of the screen or Add a Fuel Expense Click on the Fuel icon Choose the date from the drop down calendar Enter the location of where you purchased the fuel Choose the vehicle you filled up from the drop down menu Enter the odometer reading of the vehicle Enter the number of litres or gallons purchased Enter the cost per litre or gallon eg 1.23 for $1.23 Click tab or click into the last field and it will automatically calculate the total cost Click OK View Fuel Consumption Click on the Fuel tab. This view shows your fuel economy for the highlighted trip in the left in graphical format 28

29 To view the information in table format click on the right arrow at the top of the tab to view the following pages. You will find a page for each vehicle on the trip Edit a fuel expense Click Trips>Fuel Expenses>Browse Fuel Expenses Select the vehicle to edit the expenses for from the drop down list Select the Fuel Expense you wish to edit Edit the details 29

30 Click the Save Data icon at the bottom of the screen Delete a fuel expense Click Trips>Fuel Expenses>Browse Fuel Expenses Select the vehicle to edit the expenses for from the drop down list Select the Fuel Expense you wish to delete Click the Delete icon Add an Expense Click on the New Miscellaneous Expense icon Choose a Category from the drop down list (To add a new Category see below) Choose a Subcategory or Type from the dropdown list Choose a date from the drop down Calendar Enter the expense details 30

31 Click OK Add a new Expense Category Categories are self-defined and you can add any categories or sub-categories you wish. Categories already included are Expense Category Expense Type Food Communications Entertainment House Expenses Groceries Alcohol Dining Out Phone Internet Sightseeing Admission Fees Rates Electricity Insurance Click on the green plus sign next to the expense category Type in the name of the Category you wish to add Remember you need a sub-category as well:- example you would not use Nuts and Bolts as a Category. You would use a Category of Hardware with a sub-category of Nuts and Bolts 31

32 Click OK Add a new Expense Type (or sub category) Each expense must have a Category and subcategory (or type) Click on the New Expense icon Choose the newly created Category (see above on how to create a category) Click on the green plus sign beside the Type Type in the details of the new Type (or subcateogry) Click OK View your Expenses for your trip In the expenses tab click on the Report tab at the top of the screen Scroll to the end of the report with the right arrows at the top of the report to see the total expenses for the trip Edit an Expense Highlight the expense you wish to edit Click the edit icon at the bottom of the screen 32

33 Edit the details you wish to edit Click OK Delete an Expense Highlight the expense you wish to delete Click on the Delete Expense icon at the bottom of the screen 33

34 Manage Expense Categories or Expense Types You can edit or delete an Expense Category or Expense Type (sub category). Editing may be necessary when there is a misspelled name. Deleting may be necessary if you no longer want to use the Category or Type. Please note you cannot delete an Expense Category or Expense Type if there is an expense against that Category or Type. You will first need to move the expenses to another Category before you delete the Category or Type Editing an Expense Category or Expense Type Click Data>Manage Expense Categories Select the Category or Type you want to edit (note Food is spelled incorrectly in this example) Click the Edit Selected icon at the bottom of the screen or Click Yes to agree to the changes Retype the name to the correct name 34

35 Click OK Move expenses from an Expense Type to a new Expense Category You will need to do this when you wish to delete an Expense Category Click Data>Manage Expense Categories Select the Expense Type you want to move to another (in this example Take Away would be better suited to the Category Food) Click the Move Current Types to New Category icon at the bottom of the screen Choose the new Category Click OK 35

36 Delete an Expense Category or Expense Type You cannot delete an Expense Category that has Expense Types attached to it. Move (see above) or delete the Expense type first Click Data>Manage Expense Categories Select the Category or Type you want to delete Click on the Delete Icon at the bottom of the screen or Add a Photo Album Click File>Create Photo Album Choose the current trip from the drop down arrow menu 36

37 Click Photos>Add New Album Type in a name for the album Check the Auto Load Photos from Folder box Click Browse Navigate to find the album on your hard drive Click OK 37

38 Type in a location of where the photos were taken Click OK Click on the newly created album name in the list of albums to view thumbnails To view a slideshow of the album click Photos>Slideshow 38

39 Close the photo album screen Click on the Photos tab Click on the Refresh Photos and Albums icon at the bottom of the screen Click on the Select Photo Album drop down arrow at the top of the screen and choose the album you wish to view Scroll though the photos with the left and right arrows at the bottom of the screen 39

40 Edit the name of an Album Highlight the Album you wish to rename Right Click Click Rename Item Enter the new details or correct the spelling then click OK Delete an Album Highlight the Album you wish to delete 40

41 Click Photos>Delete Album If you are sure you wish to delete the album (you can not reverse this) click OK Add a new Contact Click on the Contacts icon Click on the yellow plus sign (4 th from the right) at the bottom of the screen 41

42 Enter the contacts details and click OK Enter the vehicle name and type if you wish 42

43 To enter phone numbers, children or notes click on the relevant tab in the centre of the screen and then Add New Enter the relevant details Click OK 43

44 Add a new Radio Station Click on the Radio Station icon Click on the correct region and town at the top left then click the yellow plus sign Type in the details of the station Click OK For details on how to add regions and town see the New Campsite section Add a new TV Station Click on the TV Station icon Click on the correct region and town then click the yellow plus sign at the bottom of the screen 44

45 Type in the details of the station Click OK For details on how to add regions and town see the New Campsite section Add a Vehicle Maintenance Expense Click on the Vehicles icon Highlight the correct vehicle in the list of on the left Click on the Maintenance tab Click on the yellow plus sign to add a new expense 45

46 Choose the type of maintenance from the list or add a new maintenance type from the green plus sign Choose the correct date from the drop down calendar Enter the labour component of the costs Click on the green plus sign to add a part Choose a listed part or add a new part by clicking on the green plus sign Enter the part detail 46

47 Click OK then OK Vehicle Maintenance Report Click on the Vehicles icon Highlight the correct vehicle in the list of on the left Click on the Maintenance tab Scroll though the report to view all expenses Edit Vehicle Maintenance Click on the Vehicles icon Highlight the correct vehicle in the list of on the left Click on the Maintenance tab Click on the edit icon at the bottom of the screen This will open the Maintenance browser Highlight expense you wish to edit Click on the edit icon at the bottom of the screen Edit details Click OK 47

48 Reports Whole trip report You can print out all details of your trip to share with family and friends or to keep and look through in years to come. Alternatively see the section on Nomads Blog Click File>Export Trip Save the report as a Acrobat PDF file by clicking on the export icon Save the file to your hard drive Open the file to print it Fuel Reports You can view reports of fuel for the current trip (see above) or reports for all fuel expenses for all trips Click Reports>Expense Reports>Fuel Expense This will open a report with all fuel expenses. Scroll through the pages with the right and left arrows at the top of the screen to see all vehicles individually Accommodation or Campsite Reports You can view reports of accommodation or campsites for the current trip (see above) or reports for all accommodation expenses Click Reports>Expense Reports>Accommodation Expenses 48

49 This will open a report with all accommodation expenses. Scroll through the pages with the right and left arrows at the top of the screen to see all trips individually Backup your data Use this function to back up your data to a different location Click File>Backup Data The default folder of Nomads Notes Backup will open. Change the folder if you wish Rename the file if you wish or leave the default name with current date Click Save Sharing your data with your other computer There are two options. Firstly you can store your data on a web-based file hosting service like Dropbox All of these are a free service. This way you have the same data on each computer. To do this, click File>Settings and choose your Dropbox folder (or other web-based folder) to store your database. If you select this folder on each computer you install the program on, each time you close the program on one computer the information will be there on the other. If you are not on-line at the time of updating your other computer will be updated next time you are on-line Alternatively back up your data in Nomads Notes by clicking File>Backup Data (See above). Save this to a zip drive or network drive. Then open Nomads Notes on the other computer and click File>Restore Data (see below) and choose the saved.dat file. Just one note though. The photos are not stored in the Nomads Notes program but in a link to where they are stored on your hard drive. So ensure your photos are stored in the same path on each computer eg My Documents/My photos/my Trips. This way you will be able to see the photos on both computers Restore Your Data Use this function to restore a previously backed up version of your data Click File>Restore Data 49

50 This will overwrite any data you currently have on the screen so ensure this is what you want to do If you are sure Click Yes Dashboard The Dashboard is a graphical summary of mileage travelled, fuel used and expenses of a trip. 50

51 Mileage Right click on the mileage dial to change colour, maximum value, and divisions Fuel Right click on the Fuel dial to change colour, maximum value, and divisions Expenses Right click on the Expenses bar graph to change colours and bar sizes or value between value or percentage. Hover over the bar for further detail 51

52 Sharing your Journal with Nomads Blog Nomads Notes now includes an exciting new online diary system (called a BLOG - short for web log). We call this online diary "Nomads Blog" and it is designed for travellers like you. It allows you to make stories and photos from your travels available to friends and family members with just a simple click of the mouse. No prior knowledge of website design required. As a new Nomads Notes user, we would like to offer you FREE access to this online diary system for two months. You will receive an within 48 hours of your purchase with your subscription key Please try out the blog as soon as possible to get the most out of your free trial Note: an internet connection is required for all aspects of this blog process Back up your data Before doing anything in the program it is a good idea to back up your data. Click File>Backup Data and follow the prompts If you do not have an automatic backup of your hard drive, as an added security go to your Windows Explorer and copy the file to an external drive as well. 52

53 Enable Blog Please check your client to find an from Nomads Blog Webmaster sent within 48 hours of your purchase of Nomads Notes with a key to commence the service. If you cannot find your from Nomads Blog Webmaster:- Ensure you are connected to the internet Click File>Enable Blog (Paid Subscription Required)>Get Subscription Key Enter Subscription Key Your Nomads Blog subscription key is different to your Nomads Notes licence key. Open your from Nomads Blog Webmaster Copy the Subscription Key from the . In Nomads Notes click File>Enable Blog>Enter Subscription Key Paste your Subscription Key where prompted Click OK 53

54 You will get a message back that your Key is valid for the next 2 months Click OK Blog Setting Once you have validated your subscription four (4) more menu items will appear A Blog menu item A Blog icon to use when uploading your blog And a Blog Status icon A Blog Updated field will show in the Trips list The Blog Settings screen will open or click Blog>Settings to open 54

55 Enter you address in the Subscription section at the top of the screen. This will allow s from your address to your family and friends. It will also be used to update you with information about your subscription when it is about to expire Blog Title Page Enter a Blog Title. This will be the name of your blog or web page. For example Bob and Sally s travels around New Zealand Enter some text for your Home Page that tells readers a bit about yourself. You can go into as much or as little detail as you like. Some examples may be where you are from, why you are travelling, where you are heading, what sort of RV, motorhome, caravan you have etc. Your blog title page also included a photo to introduce you to your readers. If can be a personal photo of yourself (yourselves), a photo of your motorhome, or any photo that depicts you and/or your trips. Click on the Select button to the right of the Homepage Text and choose a photo from your hard drive or network drive Notify Contacts You will want to let family and friends know you have updated your blog. You may also want to password protect your blog so that it is only open to family and friends and not the World Wide Web. 55

56 If you want to notify any contacts check the Notify contacts of Blog Posts box Change the default Notify Message. This is the message your contacts will see in the they receive. An example is provided If you wish to protect your blog with a password check the Password Protect My Blog and enter a password Click OK Select Contacts to Notify You will want to decide which of your contacts to send you notification to Click Blog>Contact Notification Check the Notify box next to the names of any family or friends you want to send your notification to. Do not check names without addresses Click OK Upload Blog When you are ready to upload your blog ensure you have selected the trip you want to blog from the Trip list. The Journal entries for that Trip will appear on the right 56

57 In this example above I am ready to upload Journal entries from my USA trip Click on the Blog Trip icon If you are uploading New Journals and you want to notify family and friends check the Notify box. If you are only updating a changed or edited journal you probably not want to notify your family and friends so leave this box unchecked If you wish to change your default message for this only change it here Check which Journal entries you wish to upload. There are 4 options 1. New Journals only this will update any new journal entries for your selected trip since the last upload 2. Changed Journals Only this will update only those Journals you have edited or changed photos in since the last upload 3. New and Changed Journals will update new and changed from this trip since the last upload 4. Choose a date range for the journals you wish to update. Use this option if there are journal entries in your Trip you do not want to publish to family and friends. For example you may not want to let everyone know you went to the nudist beach, or that you had an extravagant day spending the kids inheritance. In these examples, choose a date range before or after those entries you do not want to upload 57

58 Click Upload Blog You will receive a message your Blog was uploaded successfully You can only upload 40 journal entries at one time. If this is the case repeat the above process until all journal entries have been uploaded If you do not have the most up to date version of Nomads Notes you will receive a message to let you know you can now update. You can update at Check out your new blog Go to you Blog Settings screen and click Go to Blog There are two different ways to view your blog. You can view in Web View or on your browser. 59 To change between the views click File>Settings and check or uncheck Use Internal Web Viewer Back up your data After uploading your data it is a good idea to again backup your data. Click File>Backup Data and follow the prompts If you do not have an automatic backup of your hard drive, as an added security go to your Windows Explorer and copy the file to an external drive as well. Tracking your Blog updates There are several icons in the program to let you know what has been uploaded Blog Status icon Journal tab heading Blog Updated field in the Trip list Select a trip from the trip list 59

60 Click on the Blog Status icon The new screen will show the status of your blog Red X indicates Journal Entries have never been blogged Red indicated new entries not posted Circle with empty centre indicated any edits have not been posted Green Circle indicates all entries are up to date The Journal tab heading will show the same icons The Blog Updated field in the Trip list will show the date of the last blog update Site Admin There is an Admin area of your website where you can choose a background theme for your blog, select which photos to display on the right hand side of the main page and an option for you to select the date format you see on your blog Go back to your Welcome from Nomads Blog to find a link to your admin area. You will also need the password provided at the time. If you have forgotten you password type lost in the password field and your password will be sent to the address you entered into the Nomads Notes Blog Settings page You have several options to choose from for a background theme for your blog. 60
