2 Writing Protocols: Powerpoint Recommended 1. It is recommended that MS Powerpoint be used to document all protocols and SOPs. Powerpoint has great flexibility and portability and enough tools for most applications. Web formated (HTML) files can easily be output from Powerpoint using the Save-As- Web Page or Save-as-PDF. Use/complete the Title for all pages, it is used as an index and hotlink. Use font size 24 or 28 Bold; Begin with Protocol Name: then description of slide. 2. Font Size; Font recommendation On Pictures or combination diagrams and word slides, ensure that the font size is at least 14 or greater so that the text is readable when the total slide is copied, reduced, or pasted into MS Word as a picture for stick-on device labels. All fonts do not reduce well. Standard Arial with black text is recommended. Use color for text and diagrams to emphasize or distinguish key areas, stay with dark tones however for readabilility after printing. Use Bold font if practical. 3. Begin all new Powerpoint files using this documentation file as a sample. If necessary change the Slide Master information using the procedure below. Go to View-Master-Slide Master, and edit the title;name field in the lower left corner to your requirements. This ensures that those who produce the slide are always known. Do NOT change the date field, it is set to update on each saved/filed revision of the Powerpoint file. Do NOT delete the Page # in the lower right corner, it is set to always have page numbers for reference in the procedures. Save/close the Slide Master and return to the normal slide view for preparing further documentation. Page 2

4 Protocols Writing: Capturing Screen Images All Slides MUST HAVE atitle. Use Protocol Name: Description format. Print-Screen puts entire desktop on Clipboard for Paste or CNTL-V operations into Powerpoint CNTL-ALT-PrintScreen puts a single active window on Clipboard for Paste or CNTL-V operations. Page 4

5 Writing Protocols : Example Adding Hyperlink to.pdf or other files. 1. Add a Text Box in Red Italics to describe the file to be linked. 2. Detect the Text Box, select Hyperlink on the INSERT tab menu. 3. Browse and select file to be linked, pick OK when done. 4. The Link will be added to the Powerpoint.ppt version of this file when saved. 5. When publishing this.ppt to the Web, you must copy (drag) any linked files to the web file locations and keep the same file names 6. Edit the linked file to replace folder path with :user.stlcc.edu Page 5

6 Writing Protocols: EXAMPLE WORD SLIDE Microscopy: SM245 Microscope to Overhead Projector 1. Power on the Microscope, Camera Control Adapter (CCA), and the Projector using the Epson remote Do NOT turn on the PC or PC Monitor as this over-rides the microscope input The CCA is the white Sony CMA-D2, SN 31458, 1 x 6 box, on/near VCR, red indicator light 2. Locate the Sony 1 x 4 gray switch box with four buttons labeled 1,2,3,4 connected to the video camera cable. Depress the button labeled for the SCOPE, normally # 3. Make sure no other buttons are depressed. 3. Focus the specimen in the microscope eyepiece as you would for normal observations Pull the View Selector Rod (blue box on diagram) on the right side of the microscope frame supporting the eyepiece and camera to the full out position. This deflects light from the eyepiece to the camera If you still see any light in the eyepieces, pull the View rod to the full out position. Push the rod to the in position to resume using the eyepiece for adjustments or another specimen 4. No Image Capture: Currently the wiring and switches in SM245 do not provide a way to capture digital images (bmp, gif, jpg) on the computer. Use the Axiovert 25 in SM238 for this purpose Page 6

7 Writing Protocols: Optional; Stick-on Labels 1. Copying Powerpoint Slides to MS Word Stick-on Labels When all slides are complete open the Powerpoint file, then open a New MS Word document and set it up for Standard Avery 2 x 4 Labels (or other sizes if desired) as defined below: Go to Tools Letters and Mailings Envelopes and Labels- Under the Labels Tab select Options Select 8163 Shipping- then OK then New Document Expand the view to show all 10 labels. Note other stick-on label sizes can be used, but be aware of the font size requirements for readability. Open your Powerpoint slide file to the first slide, go to the Edit tab, pick Select all then Edit then Copy Open your new MS Word Label file, select an open label box, then select Edit then Paste- then select Picture (enhanced metafile). Your powerpoint slide will be pasted onto the label box. Select a corner of the picture box and shrink it to fit completely inside the label box rectangle. Continue this procedure to copy and paste all of your Powerpoint slides in picture (metafile) format to the Word file. When done, save the MS Word file with the same name as the Powerpoint procedure file, but add the word label to the end. For example: Microscopy_procedures_labels.doc 2. Printing and Mounting the Labels Place a single sheet of the 2 x 4 Mailing/Shipping labels (8163 Avery) in the Science Laser printer, label face up! Use the Printer setting keys to redefine the media from Plain Paper to Labels, then quicky print your MS Word label file to the Laser Printer. Remember to reset the paper media back to Plain Paper when done Mount your new procedures in a position on the device where it can be easily read by the user, on the front or top near controls if possible.
