2 Introduction to itunes itunes is a popular free software package available from Apple that allows you to manage your audiobooks, music, photos, podcasts, text files and videos with ease. It is available for both Macintosh and Windows PCs, and in combination with Apple's ipod device, offers students, faculty and alum opportunities not currently available with other devices. Visit the official Apple itunes Support site for more information regarding itunes. Using Your ipod an Overview You can add several different types of media to your video ipod, including audiobooks, music, photos, podcasts, text files and videos. Contacts and calendar entries can also be added. Music Before transferring music to your ipod, you need to have music stored on your computer in your itunes library. Remember, not all music formats are compatible with your ipod. Fortunately, itunes takes care of this and imports songs into your library in a format compatible with the ipod. However, itunes does offer options when it comes to audio file formatting (you ll find format preferences under the Edit > Preferences menu in itunes (or itunes > Preferences on the Mac). What song format should I use with my ipod? Your ipod supports several different audio file formats. However, you ll probably want to use either the MP3 or AAC format. Both file types offer file compression, which is important when using your ipod smaller file sizes = more songs on your ipod! Music stored in the MP3 file format take up less room than music stored in the AAC format. However, the quality of songs formatted in the AAC format is better than those formatted as MP3. If space is an issue, you might want to format your songs in the MP3 format. If you need to convert a song into a different format, use the Convert Selection to option available on the Advanced menu in itunes. Once the song is converted, you ll end up with two copies of your song; one in the original file format and the second in the new converted format. If you are unable to convert your file in itunes, you may need to use a different application to convert the file. Visit for a full list of compatible music file formats and information. 3 How do I set up a playlist in itunes? Once you have music in itunes, you might want to create a few playlists before you transfer music to your ipod. 1. Click the New Playlist button ( ) in itunes (lower left-hand corner). Give the new playlist a name. 2. Drag and drop songs from your itunes library into your new playlist. a. Copying a song to a playlist does not remove the song from your library, but only establishes a pointer to that song. A new playlist How do I transfer music to my ipod? 1. Open itunes on your computer. 2. Connect your ipod to your computer by using the USB cable that came with your ipod. Connect the other end of the cable to your ipod. After a moment, your ipod will appear in your itunes Source List (see screenshot at right). 3. Depending on how you ve set up your ipod, it will update in one of two ways: a. If you have your ipod set to automatically update on your computer, you ll notice that songs, playlists and other media you have in itunes will start transferring to your ipod. b. If you have your ipod set to manually update, you ll need to drag and drop songs or playlists to your ipod located in the Source List. 4. While your ipod is being updated, the ipod icon in itunes will flash red. a. It is important not to disconnect your ipod while it is being updated. If you have to disconnect your ipod before it has finished updating, click the x symbol located in the itunes display (top of the itunes screen). Click the x in the itunes Display to stop your ipod update. Academic Technology & Creative Services 3 Summer 2006

4 After your ipod has finished updating, you ll see a message that reads ipod update is complete in the itunes display. To disconnect your ipod, click the Eject button next to the ipod icon in the Source List. Click the Eject button to eject your ipod. NOTE: Music can only be transferred from your music library in itunes to your ipod. Music can t be transferred from your ipod to your itunes library. How do I listen to music on my ipod? 1. Turn on your ipod by clicking any button. 2. Navigate to the song you d like to play by using the Click Wheel. Use the Center button to select menus. 3. Click the Play button to begin playing the song. a. Click the Play button again to pause a song. Tips Use the Click Wheel to change the volume of a song while it is playing. Use the Forward and Back buttons to move between songs. Hold them down to fast forward and rewind a specific song. Use the Menu button to return to a previous menu. Use the Hold switch to lock the ipod controls. To turn off your ipod, click and hold down the Play button for 3 seconds. To check out the anatomy of an ipod or for additional information on using your ipod to listen to music, visit Audiobooks Audiobooks are transferred to an ipod and listened to in the same manner that music is (see the Music section of this document). There are, however a few things to consider, such as: In addition to being included in any playlists that you ve created, audiobooks can also be found under a separate menu located off of the Music menu on your ipod. Your ipod supports a bookmark feature that automatically bookmarks an audiobook at the place you last stopped listening to the audiobook. The speed in which an audiobook is read can be changed to a slower or faster pace on the ipod. The pitch that the audiobook is played at is not affected by changing the speed. To change the speed in which an audiobook is played, go to the Audiobooks option on the Settings menu of your ipod. Audiobooks can be purchased and downloaded from the itunes Music Store or from Academic Technology & Creative Services 4 Summer 2006

5 Podcasts Podcasts are transferred to an ipod and listened to in the same manner that music is (see the Music section of this document). However, the manner that you d acquire a podcast in itunes is a little different. What is a podcast? A podcast is something that you subscribe to via the Internet. It s normally thought of as a radio-style show that, once subscribed to, gets downloaded to your computer automatically when there s a new episode available. Podcasts come in several different varieties, including news, talk shows, music, verbal blogs and video. There may be a fee associated with a podcast, but many on the Internet can be subscribed to for free. How do I subscribe to a podcast? Many Web sites on the Internet offer podcast subscriptions, such as SacBee.com ( for example. Check out your favorite sites for free podcast subscriptions. Once you find one, use itunes to subscribe to the podcast. The most recent episode should be downloaded to your itunes library and will be included in the Podcasts section of your itunes Source List. Each time itunes is opened, new podcast episodes are automatically downloaded to your itunes library. The itunes Music Store also offers hundreds of free podcasts in which you can subscribe to. How to I transfer and listen to podcasts to my ipod? Once a podcast is added to your itunes library, it can be transferred to your ipod in the same manner as music. Include a podcast in a playlist if you d like. If you have your ipod set to automatically update with itunes, the podcast will be transferred along with your other media. If manually updating your ipod, drag podcasts to your ipod located in the Source List. See the Music section of this document for additional information on transferring music to your ipod. For ideas on using podcasts in education, visit Apple.com s Podcasting in Education Web pages: Videos Like music, to transfer a video to your ipod, the video must first be added to your itunes library. You can create playlists for your videos in the same manner as you create them for your music. What videos will work with my ipod? Not all video formats are compatible with your ipod. Before you transfer videos from itunes to your ipod, you ll want to make sure that they are in a compatible format. 6 How do I get my videos into my ipod? Videos are transferred to your ipod the same way your songs. If you have your ipod set to manually update, you ll need to drag your videos or playlists to your ipod in the Source List in itunes. If you have your ipod set to automatically update, you ll need to set itunes to automatically transfer videos to your ipod along with your other media (music, audiobooks, podcasts). 1. Open itunes and go to Edit > Preferences (itunes > Preferences on the Mac). 2. Click the ipod tab, then the Videos tab below it. Choose an option to automatically update videos on your ipod. 3. Select one of the two options listed to update videos on your ipod ( Automatically update all or Automatically update selected playlists only ). 4. Click Ok. Once you close the Preferences window, itunes will begin updating the videos on your ipod based on your selection. How do I view videos on my ipod? Playing videos on your ipod is very similar to playing music on your ipod. 1. Turn on your ipod by clicking any button. 2. Navigate to the video you d like to play by using the Click Wheel. Use the Center button to select menus. Videos on your ipod are located on the Video menu from the Main menu. 3. Click the Play button to begin playing the video. See the Music section of this document for additional information on viewing and navigating through a video (or song). Photos Your ipod can be used to store and display several different image types. The following formats are understood by your ipod: PC-based ipod: JPEG, TIFF, GIF, PNG, and BMP Mac-based ipod: JPEG, TIFF, JPG 2000, GIF, PICT, PNG, SGI, and BMP To convert photos into a format compatible with your ipod, use an image editing program such as Adobe Photoshop Elements. Don t worry about the dimensions of your photos as itunes will automatically re-size them for the ipod. Academic Technology & Creative Services 6 Summer 2006

7 How do I transfer photos to my ipod? To transfer your photos to your ipod, you ll first need to establish a folder with pictures on your computer or an album in either Adobe Photoshop Elements (PC), or iphoto (Mac). The ipod can also be synched with your computer s My Pictures or Pictures folder. 1. Open itunes. 2. Connect your ipod to your computer. 3. Go to the Edit > Preferences menu in itunes (or itunes > Preferences on the Mac). 4. Click the ipod tab, and then the Photos section below that. 5. Select the "Synchronize photos from" checkbox, then choose either Adobe Photoshop Elements (PC), or iphoto (Mac), Choose Folder, or My Pictures (Pictures folder on the Mac). a. If you chose either Adobe Photoshop/Elements or iphoto, choose Copy all or Copy selected albums. Select albums to synch to if needed. b. If you chose Choose Folder, navigate to and select the folder on your computer to synch to. Select Copy all photos or Copy selected folders. Select folders to synch to if needed. c. If you chose My Pictures or Pictures, select Copy all photos or Copy selected folders. Select folders to synch to if needed. 6. Click OK to begin the copy process. Now anytime you add new photos to the album or folder you ve selected in itunes, your ipod will be updated with the new photos whenever you connect it to your computer. Tip: If you d like to keep photos designated for your ipod separate from other photos on your computer, it might be worthwhile to create a new folder on your computer called ipod photos. Within that folder, create subfolders to organize your ipod photo folders. In \ itunes, select the Choose Folder option when setting up photo synching (see instructions above). How do I view photos on my ipod? 1. Turn on your ipod by clicking any button. 2. Use the Click Wheel to navigate to the Photos menu on the ipod main menu, and then select Photo Library. 3. To see a specific folder or album of images, choose Photos > name of folder or album. 4. Once you ve made your selection, thumbnails of your images appear on your ipod screen. Use the Click Wheel to select an image, and then click the Center button to view the image full-screen. Tips To view your images as a slideshow, click the Play button on your ipod instead of the Center button (step 4 above). Academic Technology & Creative Services 7 Summer 2006

8 Use the Next/Fast-forward or Previous/Rewind buttons on your ipod to navigate through your thumbnails or full-screen images. To jump to the end of your photo library (or album or folder), click and hold the Next/Fastforward button. To jump to the beginning, press and hold the Previous/Rewind button. Text If you have text on your computer that you d like to view on your ipod, you can copy it to your ipod by using your ipod as a hard drive. Note that your ipod will only understand plain text files. This feature is great for carrying around notes, lists, driving directions, etc. How can I convert my text into plain text? Plain text files end in a.txt extension. If your file ends in this extension, you can use it on your ipod. To convert files to plain text, try using your application s Save As option. Look for the.txt (Plain text) file format to save your file as. If the.txt (Plain text) option is not available, you ll need to copy and paste your text to a file that does support plain text (Notepad on the PC or TextEdit on the Mac are good options). Plain text files do not support formatting such as color, bold or italics type, tables, etc. How do I copy my plain text files to my ipod? 1. Connect your ipod to your computer. 2. Make sure that hard disk use is enable on your ipod (you can check from the Edit > Preferences (PC) menu or itunes > Preferences menu (Mac). See the section of this document called Hard Drive Use for additional information. 3. Open My Computer if you re on the PC. 4. Look for your ipod listed as a drive in your My Computer area (PC) or on your Desktop (Mac). 5. Double-click the ipod icon to open it. 6. Copy (drag) your text file into the Notes folder on your ipod. Drag your plain text file (.txt) into the Notes folder on your ipod. Academic Technology & Creative Services 8 Summer 2006

9 How can I view my text files on my ipod? 1. Turn on your ipod by clicking any button. 2. Use the Click Wheel to navigate to the Extras menu on the ipod main menu, and then select Notes. 3. From the Notes area, select a text file to view. From PowerPoint to the ipod You can use your ipod to display PowerPoint slides that are saved as images. This is a great way to show your slides to an audience or practice a presentation without having to carry a computer. Macintosh Create a Presentation in PowerPoint 1. Open PowerPoint. 2. Create a presentation. Keep in mind that animations, sounds, and movies do not transfer to the ipod. 3. Click File > Save As. 4. For Format, choose JPEG. 5. Click the Save button. 6. A folder is created which contains each slide as an individual file. Create an Album in iphoto 1. Open iphoto. 2. Create a new Album by clicking on the Add button at the bottom left corner. 3. Type in a name for this Album. 4. Make sure you can see both iphoto and the slide files that were created in PowerPoint. Academic Technology & Creative Services 9 Summer 2006

10 5. Making sure the Album is selected (highlighted), drag and drop all the files (they will be named slide1, slide2, etc.) into the right panel of iphoto. Drag and drop your slide files 6. Sort the slides by titles by clicking View > Sort > By Title. Download Slides to ipod via itunes 1. Connect the ipod to your computer. itunes will automatically start. 2. Click the ipod options button on the lower right corner of the itunes window. 3. Click the Photos button. Academic Technology & Creative Services 10 Summer 2006

11 4. Select the Synchronize photos from: checkbox and choose iphoto. 5. Choose whether you want all your photos and albums copied to the ipod, or just selected albums. 6. If you choose to just copy specific albums, check the box for the album you created from your PowerPoint slides. 7. Click OK. itunes will then copy the slides to your ipod. 8. Disconnect your ipod by clicking on the Eject icon in the Source panel on the left in itunes. Eject button 9. Now it s safe to unplug your ipod from your computer. 12 Windows PC Create a Presentation in PowerPoint 1. Open PowerPoint. 2. Create a presentation. Keep in mind that animations, sounds, and movies will not transfer over to the ipod. 3. Click File > Save As. 4. For Save as type, choose JPEG. 5. Click the Save button. 6. Click Every Slide or Current Slide Only, depending upon which slides you want saved. A folder will be created which contains each slide as an individual file. Download Slides to ipod via itunes 1. Connect the ipod to your computer. itunes will automatically start. 2. Click the ipod options button on the lower right corner of the itunes window. 3. Click the Photos tab. 4. Select the Synchronize photos from: checkbox and choose My Pictures or Choose Folder and select the folder that contains your photos. Note: You may also choose Photoshop Elements collections (albums) if you have the software installed (version 3 or higher). 5. Choose whether you want all your photos copied to the ipod, or just selected folders. 6. If you choose to just copy specific albums, check the box for the album you created from your PowerPoint slides. 7. Click OK. itunes will then copy the slides to your ipod. 8. Disconnect your ipod by clicking on the Eject icon in the Source panel on the left in itunes. Academic Technology & Creative Services 12 Summer 2006

13 Eject button 9. Now it s safe to unplug your ipod from your computer. Viewing Slides on a TV or Projector 1. Connect the ipod AV cable to the line out port of the ipod Universal Dock or the headphone jack of the ipod. 2. Connect the red, yellow, and white plugs of the AV cable to the output device (TV, VCR, or Smart Classroom panel). 3. Turn on the ipod if it s not already on. 4. Select the Photos item from the ipod main menu. 5. Select the Slideshow Settings menu item. This Slideshow Settings menu allows you to modify the following settings: amount of time per slide music to go with the slideshow repeat slideshow shuffle photos transition between slides output to TV type of TV signal Academic Technology & Creative Services 13 Summer 2006

14 6. Select TV Out to be Ask. (you only need to do this once) 7. Press the Menu button on the ipod to go back to the Photos menu. 8. Select the album that contains your presentation slides. 9. Press the Play button on the ipod. 10. You will be prompted with a choice of TV Off or TV On. Select TV On. 11. The slideshow will begin. If you chose the Time per Slide setting to be manual, click the Next button to advance to the next slide. If you are using the Universal Dock, you can also use the remote control to advance the slides. Using Your ipod in a Smart Classroom You can use your ipod to display photo slideshows or videos in any of the smart classrooms around campus. A smart classroom is a traditional lecture style teaching space that has been equipped with a video/data projector, a VHS cassette player or DVD/VCR combo unit, an overhead transparency projector, and/or a slide projector. By connecting your ipod to the standard smart panel or interface panel in one of these classrooms, you can show your multimedia to your audience. 1. Connect the single mini-headphone jack of the ipod AV Cable to the headphone port of the ipod or the line out port on the ipod Universal Dock. ipod AV Cable White = left audio plug Red = right audio plug Yellow = video plug headphone jack If using the Universal Dock, place the adapter in the Dock (if it is not there already), and then put your ipod in the Dock. Note: The infrared port on the Universal Dock works with the Apple Remote, which allows you limited control of your ipod from across the room. When used with the ipod, the Apple Remote offers play/pause, volume control and forward/back buttons. The Menu button is inactive when used to control your ipod. Refer to page 11 of the ipod AV Connection Kit User's Guide for information on using the Apple Remote. ipod Universal Dock Line out port Academic Technology & Creative Services 14 Summer 2006

15 2. Connect the left (white) and right (red) audio connectors on the ipod AV cable to the left and right audio input ports on the interface panel in the smart classroom. If you are showing video, connect the video plug (yellow) to the video input port on the standard smart panel or interface panel. Note: If you use a different AV cable, such as those used for video cameras and VCR systems, the colors of the connectors may be different. Be sure to connect the video and audio plugs to their corresponding ports on the standard smart panel or interface panel. Standard Smart Panel Interface panel Video port Audio ports Audio ports Video port If using a classroom that has a VCR or DVD/VCR already connected to the standard smart panel or interface panel (as shown at right), DO NOT disconnect the existing cables. Connect your ipod AV Cable plugs to the input plugs on the VCR or DVD/VCR unit. Be sure to turn the DVD/VCR on and set it to VCR. Academic Technology & Creative Services 15 Summer 2006

16 3. Change the ipod settings to display your photos or video to an external display. For photos: Photos > Slideshow Settings > TV Out > On or Ask For video: Videos > Video Settings > TV Out > On or Ask 4. From the main menu, select your photos or video to display. Follow the steps outlined earlier to show a photo slideshow or video from your ipod. 5. When you are finished with your presentation, be sure to turn off the projector from the smart panel. Synchronizing Calendar and Contacts The ipod can be used as a Calendar and Contacts device with Outlook for Windows users and ical/entourage users for Mac users. Calendar events and contacts are only viewable on the ipod and cannot be edited or created. For Windows Users The following instructions illustrate how to synchronize Outlook s events and addresses with the ipod. 1. Connect your ipod to your computer. 2. Click the ipod option button. 3. Click the Calenders tab and select Synchronize calendars from Microsoft Outlook. 4. Click the Contacts tab and select Synchronize contacts from and choose Outlook. 5. When the message appears asking for permission to access Outlook data, click Allow access and choose a time. Note, you need to grant access each time you sync contacts and calendar events. 6. Click OK. During the ipod update, your calendar and contacts are added to your ipod. Academic Technology & Creative Services 16 Summer 2006

17 For Mac Users The following instructions will illustrate how to synchronize Entourage with the ipod. This is a two part process. The first part is enabling Entourage to synchronize with ical and the second part is synchronizing ical with the ipod. Part 1: Synchronize Entourage with ical Microsoft released an update to Office 2004 for the Mac that allows the Entourage calendar and contacts to synchronize with Apple s ical and Address Book. The first thing we ll be doing is installing the update and then we ll synchronize Entourage with ical and the Address Book. You must have Office 2004 already installed on your Mac. If you are not using Entourage and just want to synchronize ical with the ipod, skip to Part 2. Download and Install Entourage Update 1. Visit 2. Download Microsoft Office 2004 for Mac Update. 3. Install the update. Enable Synchronization in Entourage 1. Open Entourage. 2. Click Entourage on the menu and then select Preferences. 3. Select the checkboxes for Synchronize contacts with Address Book and Synchronize events and tasks with ical. If you have more than one address book or calendar, verify that you have chosen the appropriate one. Part 2: Synchronize ical with ipod If you will be synchronizing Entourage data, verify that you have completed Part Connect your ipod to your computer. 2. Click the ipod option button. 3. Click the Contacts tab and select Synchronize Address Book contacts. 4. Click the Calendars tab and select Synchronize ical calendars. 5. Click OK. During the ipod update, your calendar and contacts are added to your ipod. Academic Technology & Creative Services 17 Summer 2006

18 Using ipod as Storage Device The ipod can be used as hard drive (storage device). A few practical uses might be to take a PowerPoint presentation to a classroom or to share files with a colleague. If you decide to use your ipod as a storage device, always manually eject your ipod before disconnecting it. For Window Users 1. Connect your ipod to your computer. 2. Click the ipod options button. 3. Select the Music tab. 4. Select Enable Disk Use. Read the message, which indicates that from now on you must manually eject the ipod after disconnecting, and then click OK. 5. Click OK and an ipod icon will appear in My Computer. 6. You can now drag-n-drop files onto your ipod icon. For Mac Users 1. Connect your ipod to your computer. 2. Click the ipod options icon in the bottom bar. 3. Select the Music tab. 19 4. Select Enable Disk Use. Read the message, which indicates that from now on you must manually eject the ipod after disconnecting, and then click OK. 5. Click OK and an ipod icon will appear on your desktop. 6. You can now drag-n-drop files onto your ipod icon. Troubleshooting Your ipod Here are a couple of tips for troubleshooting your ipod. Additional tips can be found at the Apple ipod Support website: How do I reset my ipod? If your ipod is not responding you can reset it by following these steps: 1. Set the Hold switch (on the top of your ipod) to Hold and then turn your ipod off. 2. Press the Menu and Center buttons at the same time for about 6 seconds, until the Apple logo appears. What if I get the error, "Cannot save preferences"? If you receive this error while attempting to save changes to your ipod in the ipod options window while in itunes, you must reset your ipod first.
