2 PART 2 USING WRITE AND CITE: - How to download Write-n-Cite book marklet in MSWord - Create Place holders in your text - Create a Bibliography WORKING OFFLINE

3 DOWNLOAD THE BOOK MARKLET WRITE-N-CITE IN YOUR MS WORD (a once-off action to be done in your own computer): This will allow you to insert a citation placeholder from RefWorks in your paper In Education Databases, click on RefWorks:

4 Click on Login:

5 Click on: Continue to this website (not recommended)

6 Enter UP s group login code and click on Go to Login

7 Enter your registered log-in name and password

8 DOWNLOAD THE WRITE-N-CITE BOOK MARKLET (once-off action) In your own computer, click on Tools, and in the drop down menu click on Write-N-Cite

9 Download and install the Windows version of Write-N- Cite by following the prompts (we still used the older version)

10 Click on Run

11 This screen will turn over automatically to a window with the text: Do you want to allow the following program to make changes to this computer? Click on the Yes button

12 To install Write-N-Cite, follow the prompts by clicking on the Next button

13 NB!!NB!! When you run the installation of Write-N-Cite, ensure that you tick the box: Allow Working Offline (this option is on the 3 rd page of the installation process)

14 Write-N-Cite will now be installed in your MS Word as a book marklet, as well as an icon on your desktop: MS WORD 2003:

15 MS WORD 2007 & 2010: Click on the Add-Ins tab to find the Write-n-Cite button

16 HOW TO CREATE CITATION PLACEHOLDERS IN YOUR PAPER NB! IN MS WORD, click on the Write-n-Cite button Click on the Yes button to proceed

17 Enter UP s group code (obtainable from your information specialist) and login

18 Log-in, using your RefWorks log-in & password

19 Make sure your current Word document is loaded in RefWorks check the top of your RefWorks page. If not, click on Load It

20 Keep Write-n-Cite open while writing in MS Word. To cite a reference in your text, search for the reference in Write-n- Cite. You could also first select your folder under View, or, if you created no folders, all references should be either in the Last Imported Folder, or in References Not in a Folder. One can also search when in a specific folder.

21 Click on Cite next to the reference you want to refer to in your paper

22 Write-n-Cite will now insert a citation placeholder in the paper for the reference selected (it will be formatted later in your chosen reference style).

23 CREATE A BIBLIOGRAPHY: When you have completed your paper, open Write-n- Cite in MSWord, and click on Bibliography:

24 Select your Output Style from the dropdown menu, and click Create Bibliography:

25 Write-n-Cite will first change the name of your paper by adding Final in front of your file name (the original paper without the bibliography will still be kept in your files under the original name):

26 Then Write-n-Cite will create a bibliography for all the citation placeholders in your paper, and both the citations in the text and the bibliography will be formatted according to the style of your choice (here APA 6 th ed):

27 TO MODIFY IN-TEXT CITATIONS (optional) When selecting a reference, click on Cite next to the citation, and then on Edit citation:

28 1. First choose your Target Output Style from the dropdown menu: APA or Harvard 2. Modify your citation as necessary 3. Modifications will immediately be displayed in the Preview 4. Then click on Save to Word

29 The citation placeholder(s) will display the modification(s)

30 Example of a modified in-text citation and the reference in the bibliography:

31 WORKING OFFLINE Every time when working offline, FIRST click on Tools, and choose from the drop-down menu Create/Update Offline Database

32 Click on Create

33 When the database has been downloaded, ONLY NOW tick the Work Offline box. The screen will turn over automatically

34 The offline list of references will now be displayed. It looks exactly like the online version

35 To create citation place-holders in your work, follow the same steps as if online:

36 Make sure your current Word document is loaded in RefWorks check the top of your RefWorks page. If not, click on Load It

38 Click on the Cite link next to the reference you want to refer to in your paper

39 NB!! TO CREATE A BIBLIOGRAPHY, ONE HAS TO BE ONLINE AGAIN!! Unmark the box: Work offline
