3 Cover Comunication Curriculum Exam Reporting Framework Setup MCAS Student Portal Introduction This document contains an End User version of the Release Notes for the Bromcom MIS Software for Version 5. The Release Notes contain details of the latest updates, fixes and new features that have been implemented in this release. An enhancement is either an improvement we have added or a new feature. Some of these are user requested, but most are enhancements we make to improve the software. This document contains the Release Notes for V Update01. What is an Update? When an enhancement is requested or an issue is found, the details are sent to the Development Team. Once they have made the enhancement or fixed the issue an update is created. This update can contain one or many fixes, for one or many modules, it is then tested by the Testing team and released either to be included into the next Build, (if there is one imminent), or it is passed as an Update to be deployed by the Support Team who will contact you and arrange a mutually agreeable time to apply the Update. 4 New Features Curriculum Apply Timetable Page Updated The apply timetable page has been updated to give the user more functionality when applying a timetable to the system. The user now has a greater range on what they can apply, depending on the selected settings you can map specific timetable days to system days and even apply selected periods form the timetable to map to different periods. All these changes can be done by selecting days and periods from the dropdown in the calendar section of the page. V Update01 Release Notes 3

5 New page for Apply Nova-T6 Timetable Model Nova T6 timetable users now have their own page on which to apply the Nova T6 timetables, located under Curriculum > Routines > Nova T6 Timetable Model apply. When using this feature please follow the instructions on the screen. You must check the following: Make sure a new academic year has been created in Bromcom with the same period structure as Nova-T Make sure any new staff added in Nova-T are also in Bromcom Make sure staff initials in Nova-T match those in Bromcom And after applying the timetable: You will need to assign subjects to classes after timetable applied. You will need to assign year groups to classes after timetable applied e-timetable Duplicate Short Subject Code Check Added. In the latest version of e-timetable (V ) a warning will now show just before the export process starts to warn the user if there are any duplicate short subject codes in the exported timetable. 7 V5 This section will give you a brief overview of the changes to the interface in V5. Please note that WebFolder will no longer be available. All users will use the same interface. Anyone trying to access WebFolder will be directed to the new interface login page. Top Bar In V5 an information bar is shown at the top of all pages. It contains the working interval and main system icons, plus a multi search box. Dashboard The first thing the user will note upon login in to the system is the new dashboard page. Here you can see that there are many widgets, one for most of the modules in the system giving the user a snap shot of information relevant to them. The user also has the ability to select which ones to show on their dashboard by using the dashboard options icon. The dashboard can be loaded at any time by using the dashboard icon at the top of the page. V Update01 Release Notes 6

8 Insight The insight page shows the customisable Attendance and Behaviour widgets that were showing on the current desktop. These have been given an overhaul and moved to their own area to enable faster system access and making the widgets easier to use. Added to these existing widgets is a new customisable Assessment widget to show select assessment data. On this new widget, if the user selects a grade it will show those students who have got that grade, you can also select a range of grades. V Update01 Release Notes 7

9 Module Menu The other thing the user will notice straight away is there is no dropdown menu, instead the user will select the menu icon from the top of the page and all the modules available will appear in on easy to use menu selector. Once a module is selected the homepage for that module is then shown. V Update01 Release Notes 8

10 Home Icon Menu If you hover over the Home icon in the top bar on any page other than a module home page, a menu will appear giving you access to all pages of that module. Clicking on the Home icon still sends the user to the selected modules homepage. Dashboard > Missing Register Widget The missing register widget will still show the user missing registers but will only show all missing registers if the user has access to the Today s Missing Register Page. 11 Administration > Student Record In order to facilitate ease of use and improve performance the student record page has been enhanced to show most of the student based information in one place. The student record now opens with an Overview of that student s information, including assessment and exams data; this replaces the current Student Summary Page. New tabs have been added to the student records, these include the attendance tab to give an overview of the student attendance by day, week or month. V Update01 Release Notes 10

12 The Assessment tab shows the student assessment data and CTF Stage Assessment data. The Exams tab shows the students exam data. The Exclusions tab shows exclusion information. V Update01 Release Notes 11

13 The Learning Aims tab shows the learning aims data for the selected student. And lastly most of the functionality from the support module has been moved under the support tab of the student record. V Update01 Release Notes 12

14 Analysis > Time Dependent Cohort Filters in Analysis Templates In all analysis templates the Active between dates in the cohort filter has changed slightly. If Active On in the cohort filter is selected any cohort filter will be checked as of that date. If Active between is selected, any time dependant filters (like SEN, FSM, LAC, etc) will be filtered on a single date based on selected date range. Examples below: Date range of 01/02/16 to <today>, a date range covering today, time dependent cohort filters will be checked as today. Date range 01/01/16 to 30/01/16, a past date range time dependent cohort filter will be checked as end date 30/01/16. Date range 01/03/16 to 30/03/16, a future date range time dependent cohort filter will be checked as start date 01/03/16. Analysis > Attendance, Behaviour and Student Breakdown Extra functionality has been added in these analysis pages to allow an even greater breakdown of data. These are: (1) Main data table now shows data in both a count and percentage format. (2) Exclusion filters of both type and reason have been added as cohort filters. (3) Save As option added which enables user to clone templates easily. (4) New breakdown has been added, breakdown by reporting groups, if this is selected you can pick the reporting groups you want to return data on from a dropdown. (5) Drilldown feature has been added to allow the user to select one item from the breakdown and drilldown to see those students meeting those criteria. V Update01 Release Notes 13

15 Analysis > Pivot Analysis Another new item in Analysis is Pivot Analysis allowing the user to do pivot analysis on attendance data. Using drag and drop the user selects the required items and then a table and chart is generating based on the selected data. The user can elect to update the data on the fly by unselecting the Defer Layout Update or make the changes and then press update, users can also use the filters to refine the data shown. 25 Attendance Reference(s) Affected Area(s) Problem Description IM Attendance > Reports > Attendance Analysis Exports When using Attendance Analysis Exports, if the filter was on 'Year Attendance By Day Of Week' or 'Year Lateness By Day Of Week' it would IM Attendance > > Register Update Parameters produce an error. Attendance marks were only dropping down into AM and PM under certain circumstances when mirroring had been selected. The following logic has now been put in place It will always drop down the mark ONCE if the mark is a valid mirror mark. The only exception is if the 'Update Mirror Marks for All Types of AM/PM' option is ON. In which case, the mark will drop down every time it is changed. IM Attendance > Reports > Attendance Summary The Attendance Summary Report was not using all data within the selected date range. IM Attendance > User Timetable Whilst entering register marks it sometimes would scroll to the top of the page automatically. IM Attendance > User Timetable > On Report Students When taking Registers, teachers were not able to fill in a Report for a student. IM Attendance > User Timetable If the user wanted to open a register they would have to click on the text, now they can select anywhere on the box. IM Cover Arrange Cover When a room was being covered due to a room closure and the staff member who is normally teaching in the closed room is made absent and covered, it would show the closed room on the staff cover instead of the new room. IM Cover > Reports > Absences Report When scheduling the absences report, it was only running for the initial scheduled day. No date options were available to select in the schedule settings. IM Cover > Reports > Absences Report A swapped entry in cover was showing as absence in Absence report. This was fixed by adding a scrollbar. IM Profile > Dashboard > My Calendars Widget If a staff had a detention register, they were unable to open this from the 'My Calendars' widget. IM IPAD > Profile > Dashboard > Add Behaviour The behaviour screen for tablets was updated so that it is the same as the desktop version. V Update01 Release Notes 33
