CHAPTER 1: INTRODUCTION TO WEBSITE MANAGER The CBC Website Manager allows you, as a Coldwell Banker Commercial affiliate company or NRT metro, to create your own local CBC website with the same look and feel of cbcworldwide.com, but with your own local flavor, free of charge to you. You can easily feature the services, market data, listings and background photos that are specific to your market. The Website Manager offers a customizable, sophisticated, yet easy-to-use platform, leveraging the award winning aspects of cbcworldwide.com, and provides a unified look to each of our companies throughout the CBC organization. One Look, One Voice The CBC Website Manager tool delivers a way for each CBC affiliate and NRT metro to unify under the national CBCWorldwide platform. This ensures that a clear message is communicated to your clients about the commercial real estate services you provide, while providing a high impact, visually engaging website that is constantly updated with your most recent listings and other updates. Ease of Use With technology, often times tools are cumbersome, or difficult to use. The CBC Website Manager was specifically designed to be easy to use and manage. Included with the tool are options to customize the look and feel of every page. In fact, many of the background images you will need are preloaded into the tool. This selection of over 70 high quality images makes customization quick and easy. In addition, each listing on your local site will have the same high quality Microsoft Virtual Earth maps and Claritas demographics that are available on the national cbcworldwide.com site. This is all free of charge to you as a member of the Coldwell Banker Commercial organization. Website Manager Page 5

CHAPTER 2: GETTING STARTED WITH WEBSITE MANAGER The Website Manager allows you to create your own local website with the same look, the same functionality as the national award winning website, cbcworldwide.com. One Website per Company/Metro One thing to note is that there will be one website created for each affiliate company or NRT metro (i.e. for each Blueprint Super User account), regardless of the number of offices that affiliate company or NRT metro has. Accessing the Website Manager Access to the Website Manager tool is available via the CBC Intranet, located on the Blueprint Tools page or Administrator page. Access to this tool is given to those individuals with the Blueprint access role of Company or Office level Administrator or Manager. To access the Website Manager, log into Blueprint and navigate to the Administrator or Tools page. From there, click on the link for Website Manager. Website Manager Page 7

Access through the Website Manager link will take you to the Website Manager page, where training videos and documentation are available to guide you through the creation, publishing, activation of your local website, and the domain redirect activities that will enable visitors to access the site from your own local company web domain (i.e., yourcompanywebsite.com ). ACCESSING THE WEBSITE MANAGER TOOL Click on the Start Using button to access the Website Manager. This will bring you to the Manage Your Website page, or the home page of the Website Manager. Website Manager Page 8

Using the Website Management Page You will be able to begin the process of creating your local website by utilizing one of three easy-to-use website management tools. USE ANY ONE OF THREE CONVENIENT METHODS. 1. Clicking the green Getting Started button will walk you through the process of creating your website step-by-step. This website wizard assists you with easily creating your own local site, even if you have never done so before. At each point, you will Save your changes, and Continue to the next step. 2. Using the New Site Checklist will guide you through the four major steps of producing your website for the first time. The exclamation mark indicates the step has not yet been completed. Once it is done, this will be replaced with a green check mark. Edit your Homepage Add/Modify the About Us section Add your Local Market Data Publish your Website After you have published your website for the first time, the New Site Checklist will no longer appear. Website Manager Page 9

3. Using the Manage Your Website links on the left panel. This allows you to jump to any step of creating, previewing, publishing, and/or activating your website, at your discretion. It is recommended for those who have already gone through the initial process of creating your website for the first time. Note: In addition to creating your website components, publishing and activating the site, you can access Reports that provide website analytics, as well as Resources to help you with report terminology as well as other helpful information. Managing Your Web Domains: An Overview Upon the initial setup of the Website Manager tool, each affiliate company and NRT metro has been provided with a CBC web domain. The format of this web domain will be: YourCompanyKey.local.cbcworldwide.com. The Company Key is the unique identifier for your CBC affiliate company (i.e., your Company s CREST EDG number) or metro (i.e., your NRT Metro number). TO LINK YOUR LOCAL CBCWORLDWIDE.COM WEBSITE TO YOUR COMPANY S WEB ADDRESS, YOU MUST EDIT YOUR DOMAIN This website domain is being provided because CBC will actually be hosting your local website for you, thereby eliminating both the development and hosting costs typically incurred to support a local website. This cost will now be absorbed by Coldwell Banker Commercial. Website Manager Page 10

Editing Your Domain Instead of having to use your CBC Company Key web domain to identify your local website, you can (continue to) use your own local website address (i.e., your companywebsite.com ) on your business cards, marketing and advertising, as well as on the cbcworldwide.com website. In order to identify your local web domain in the Website Manager, you will need to click on the Edit Your Domain button, enter your local web address, and save the information. Once you have done this, both the CBC Domain and Your (local) Domain will appear here on the Website Manager home page. In addition, there are a few steps that must be followed to ensure that your site content is directed successfully from the CBC domain to Your Domain. This will be covered in more detail in the chapter titled, Redirecting Your Domain. Ongoing Status Updates From the Home page you can also track various status updates. ONGOING STATUS UPDATES ARE AVAILABLE THROUGH THE WEBSITE MANAGER HOME PAGE. Website Manager Page 11

1. Website Status There are three possible website statuses. You can update your website status through the Change Status button on the Website Manager home page. Inactive This is the status your website will have while you are first developing and previewing your pages. Active Once your website is ready to be accessed from the internet, you should update it to Active Status. Suspended If you are making edits or need to take your website down for a period time. While suspended, your visitors will be re-directed to the national cbcworldwide.com site. 2. Page Status Shows you where pending changes have occurred. Some pieces of the site are not automatically published, such as the About Us page. Once changes are made to these pages, you must actually publish the pages. 3. Company Information Status Shows you the information entered about your company address and contact information that will be displayed on the Contact Us page. 4. Content Status: Through the Preview & Publish buttons you can review and update your web content. Updating Your Website Initially, when developing your site for the first time, you must develop your content, preview and publish it and then activate it. Provided you have also performed the Domain Redirect steps (see the chapter on this topic), your site will be accessible on the internet via your local company web address. Once your website is available through the internet, you can go back to the Website Manager at anytime to perform edits on any portion of the site. Simple edits will simply require you to update the page through the Website Manager, preview the changes, and re-publish the site (through the Publish link on the left panel). The changes will appear on your site within approximately five minutes. You do not have to re-activate your site, or take it down. If, for some reason, you do not wish your site to be displayed for a period of time, you can Suspend the site. Although this would not be a normal state of affairs, it is an option available to you if you need it. While suspended, your visitors will be re-directed to the national cbcworldwide.com site. 37 CHAPTER 6: MANAGING YOUR MARKET DATA Why add Market Data to your site? Quality data on your market can be a competitive differentiator. It shows that you have an in-depth grasp of your particular market, and that you know how to view investment opportunities strategically. When individual professionals within your company post market data for their specialty on your public website, this allows potential clients to build their confidence in your expertise, even before they meet you. In addition, other individuals within your market have a need for the market data you post, as it will help them to forecast their own business activity. When you can provide data that is valuable to them, they begin to see you as a leader within your market. This coveted position will give you an advantage over your competitors. How to compile Market Data There are many sources of general market data. One great source is Reis, whose resources and services are available through the Blueprint Tools page. In addition, start gathering your own information on your market. Some of the leading CBC offices develop their own databases on each property type and each sector of their market by reading the local newspapers, surfing the internet, making phone calls, and developing their network of local contacts. Even offices that are not large can devote some time each week to gathering and documenting this kind of information, because of its long-term value. Finally, as you compile your own market data, format it in a standard, easy-toread format such as a newsletter or article, with descriptions and charts, where applicable. These can be easily posted to your local website under Market Data. Website Manager Page 37

Managing Your Market Data ( How to ) Selecting the Market Data link from the Website Manager left panel will bring you to the Manage Data Section. This is where the first 20 market data postings will be listed. Any older postings that have not yet been deleted will be available on additional pages. Note: Market Data cannot be posted through Blueprint. To add Market Data THE MANAGE DATA SECTION Website Manager Page 38

CHAPTER 7: PREVIEW AND PUBLISH YOUR SITE Preparing Your Site for the Internet Before your website can be viewed from the internet, you must perform several important steps. 1. Preview your site: You may Preview your site at any time by clicking on the Preview link from the left panel of the Website Manager tool. It is especially important, however, before you publish your site and make it active on the web. 2. Publish your site: So far, your web content has been in a temporary file format, viewable only by you through the Website Manager preview tools. By publishing your site, the Website Manager will convert your pages on the web server to a format that allows it to be viewed on the internet. 3. Activate your site: After publishing your site, your site is automatically updated to Active Status. These first three steps will be covered in this chapter. The fourth and last step will be discussed in separate chapters, as noted below. 4. Redirect your domain: In order for your site to be available at your specific company website address (such as mycompany.com), you will need to ensure that the specific cbcworldwide.com web address that corresponds to your company s web content has been redirected to that web address (i.e. your company s domain name ). ** Note: To perform this step, please see the chapter of this user guide on Redirecting Your Web Domain. Website Manager Page 43

Preview Your Site It is important to preview all of the pages of your site before making it available to view by the public, for obvious reasons. Be sure to have several members of your team proofread every portion of the site content that has been added, in order to catch obvious typos, formatting glitches, as well as approving the content that will be posted. This should also be done whenever an update is made to the site, in the future. 1. Click the Preview Website link from the left navigation panel of the Website Manager. The Preview Website screen will display. SELECT THE PREVIEW WEBSITE LINK, AND THEN CLICK THE PREVIEW WEBSITE BUTTON. 2. Click the orange Preview Website button. A new window will open where all pages of the site are viewable, including all formatting, graphics, links to other sites, and auto-feeds such as your Listings and Professional profiles. 3. Simply close the browser when you are done previewing to continue using the Website Manager. Website Manager Page 44

Publish Your Site Once you are satisfied with the content of your website, it is time to publish it. 1. Click the Publish Website link from the left navigation panel of the Website Manager. The Publish Website screen will display, along with all areas of the site that have been added or updated since the last time it was published. Of course, if this is the first time you are publishing the site, all pages will display as areas with pending changes. SELECT THE PUBLISH WEBSITE LINK, AND THEN CLICK THE PUBLISH WEBSITE BUTTON. 2. Click the orange Publish Website button. Allow all changes to publish before closing out the application. When all pages have been published, a confirmation message will display. (If you see an error, please call the CBC Help Desk for assistance at , Option 2.) 3. Once your site has been published, you will note that the status has been changed to Active, so it can be viewed publicly on the internet. NOTE: If at any time you need to take your site down, you can change the status to Suspended. To do this, see Chapter 8, Changing the Status of Your Site. Website Manager Page 45

Website Manager Page 46

CHAPTER 8: CHANGE THE STATUS OF YOUR SITE Your Website Status While you are first developing your website, it has a status of Inactive. You can easily view the status of your site from the Website Manager main page. WEBSITE STATUS IS DISPLAYED PROMINENTLY ON THE MAIN WEBSITE MANAGER PAGE Website Manager Page 47

There are three possible statuses for your website: Inactive: Your site has a status of Inactive when it is first created. Inactive status displays in red (as shown, above). Active: Once your website has been published, it will be updated automatically to Active status, so it can be viewed publicly on the internet. Active status displays in green. Suspended: You may place your site on Suspended status if you need to do a significant update to the content, or there is any other reason why you do not wish your local site to be viewed temporarily. While a site is on Suspended status, it will be automatically re-directed to the national cbcworldwide.com website. Suspended status displays in red. Change the Status of your Site You can easily update the status of your local website. 1. Select Change Status from the left navigation panel of the Website Manager. CHANGE YOUR WEBSITE STATUS EASILY WITH THE CLICK OF A BUTTON. 2. Click the appropriate button to change the status of your website, as required. 49 CHAPTER 9: REDIRECTING YOUR DOMAIN Once your site has been developed, published, and activated, it is important to note that there is one more step you must perform. When planning your new local internet site, you will want to make sure that anyone accessing your local web address (such as mycompany.com) is automatically re-directed to the new site without having to click any additional links or type in a different URL. This re-direct is handled seamlessly through a Domain Re-Direct. How to Redirect Your Domain This section of the user guide provides the instructions for redirecting your domain. Please follow the specific instructions provided here, depending upon your situation: If you have not previously had a local company website. If this is the case, you will need to acquire a web domain and redirect that domain. If this applies to you, see Appendix B. If you have previously had a local website and you acquired your domain through GoDaddy.com (instead of a web hosting company), please follow the re-direct instructions in Appendix C. If you already have a web domain through a Web Hosting Company. This will apply to you if you already have a local website that was developed and hosted by a web development company. In this case, see Appendix D. Website Manager Page 49

CHAPTER 10: RESOURCES AND REPORTING Local Website Resources A growing repository of website resources are available to you to assist you as you develop your website, examine the monthly reports for website traffic, and seek to continuously improve your site. 1. Select Resources from the left navigation panel of the Website Manager tool. 2. A separate window will open with links to information you can view or download, as needed. This includes information on Google Analytics, to assist in understanding your monthly Website Manager Report data. THE LIST OF AVAILABLE RESOURCES WILL CONTINUE TO GROW. Website Manager Page 51

Website Manager Reports Each month, Google Analytics reports will be uploaded automatically onto your Website Manager account, with specific results pertaining to the traffic on your local website. A MONTHLY ANALYSIS OF THE TRAFFIC ON YOUR LOCAL WEBSITE WILL BE AVAILABLE. The monthly analytical reports provided on Website Manager are listed. A more complete description of each report is provided in Appendix A. For further information to assist you in interpreting your data, see the Resources page. Visitors Overview: Provides an analysis of users who visited your site. Traffic Sources Overview: Shows the % of users who entered the site directly or from links on other sites. Map Overlay: A breakdown of visits by country. Content Overview: Provides the number of page views and breaks down the % of views by page. Dashboard: Provides a summary of highlights from each of the reports. The dashboard actually appears as Page 1 of the five reports, to allow viewers to view the summary before examining detailed results. Website Manager Page 52

APPENDIX A: REPORTS THE VISITORS OVERVIEW The first section of the Visitors Overview shows the number of visitors to your site throughout the past month, by week, with a line graph indicating the high and low trends over the course of the month. The next section shows the Total Number of Visitors to the site during the month, along with a breakdown by: Number of visits Absolute Unique Visitors Number of Page views Average Number of Page views per person Average Time on the Site, in Hrs:Minutes:Seconds Bounce Rate: Number of visits where the visitor left after only viewing the landing page or first page. Can indicate that content should be improved. Percentage of New Visits: % of visits to the site from first-time (i.e. new) visitors. Website Manager Page 53

The last section of the Visitors Overview shows an analysis of the browser type and connection speed of your visitors. Number and % of visits are analyzed for each, as this will indicate how well the visitors browser and connection speed might have been able to handle your content. Website Manager Page 54

THE TRAFFIC SOURCES OVERVIEW The Traffic Sources Overview shows the number of visits to your site throughout the past month, by week, with a line graph indicating the high and low trends over the course of the month. The All Traffic Sources Overview shows the total number of visits to your site throughout the past month, with the percentage of Direct Traffic (entered the URL for your site directly into the browser), as comp ared with those who reached your site through a link on another site (Referring Site), and compared with the percentage of those who came to your site through a search link (Google, MSN, etc.). The percentages are also represented through a pie chart. The last report, Top Traffic Sources, breaks down the sources of traffic by number of visits and percentage, with specific referring websites listed, if applicable, and keywords that yielded a referral. Website Manager Page 55

THE MAP OVERLAY The Map Overlay highlights the countries represented by the Number of Visits shown in the previous reports, where the intensity of the color used to highlight the country indicates the percentage of hits from that country. As shown above, only the continental United States was represente d over the past month. The Site Usage report analyzes Totals for the Number of Visits, Pages per Visit, Average Time on the Site, Percentage of New Visits, and Bounce Rate, as well as the breakdown of these numbers by country. Website Manager Page 56

THE CONTENT OVERVIEW The Content Overview shows the number of page views on your site throughout the past month, by week, with a line graph indicating the high and low trends over the course of the month. The following section shows a breakdown of the Total number of Page views over the past month, along with the number of Page views that were unique (i.e., the visitor viewed the page only once), along with the Bounce Rate. According to the report shown above, of the 1,150 Page views on the site over the past month, 25% of those views were unique (not repeated), and almost 10% (115) of those views resulted in the viewer leaving the site from the landing page. The Top Content section indicates which pages on the website got the most Page views during the month, in number of Page views and overall percentages. This report, in particular, can help you to gauge those pages which are most relevant to your visitors. Website Manager Page 57

THE DASHBOARD (PAGE 1 OF THE REPORTS) The Dashboard shows highlights and summaries from the other four reports. It appears first of the five reports to provide an overview of key data for the month. The Dashboard shows the Traffic Sources Overview with the number of visits to your site throughout the past month, by week, with a line graph indicating the high and low trends over the course of the month. The Site Usage section of the Dashboard shows key summary data from the Visitors Overview, including the Total Number of Visits, Page views, and Pages/Visit, as well as the percent Bounce Rate, % of New Visits, and Average Time on the Site. The Visitors Overview shows the number of visitors to your site throughout the past month, by week, with a line graph indicating the high and low trends over the course of the month. Website Manager Page 58

The other highlights included on the Dashboard are: A smaller size Map Overlay of the World, showing the countries included in the visitor data, at quick glance. A smaller size Traffic Sources Overview, showing the pie chart with the traffic sources broken out by number and percentage. The Dashboard also includes the Content Overview with a quick analysis of the most popular pages, with the number of Page views and percentage of Page views for each, overall. 61 APPENDIX B: DOMAIN REDIRECT: IF YOUR COMPANY HAS NOT PREVIOUSLY HAD A LOCAL WEBSITE When planning your new local internet site, you will want to make sure that anyone accessing the old site is automatically re-directed to the new site without having to click any additional links or type in a different URL. This redirect is handled seamlessly through a Domain Re-Direct. Instructions To arrange for your Domain Re-direct, you need to: 1. Attain the IP address for your local website. This is always set to Obtain a domain name and make changes through your domain name registrar 3. Make redirect updates to your local website Part 1: Attain the IP Address for Your Local Website The following requires access to the company website tool in Blueprint. Only Company and Office Managers and Administrators have access to the company website tool. If you do not have either of those roles in Blueprint, please contact your Administrator and have them perform the following steps for you. Your Local site IP address can be found via the homepage of the Manage Your Local Website section of Blueprint. Website Manager Page 61

To get there: 1. Login to 2. Select the Administration tab at the top of the page, and then select Manage Your Local Website, in the center column. 3. To obtain the Local site IP address, click on the Edit Your Domain button and you will see the IP address listed on that page. The IP address is always set to , so as long as you take note of this it is not necessary to access Blueprint for this information. 4. After successfully attaining your Local site IP address, go to Part 2. Part 2: Obtain a Domain Name and Make Changes through Your Domain Name Registrar 1. The next step is to purchase a domain name via a website hosting company or to manage your own through sites such as GoDaddy.com, etworksolutions.com, Domain.com, MyDomain.com, or a similar site. 2. If you have opted to use a website hosting company, you can work with them to redirect your site (see below). 3. If you have decided to use a website hosting company, contact the company s support staff directly (through phone, , or whatever means they provide) and tell them you need to redirect your domain. Have both the IP address obtained in step one and your newly purchased domain name handy, and explain that you would like to point this domain to the following IP address: NOTE: If you already have an domain ( such as mycompany.com), be sure to tell the company hosting your site not to make any changes to the MX record, as doing so will disrupt your service. 5. After successfully redirecting your domain through your hosting provider, go to Part 3, OR see below. IMPORTANT: If you have decided to manage your own domain, you may do so through or a similar site. You will have to set up an account on the site of your choosing. In the event that you decided to go with GoDaddy, see Appendix D for the steps that you would take to manually re-direct your domain to the specified IP address. Website Manager Page 62

APPENDIX C: DOMAIN REDIRECT: IF YOUR COMPANY HAS A LOCAL WEB DOMAIN THROUGH GODADDY.COM When planning your new local internet site, you will want to make sure that anyone accessing the old site is automatically re-directed to the new site without having to click any additional links or type in a different URL. This redirect is handled seamlessly through a Domain Re-Direct. Instructions To arrange for your Domain Re-direct, you need to: 1. Attain the IP address for your local website. This is always set to Make changes through your domain name registrar 3. Make redirect updates to your local website Part 1: Attain the IP Address for Your Local Website The following requires access to the company website tool in Blueprint. The IP address is always set to , so as long as you take note of this it is not necessary to access Blueprint for this information. 4. After successfully attaining your Local site IP address, go to Part 2. Part 2: Make Changes through Your Domain Name Registrar If you already have a company website address hosted with you can manually redirect your domain to point to the specified IP address. Again, you will have to have an account on the site to do so. Here are the steps that you would take: 1. Log into your GoDaddy.com Account Manager. 2. Under the Domains tab, click My Domains. The Domain Manager appears. 3. Click on your domain. 4. On the proceeding page you will see the phrase Total DNS Control and MX Records highlighted in blue and underlined. Please click this link. 5. You will then see an IP address directly beneath the words Points To, and to the right of that IP address you will see two icons. The icon on the left is the edit button which you will need to click. 6. On the next page you see will the words Route to IP Address and next to it will be a blank text box (middle one). In this box type the IP address for your local website and click OK. 7. NOTE: If you already have an domain (such as mycompany.com), DO NOT make any changes to the MX records, as this will disrupt your service. Step 2 should now be complete if you are managing your own site via GoDaddy.com. Should you still need assistance after taking the above steps, the following may be helpful: The actual Go Daddy instructions on this issue can be found in the Managing Your Domains guide found at the following URL: under the heading Forwarding a Domain Name.
