3 1 INTRODUCTION This document is intended for Administratiors responsible for adding and maintaining content on e-roma Resource online platform. The purpose of the manual is to guide Administrators through all sections of CMS (Content Management System) that has been prepared for the e-rr platform. 2 ACCESSING ADMINISTRATION PANEL To access e-roma Resource Platform s Administration Panel you need to open in web browser. On this page you need to provide your administrator credentials: login and password. After successful login you ll see Administrator s Menu in top part of the page: Static Pages here you will find all uncategorized pages, About e-rr, FAQ, Privacy Policy etc. e-rr Europe structured pages about Rome situation in Europe [Your Country] structured pages about Rome situation in your country. This link varies per each Administrator Account Library all Libraries entries created by you and other Administrators from your country Library Forms/Media list of available Library Form/Media options Library Fields/Subjects list of available Library Field/Subject options News project related news list 3
4 Logout (login) logs you out Each of these sections is described in forthcoming chapters 3 COMMON FUNCTIONALITIES There are few things you will find common in different sections. In this chapter you will find complete list of these functionalities with their description. 3.1 Data tables These tables allow you to quickly search and manage any existing data. Search start typing and table will show only relevant results (using data visible in table) Sorting click on column header to sort table by it. Second click will reverse sort order 3.2 Missing translations Under Edit Item in in previous image there is list of languages that Administrator can edit. If language name is red then this particular item is missing translation. With this you can easily see what you need to fill especially in shared items like News or About e-rr 3.3 Disabling/Enabling item Each new item you add is disabled by default. It means that it is not visible on public part of portal. To let you quickly see which items are disabled their title is colored. You can enable or disable these items any time from Actions column. Sometimes it may be beneficial to change item s disable/enable state after adding it in case of missing translations or found errors in them. Also if item is no longer relevant but Administrator wants to keep it for future reference he/she may disable it so it is no longer visible on public part of portal. Also it is good way of preparing news that are to be published in future each partner can provide a translation before publishing of the item. 4
5 3.4 Deleting items Whenever you click delete link Administration Panel will ask you for confirmation to avoid misclicks. The deletion is final and cannot be undone in any way. 3.5 Modal windows The modal window is a child window that requires users to interact with it before it can return to operating the parent application, thus preventing the workflow on the application main window. Most of edit views are opening in modal windows. There is always a Save button if you want to save your changes. If you want to dismiss them please click anywhere on greyed area to close the modal. 4 SINGLE PAGES In this section you will find list of all unstructured pages by which we mean single pages. You can edit each of these pages by clicking appropriate language in Edit Page in column. 5
6 You can learn more about the editor by reading Appendix A 5 PAGES WITH SUBPAGES (ABOUT E-RR, E-RR EUROPE AND COUNTRIES) From this section you can edit pages that have a structure they have subpages and all are connected with each other by mutual main page such as country s main page for instance. To not enforce any structure of these pages (especially on country level where amount of content may differ) the Administrators are responsible for adding all subpages by themselves. Please note that in these modules you are not able to sort table s data. 6
7 5.1 Adding new page Above the table there is form with which you can add new page to the structure. The added page will be disabled and added as first. 5.2 Re-ordering pages You can re-order pages with simple drag n drop functionality. All you need to do is catch the arrow to the left of page s title and place it in desired place. This change is saved automatically. The little red arrow to the left is pointing the place where dragged page will be dropped. 5.3 Subpages To add subpages simply click subpages in Actions column. You will be taken to similar page as previous. Please note that above of Add form there is navigator showing you your actual position. You can quickly go back to any parent page by clicking on its name. 7
8 5.4 Edit This is the edit view of structured page. Please don t care about wrongly grayed out area in the bottom, it is only a flaw of screenshot taking application. From here you can edit page s title, enabled/disabled state, summary and full text. You can learn more about the editor by reading Appendix A 5.5 What is Summary? The summary is a short snippet that will be visible on public page in contrast to Text field which is meant to contain all informations and is shown upon entering a page after the title. Please consider: 8
9 Here we are viewing Roma in Slovenia page. Situation of the Roma, Demographic data and later are all subpages of this page. The Summary is short snippet below the title and Read More link. If Roma in Slovenia would have Text added it would be shown between the title and list of subpages. 9
10 6 LIBRARY In this section you will find all Library items added for your Country. Library is heart of the platform which contains all items found during research. End user will be able to search through them on public part of platform to find needed informations. This section utilizes all functionalities described in Common Functionalities chapter. 6.1 Edit 10
11 From here you can edit all data related with Library Item. All actions except tagging (which will be covered in next subchapter) requires confirmation by clicking Save button. The image you can upload can be any valid jpeg, gif or png image. You don t have to prepare it, the platform will adjust the image to its needs automatically. If your library item has an image you do not have to re-upload it every time you are editing an item. Form/Media and Field/Subject are predefined and you can only select already existing value. If you are missing one of them please go to Library Forms/Media or Library Fields/Subjects section of Administration Panel and add one. Both sections were covered in previous chapters. 6.2 Tagging Tagging is one of most important things when it comes to editing Library Item as it allows end user to search from aggregated data more efficiently. To ease the process we have implemented few things that will help you out Auto completion Whenever you start tagging the system will find and prompt you tags that are already existing for language that is edited Simple adding If tag you want to use is not yet in the system you can simply write it and press enter. It will then receive its own box like other tags Simple deletion If you want to delete a tag you can click x in tag s box. This action does not ask for confirmation since it is easy to re-add the tag. Additionally if tag is not used by any other Library Item it will be removed from the platform. This is done so auto-completion on public part of portal will not show any empty tags. 11
12 6.2.4 Auto save All changes to tags are automatically saved by the platform and do not have to be confirmed by clicking Save button. This allows you to quickly add big amount of tags without any reloading of page. 7 LIBRARY COUNTRIES From this section you can add, create and remove Library Country properties which are shared for all Administrators. It utilizes most of functionalities described in Common functionalities chapter. These properties can be later assigned to Library items and will allow user to narrow his search. Additionally if you are deleting a Country please note that you will not delete library items associated with this property. All of them will still be available but will no longer have any Country property associated with them. 12
13 8 LIBRARY FORMS/MEDIA From this section you can add, create and remove Library Form/Media properties which are shared for all Administrators. It utilizes most of functionalities described in Common functionalities chapter. These properties can be later assigned to Library items and will allow user to narrow his search. Additionally if you are deleting a Form/Media please note that you will not delete library items associated with this property. All of them will still be available but will no longer have any Form/Media property associated with them. 13
14 9 LIBRARY FIELDS/SUBJECTS From this section you can add, create and remove Library Field/Subject properties which are shared for all Administrators. It utilizes most of functionalities described in Common functionalities chapter. These properties can be later assigned to Library items and will allow user to narrow his search. Additionally if you are deleting a Field/Subject please note that you will not delete library items associated with this property. All of them will still be available but will no longer have any Field/Subject property associated with them. 10 NEWS 14
15 From this section you can manage all news added to platform. This section also utilizes all functionalities described in Common Functionality chapter. News can be divided into several types: Project for Project related news and Roma Inclusion in EU/Country. This property determines where news will be shown on public part of portal. Administrator can select more than one type to show news in more than one place on public part of portal 10.1 Edit From here you can edit all data related with News Item. All edits requires confirmation by clicking Save button. The image you can upload can be any valid jpeg, gif or png image. You don t have to prepare it, the platform will adjust the image to its needs automatically. If your news item has an image you do not have to re-upload it every time you are editing an item. 11 APPENDIX A TEXT EDITOR To ease work with platform we have placed WYSIWYG (What You See Is What You Get) editor to allow not-technical Administrators format text in various ways. 15
16 11.1 Available options Brief description of options in order how they appear (explanation is omitted if usage is obvious): Cut Copy Paste Paste as plain text pastes text from clipboard stripping any styling applied Paste from Word enhances compatibility of text copied from Word. It does not strip any font styling applied so please note that text s font pasted this way may differ from platform s default. If you want to avoid this problem please use Paste as plain text option Undo Redo Image covered in forthcoming chapter Flash inserts custom flash file, functionality is similar to Image Table table wizard. Usually good idea is setting width to 100% and Border size to 0 Insert horizontal line Smiley inserts smileys ;) Special character inserts special characters Insert page-break for printing IFrame iframe wizard. It is used to load external resources like videos, maps etc Embed media allows you to put any HTML code into text. Covered in forthcoming chapter Bold Italic Underline Strike Through Subscript 16

18 Click Browse and select image you want to upload and confirm selection with Send it to Server button. Unlike library and news image will be uploaded as-is since platform does not know how the image will be used. Because of that please make sure that image is optimized for web use or at least is as close to size you want to use on webpage as it is possible. After the image is uploaded you will see its preview Please confirm image addition with OK button in bottom part of modal window Insert link If you want to insert link to external page you can use Link button. 18
19 To enhance user experience please go to Target tab and set Target to New Window (_blank) as on picture below. Upon clicking the link will be opened in new tab allowing final user to not lose e-rr portal tab. Lastly please confirm addition of link with OK button Uploading documents To upload entire document as attachment please follow guidelines described in Chapter 10.3 but instead of entering URL information on first page please proceed to Upload tab which is placed after Target as visible on picture above. Uploading files works in same manner as uploading images Reusing already uploaded content Sometime you will need to reuse material that has been already uploaded to the platform. If you do not want to upload it again (or do not have it anymore) you can right click image or link, choose properties and copy the URL field. Later when adding new image/link please just paste copied URL to its respective field instead of going to Upload tab. 19
20 11.6 Embed Media This is the easiest way to embed for example a video to a page. Here you will find example of how to embed video from youtube.com First you need to go to video s page. Under the player and user information there is a Share button. When it loads please change the tab to Embed. By default it will show you text input with the exact code you have to copy. If you need any changes please click See More below the code, adjust required options and copy the code afterwards. Next please click Embed Media button, paste copied text and confirm with OK 20
21 11.7 Pasting text from Word By default pasting text from Word application will copy all styling applied to text. If this is unwanted you can use»paste as plain text«option pasting whole text. This option ensures that font styles applied to text will be taken from platform's default settings and no additional styles (like text background or font size) will be carried over. You can also select whole text in editor using Ctrl + a and press»remove formatting«button which will remove most styles applied to text. 21
