5 Introduction v Introduction The purpose of this manual is to cross train non-millwork associates that work at The Home Depot. This manual provides the training of getting started with the Millwork Quoting System, Creating a New Order, and Editing an Existing Order. This manual also provides step by step instructions on how create a basic order for a door or window in the My Custom Designs (MyCD) system, so that the needs of the customer are satisfied and met.

9 Chapter 1 3 Chapter 1- Getting Started with Millwork Quoting System Introduction This chapter provides system basics such as logging on and off and button functionality to help you successfully navigate through the system. It also outlines the design process. By the end of this chapter, you will be able to Identify the different stages of design Explain what the Millwork Quoting System (MyCD) is used for Log into MyCD Identify the buttons and describe the functions of each button on the main menu Identify the buttons and describe the functions of each button on the Shopping Cart screen

10 4 Millwork Quoting Basics-MyCD What is a Design? A design consists of units; it s the same as a special order. A design is made up of a unit or multiple units. For example, an interior door is literally a slab, and the hardware includes the hinges, jambs, bore hole, etc. The Design Process Let s look at diagram that provides an overview of the design process.

12 6 Millwork Quoting Basics-MyCD Design Process The design process is comprised of multiple steps. Let s look at each step. Step Description 1 Greet the customer 2 Qualify the customer using basic Millwork knowledge 3 Open a new design in MyCD. This is the same as creating a new order 4 Add new units 5 Save units 6 Submit the design to the Special Services system 7 Print the design and review it with the customer 8 If the customer is ready to make a purchase, attach the design to a service. This is done in the Special Services System 9 Stage the order for the POS register. This is also done in the Special Services System

13 Chapter 1 7 What is the Millwork Quoting System? The millwork quoting system is a design system for special order windows and doors. It is used to enhance paper catalogs and Vendor Information. This system gives you the ability to do the following with special orders: Configure Price Transmit How do I log in? When the computer is on, the loin screen appears. Enter your username and password and click Log In. To launch the program, click Start, All programs, then select MyCD.

14 8 Millwork Quoting Basics-MyCD The Main Menu The main menu contains three buttons: New Design Help Open Design The table below identifies and describes the buttons located on the Start page. Button New Design Open Design Description Used to create a new order Used to open an existing order that has been saved Help Brings up the help menu

15 Chapter 1 9 Shopping Cart Screen In this section, we will look at the Shopping Cart screen. Let s take a closer look at this screen. Here s a screen shot of the tool bar. The table below identifies the buttons located on the Shopping Cart screen from left to right and describes each button. Button Save Save As Send to Special Services Close Print New Unit Help Function Saves the design Gives the ability to save the design to a new design and attach a customer Transmits the design/order to the Special Services system Closes out the entire order Prints the current order Takes you back to the item Configuration screen to add another unit Brings up the help menu

19 Chapter 2 13 Chapter 2- Creating a New Order Introduction Now that you have the knowledge of the basic buttons and how to log into MyCD, we ll begin to create an order. As mentioned earlier, an order is the same as a design, and the design contains one or more units. By the end of this chapter, you will be able to Create a new unit Save a unit and design Submit a design to the Special Services System Print the design

20 14 Millwork Quoting Basics-MyCD Creating a New Unit and Design Let s review steps 3-5 in the design process: opening a new design, creating a new unit, and saving the unit. You may want to refer back to the graphic of design in chapter 1. To review the process, see The Design Process Diagram on page 4. When creating a new unit, there are three basic steps you should follow after you have qualified the customer, gathered the needed information and logged in: 1. Create a new unit in MyCD 2. Answer the questions in MyCD 3. Save the unit in MyCD. When you save a unit, you are saving the attributes of the line item. The system automatically answers questions that have one option available. For example, if a door is available in multiple widths and only available in 80 height, you can select the width and the height will automatically appear.

21 Chapter 2 15 Creating a Door Step 1: Select the product category that the customer wishes to get a design on. You can choose from Patio Doors, Windows, Entry Doors, Interior Doors, Storm Doors and Skylights. For this purpose we will choose the Entry Door option. Step 2: Choose the Entry Door vendor

22 16 Millwork Quoting Basics-MyCD For steel doors choose Jeld-Wen, or Masonite. For fiberglass doors choose Masonite, Jeld-Wen, Feather River, or Ashworth For solid wood doors choose Main Door or Steves and Sons. Step 3: Pick Product category from Entry Door types You can see the options for all entry doors on the left side of the screen shot. Go over options with customer to build a complete unit to satisfaction. General Door information: A front door is generally 36 x80, a back/side door is generally 32 x80 Rough Opening is the opening size of the hole the door fits in Slab is just the door Pre-Hung is Door with a frame Doors come in Wood, Steel or Fiberglass materials

23 Chapter 2 17 Creating a Window Step 1: Select the product category that the customer wishes to get a design on. Step 2: Choose the Window Vendor For vinyl windows choose Andersen, Jeld-Wen, or American Craftsman. For wood windows choose Jeld-Wen or Andersen. Step 3: Pick Product category from Window types

24 18 Millwork Quoting Basics-MyCD You can see the options for all windows on the left side of the screen shot. Go over options with customer to build a complete unit to satisfaction. General Window Information: New construction windows are used for new construction purposes and have a nailing fin attached Replacement windows are used for replacement purposes and have a block frame LOW-E and Argon are films and inert gases that help with the energy ratings of the window such as saving on heating costs in the winter and cooling costs in the summer Mulling is the process of attaching windows together U-Factor (UF) measures how well a window stops heat Solar Heat Gain Coefficient (SHGC) measures how well glazing blocks the sun s heat Visible Transmittance (VT) tells how much light passes through All windows come double paned, two pieces of glass with space in between

25 Chapter 2 19 Saving or Submitting a Design Now that the unit is saved, let s look at the next step. The next step in the process is saving the design or submitting the design to the Special Services System. Again, you can refer back to the graphic of the design process in chapter 1, The Design Process Diagram on page 4, to see where you are in the process. When you save the design, you are saving the order and one or more units, and you are attaching a customer to the order. The design is stored in MyCD. Here are a few guidelines and key points to remember when you save a design. The design is saved after all the units are saved. The design remains in MyCD for 180 days. You can save the design with an incomplete unit, but the unit appears in red on the Shopping Cart screen. You must enter a description title. You can print the design after it has been submitted to Special Services. When the customer wants to complete the purchase today, submit the design to the Special Services System so you can print the customer contract. When you submit the design to the Special Services System, it is automatically saved. Here are a few guidelines and key points to remember when you submit a design. After the design has been submitted, an order number is assigned to the design. A design will not submit to the Special Services system if all product questions have not been answered. A design will not submit if a SKU has not been assigned to the unit.

26 20 Millwork Quoting Basics-MyCD Printing a Design The last step that we will cover in the design process is printing. For more details, refer back to the graphic in chapter 1, The Design Process Diagram on page 4. Printing the design is quick and easy. Once the design is submitted to Special Services, you can click print button and the design prints. After the design prints, review the document with the customer. You can only use the print function after you have saved or submitted the design.

27 Chapter 2 21 Chapter Summary As you can see, the order process builds. It s important that you understand how to open, create, save or submit, and print a design. In this chapter you learned to save a unit, save a design, submit a design to the Special Services System, and print the design.

30 24 Millwork Quoting Basics-MyCD Chapter 3- Editing an Existing Order Introduction In this chapter, you will focus on editing designs. There are several editing options available before the order is saved and after the order is saved. By the end of this chapter, you will be able to Identify the available editing buttons such as undo, redo, etc Open an existing unit or design Save an existing design Copy a saved unit or design

31 Chapter 3 25 Edit Functions The customer may decide to make changes after you have entered the order. What do you do? You may make a mistake while entering an order. How do you correct it? This section focuses on the edit functions. There are several editing buttons available while you are creating a unit and after the unit has been saved. Item Configuration Edit Buttons These buttons are located on the screen that you use to create a unit. Icon Save Cancel Next Unit Clear Unit Prefs Configure Undo Redo Description Saves the unit Cancels the current unit and brings you to the shopping cart screen Saves the current completed unit to the shopping cart screen and starts a new unit Clears all entries on the current init and starts a new unit Preferences button allows you to set up default answers for certain brands of products Sets up mulling options when you are working with windows or doors that will be joined Reverses the previous action Recreates the previous action that was undone

32 26 Millwork Quoting Basics-MyCD Changing an Existing Design Now that we have reviewed the available edit buttons and functions, let s look at the guidelines. Here are a few guidelines you should consider while editing a unit or design. If the design has been submitted o Use the save as function on the edited design if the customer wants to save the original design and the edited design o Changes made to the submitted design are NOT reflected in the Special Services System. Resubmit the design. If the design has not been submitted, you can freely make changes

33 Chapter 3 27 Copying a Saved Unit You may have noticed there are a lot of questions you answer while creating a unit. Some units have over 30 questions. A fast and efficient way to save time while creating similar units is using the copy function. The copy function lets you copy a unit and make changes to the copy. Here s an example: if a customer is purchasing multiple windows from the same vendor yet the sizes are different, you can create the first unit, and then use it as a template. You can copy that unit, open the copied unit, edit the sizes, and go to the next unit. When you copy a saved unit, there are four basic steps you should follow from the Shopping Cart screen: 1. Copy the unit 2. Enter the location for the copied unit 3. Make changes to the copied unit 4. Save the copied unit

34 28 Millwork Quoting Basics-MyCD Using Search and Replace The Search and Replace function is a great time saving feature. It works really well when you get through and realize that you have made a mistake on the order that needs to be changed. Many times, customers will change their mind about a feature and you will need to go back and make a change. You can use the search and replace function when all of the following criteria are met. You have entered multiple items in an order All of the items that need the change are from the same manufacturer
