1 Streaming Presentation Manager User Guide This user guide is intended to be used in conjunction with Slides, Audio with Slides Streaming or Video with Slides Streaming. First we will review the product and the basic screen flow that your event attendees will experience. Then we will look at the Presentation Manager tool and help step you through the process of uploading your presentation, managing your slides, conducting polling, facilitating chat, plus much more. For more information: In the U.S.: In Canada: Product Overview and Screen Flow InterCal s Streaming screen flow involves three main screens. The screens below demonstrate the attendee experience. The leader experience is documented in the Presentation Manager section. 1. Registration (optional) The Registration screen is an input form where viewers enter registration data before being allowed access to the stream. Viewers who have registered will have an event cookie placed on their computers; therefore, if a viewer has previously registered, the registration page will be bypassed the next time the viewer accesses the stream from that same computer. 2. Lobby The Lobby screen serves a dual purpose. It is a landing page for streams that are not currently available for public viewing and is a launch page for streams that are available. When a stream is available to the public, the Lobby page allows users to select their media player option (or non-streaming option if there is a web conference component) and launch the stream. The Lobby page can be set to auto-detect media players and bandwidth and automatically launch the stream. 3. Event Console (Player Console) The Event Console is the screen in which the stream is viewed. The default console is branded as InterCall; however, custom branding requests can be facilitated for an additional charge. Audience URL: Published on Public Website, or distributed in Registration (bypassed if viewer has already registered) Audience Lobby Event Access Closed Audience Lobby Event Access Open (Can Autolaunch Presentation so user doesn t have to choose media selection) Event Console (Audience view of presentation) Last modified on: 5/1/2009

2 Presentation Manager The tool used in conjunction with streaming services is referred to as the Presentation Manager. It is used to help deliver live streams in addition to the following: Push slides Push polls and poll results Push URLs Audience Q&A via the Chat panel Practice and start/stop live events We ve just learned what options are available through the Presentation Manager.Let s learn more about the system environment and how it works by reviewing the user interface. HOW TO ACCESS THE PRESENTATION MANAGER At the time of your reservation, URLs would have been provided for your event. Depending on the type of event you scheduled, you may have received up to five URLs: Audience URL: Publish this URL to the public (or your designated audience) for access to the event. It may be listed on web sites or distributed in . Upload URL: Distribute this one to people who may need to upload PowerPoint slides to the event. Presenter URL: Use this to access to the Presentation Manager tool. This program is only used in the execution of live streams. Preview URL: Click this to access the Player Console to test layout and functionality before the event is made public. This is the only method to access the Player Console before a live event takes place or before an on-demand event is published. Report URL: Use this to access standard reports for the event. Only information regarding this event will be shown in the reports. Uploading your PowerPoint presentation is done using the Upload URL. This is a simple browse > select file > save window that allows your presentation to be saved to our servers* for use during your stream. * Any documentation uploaded to our servers will be removed six months after the event archive has expired. When selecting your slide format, please choose a format that is appropriate for your slide content. If your presentation contains detailed graphics or artwork, we recommend choosing JPG. Presentations that are mostly text should be uploaded as a PNG or GIF format.

3 All other tasks and features are available using the Presenter URL, which is where the Presentation Manager tool is located. The next section outlines how to successfully navigate and run your live Streaming with Slides event. Navigating the Presentation Manager The Presentation Manager is the tool that is used to manage your live events. This is where the slides, polls, URLs and surveys you created are broadcast to the audience during a live event. LOGIN When accessing the Presentation Manager you will be required to enter your name and information to access the application. Be sure to select your role as Customer Admin. This allows you access to all the features of your Event.

4 START PRACTICE PRESENTATION This feature enables you to practice using the application to push slides. Click Start Practice to start the clock on the top right corner of the screen and record when the various elements are broadcast during the practice session on the bottom right corner of the interface. START LIVE PRESENTATION The Start Live Presentation button will be made available one hour prior to the live presentation. This indicates when the presentation is to actually start and begins the recording of elements being pushed for the live event.

5 PRESENTATION MANAGER CONTROL TABS Present The Present tab in thepresentation Manager enables the administrator to create a script of multiple elements to be used during a live event. Setup The Setup link just below the Present tab is where the elements are imported or created and added to the Present list. From this page you can create and include questions, polls, URLs or slides. Creating a question, poll or URL (an element) is as simple as clicking the correct option next to Create. Once an element has been created, select the appropriate link next to Include. This allows you to access your element library and choose which element to include for your event. To change the order of the elements in the Present Library, simply drag and drop them in the Edit Presentation section, then click Save. Slides After slides have been uploaded, they will appear on the left side of the screen while in the Slides tab. To make a slide live to the audience, one of the three following actions must be taken: Double click the thumbnail slide on the left side of the screen. Click the slide on the left side of the screen and click Push To Audience below the slide preview.

6 Click Next just below the slide preview area. (Please note: This will not push the selected slide on the left side of the screen but the next slide in the sequence from the slide that is currently live). Polls Polls allow you to get feedback from the audience. Polls should be created prior to the event and are pushed to the audience from the Polls tab in the Presentation Manager. Poll the Audience Pushes a poll to the audience. To push a poll to the audience, select the previously created poll in the Poll Library (this will highlight the selected poll in orange) and click Push Poll to Audience. Push Poll Results Displays the poll results so the audience can see them, To show the results, click Push Poll Results on the right side of the screen Preview Poll Allows you to view the results from a poll that has been pushed. To do this, select the poll in the Poll Library and click Preview Poll Results on the right side of the screen.

7 Preview Poll Results Allows you to view the polling results before pushing them to the audience. Edit Modifies a previously created poll. Delete Removes a poll from the Poll Library. Create A New Poll Creates and adds a new poll to the Poll Library. Name of Poll: Use to identify the poll within the Presentation Manager. Select Poll Type: Choose a response type for your poll. - Multiple Choice Single Answer - Multiple Choice True / False - Multiple Choice Multiple Answers - Free Response Poll Question: Enter the question to be asked in the poll in the Type in Poll Question field. Poll Answers: Enter the possible answers for the multiple choice poll types in the spaces below the Poll Question area. These options will be made available to the audience for that poll. Polls are limited to six possible answers. Pop-up Poll: Check this box to have the poll appear as a pop-up window as opposed to appearing in the slide window. We recommend that you leave this field unchecked so the slides appear in your Slide Console, as they may be caught in popup blockers.

8 URL The URL tab in the Presentation Manager provides the ability to push a URL to the audience. Push URL To Audience Displays a web page to the audience. Select the URL in the URL Library (this will highlight the URL item in orange) and select Push URL To Audience on the right side of the screen. Preview URL Opens the URL in a new window to ensure it is the proper address to be pushed to the audience. Edit Modifies a URL that is already in the Library. You can also change the size of the window the URL will appear in and whether or not the URL is to act as a pop-up or to be pushed in the slide window. We recommend pushing URLs in the slide window to avoid pop-up blocker issues. Delete Removes the selected URL from the URL Library. Create New URL Adds an additional URL to the URL Library. To add an additional URL to the URL Library, click the Create New URL button on the right side of the screen.

9 URL Type the URL address in the URL field. Title of the URL Enter the name of the URL. Pop-Up Size Options Select the size of the window you wish the URL to be when it is pushed to the audience. You may also enter a custom browser size. We recommend pushing URLs in the slide window to avoid pop-up blocker issues. Pop-Up URL Indicate whether the URL will appear in a new window for the audience or remain in the slide window. We recommend pushing URLs in the slide window to avoid pop-up blocker issues.

10 Attendees The Attendees tab in the Presentation Manager will show all the users who are currently viewing the live event. Total Provides a number of total viewers for the event. Refresh Refreshes the screen with the most current list of users watching the event. Event Log The event log displays a listing of all of the elements that have been pushed to the audience during a presentation as well as the timing of when the elements were pushed.

11 The log will automatically reset when a new practice session or the live event is started. AUDIENCE Q&A The Q&A tab of the Presentation Manager is located on the bottom half of the screen. This is where the questions that come in from the audience will appear and be managed. Priority Allows the administrator to mark each question with a specific priority. Priorities are: Low Medium High Edit Question Enables the administrator of the event to alter the text of a question that has been submitted. Delete Question Deletes the question from the Question Library. Refresh Forces a refresh of the Question Library screen to see if additional questions have been submitted. Auto Refresh Automatically refreshes the page throughout the presentation. Push Question To Audience Pushes the selected question to the console during the presentation. Respond to Question

12 Sends an response directly to the author of the submitted question. Create New Question Enables the administrator to add questions to the Question Library. Select Create New Question, enter the question in the text area and select Save. Mark As Answered Changes the status of the question in the Question Library from Ready to Answered. CHAT The Chat function is available for presenters and moderators in the Presentation Manager so that they can communicate during an event without leaving the interface. Refresh Forces a refresh on the Chat window to see if new messages have been sent. Auto Refresh Automatically refreshes the Chat display throughout the presentation. Your Message Displays messages that are typed. Chat With Determines who will receive the message that is being submitted. Messages sent to an individual will appear in the Chat window with a red icon to indicate a private chat message. Submit Sends the message to the selected individual or group. Reports Reports for an event can be accessed from the Report URL. Available reports include: Summary, Polls, User Questions, Usage Summary and Custom Audience Report.

13 SUMMARY REPORT Provides an overview of the entire event including total registrants, no shows, total unique viewers, live unique viewers and on-demand unique viewers. This report also provides a breakdown of unique viewers by day. Details of each of these sections are available by clicking the various report links. POLLS REPORT Includes a list of polling questions that were pushed during the event with the results of each polling question. USER QUESTIONS REPORT Displays the questions that were submitted during the event with information on whether the question was marked as having been answered.

14 USAGE SUMMARY Displays total users and details on the each user, including the duration the user watched the event. Click Usage Summary, then the number link to show the details of the various users. CUSTOM REGISTRANT REPORT You can customize your own Registrant Report by creating a report that contains only the information you desire to view. This is done by selecting specific parameters on the page including report type, date range, registration fields and additional available fields. This report can also include polling questions, survey questions and user questions and can be displayed in an HTML or Excel format. Below is the Custom Registrant Report page where you will select the options you want displayed in your report. Click Submit at the bottom of the screen when completed.
