1 Health Axis Provider Portal Training August 2017
2 Important Notes Our new system is called Health Axis. The system will be effective on January 1 st, Our new Health Axis system should only be accessed through Google Chrome. Should you encounter any errors while using the new system, please try to clear your cache. Instructions to complete this task are available here: Health Axis allows Primary Care Providers (PCP s) the ability to submit both referrals and authorizations. Specialists will continue to submit their requests to the PCP. The old Provider Portal will still be accessible, however it should not be used after January 1 st, 2017 to submit referrals or verify eligibility.
3 Accessing the Health Axis Provider Portal The direct links to the Health Axis Provider Portal are: Freedom: Optimum: The Portal can also be accessed by clicking the Providers tab on both of our company websites: and
4 Registration Click here to request access. **Only practice owners, administrators and managers should register for access to the portal here. Once registered, administrators are able to login and create logins for their staff. Administrative users are also able to reset passwords and delete accounts for terminated employees.
5 Specialists/Ancillary Registration Specialist and Ancillary Offices (except hospitals) requesting access to the portal should select the option for Vendor Group Admin. Enter the group s Tax ID here. Once the system recognizes your Tax ID, your group s name will populate in the Name field. Select your name from the drop down box. Select the LOB (FRHMCR or OPTMCR) from the drop down box. Complete the remaining sections; including choosing your initial Password.
6 Specialists/Ancillary Registration For Access Level, Specialists and Ancillary providers should only select See Claim Image. Complete the remaining sections of the form. Once the request is submitted, the user will receive an confirmation. Under normal conditions, it can take up to 5 business days for an account to be approved. Once approved, there is a possibility the user may not receive a confirmation of account approval. They should attempt to login about 2 business days after registration.
7 PCP Registration PCP offices requesting access to the portal should select the option for Physician Admin. Enter the physician s individual NPI number here. Once the system recognizes the NPI, the physician s name will populate in the Name field. Select the name from the drop down box. Select the LOB (FRHMCR or OPTMCR) from the drop down box. Complete the remaining sections; including choosing your initial Password.
8 PCP Registration For Access Level, PCP s should select ALL three options. Complete the remaining sections of the form. Once the request is submitted, the user will receive an confirmation. Under normal conditions, it can take up to 5 business days for an account to be approved. Once approved, there is a possibility the user may not receive a confirmation of account approval. They should attempt to login about 2 business days after registration.
9 PCP Registration PCP offices with multiple physicians in the practice will need to repeat the steps provided on the previous slides for each physician in the practice. However for the 2 nd and subsequent physicians, be sure to check the box marked User is a Reviewer box. Complete all of the steps as outlined on the previous slides. By checking the user is a Reviewer box you do not have to enter your desired password again. Be sure to use the same address as submitted on the initial request.
10 Using the Health Axis Provider Portal To login enter your address as your username. Use the password you selected on the registration form. If you forgot the password you selected, click here to reset it.
11 Using the Health Axis Provider Portal PCP users with multiple physicians in their practice will need to select one of their physicians in order to continue to the portal. All other users should automatically be directed to the Terms of Use page. You must select Accept in order to continue.
12 Using the Health Axis Provider Portal Once logged in, you will arrive at the Dashboard. You are able to perform various actions by using the top menu. Your name here
13 Verifying Eligibility Step 1 Select Eligibility from the Menu. Upon selecting Eligibility a dropdown, will appear click Lookup Member and the Member Eligibility Search screen will be displayed. Step 2 Enter search criteria in order to search for your member (ex. 14 Verifying Eligibility Step 3 Upon clicking the Search button, a banner will appear just above the results display; showing how many records match the query. 16 Referral & Authorization Look-Up Step 1 Select Referral/Auth from the Menu. Upon selecting Referral/Auth a dropdown, will appear click View Referral/Auth Member and the Referral/Auth Search screen will be displayed. Step 2 Enter search criteria in order to search for your referral/authorization (ex. Member ID, Last Name, First Name, HICN, Date of Birth, and/or Gender). Once you have entered the information, click Search.

18 Referral & Authorization Look-Up Upon clicking the Select hyperlink, the Authorization Details screen appears and in this example (Referral); the first section is Authorization Details. The rest of the screen is displayed in collapsible sections; showing information related to Ordering Provider, Requested Provider, Requested Facility, ICD Codes, Service Codes, and any Clinical Information which may be attached. Click the Print button, to print a copy of the referral/authorization. Jane Smith A
19 Claims Look-Up Step 1 Select Claims from the Menu. Upon selecting Claims a dropdown, will appear click View Claims and the Claims Search screen will be displayed. Once you have entered the information, click Search.
20 Claims Look-Up Step 3 Upon clicking the Search button, a banner will appear just above the results display; showing how many records match the query. Click the Select hyperlink next to the claim that you wish to review. Upon clicking the Select hyperlink, the Claim Details screen appears. The top section displays the Claim ID, Status, Paid Date, Check No. and Check Amt. The remaining sections will mirror the information that was submitted on the claim.
