3 Introduction 'An e-portfolio is a purposeful aggregation of digital items - ideas, evidence, reflections, feedback etc. which 'presents' a selected audience with evidence of a person's learning and/or ability' Sutherland, S. and Powell, A. (2007) The SOHSC e-portfolio aims to add value to the student experience by developing transferable skills through engagement with personal development at the start of the academic journey. The tool is used to support the development of confident students whose digital literacy is enhanced, and who can articulate, in their e-portfolio, how they are using their critical thinking skills in their academic and professional development as well as dialogue their aspirations for the future. 1
4 Activity 1: Access the School of Health & Social Care E-Portfolio (Mea Vita) 1.1. Log in 1. You can access the School of Health & Social Care e-portfolio (Mea Vita) website by entering the direct URL into your web browser. 2. The Mea Vita home page loads. 3. Locate the User Name: text box and enter your university IT account username, e.g. G , and password and click the Log On button. 4. The Mea Vita e-portfolio dashboard page will load. 2
5 1.2. Overview of E-Portfolio Interface Main Menu The following options are available from the main menu. Items Shares Forms Addresses Organizations People Resources You can manage your portfolio items from this menu as well as add individual items or create collections. You can view lists of the items that you have shared and items that have been shared with you from this menu option. You can view and create a copy of predefined form templates associated with your programme of study. Completed forms can be included in your portfolio. You can manage addresses in this section. Addresses can be used in multiple portfolio items (for example CVs), but only need to be entered once in this section. You can manage organizations in this section. Organizations can be used in multiple portfolio items, but only need to be entered once in this section. You can manage people in this section. People, such as referees, can be used in multiple portfolio items, but only need to be entered once in this section You can manage your resources in this section. Resources are digital assets such as documents and images. Resources can be used in multiple portfolio items, but only need to be entered once in this section. 3
6 Activity 2: Create Personal Copies of Your Programme Specific Forms 2.1 Importing Forms into Your E-Portfolio 1. Select the Forms menu item. The Form page appears 2. Select the Form Templates menu item. 3. A list of available forms will be displayed. To select multiple forms click the checkbox next to each of the required form titles. Click the Add Selected button located towards the bottom of the page/list. 4
7 4. Confirmation that the select forms have been saved successfully will be displayed underneath the main menu (green banner). Once you have created copies of the forms you can view a full list of them by clicking on Your Forms. Please note: If you are adding multiple forms please be patient - the system may take some time to process your forms. 2.2 Renaming a Form There will be times when you need more than one copy of the same form in your e- portfolio but with a different name for each copy. When you have imported a form as described above, you can rename it as follows. 1. Select the Forms menu item. The Form page appears. 2. In the list of forms, click the title of the form for which you want to change the title. In this case, for example, we will choose the SWOT form. 5
8 3. When the form appears, click Edit. 4. Type a new name for the form into the Title: box. 5. At the bottom of the form (you might have to scroll down in the browser window), click Save & Close. 6
9 6. The form will display with its new title. Its new title will also display in the list of Your Forms. 7
10 Activity 3: Structuring Your E-Portfolio Using Collections Collections are used to aggregate and present content Creating a Collection Select the Items menu option. Select the Collections menu option. Select the Add Collection link. Select the Title text box and enter a meaningful title. 2. Select the Content text box and provide a meaningful description. 8
11 3. Click the Save button to complete the creation process. Confirmation that the collection has been successfully saved is shown Associate Form(s) with a Collection Once you have created a collection you may wish to associate individual or multiple forms with the collection. The process for associating forms with an existing collection is described below: 1. Locate the Collections list (e-portfolio > Items > Collections) 2. Locate the collection with which you wish to associate form(s) 3. Select the Items link 9
12 The Items interface loads. A list of available forms is displayed (on the right hand side of the page). 4. Select the required form(s) by clicking the associated checkboxes. Then scroll to the bottom of the page and click the Add Selected button. The interface will be updated. 10
13 5. Once you have added the relevant form(s) select the << Back to collection link. The form(s) are listed on the Collection Details page as shown below. 11
14 Activity 4: Granting Access to Your E-Portfolio All aspects of your e-portfolio are private and can only be viewed by someone if you grant them access. You may be required to share e-portfolio content throughout your programme of study with academics or externals (e.g., educators). The process associated with granting access to your e-portfolio is outlined below Inviting Colleagues 1. Select the Settings button from the main menu. 2. Select the Colleagues sub menu option. 3. Select Find Colleagues. 4. Search for a colleague by typing in their surname and clicking the Search button. 12
15 Note: Externals (educators) must be registered with the system before you can locate and invite them to be your colleague. 5. Click the Invite option beside the colleague(s) you wish to grant access to your portfolio. You are required to confirm that you wish to send the invite. Note: A colleague will need to accept your invitation before they can access any of your shared e-portfolio content (forms, etc.) Creating a Private Group Private groups are used to share e-portfolio content with more than one person at a time. The process for creating a private group is outlined below Click the Settings menu option. Select the Groups sub menu. Select the Create New link. 13
16 The Add a Group page loads. 4. Provide a meaningful title and description for your private group, then click the Save button. 5. You need to add your colleague(s) to the group by clicking the Add button. Remember, if your colleague has not accepted your invitation you will have to return to this step once they have done so. 6. Once you have added all the relevant colleagues to the private group, click the << Back to groups list link. 14
17 Activity 5: Sharing E-Portfolio Content 5.1. Sharing a Collection The guidance below will you show how to share a collection. You can follow this process to share content with academic tutor(s) and other colleagues. 1. Select the Items menu, then the Collections sub menu item. 2. The Collections page loads, select a relevant collection by clicking on the collection title. 3. The Collection Details page loads. Select the checkbox next to the private and/or module group. 4. Click the Share button. The portfolio collection is now shared and can be viewed by members of the selected group(s) Reviewing E-Portfolio Shares The guidance below will show you how to list all portfolio items that you have shared. 1. Select the Your Shares menu item from the main menu. 2. The Share List page appears. 3. Use the View ink to access content that is included in the share. 15
18 5.3. Revoke (Delete) a Share You can revoke access to an e-portfolio item. 1. Follow the guidance above to access a list of shared portfolio items. 2. You can revoke access to an e-portfolio item by selecting the associated Delete link. 3. The Delete Share page appears. Click the Delete button. Note: Deleting a share does not delete the item (e.g., a form) from the e-portfolio; it only prevents colleagues/members of your private group from viewing the item. Activity 6: Using Forms (Editing) You can edit relevant portfolio forms using the Edit feature 1. Select the Forms menu item. 2. The Portfolio Forms page appears. 16
19 3. Select a form you would like to edit by clicking on the form name. 4. The Form Details page will load. Click the Edit link to update the content of the form. The Edit interface will load. You can edit the relevant fields in the form (you will be required to scroll for lengthy forms). 5. Once you have finished editing a form, scroll to the bottom of the form and click the Save button. 17
20 Activity 7: Resources Resources are digital assets such as documents and images. Resources can be used in multiple portfolio items, but only need to be uploaded once into the resources section Uploading a Resource 1. Select the Resources menu option. 2. Select the Upload New link. The Resource Upload page will be displayed. 3. Select the Title text box and enter a meaningful title for the resource. 4. Select the Description text box and provide a description of the resource. 5. Click the Browse... button. The Choose File to Upload window opens. 18
21 6. Select the relevant file/digital asset and click the Open button. 7. Click the Save button. The list of resources available within your e-portfolio will be displayed. The files will be available to associate with forms or collections as evidence. 19
22 7.2. Associating Evidence with a Form You may wish to associate evidence (resources) with an e-portfolio form. The process is outlined below. Locate the form you wish to associate evidence with by going to the Forms >Your Forms section of the e-portfolio. Click on the form name to access the form Details page. From within your form scroll to the bottom of the page and find the Evidence section (shown in image below). Click on the Edit link 20
23 You can associate an existing resource using the Add button or upload a new piece of evidence using the Upload Evidence section of the page. To upload a new piece of evidence Enter a title for the resource you are going to upload (please remember to use a meaningful name), then click on the Browse... button and locate your file. Provide a title Click on Browse Click on Once you have selected your file click the Upload button. Upload The resource will now be shown in the Evidence list as shown below: 21
24 Click << Back to review your form. Click on the << Back link to review your SWOT form. Scroll to the bottom of the page, and you will see the file you have uploaded listed in the Evidence section. File is shown in the Evidence section 7.3. Associating Evidence with a Collection Locate and select a collection by clicking on the collection name. Select the Edit link within the Evidence section. 22
25 A list of available resources is displayed. Locate the resource you wish to associate with the collection and click the Add button Select the << Back text link to review the list of evidence (resources) associated with the collection. Evidence is listed as shown below 23
