3 Directions for School Leaders in Using the Logging In Log into the Georgia Department of Education Teacher and Leader Keys Effectiveness System Electronic Platform by going to: Click the TKES Staff Management tab, as seen above. TKES Staff Management View of the Staff Management page [below] 1. Select the appropriate region, county, district and school. 2. Use the next drop-down field to ensure that the is selected. 3. Use the Menu button next to the Teacher s name to select the Edit option. The Edit option will open the Teacher s plan. If the plan has not been started, select the Start option. Orientation and Familiarization 1 Click the small + sign to open the steps in the Orientation and Familiarization container. TKES Orientation July 18, 2012 Page 3 of 20
4 School Leaders: Click Actions > View at 1 to open the Teacher Acknowledgement of the Orientation. Select the + sign to open the forms and signatures. The Teacher will complete the first step by acknowledging having reviewed the Orientation materials. The teacher will then click Accept as a sign-off and then click Mark Complete to finalize 1. 2 Familiarization At 2 click Actions > View. Teachers will acknowledge having participated in the TKES familiarization and mark the step complete. If a printed copy is desired, click Print Forms at the top of the window and select either the Portrait or Landscape version of the PDF file to download and print. When finished, click the Back button as seen above. July 18, 2012 Page 4 of 20
5 Self-Assessment 1 Self Assessment At 1 click View. A new window will open with the results of the Teacher s Self-Assessment. [See below] Click Back to return to the main TKES page. Teacher Assessment on Performance Standards 1 Documenting Performance Evaluators collect observations and documents to inform the Formative and Summative Assessments. Click Manage. When the new window opens, click Enter Note. A new window will open revealing a text editor for creating and tagging notes. July 18, 2012 Page 5 of 20
6 After a note has been saved, a new Attach File button will appear. Use this to add files to support the evidence of performance on the standards.[see below] If a lengthy note has been created, it may need to split into smaller ones in order to tag part of the note to different standards. To split a note into two more separate ones, simply highlight the text to be split and let go of the mouse. A New Note button will appear over the highlighted text. Click New Note to confirm the action. To tag a note after it has been saved, first click the Edit button near the top of the note. When the note opens, select one or more standards by clicking the check box/es. Click Done when finished. 2 Walkthrough Click Manage. When the new window opens click Start New. 7 A form will open for the observer to enter basic information about the Walkthrough. [See below] Enter the required information and click Save at the bottom of the form. Once the Walkthrough Details window is saved and closed, the TKES Framework window will open with a Notes area at the top of the page and a scoring/rating area at the bottom half. Follow the procedures as found near the bottom of page 3 to complete taking and tagging notes. Walkthrough Rating After notes are entered, scroll to the bottom part of the page to add the ratings and tagged notes for the Walkthrough. Use the ratings column to select an appropriate rating for each standard. Click View Rubric (below each standard) to access information about each level of performance, if needed. Click the Tagged Notes link, as seen above, to add any notes that may have been tagged in the July 18, 2012 Page 7 of 20
8 Notes Library. When the note appears, click Add Note and close the window. When finished entering the ratings and tagged notes, click Save Changes as seen in the screenshot near the top of page 6. After saving changes in the ratings area, scroll to the top of the window and click Save & Exit. The save will be confirmed by the system and the Walkthrough Summary page will open. Walkthrough Summary Page The Walkthrough Summary page will display information about the Walkthrough, including the name of the Observer and the date on which it occurred. Explanations for A E as noted in the screenshot are explained below: A. Menu Options: Use the small menu button to access a variety of options, including: Feedback - Selecting the Feedback link will open a view of the Observation Summary that includes all Notes that have been tagged and added. The Feedback view can be printed, as well. Continue - Selecting the Continue link will return the Observer to the Notes and Observation July 18, 2012 Page 8 of 20
9 window. From there the Observer can complete an observation. Alternatively, even if the Observation has been Finalized and Shared, selecting the Continue button will allow the Observer to make edits to the Observation. If this occurs, the Observer will need to Save, Finalize and Share the Observation again so that it will appear in the Summary window. Delete - Prior to selecting the Mark Complete button, an Observer can delete his/her Observation. Other plan members will not see this option. Share - Selecting the Share link will make it available to other members of the plan. After selecting the Share link, a small window will open, as seen below. Use the drop-down field to select Share and then confirm your choice by clicking the Share button at the bottom, right side of the window. Finalize This link provides a second place to finalize the Walkthrough if it was not previously done on the Ratings/Notes window. Manage Files Selecting the Manage Files link will open a window that allows either the Observer or the Teacher to browse and add attachments to the Observation. For example, a Teacher might add a lesson plan or a formative assessment. Notes Selecting the Notes link will open a window with all tagged notes added to the Walkthrough but will not include any ratings. B. A small, blue thought bubble indicates that a note has been tagged to this standard. Click the icon to view the individual note. 3 C. The rating results will be numbered for each Observation/Walkthrough that is done. Ratings from each subsequent observation will be reflected by boxes of different colors and numbered sequentially. D. The status column, as seen in the Walkthrough Summary above will reflect whether the Observation is In Progress or Completed. Marking the Observation as Finalized will cause the status to change to Completed. E. The Shared column will indicate whether or not the Observation/Walkthrough has been Shared by the Observer. The Teacher will not be able to see the Walkthrough results until it has been Shared. Formative Assessment At 3, click Manage. The new window that opens will reflect the Walkthrough results from the previous step. To begin the Formative Assessment, click Start New. The new window that opens (see below) will include the Notes Library at the top of the page with the ratings area found at the bottom half. Use the same steps outlined previously for taking July 18, 2012 Page 9 of 20
10 notes, tagging them and adding the ratings. Start by first clicking Enter Notes Library. When finished creating and tagging notes for the Formative Assessment, click Done, to leave the Notes Library. Scroll to the bottom half of the page to add ratings and any tagged notes that you want the Teacher to see in the Formative Assessment Summary page. When finished completing the ratings, click Save Changes, located below the Notes Library. Then scroll to the top of the page and click Save and Exit. The Observation Summary window will open, reflecting the fact that two Observations have been done. [See below] The checkbox next to the Observer s name can be selected or deselected to view the results of one or more Observations. The Observer still needs to Share the Formative Assessment with the Teacher and click Mark Complete at the top of the page. When finished, click the Back button at the top of the Summary page. 11 4 Sign-off on Formative Assessment In 4 the principal signs-off that the required number of formative assessments and walkthroughs have been completed. Click Actions > Manage. When the new window opens, select either Formative Assessment #1 or #2, then click Save. After the form has been saved, the Observer will see an Accept button in the Signature area. Click Accept and then click the Back button. 5 Surveys of Instructional Practice Survey results will be available after April 15. Student Growth and Academic Achievement 1 Student Learning Objective Form Note: The data for the SLO form will be imported at a later date. At 1, click Actions > View. The Student Learning Objective Data can be viewed and verified by the evaluator. The Teacher will also upload the Implementation Plan as an attachment, near the bottom of the SLO window. 12 2 Teacher Student Learning Objective Data Note: This step will become available at a later date. Click Actions > Manage. The teacher uploads the final Student Learning Objective data to be verified by the evaluator and then finalize the step by clicking, Accept, at the bottom of the page. The Leader will verify the information and also click Accept. Teacher Effectiveness Measure Roster Verification In this step the Teacher verifies student rosters. 1 At 1 click Actions > View. The Teacher will have completed this step to identify the name of any student who should not be on the roster. The verification form will include a checkbox in the right-hand column of the form that can be selected to indicate students who should not be on the roster. Clicking this checkbox will not remove the student from the roster but will instead notify the district s student information data entry specialist of the need to make the correction. The teacher will also be able to identify and add the name of any student who is missing from the roster. [See screenshot below.] When the new window opens, the teacher may enter the information as indicated in the screenshot below. July 18, 2012 Page 12 of 20
13 2 Click Print Forms at the top of the window to view, download and print a PDF version of the form in either portrait or landscape format. When finished, click Back at the top of the window. Summative Assessment - Evaluators use a combination of observation and documentation to determine teacher ratings on each of the ten performance standards. Click Manage. The window that opens will provide the Ratings form to be used. Enter the Notes Library at the top of the page to review all previously created notes from Walkthroughs and Formative Assessments. When finished reviewing Notes, click Done to leave the Notes Library. The new window that opens will show the Notes Library at the top of the page. Scroll down to the ratings area. A. Click View Rubric for descriptors of performance levels. B. Use the drop-down field to select a rating for each standard. C. Click inside the Specific Comments text box to add notes. D. Click Save Changes at the top of the Summative Assessment when done or if you need to stop and return to finish at a later time. E. Click Save and Exit at the top of the window (above the Notes Library). July 18, 2012 Page 13 of 20
14 3 4 The Evaluator will need to use the Menu > Options to finalize and Share the Summative Assessment so that the status reflects it is Completed and Shared. After finalizing, the Score will be reflected in the Score column. From the top of the window, click Mark Complete. Click Back. Student Growth and Academic Achievement Rating - Evaluator assigns an end-of-year rating using an evaluation rubric Click Actions > Manage The new window that opens will include information about the SLO Student Growth Data and the SGP Student Growth Data. Teachers and Evaluators will each have the opportunity to add Comments to the step by clicking the New button at the Comments field. When finished adding the Comments, click Save. The Comments may still be edited or deleted at this point. When finished making any edits to the comments, click Accept at the bottom of the window. Click Print Forms to view, download and print a PDF version of the Achievement Rating. Click Back at the top of the window. View the Teacher Effectiveness Measure Report Click Actions > Manage When the new window opens, use the drop-down field to select the Teacher Effectiveness Measure, then click Save at the bottom of the window. Use the Actions button (near the top) and select Mark Complete. July 18, 2012 Page 14 of 20
15 Conference Tools 1 Pre-Evaluation Conference Document conversations on Formative Assessments, Survey Data, Student Growth Data, or other TKES processes. Click Actions > Manage Click New Pre-Evaluation Conference The new window that opens will display the Teacher s, location and Employee ID Date of Conference: Click the small calendar icon to select the date on which the conference takes place. Use the text editor (with spell check) to enter information into the text boxes: o Persons in Attendance o Conference Purpose o Statement of TKES Standard(s) Need o Action/Solution/Resolution Plan Click Save at the bottom of the Conference form. An additional text box is available for the Evaluator s Comments. To add summary comments, click New Evaluator s Comments. The Evaluator may also add an attachment in the Comments box. Click Save. The Evaluator Comments can still be edited or deleted by the Evaluator. The Teacher will have access to a separate Teacher Comments field, which the Evaluator will be able to view. Click Accept at the bottom of the page to finalize the conference documentation. Click Print Forms at the top of the page to view and print the Conference Documentation in either portrait or landscape format. Click Back to return to the Evaluation Summary page. Click Save at the bottom of the Conference form. An additional text box is available for the Evaluator s Comments. To add summary comments, click New Additional Conference Evaluator Comments.. Click Attach a File to add additional documentation, if needed. Click Save at the bottom of the Evaluator Comments box. A Teacher Comments box will be visible to the Evaluator but not editable. Click Accept at the bottom of the page to finalize the conference documentation. Click Print Forms at the top of the page to view and print the Conference Documentation in either portrait or landscape format. July 18, 2012 Page 17 of 20
18 6 Click Back to return to the Evaluation Summary page. Professional Development Plan Document conversations on the Professional Development Plan. Click Actions > Manage. Click New Professional Development Plan. The form will include the Teacher s and Evaluator s names, the location, and grade/subject. Click the calendar icon to add a Beginning and Ending Date for the Professional Development Plan. Click Save. The Teacher s Professional Development Plan will be visible in the next form. At the bottom of the page, click to Accept the Professional Development Plan. Both the Teacher and the Evaluator need to complete this step. Click Print Forms at the top of the page to view and print the Professional Development Plan in either portrait or landscape format. Click Back to return to the Evaluation Summary page. Evaluation Reports From the Reports tab: Click Create Report [See below] The new window that opens will show the Evaluation module selected and the Evaluation Status report selected in the lower field. Click Next. The Evaluator s Entity (location) will be shown in the new window that opens. If the Evaluator has administrative access rights to more than one entity, use the drop-down field to select one for the report. [See below] Click Next. July 18, 2012 Page 18 of 20
19 A new window will open with the option to select the specific Evaluation Plan for the report. At this time, the is the only plan, but additional ones may be added over time. {See below] Click Next Click Done. Click the + sign next to each area of the Evaluation plan to view completion results for the school. At the bottom of the window click Memorize This Report to make the report available via a hyperlink from the Reports tab. The filters that were selected in creating this report will be saved in the memorized report. To view report data for each Teacher at the site, click the name of the school (as seen above, Temporary Training Site. July 18, 2012 Page 19 of 20
