1 Habia ERR Online Here is a step by step guide to the registration process for Habia ERR Online You can find the ERR section of the Habia website at: 1. Creating a Learning Provider Account Step 1 You will be asked to create a Learning Provider account; this will be the details of the person who will hold the Master Account for your centre. You will be asked to give basic information including your name and an address, you must be able to access the account in order to activate your account. If you have an address attached to your centre you may find it easier to use this address alternatively if you choose to use a private address you may need to check with your IT department whether there are any restrictions on account access as some IT departments put rules into place that do not allow for accounts such as Hotmail or Yahoo to be accessed. The next part of step one is to activate your account. An will have been sent to the address you provided, this contains a link, click on the link to confirm your address. Creating a Learning Provider Account Step 2 We now need some further information regarding your centre including basic information about your Finance department. You do not need to enter any details relating to your bank account or credit card details. October 2011 Page 1 of 11
2 Once you have completed this section you will receive one free credit on your account. You can use this credit to practice on the system or to register a student. The credit will be shown in a box on the left hand side of the screen. October 2011 Page 2 of 11

Tutor Accounts If you have separate tutors assigned to different groups of students, you can create an account for each tutor enabling them to control the ERR returns for the students in their group. If you do not have separate tutors you can ignore this step and continue to create a student account. Once you have completed the Learning Provider Account set up, you will be directed to a screen to Add a Tutor. You will be asked to input the tutors name, address and telephone number. Again if you have an address attached to your centre you may find it easier to use this address alternatively if you choose to use a private address you may need to check with your IT department whether there are any restrictions on account access as some IT departments put rules into place that do not allow for accounts such as Hotmail or Yahoo to be accessed. 4 Once you submit this information, the tutor will receive an asking them to confirm their address and choose a password. This will then activate their account. Each tutor will only be able to see and receive information relating to the students which are assigned to their account. October 2011 Page 4 of 11

Student Accounts There are two ways to add students to your account; Individually you can add students one by one attached them to the relevant tutor Bulk upload we have created a CSV file (comma separated file) which can be used to import groups of students. Please ensure you have enough credits remaining to cover the amount of students you are wishing to add and that you have already created Tutor Accounts before you begin to add the apprentices. If you are using the CSV file to upload more than one group of students and have separate tutor accounts, you will need to use an individual sheet for each group in order to connect them to the correct tutor. You will need the student s forename, surname and address. Again if you have an address attached to your centre you may find it easier to use this address alternatively if you choose to use a private address you may need to check with your IT department whether there are any restrictions on account access as some IT departments put rules into place that do not allow for accounts such as Hotmail or Yahoo to be accessed. 6 Once you submit this information, each student will receive an asking them to confirm their address and choose a password. This will then activate their account and allow them to begin completing their ERR programme. October 2011 Page 6 of 11
7 The ERR Programme is split into nine outcomes. Students work through the outcomes, they do not have to complete one section before moving to the next they can move around as they obtain the relevant information and evidence. Each section has an indicator which shows how much has been completed for example it may say 3 of 21 sessions complete. Once a section is complete the student will submit this to their learning provider/tutor. The learning provider/tutor can accept or reject and give feedback on each section. As the student works through the programme each entry will be time and date stamped, this allows the learning provider/tutor to oversee how quickly the student completes the programme. 8 Once the student has completed a section the learning provider/tutor are able to accept or reject the section and submit feedback to the student. The student will receive an showing whether this has been accepted or rejected and what feedback has been included. Once all sections have been accepted by the learning provider/tutor, they will be given the opportunity to print off both the Record of Achievement which is the evidence requirement for a full framework certificate and a certificate which the learner can keep on their portfolio. 11 4. Trouble Shooting I have logged in with my address and password but the programme does not start. It takes me back to the home page. Underneath the login boxes there are 3 buttons, check that you are clicking the login button for the relevant account type; Master Account Learning Provider button Tutor Account Tutor button Student Account Student button I have made a mistake in the address can I amend this? Yes. If you have made a mistake in the address of a student, either the Master Account holder or Tutor can amend this. If you have made a mistake in the address of a tutor, only the Master Account holder can amend this. If you have made a mistake in the address of the Master Account holder you will need to contact Habia on for this to be amended. I have put my own name in instead of my organisations name, can I amend this? Not at the moment, you will need to call and we will be able to make arrangements for the amendment to be carried out.
