1 16. Move Out This event is used to report animals that have moved off of a premises that bear an approved unique tag number. For instructions on submitting a move out event on a group of animals based on species, click here. This document provides instructions for both options of uploading information, directly online and file upload. A premises ID number is required to submit a move out event, but it does not need to be added to a CLTS account. To obtain your PID from your provincial registrar click here for contact information. Click here for instructions on how to add your provincial PID to your CLTS account. Note: in order to successfully submit this subsequent event on a USDA tag, an imported event must have been applied first. The chart below can be used to determine which method you should use to submit your information. Click the heading of the method you would like to use to be taken to the instructions. Directly Online File Upload You would prefer not to use a spreadsheet program. You would like to use a spreadsheet program. You have a reliable Internet connection that will not disconnect. You have a slow Internet connection that often disconnects. You have enough time to finish your transaction in one sitting. You do not have enough time to finish your transaction in one sitting. You have less than 10 non-consecutive tags. You have more than 10 non-consecutive tags You need to give less than 10 tags/animals different descriptions regarding event or animal attributes (e.g., event date, account number, colour, sex, etc.). You need to give more than 10 tags/animals different descriptions regarding event or animal attributes (e.g., event date, account number, colour, sex, etc.). You have less than 10 ranges of tags/animals and you want to submit them all with the same description regarding event or animal attributes (e.g. event date, account number, colour, sex, etc.). 2 Submitting a Move Out Event Directly Online Entering an event directly online uses online forms to submit information to the CLTS database. Unlike the file upload method, you do not need to use a spreadsheet program. However, if you lose your Internet connection or turn off your computer before receiving a transaction ID, the information you will have entered will not be saved. If you are using a dial-up Internet connection, we recommend limiting your submission to 10 entries. Quick Tip: One tag range with one event date, is one entry and can be easily done with the directly online method. There are eight steps to submitting information directly online to the CLTS database. To start at the beginning click step 1, or you can skip to any step by clicking the link below. 3 Event Selection 1. Go to Enter your Username and Password, then click Login. 3
4 2. On the home screen there are two ways to access the Directly Online option. a. Go the heading Events and click Submit Events Directly Online from the drop-down menu. b. Click Option 1: Directly Online under the Submit Tag/Animal Event Information heading. a. b. 4
5 3. On the Submit Events: Select Event Type screen, select MoveOut, then click Next. 5
6 4. The system will ask if you are moving animal(s) to a community pasture. a. Yes- will continue to the steps to submit a group movement event that does not require individual approved tag numbers.if you select this, click here for the instructions for the Group Move Out event. b. No- will continue to the steps to submit a regular Move Out event with individual approved tag numbers. c. Once your selection has been made, click Next. a. b. c. 6
7 Adding Tags to the List 1. There are four options to add tags to your list. All of the options can be used to create your list, but only one option can be used at a time. Note: Do not insert spaces, dashes or slashes between numbers. Enter the tag information using one option at a time. 7
8 a. Single Tag i. Select the tag type from the drop-down menu. ii. Enter the 15-digit approved tag number in the field provided. iii. Click Add Tags to List i. ii. iii. b. Tag Range i. Select the tag type from the drop-down menu. ii. Enter the 15-digits of the lowest number of the approved tag range in the field beside Range Start. iii. Enter the 15-digits of the highest number of the approved tag range in the field beside Range End. iv. Click Add Tags to List. i. ii. iii. iv. 8
9 c. Tag Range with Quantity i. Select the tag type from the drop-down menu. ii. Enter the 15-digits of the lowest tag number of the approved tag range in the field beside Range Start. iii. Enter the quantity of tags used in the with Quantity field. iv. Click Add Tags to List. i. ii. iii. iv. 9
10 d. Spreadsheet File- to use this option, you must create a spreadsheet using Microsoft Office, OpenOffice or NeoOffice. You can download the latest free versions of Open Office or Neo Office online. Click here to visit the System Setup tab on the CCIA Resource Centre to access links to the software websites. i. Open a blank spreadsheet and enter the heading Tag_Start in column A row 1, then enter your 15-digit approved tag list in the cells, as per the example below. 10
11 ii. Save the worksheet. Note: We recommend renaming the file to something familiar (e.g., Tag List 2017). Use alphanumeric characters only (i.e., alphabet letters from A to Z or numbers 0 to 9). Do not use punctuation or symbols $?). iii. Return to the Submit Events: Animal/Tag Selection screen, then click Browse to find the file you created. 11
12 iv. When the pop-up window appears, find and select the file you created so that it is displayed in the File name text box, then click Open. v. Once the file appears in the text box, click Add Tags to List. 12
13 2. The tag number(s) will appear at the bottom of the screen under the heading List of Tags Associated with the Event, with the word Add ahead of the tag(s). Continue to add tags using the methods in step 1, until your list is complete. 13
14 Removing Tags from the List 1. To remove an unwanted tag from the list: a. Select the tag type from the drop-down menu. b. Enter the 15-digit approved tag number in the first blank field. c. Click Remove Tags from List. a. b. c. 14
15 2. The tag number will appear again at the bottom of the screen with the word Remove ahead of it. Repeat this step to remove tags as many times as necessary. To remove a tag range, use the second option and follow the same instructions. 15
16 3. Continue to add or remove tags until the list is complete, then click Next. 16
17 Same for All Tags vs. Not Same for All Tags 1. If you have only entered one tag, they system will take you to the event details screen, click here to proceed to the steps for Required Information on page If you have entered more than one tag, they system will ask if you want to apply the same details to each tag. a. Same for All Tags will apply the same details to all tags/animals. For example, one move out date or common animal attributes (e.g., colour, sex, etc.). If you select this option, click here to proceed to the steps for Required Information on page 20. b. Not Same for All Tags will allow you to enter different details for each tag/animal. For example, multiple move out dates or different animal attributes (e.g., colour, sex, etc.). If you select this option, proceed to step 3 on the next page. Note: If the number of tags noted does not match your records, click Back to return to the add/remove screen to correct it. Note: a. b. 17
18 3. On the Submit Events: Event Details for Specific Tags screen, if you have entered a range of tags, click the plus sign (+) to view each tag in the range. Note: Only one range may be opened at a time. 18
19 4. Click the box beside a tag to select it, then click Apply Event Details to Selected Tags to enter the event details for the selected tag(s). Quick tip: Select the tags with the same details all at once. 19
20 Required Information On the Submit Events: Event Details screen, the required information is marked with red asterisks (*). 1. Event Date: enter the date the animals moved off of the premises, with four digits for the year, two digits for the month and two digits for the day. 2. Source Account: Your account name and number will appear automatically. 3. Source Premises: Any valid or conditional premises ID s that have been added to your CLTS database account will appear in the dropdown menu. Select the premises of where the animals arrived. If your premises ID has not been added into your CLTS database account, select Not Added to enter the provincial premises ID manually. Hint: If you cannot remember the tag number(s) you selected, click the number shown within Apply to all (#) tags. Hint OR 20
21 Optional Information Although the remaining fields on this screen are optional, we recommend entering as much information as possible. 1. Vehicle ID: Any active vehicles that have been added to your CLTS database account will appear in the drop-down menu. Select the vehicle from the drop-down menu. If your vehicle has not been added into your CLTS database account, select Not Added to enter the vehicle ID manually. 2. Destination Account and Destination Premises: If you know the details of where the animals are going to, click Search to retrieve the account and premises ID numbers from the CLTS database. If the information is not in the CLTS database, leave the options blank. 3. Sex, Species, Breed and Colour: Each can be selected using the corresponding drop-down menus. 4. Comment: Enter any other data about the move out event. E.g., why the animals are being moved out
22 5. Once all your information has been entered, confirm the information is correct, then click Apply to All. Note: If you are entering information for one tag only, the button will indicate Next instead of Apply to all system will take you to the confirmation screen on page 26. and the 22
23 6. You will return to the tag list and the tags to which you applied the event information will have a Complete status. 23
24 7. Repeat the process until all tags/tag ranges show Complete in the status column, then click Next. 24
25 Confirmation On the Submit Events: Confirmation screen, the information you are submitting will appear under the Event Details heading. Review the information to confirm it is correct. 1. If you need to make any changes, click Back and you will return to the previous screen where you are able to edit the event details. 2. If the information is correct as is, click Confirm and Submit
26 Transaction Details A transaction ID has been assigned to your submission. We recommend making note of the transaction ID in your records, and checking your transaction status to ensure the information processed successfully. 27 Submitting a Move Out Event by File Upload In order to use the file upload method of entering events, you must have Microsoft Office, OpenOffice or NeoOffice installed on your computer. You can download the latest free versions of Open Office or Neo Office online. Click here to visit the System Setup tab on the CCIA Resource Centre to access links to the software websites. There are three steps to submitting information using the file upload method to the CLTS database. To start at the beginning, click step 1 or you can skip to any step by clicking the link below. Step 1- Downloading the Move Out Event Template how to download the CLTS database compatible template. Step 2- Entering Data into the Move Out Event Template how to enter your information correctly in the CLTS database template. Step 3- Uploading the Completed File how to upload your completed file to the CLTS database. 27
28 Downloading the Move Out Template 1. Go to Alternatively, there are links to the CCIA Resource Centre on the CLTS database login and home screens. a. CLTS database Login screen b. CLTS database Home screen 28
29 2. A new page/tab will open to the CCIA Resource Centre online. Click the Events heading. 3. Click the Feedlots and Auction Mart/Markets link, which will take you to the list of events. The move out event can also be found under the Producers and All Types links. 29
30 4. On the Feedlots and Auction Marts/Markets event chart, click Download in the Templates column in the Move Out row. 30
31 5. The following box will appear with three options: a. Open- will immediately open the spreadsheet, but will not automatically save the template to your computer. b. Save- will save the template in your "Downloads" folder. c. Save as- will allow you to choose the location to save the template. Note: The pop-up box may look different depending on which internet browser you are using. For this example, we will choose c. Save as. a. b. c. 31
32 6. Select a location on your computer where you would like to save the template. Change the File Name, then click Save. Once the file is saved, you are ready to enter data into the template. Note: We recommend renaming the file to something familiar (e.g., Event Name Year). Use alphanumeric characters only (i.e., alphabet letters A to Z or numbers 0 to 9). 33 Entering Data into the Move Out Event Template 1. Open the template from where you saved it in the previous steps. The columns with RED headings are mandatory fields, which must have information entered into them. Although the columns with BLACK headings are optional fields, we recommend entering as much information as possible. 2. Information in the template needs to be entered in a specific format which is described in a comment within each header. The information is displayed when you run the mouse cursor over a heading cell. 33
34 3. The cells for Event_Type, Tag_Type, Sex, Species and Colour have drop-down menus to assist you while filling out the spreadsheet. Go to the cell under the heading and click on the arrow to view the options, select the option you want and it will appear in the cell. Continue this process for all rows used. 35 4. Fill out all of the required cells and enter as much information as possible in the optional cells. Once complete, you are ready to upload the file to the CLTS database. Remember: Save the file regularly and save it again when you have completed filling out the spreadsheet.. 35
36 Uploading the Completed File 1. Go to Enter your Username and Password, then click Login. 36
37 2. On the home screen, there are two ways to access the File Upload option. a. Go the heading Events and click Submit Events File Upload from the drop-down menu. b. Click Option 2: File Upload under the Submit Tag/Animal Event Information heading. a. b. 37
38 3. On the Submit a Data File screen, click Browse. 38
39 4. When the pop-up window appears: a. Find the file you created. b. Select the file so that it is displayed in the File name text box. c. Click Open. a. b. c. 39
40 5. The file information will now appear in the text box. Click Upload File. If you receive an error, open your original file to correct the information, then resubmit the file. Click here for a list of common upload errors and their solutions. 40
41 6. On the Confirmation screen, review the sentence that appears for accuracy. It should display the correct account name and account ID. a. If the information is correct, click Submit. b. If the information is incorrect, click Cancel, then re-open the file and correct it before resubmitting. a. b. 41
42 7. A transaction ID has been assigned to your submission. We recommend making note of the transaction ID in your records, and checking your transaction status to ensure the information processed successfully.
