2 This manual contains reference information about software products from Activant Solutions Inc. The software described in this manual and the manual itself are furnished under the terms and conditions of a license agreement. The software consists of software options that are separately licensed. 4 1 QUICK UPDATE GUIDE FOR EXPERIENCED SYSTEM ADMINISTRATORS The following instructions are designed for system administrators experienced with Prophet 21. For fullydetailed instructions, see Detailed Update Instructions starting on page 7. BEFORE YOU BEGIN Before you proceed with the update, ensure that the following checklist is complete. Create a backup of the database (for disaster recovery). Instructions on backing up your database manually can be found in the reference installed with SQL server called SQL Books Online. Create a folder called p21update or delete the contents of the p21update folder if it already exists from a previous update. Put this folder on your server s hard drive; it is where you will store the compressed download files. Make a note of the Crystal Reports path, Script Folder path, and Help File path found in the Files and Folders node of the System Setup system settings in the System Setup module. To find these fields, go to the System Setup module/system menu/system Settings. In this window, expand System Setup and click Files and Folders. Remember these paths for later steps. Locate the folder that holds your system application files, usually located in C:\Program Files\Prophet 21\<<system application name>> (for example, C:\Program Files\Prophet 21\CommerceCenter 10.5). Make a copy of this directory in another location (for example C:\Program Files\Prophet 21\Copy of CommerceCenter 10.5) for disaster recovery purposes. Make sure that no users are logged into the system. 4
5 1 QUICK UPDATE GUIDE FOR EXPERIENCED SYSTEM ADMINISTRATORS Use the following instructions to update your Prophet 21 system. Note: If any error messages display during this process, do not continue and immediately enter a new case with Prophet 21 Support via the web at wdncustomer.activant.com. Make sure to note the exact error and script upon which the update failed. 1. Download the current build release from the Downloads section of the Customer Web Site to the p21update folder you created in the Before You Begin section above. Files include CommerceCenter10.5.xxx.EXE Crystal10.5.xxx.EXE Help10.5.xxx.EXE MDF.exe SQL10.5.xxx.EXE 2. Unzip the SQL10.5.xxx.EXE file to the p21updates directory/folder. 3. Locate and Run the SQL32.EXE application found in the system application files folder (e.g., C:\Program Files\Prophet 21\CommerceCenter 10.5). a. Select a database profile for the database you want to update (Activant recommends that you update a play database prior to your production database, so that you can ensure you will not have any problems with the update before applying it in your production environment). b. Browse and locate the p21updates directory. Click on the directory and click OK. c. Click OK to update your database. Note: If you have more than one database that you would like to update, repeat Step 3 for all of your other databases. Once the program has completed, close the SQL32 program. 4. Unzip the CommerceCenter10.5.xxx.EXE file to the system application files folder (e.g., C:\Program Files\Prophet 21\CommerceCenter 10.5). Note: If you are running CommerceCenter locally from a number of standalone client PCs, repeat these steps for every PC that runs the application. 5. Unzip the Crystal10.5.xxx.EXE file to the Crystal Reports folder. If the path points to a local PC drive, you will need to perform this step on every PC. 6. Unzip the Help10.5.xxx.EXE file to the folder that contains the Help File. If the path points to a local PC drive, you will need to perform this step on every PC. 7. Unzip the MDF.exe file that contains your forms information. 5
6 1 QUICK UPDATE GUIDE FOR EXPERIENCED SYSTEM ADMINISTRATORS a. Unzip the MDF.exe file to the folder that contains the Script Folder. For example, if your Script Folder was c:\jfsrvr\data, go to the c:\jfsrvr folder in the MDF.exe browse. b. Within that folder, you should see a forms folder (so in our example, the correct path would be c:\jfsrvr\forms). Click the forms folder. c. Click OK. d. Click Unzip. If the path points to a local PC drive, you will need to perform this set of steps (a d) on every PC. 8. Delete the contents of the p21updates folder. 9. Please see the Verification section that follows to verify that the update was successfully completed. Verification Launch CommerceCenter and log into the database or databases you have updated. If you receive any error messages contact Activant Support. Please refer to the following sections to ensure that you have completed any additional updates that may be applicable to you. Component Update (page 12) Crystal Integration 2.0 (page 13) If the above updates do not apply to you, your update is complete. Information regarding where to find information on the changes on your new build can be found in the following section: Changes Between Software Levels (page 14) 6
7 2 FULL UPDATE INSTRUCTIONS The following instructions describe the system update process in detail. If you are upgrading from any prior version (for example, from 10.0 to 10.5) you will require an installation CD and these instructions are not applicable. Please see the Installation Guide that comes with your CD for instructions. You can place an update request in the Update Center of the Customer Web Site (CWS). Activant will validate that any requirements to upgrade are being met (custom modification recertification, SQL requirements are met, check re-certification). A support case is automatically created when you place your request through the CWS; notifications are made via updates to the case as to an expected shipment date. In the meantime, Activant highly recommends reviewing all documentation related to the release: New Features Guide, Database Changes, Forms Changes, and solution #s 7712 & The following instructions are for software updates from early builds of the same version (e.g., from v to v , not v10.0.x to v10.5.x). 8 2 FULL Use the following instructions to update your software. Important! Updating from a build prior to requires any existing ProtoBase users to set up associations with merchant processors and payment types. Please see Multiple Merchant Accounts by User in the 10.5 New Features Guide for more information. If you do not set these up, you may encounter errors when you try to process credit card transactions. Note: If any error messages display during this process, do not continue and immediately enter a new case with Prophet 21 Support via the web at wdncustomer.activant.com. Make sure to note the exact error and script upon which the update failed. 1. From the Customer website click Support, then File Center, and then Downloads. Choose the appropriate Applications and Updates folder and then choose the Current Build Release folder. Download the following files to the p21update folder you created in the Before You Begin section above: CommerceCenter10.5.xxx.EXE Crystal10.5.xxx.EXE Help10.5.xxx.EXE MDF.exe SQL10.5.xxx.EXE xxx stands for the update build of the software. For example, if you are updating to , the first file will be CommerceCenter EXE. It is best to download these files into a clean, empty directory. All of the files ending in.exe are self-extracting archive files. Note: If you have a company web site that has been integrated with your Prophet 21 system, and that web site is not hosted by Activant, you will also need to download the CC_Components.xxx.EXE file from the folder within Current Build Release labeled Website Integration. 2. Locate the files you just downloaded to your local PC via Windows Explorer. 3. Double click SQL10.5.xxx.EXE. There will be a field that is labeled Unzip to Folder. It will default to a specific directory that will be different depending on your operating system. 4. Either type in a new, empty directory name in the Unzip to Folder field, or click the Browse button to select a clean, empty directory. Make sure to note this directory, because you will need it for subsequent steps. 5. Click the Unzip button to extract the files. 6. In the folder where you unzipped application executables is a file called SQL32.EXE. Double click this file. The SQL32 application opens. 7. A dialog box will appear when SQL32 starts. You will be able to select a database profile from the drop-down field. Each Profile points to a server and database. Select the profile that points to the database you want to update (Activant recommends that you update a play database prior to your 8
9 2 FULL production database, so that you can ensure you will not have any problems with the update before applying it in your production environment). 8. Then either type in the system administrator password for this server, or login using Windows Authentication, and click OK. Note: Windows authentication will only allow you to login if your Windows Authenticated login has SA privileges. For more on Windows Authentication, see your Windows and SQL Server documentation. 9. A browse window appears. Use the browse window to locate the directory you created in Step Select the directory and click the OK button. The program will look through all the files you extracted in this directory and determine which ones need to be run against the database. It will tell you how many need to be run. 11. Click OK to begin upgrading your database. Wait until this process is done. This process may take a while, depending on how large your database is and how many scripts need to be run. Note: If any error messages display during this process, do not continue and immediately contact the Activant Support Department via the web at wdncustomer.activant.com as a high priority issue. Do not use the database until this step has been successfully completed. If necessary you can restore your database from the backup you created in the Before You Begin section and you can return to working. 12. If you have more than one database you would like to upgrade, repeat Steps 2 through 11 for all your other databases. 13. Once the SQL32 program has completed running the scripts, close it. 14. Double click CommerceCenter10.5.xxx.EXE. 15. Click the browse button and locate the path of your CommerceCenter executables (by default, this is C:\Program Files\Prophet 21\CommerceCenter XX\, where XX is the version number; however, this path may have been modified when you originally installed the software). If you are having trouble finding the correct path, open a Windows Search and search for pxxi.exe. The directory that contains that file is the correct directory. 16. Click the directory and click OK. 17. Click the Unzip button. Click Yes to All if asked to overwrite any files. This will overwrite your existing application files with new ones. 18. If you are using an application server or thin client server (Citrix or Terminal Server) to run CommerceCenter, you may continue to Step 19. If you are running CommerceCenter locally from a number of standalone PCs, repeat Steps 14 to 17 for every PC that must run CommerceCenter. 19. Double click the Crystal10.5.xxx.EXE file. 20. Click the Browse button and look for the Crystal Reports Path you noted from the Before You Begin section. 9
10 2 FULL 21. Select the correct directory and then click OK. 22. Click the Unzip button. Click Yes to All if asked to overwrite any files. If the path you found in the Before You Begin section points to a local PC drive, you will need to perform this step on every PC with CommerceCenter. 23. If you are using an application server or thin client server (Citrix or Terminal Server) to run CommerceCenter, you may continue to Step 24. If you are running CommerceCenter locally from a number of standalone PCs, repeat Steps 19 to 22 for every PC that must run CommerceCenter. 24. Double click the Help10.5.xxx.EXE file. 25. Click the Browse button and look for the Help File Path you noted from the Before You Begin section. 26. Select the correct directory and then click OK. 27. Click the Unzip button. Click Yes to All if asked to overwrite any files. If the path you found in the Before You Begin section points to a local PC drive, you will need to perform this step on every PC with CommerceCenter. 28. If you are using an application server or thin client server (Citrix or Terminal Server) to run CommerceCenter, you may continue to Step 29. If you are running CommerceCenter locally from a number of standalone PCs, repeat Steps 24 to 27 for every PC that must run CommerceCenter. 29. Double click the MDF.exe file. 30. Click the Browse button and look for the folder that contains the Script File Path you noted from the Before You Begin section. For example, if your Script Folder was c:\jfsrvr\data, go to the c:\jfsrvr folder in the MDF.exe browse. Within that folder, you should see a forms folder (so in our example, the correct path would be c:\jfsrvr\forms). 31. Select the forms folder and then click OK. 32. Click the Unzip button. Click Yes to All if asked to overwrite any files. If the path you found in the Before You Begin section points to a local PC drive, you will need to perform this step on every PC with CommerceCenter. 33. If you are using an application server or thin client server (Citrix or Terminal Server) to run CommerceCenter, you may continue to Step 34. If you are running CommerceCenter locally from a number of standalone PCs, repeat Steps 29 and 32 for every PC that must run CommerceCenter. 34. Delete the contents of the p21updates folder. 35. Please see the Verification section that follows to verify that the update has been successfully completed. 10
11 2 FULL Verification Launch CommerceCenter and log into the database or databases you have updated. If you receive any error messages contact Activant Support. Please refer to the following sections to ensure that you have completed any additional updates that may be applicable to you. 12 3 COMPONENTS UPDATE If you have a web site integrated with your CommerceCenter database (such as B2B Seller), and Activant does not host the site for you, then you will need to ensure that your components are updated along with the rest of the system. To update the components, download the CC_Components.xxx.EXE file in the folder labeled Website Integration, within the Current Build Release folder. Components are small pieces of an application that can interface with other applications. For example, you can write a web site that will interact with the CommerceCenter order processing components that enables the web site to enter orders in your system. Instructions for updating the components can be found in the Non-Hosted B2B Seller CommerceCenter Component Installation document. This document is zipped up in the CC_Components.xxx.EXE file. To view the document, double-click the CC_Components.xxx.EXE file and select Run WinZip. Then select CC_B2B_XBG_Component_Update_Instructions.doc and click Open. This opens the installation document in Word. 12
13 4 CRYSTAL INTEGRATION 2.0 If you have not done so already, Prophet 21 recommends that you install the Version 2.0 Crystal Viewer Integration. To check your current Crystal viewer version, use the following instructions. 1. Open your Control Panel (found at Start > Settings > Control Panel or Start > Control Panel, depending on what version of Windows you are using). 2. Open Add/Remove Programs. 3. From the list of programs, look for Prophet 21 CommerceCenter Crystal Viewer 2.0 or CCCrystal. If you see either of these listed, then you already have the 2.0 Crystal viewer integration installed. The Version 2.0 Crystal Integration provides the efficiencies of Microsoft's.NET architecture, enabling the integrated reports to scale more effectively. This does not change the functionality of Crystal Reports in the system. The Crystal Viewer Installation document is included in the zip file you will download from the Customer Web Site. You can find the installation file in the Downloads section of the Customer Web Site, under the appropriate Applications and Updates folder, in the Additional Downloads and Updates folder. Extract the zip file to a temp folder and you will see the PDF installation document. Open it and follow the instructions to proceed. Note: This updated integration cannot be used with Windows NT 4.0. You must be on Windows 2000 or higher. 13
14 5 CHANGES BETWEEN SOFTWARE VERSIONS The Customer Web Site gives you the ability to see changes that will occur to your system when moving from one build to another. To see these changes for your updated process, use the following instructions. 1. Log onto the customer website with your username and password. 2. Click the Prophet 21 tab. 3. Then choose Changes Between Software Versions. 4. In the Version field, select the major version that you are on. 5. In the Start Release Level field, specify the build level you are on. 6. In the End Release Level field, specify the build level to which you are moving. All of the issues that were fixed between those two versions will display on the page. 14
