1 Step 1: A few setup items are needed to properly start using SeamLESS EHR with MedicFusion. Prerequisites: SeamLESS version R1 or greater esuite version on the worksta;on ( ) and on the Server ( ) ebook Version or greater Ac;ve MedicFusion subscrip;on and Prac;ce Iden;fier Java Firefox Web Browser is a must to use in MedicFusion. Windows 7 and 8 only: ARer all prerequisites are met, on all computers running Windows 7 or 8, you will need to tell your ebook, esuite, SeamLESS programs to run as Administrator. In Windows 8, you will also need to tell it to run in Windows 7 compa;bility mode. 1. Right click on the desktop icon for ebook, esuite, and SeamLESS and select Proper;es.
2 2. Click on the Compa;bility tab at the top of the window and then select Change Se[ngs for all users.
3 3. Windows 7 & 8: Choose Run this program as administrator Windows 8 only: Choose Compa;bility Mode: Run this program in Compa;bility Mode for Windows Click OK. Then Ok again to return to the desktop. Step 2: ConCigure EHR Settings 1. Open esuite arer Step 1 is completed. 2. Go to the U;li;es tab. In the SeamLESS EHR Se[ngs pane, be sure to type in your Sign- In page informa;on and Prac;ce Iden;fier that you received from MedicFusion. a. The Sign- In page must be in the exact format in order for the launch bufon to work in the Notes tab. Ie. hfp:\\yourprac;cename.medicfusion.com. b. The prac;ce Iden;fier must be entered 2 ;mes exactly before it will save. NOTE: The next.me you login, it will only show up once. This is normal.
4 3. Click Save. Step 3: Launch the SeamLESS EHR Program ON THE SERVER ONLY The SeamLESS EHR Launch program will upload your SeamLESS data to MedicFusion. The first ;me you run it, it will take a few minutes to run. It will automa;cally go back to the proper date to send your informa;on for you. This program only needs to run on the server and only one instance of it should be running at any ;me. This can be ler to run 24/7 and will only upload needed new visits and changes to old ones. A. Click the Blue EHR/EMR Icon, ON THE SERVER ONLY, to start the program.
5 B. This will launch the SeamLESS EHR Program. To start processing records click the START bufon. C. Once the program has started, it will automa;cally process all visits back to 10/3/2013. Then from that point forward, it will only process: new visits or changes made in SeamLESS that need to be sent to MedicFusion. The display will show the ;me processed, Details, and comple;on/ finished status. The ;mer is set to run every two minutes. NOTE: At this.me, deleted visits in SeamLESS will NOT delete them from MedicFusion. This must be taken care of manually in MedicFusion.
6 D. Once it has completed its first upload, be sure to minimize it so it con;nues to run in the background. Minimize by clicking the in the upper right corner. It will appear in the taskbar so you can see it is s;ll running. E. To reopen up the program once it s running, right click on it and then click show. It will open the program to full view. Once you are finished, minimize it back to the taskbar. NOTE: You will need to relaunch the SeamLESS EHR program:
7 a. If the server computer is ever restarted b. If the SeamLESS EHR program is ever closed or stopped. c. If esuite is ever updated. Once you relaunch the SeamLESS EHR program, your data will automa.cally upload to MedicFusion from.me it was closed to the current.me. Then con.nue as before uploading every 2 minutes. ****A rule of thumb is that if your pa.ents are not appearing in the Pending Queue in MedicFusion, then your SeamLESS EHR Program is not running. Restart it to fix the problem. **** If you have any ques.ons about Steps 1-3, please contact Mentor Support. Step 4: Updating Information into MedicFusion Helpful Hint: Review to the SeamLESS EHR Meaningful Use Guide for HITECH Afesta;on for step by step instruc;ons on mee;ng the requirements and using MedicFusion s interface. There are also EHR Video tutorials available at ****If you have any ques;ons regarding the MedicFusion interface, contact MedicFusion Technical support. For any ques;ons regarding the SeamLESS interface, contact Mentor Support. 1. Launch the MedicFusion Sign- in page by clicking the SeamLESS EHR logo on the Notes page inside esuite.
8 Note: The 3 rd box labeled Prescrip.on Medica.on and Medica.on Allergy reconcilia.on performed online is a good way to keep track on pa.ents that you have completed the Medica.on and Allergy requirements within MedicFusion. 2. Once logged in, you will no;ce that your Pending Queue is full of your pa;ent visits back to 10/3/13. Next to Find: in the pending Queue, you can type in a pa;ent s name that you are looking for in order to enter informa;on into their visits. We will primarily use this to enter Medica;ons and Allergies to Medica;ons.
9 3. Medica;ons and Medical Allergies A. In esuite on the Notes tab, if Pa;ent is not currently prescribed any medica;ons or Pa;ent has no known Drug Allergies is CHECKED, it will automa;cally upload into the pa;ent s visit for you and appear in the pa;ent s visit as seen below. NOTE: You do not need to do anything to the visit in MedicFusion if both boxes are checked in esuite.

HOWEVER, in esuite on the Notes tab, if either Pa;ent is not currently prescribed any medica;ons or Pa;ent has no known Drug Allergies or Both are NOT CHECKED, you must perform addi;on steps in the pa;ent s visit. 1. If you point you mouse and hover over the blue Informa;on bufon, it will show you the Date of Service (DOS) for that pa;ent. Once you find the DOS that you are searching for, click on the PATIENT S NAME to open the visit. 2. Once you click on the PATIENT S NAME, it will open a separate tab in your browser. This new tab will be your pa;ent s file for this DOS. NOTE: You can only have one of these tabs open at a.me.
11 3. To start, click on the bufon in the middle of the page. If done properly, you will receive the following message. Click OK to proceed. Once the page has reloaded, you will now be able to enter the Medical Allergies and/or Medica;ons. I. Medica;ons: Click the Blue arrow. Click Add Medica;ons to open a new tab for your erx.
12 i. Once the erx opens, search for the Medica;on by typing its name and clicking Find. It will populate a list of medica;ons and dosages. NOTE: For our purposes and Chiropractors, we have been advised that dosage amounts do not mawer if you do not know them. Select the Medica;on and any dosage to add the Medica;on. Another screen will appear, at the bofom ler select Con;nue. This will add the medica;on to the erx. Repeat for un;l all medica;ons have been entered. Once complete, Close this tab to return to the pa;ent s visit tab.
13 ii. Once you return to the Pa;ent s visit tab, click refresh Medica;ons to have the medica;ons you just entered populate.
14 II. Medical Allergies: NOTE: If you already clicked on the erx buwon to create a eprescribe for this same date of service, you DO NOT need to do this again. Click the Blue arrow. Click Add Medical Allergies to open a new tab for your erx. i. Once the erx opens, search for the Medical Allergy by typing its name then clicking Find OR choosing a common allergy from the dropdown menu. It will populate a list of medica;ons and dosages. Another screen will appear asking for reac;on: If unknown, select unspecified at the bofom ler select Con;nue/change. This will add the medical allergy to the erx. Repeat for un;l all medical allergies have been entered. Once complete, Close this tab to return to the pa;ent s visit tab.

16 ii. Once you return to the Pa;ent s visit tab, click refresh Medical Allergies to have the Allergies you just entered populate. EXIT: Once all Medica;ons and Medical Allergies have been entered. Click visit and return to your EHR Home page. to exit the Step 5: Clinical Summary Report Batching Helpful Hint: It is easier to add all of your medica;ons and allergies to medica;ons that you have collected BEFORE performing a CCR Batch. However, to meet ;me requirements for the MU guide, it may be necessary to CCR batch before entering the informa;on. Follow the instruc;ons in HINT at bofom of this page to enter the info arer a batch is run. One ;me per week, we recommend running a CCR batch in your system. This is required to be done 3 days arer the visit is entered. (The first batch will not apply to this rule). This Batch func;on sa;sfies Measure 13/15 of the Meaningful Use Guide. 1. At the top of your EHR Homepage, select reports > HITECH > SEAMLESS PINNACLE ONLY
17 2. Enter the date range to perform the CCR batch on. NOTE: For the first batch, choose 10/3/2013 to today s date.
18 3. Select the pa;ents and visit dates that you would like to batch. Then click Save in the lower corner. This completes the CCR Batch Func;on.
19 Step 6: Automated Measure Report The Automated Measures Report will help you track which measures you need to improve on and which are within the acceptable range. It will also let you know which pa;ents are pulling the % above or below the limit. 1. Got to Reports > HITECH > Automated Measure Report 2. Select the date range for your report. NOTE: For 4 th quarter 2013, select to
20 3. Analyze the report. The Automated Measures Report will help you track which measures you need to improve on and which are within the acceptable range. It will also let you know which pa;ents are pulling the % above or below the limit. Clicking Above or below will give you the names of the pa;ents that you can update to meet the measure s requirements. Monitor this report throughout the repor;ng period to make sure your values are within range. ARer 12/31/13, you will use this report to afest with CMS. NOTE: The values and percentages in the report will not be up to date un.l a[er a CCR batch is performed and the pending Queue is empty.
21 Tips, Tricks, & Known Quirks in MedicFusion: There are a few quirks in the MedicFusion program that will not interfere with SeamLESS or the automated Measures report informa;on. Here is a list of know items to ignore. Please do not call support about these items. 1. DO NOT try to use any of the features inside MedicFusion unless we specifically reviewed them in the Meaningful Use Guide or the video Tutorials. Doing so may CORRUPT all of your data and render your site unusable. 2. If you ever get stuck in MedicFusion: a. Click your prac;ce name in the upper ler corner to take you back to the homepage. b. Make sure you do not have mul;ple Tabs open. You can only have 1 pa;ent chart open at a ;me. c. Close the browser, open back up to your log- in page, and log back in. d. Call MedicFusion Support or do a live chat in the support sec;on of your MedicFusion homepage. 3. Pending Queue: a. Names will show mul;ple ;mes. That is because there is one for each visit. b. If there is a duplicate name with the same DOS afached, one of them needs to be manually deleted. This is likely a situa;on where a visit was deleted in SeamLESS, but not in MedicFusion. Contact MedicFusion Support if this is not the case or you need help. c. Names will reappear if you change data in SeamLESS arer you CCR Batch out. This is fine. It will disappear with the next CCR Batch. d. The visits all say New Pa;ent Visit IGNORE e. The ;me of the visit is off by an hour or two. This will be corrected. It does not affect our data - IGNORE 4. In the Pa;ent s visit: a. Orders - None on record with a date. IGNORE
22 b. Vitals Par;ally recorded AND dates where no vitals were recorded show 0 IGNORE 5. Automated Measure Report: a. The numbers and percentages are off - Make sure the Pending Queue is empty and you have run a CCR batch so the report calculates properly. 23 HINT To access a patient s visit AFTER you have run the CCR or Batcher to get them out of pending: Step 1: Go to Clinical > Case History Step 2: Type in the pa;ent s name, select the case that holds the visit, and then select the Visit date. Click SOAP at the bofom to open their visit. Step 3: Add informa;on as necessary like normal.
24 HINT If Medications and Medical Allergies are not showing up in the Patient s Chart for the visit Step 1: Go to Admin > SOAP Se[ngs Step 2: Uncheck the 2 items that say Check to hide the erx Medica;ons and Check to hide the erx Medical Allergies
25 HINT MedicFuison requires the Firefox web browser. Step 1: Go to Download the Free Firefox Browser and Install on all computers that you will use MedicFusion on. Meaningful Use Guide.
