1 01/15/2016 MEDGEN EHR Release Notes: Version 6.2 Build Phone: Fax: Please find below recent updates that were made to your Medgen EHR system: Home Page: Reason for cancellation has been added to the home page appointment list for appointments that have been marked as canceled. A practice specific options exists to show all appointment status time changes from the home page patient appointment list. This is a practice specific option and can be turned on via Medgen support ticket request. A practice specific options exists that will not check in multiple appointments for the same patient on the same day during initial check in. This is a practice specific option and can be turned on via Medgen support ticket request Patient Check Out: The patient portal can now be generated from the check out screen. Patient Check Out: Future Appointments grid, there is now an option to quickly jump appointment on the scheduler. to that Patient Check Out: Additional fields have been added for entry including Language, Race, and Ethnicity to match the drop down menu options found in the patient demographics section. Patient Search: Patient search list will now display patient middle initial. User Inbox: Pending Order: Under the pending orders User Inbox section the order status is now present. Patient Chart: Patient Information Demographics: A security configuration now exists under Setup Security Access that allows you to disable a user's ability to change the office location of a patient. Patient Information Demographics Appointments: Appointment office location will now display in the patient's appointment list. Patient Information Demographics Recalls: A new option has been added to only display "unfulfilled" recalls only.
2 Patient Information Insurance: From patient insurance entry a new category code has been added, OOS to signify Out of State Insurance. Medications: Medications that do not have a corresponding drug code will have the medication instructions display as orange text in the main medication list. All medications without a corresponding drug code may not be e-scribed. Schedule: Additional fields have been added to the quick registration window including , race, language, smoking status, and ethnicity. At the time of patient scheduling you now have the ability to view patient's deleted appointments. At the time of patient scheduling the system will now warn the user if the provider does not participate with the scheduled patient's insurance. The ability to set a provider's non participating insurances may be done in the provider dictionary setup. Patient's that are restricted from a specific user s access will not appear in the schedule view for that user. Instead the schedule time slot will be populated with the text ***SLOT FULL***. At the time of patient scheduling you now have the ability to enter a re-occurring appointment based on a specific frequency. This will allow you to schedule multiple appointments for the same patient quickly. Reporting Schedule Reports Appointment List: Under the "View" drop down selection you now have the ability to filter appointments based on whether they were scheduled as a "walk-in" vs "non walk-in".
3 Under provider schedule when creating a new provider schedule template there is now an option to specify 'Every Other". This option allows you to customize a provider schedule for every other Monday, every other week, etc.. depending on the providers availability. Appointment status change history can be viewed from the appointment status menu option. It will display timestamps of the appointment status change along with the user that had made the change. Printed patient appointment reminder can now be printed with dual English / Spanish version if requested. This is a practice specific option and can be turned on via Medgen support ticket request. Appointments that have been set to a "Canceled" status will appear on the schedule as red with a line through it. Canceled Appointment Encounters: From the patient's encounter list you know have the ability to mark an encounter form / document as. This will allow you to mark the document as incorrectly filed to this patients chart. This can be used specifically for encounter forms that have been signed as complete and can no longer be discarded form the patients chart. A practice specific options exists that will allow you to see the encounter location directly from the patient encounter menu tree. This is a practice specific option and can be turned on via Medgen support ticket request.
4 Encounter Form: Buttons to review medication list and pregnancy history have been added to the "Patient History Panel" in the encounter form. Check Panel: "Interpreted Test Data" and "Discussed / Reviewed Tests" check boxes will auto-check if the user views the patient's lab results. Encounter Form bottom toolbar menu options have been re-arranged to condense all patient specific menus into a single sub-menu, the menu options that are accessible include: "Review Chart" button has been added to the bottom tool bar of the encounter form. This button, similar to print chart, allows you to select various dates from a patients' encounter list or various sections from the chart documents to review the information in a single document. Growth charts are now accessible from the encounter form. When creating a new order from the encounter form order panel you now have the ability to select the order type (Lab, Radiology, Other), prior to starting the new order. A meaningful use checklist is now available from the encounter form through a button located at the top toolbar. The checklist will allow you to review the MU measures for the visit to see which measures have been met and which need to be satisfied. From the left side note assistant under "Past Labs" there is now an option to "Copy All" lab results to the encounter form for a specific date rather than having to select test by test. A date stamp will also appear on the lab text that is copied onto the encounter form.
5 A new "Vitals Panel" can be added to your encounter form from the encounter form setup dictionary. The vitals panel allows you to see more information on the current encounter vitals that may not be directly visible from the physical exam vitals display text. A new "Behavioral Health" panel can be added to your encounter form from the encounter form setup dictionary. Similar to the "Disease Management" panel it will help you capture information about patients related to specific behavioral health measures. Disease Management / Behavioral Health: Under the disease management / Behavioral Health panel that can be added into your encounter form the following tools have been incorporated: Audit-C Tool Morisky Med Scale Drug Abuse Screening Test (DAST) Generalized Anxiety Disorder (GAD) test The completion of these questionnaires from your encounter form can also be incorporated into your final note.
6 Note / Note Templates: A new tag ^TIMESPENT^ has been added to the note template editor to incorporate the time spent during an encounter into your note templates A new tag ^ENOUNTERTIME^ has been added to the note template editor to incorporate the specific time of the encounter into your note templates A new tag ^USERSIG^ has been added to the note template editor to incorporate an image of a user's signature into your note templates. This can be incorporated into the patient intake module to document a witness to the signing of specific documents Faxing: The Medgen faxing system has been upgraded to the new version 3 of sfax. Practices now have the ability to configure separate fax accounts / numbers for different offices within their practice. Superbills: Procedure NDC numbers will display on the superbill print out if configured in the procedure setup. From superbill entry you now have the ability to link up to 8 diagnosis codes per procedure code Immunizations: Immunization registry information can now be set up provider specific Immunization Inventory - Under the patient chart Immunizations there is a new option to enter immunization inventory information. Once created you may select these pre-saved inventory entries to easily populate patient immunization information such as lot number, manufacturer, expiration date, etc.
7 Reporting: Statistics Encounter Statistics: A new checkbox option exists "Encounters w/o Superbills" that will help you identify encounters for the day(s) that do not have corresponding superbills attached. Statistics Super Statistics: Ability to filter superbills by office location has been added. Patient Questionnaire: Questions that are marked as mandatory will stand out more to signify that they are required fields. System Dictionaries: Under Setup Users: new fields to capture the user's address and an image of the users signature has been added Under Setup Users: a new table exists to "Limit Activity to Following Patients". This allows you to setup a user that will only have the ability to access information related to patients that are specified in this table. Under Setup Users: a new user sub dictionary exists where you can setup the user's "User Schedule" in the Medgen system. This can help you keep track of a staff members schedule or availability including time off requests. Under Setup Users: Full practice user schedules can then be printed user dictionary using the button. Under Security Access: a new security access level option has been added regarding the creation of a new note within a patient's chart. Meaningful Use: The Meaningful Use module has been upgraded to match the new 2015 objectives for stage 1 and stage 2. Along with new menu options to calculate the measures individually or from the report card a new companion guide is also available. These can be found under Reporting Meaningful Use. DIRECT: DIRECT s may now be configured provider specific. When sending DIRECT s you now have the ability to choose for which doctor DIRECT the message should be sent from. Patient Portal:
8 The patient portal landing page has been redesigned, the new landing page will appear as follows. It will include your practice name as well as practice logo if one has been uploaded to your practice setup. Special Notes: Medgen EHR would like to provide you with important information regarding e-prescribing of controlled substances (EPCS) for New York State Providers The I-STOP Act that has passed requires that all prescriptions, for non-controlled and controlled drugs must be sent electronically by March 27th, We are currently partnered with DrFirst using their EPCS Gold solution to allow you to meet the requirements of I-STOP. In order to be ready for I-STOP and EPCS you must first have e-prescribing of non-controlled substances enabled in your Medgen EHR system.
