4 About Sales Station Mobile Overview There are three general steps to set up Sales Station Mobile (SSM) for the first time. Set up your station types. A station type describes a group of ipads that are used for the same purpose. Every ipad assigned to the same station type will display the same keys and options. All you need to do to create a station type is enter a meaningful name. For example, if one department plans to use SSM for event registration and another department plans to use SSM to ask for donations, you could set up two station types: one called Event ipads and one called Donations ipads. Set up each ipad as a station. Each ipad that you plan to use with SSM must be identified and assigned to a station type. This allows you to track the usage of each device. All you need to do is assign a unique name to each ipad, like Event ipad 1 and Event ipad 2. Set register keys and other options For each group of ipads (identified by station type), you ll set options for credit card payments, receipts and signatures, and assign Doubleknot items to register keys. Displaying the Sales Station Page The SALES STATION page provides links to every Sales Station feature. To display the SALES STATION page, follow this step: 1. In the ADMINISTER panel at the left of the main Doubleknot page, click Sales Station. THE SALES STATION page will be displayed. Sales Station page Setting Up Sales Station Mobile 1

5 Station Types and Stations A station type describes a group of ipads that are used for the same purpose. Every ipad assigned to the same station type will display the same keys and options. Getting Started 1. On the main SALES STATIOn page, click Manage Stations. The STATION MANAGER page will be displayed. Station Manager page Setting Up Station Types To create a new type of station, follow these steps: 1. At the top right of the page, click Station Types. The STATION TYPE MANAGER page is displayed. Station Type Manager 2. In the text field at the bottom of the list, enter a name for the type of station. 3. Click Add New. The station type will be added. 4. If you re setting up more than one station type, repeat steps 2-3 as many times as needed. 5. To leave the page, click Done. For example, if you re configuring ipads that will be used by membership staff for roaming sales, you could create a station type called Roaming Memberships. Setting Up Sales Station Mobile 2

6 Setting Up ipads as Stations Each ipad that you plan to use should be set up as a station. For example, if you have three ipads that will be used for roaming sales, you will set up three stations one for each ipad. To set up each ipad as a station, follow these steps on the Station Manager page: 1. At the top right, click New Station. The Add Station dialog box will be displayed. Add Station dialog box 2. In the TYPE menu, select the station type for this ipad. 3. In the NAME field, enter a meaningful name for the sales station, such as Membership ipad #1. 4. Click Add New Station. The new sales station will be added to the list in alphabetical order. 5. Repeat step 1-4 until all the ipads are added. 6. To leave STATION MANAGER, click Done. The main Sales Station options page will be displayed. Setting Up Sales Station Mobile 3

7 Setting Up Sales Station Mobile ipad Registers Every station assigned to the same station type will use the same configuration for register keys and other payment options. For example, all registers assigned to the class Front Gate will automatically display the same buttons on the register page and display the same options for receipts. Getting Started To begin setting register options, follow these steps: 1. On the main SALES STATION page, click Manage Register Keys. The REGISTER KEY ASSIGNMENT page is displayed. 2. In the STATION TYPE menu at the upper left, select the type of station that you plan to configure. The Register Key Assignment page. In this example, we selected the Roaming Memberships station type. The settings you choose on this page will apply to all ipads assigned to Roaming Memberships. Setting Payment, Signature and Receipt Options Follow these steps in the STATION TYPE SETUP panel at the lower left. Station Type Setup panel on the Register Key Assignment page 1. In the STATION TYPE menu, select the type of station that you want to work with. 2. In the AMOUNT REQUIRED FOR SIGNATURE field, enter the minimum credit card purchase amount that requires a signature. For example, if you enter 10, all credit card purchases that total $10 or more will require a signature. To require a signature for all credit card transactions regardless of the total amount, enter In the RECEIPT OPTIONS menu, select Show Receipt Page. 4. In the ELECTRONIC SIGNATURE CAPTURE menu, select Yes. NOTE: The ALLOW DRAWER TO OPEN ON NO SALE setting is not used with Sales Station Mobile. Setting Up Sales Station Mobile 4

8 Assigning Register Keys Everything configured for sale in Doubleknot can be assigned to a register key. In addition, cashiers can sell items that are not assigned to keys by clicking or tapping the CATEGORY LIST button, which displays everything configured for purchase in Doubleknot organized by category. You can create a register key for anything that s configured for sale in Doubleknot, including general admission tickets, event admission, donations, memberships and more. Before you start assigning register keys, make sure you have the following information: Which Doubleknot items you want to assign to register keys for this station type Which categories contain items that you want to display on a second screen behind a single key. For example, if you assign the category Camps to a key, tapping the Camps key will display a list of all available camps. For items like events and memberships that have a registration process that collects customer information, you must choose whether to launch the complete registration process on the ipad, or to only ask the cashier to select the number of registrants. Assigning Items to Keys To assign an item to a register key, follow these steps: 1. In the panel at the right, click the tab for the item s category. For example, to add an event, click Events. To add a membership, click Memberships. 2. Scroll down the list to locate the item you want to add. Items are listed in alphabetical order. A tab might contain many pages of items. Use the arrows at the bottom of the list to display other pages in the list. 3. When you ve found the item you want to add, drag-and-drop the item on a blank key. 4. If you added an item that requires registration information, a dialog box will ask whether you want to display the full registration process in Sales Station. If you want to collect full registration information for this item, click OK. If you want to skip the full registration process on Sales Station Mobile, click Cancel. 5. A dialog box asking you to provide a name for the register key is displayed. Type a short name to identify the key. This text will be displayed on the register key. 6. Click OK. The key will be assigned to the register. Removing an Item from a Register Key To remove an item register key, follow this step: 1. Drag-and-drop the key on the trash can icon below the key panel. The item will be removed from the register key. Leaving the Page When you re finished assigning items to keys, follow this step: 1. At the bottom of the page, click Done. The configuration will be saved and the main Sales Station page will be displayed. Setting Up Sales Station Mobile 5

9 Assigning Sales Station Permissions Everyone who will use the Sales Station app must have Sales Station permissions assigned to their Doubleknot logon account. Complete information about permissions and account management including assigning permissions to roles and groups is located in the Member Management user guide. To add Sales Station permissions to individual accounts, follow these steps: 1. On the main Doubleknot page, click Member Management. The MEMBER MANAGEMENT page is displayed. 2. Click the Permissions tab. 3. Click User Permissions. The MANAGE MEMBER PERMISSIONS page is displayed. 4. In the MEMBERS WITH PERMISSIONS panel at the left, select the person. The PERMISSIONS panel at the right will be displayed with the person s current permissions. 5. In the PERMISSIONS panel, click Assign Permissions. The ASSIGN PERMISSIONS dialog box is displayed. 6. Select Sales Station. 7. Click Add Selected. The MANAGE MEMBER PERMISSIONS page will be displayed and the Sales Station permission will be included in the PERMISSIONS panel at the right. 8. Choose one of the following: If the person should have full administrator privileges for Sales Station, select Administrator. If the person should be able to use Sales Station as a cashier but not be allowed to configure Sales Station options, select Update. 9. Click Save. The changes will be saved. Repeat the procedure to add Sales Station permissions to additional accounts. Setting Up Sales Station Mobile 6
