4 4 Release Notes LAW PreDiscovery Release Notes November 19, 2013 Version The LAW PreDiscovery Release Notes provide a list of new features, resolved issues, and current issues in LAW PreDiscovery version and Early Data Analyzer version The current issues may be addressed in an update or other future release of LAW PreDiscovery. 5 LAW PreDiscovery Release Notes 5 Enhancements Enhancements - LAW PreDiscovery version The following enhancements have been added to LAW PreDiscovery version and Early Data Analyzer version 1.5.5: New Features Batch Process A new batch process, Document Processing/Analysis, can be used to perform custom metadata extraction and detection (the same options that are available in the ED Loader Metadata settings category). This allows greater control over the metadata extraction process since you can now disable this functionality during import, which improves the speed and stability of the import process, and then perform culling if desired to limit the scope of the process, as well as performing this process on documents imported from load files (EDRM, etc.). PDF files can now be split on bookmarks. This functionality is exposed as an option of the new Document Processing/Analysis batch process. This process has two modes, detect only or detect and split. Early Data Analyzer Early Data Analyzer Web In addition to date range, search filters can be specified when creating or editing search terms. New search filters include custodian, import session, tags, folder or file, and other saved searches. Export Export profiles can be used to save and re-load certain export settings for LAW PreDiscovery and Native exports from Early Data Analyzer. Import The EnCase EWF-L01 (*.L01) forensic image file format is now supported. The

6 6 Release Notes existing EWF-E01 (*.E01) support was expanded to include physical drives and drives containing multiple partitions. Source paths for existing sources in an EDA case can now be modified from within the user interface, providing a much easier process of redirecting the application to a new location for case data. Search In addition to date range, search filters can be specified when creating or editing search terms. New search filters include custodian, import session, tags, folder or file, and other saved searches. Threading threading is now available in LAW PreDiscovery (requires an additional license module). The functionality was added to the near-duplicate detection tool, now listed under the Tools menu as "Near-Duplicate & Thread Analysis". This process will analyze the text associated with records and then populate a series of fields prefixed with "ET_". These fields can be grouped and/or sorted in the grid views for review or QC, or exported to a load file. Export A "Custom Fields" button is now available in the Export Utility. This allows configuration of custom fields which can be used to combine multiple fields during an export or create a field comprised of a static text value in addition to a field value. Eight custom fields (prefixed with "@" symbol) are included by default, that will combine all standard date/ time field pairs into a single field etc.). Grid View Sorting by column header is now supported in the grid views. When records are sorted by column header, the sort order will now be retained after applying a grouping. Additionally, groupings will no longer be removed after a sort if the sort is applied by clicking on a column header. The behavior associated with the sort (ascending and descending) buttons in the toolbar has not changed. Index Fields The "OcrAccuracy" field is now included as a system field in LAW PreDiscovery cases. An accuracy percentage will be placed in this field during the OCR process. Near-Dupe The "Preserve existing near-duplicate families and master documents" setting was added to the Near-Duplicate & Thread Analysis utility. When enabled, existing near-dupe data, including master document assignments, will be retained when processing additional documents in a case. The "Isolate new documents to separate

7 Enhancements 7 result set" near-duplicate analysis setting was removed. Text Indexing The performance of the full-text indexing process is improved. Documents can be spread across 1-16 index partitions and each partition can be created in parallel by taking advantage of multiple processors on a machine. The number of partitions and processors can be specified in the Indexing options. Modifications Early Data Analyzer Export Export numbers will now appear in each record in the document list when viewing a native subset export type. Reports A summary was added to the "By Session" section of the Import Report. This change only applies when multiple sessions are selected prior to creating the report. Searches are now validated when creating a Search Report to ensure they are not outdated, invalid, etc. If the terms are not up-to-date, a warning message will appear containing a list of the saved search ID(s) for easier locating of the terms when making corrections. Search The search interface is revised. Click the "New" button to enter, save, and execute new search terms, specify search filters (new), select fields, or view the dictionary. User Interface Buttons will appear to allow scrolling through the Early Data Analyzer tabs when the application is not maximized and tabs are not completely visible. The "Expanded Count" labels in the Export Statistics section on the Export tab have been changed to "Family Count" for consistency. ED Loader *.CAB files are now expanded during the import process.

8 8 Release Notes Export Extended property fields will no longer appear in the Image Tag drop-down field list on the Fields tab. Import Extended property, page-level, and system fields prefixed with an underscore ("_") will no longer appear in the Available Fields list in the Import Delimited Text dialog since these fields should not be updated. Near-Dupe The "Near-Duplicate Analysis" menu item under Tools was changed to "Near-Duplicate & Thread Analysis" (see New Features). The "Isolate new documents to separate result set" near-duplicate analysis setting was removed (see New Features). The performance of the near-duplicate process was significantly improved. Text Indexing As a result of the full-text indexing performance improvements (see New Features), the auto-indexing option located in the Indexing options was removed. 9 Resolved Issues 9 Resolved Issues Resolved Issues - LAW PreDiscovery The following reported issues have been resolved in LAW PreDiscovery version and Early Data Analyzer version 1.5.5: Administration The Reorganize Documents process was failing with an "Item cannot be found in the collection corresponding to the requested name or ordinal" error. Batch Process The batch process was taking a long time to initialize when the case contained a large number of extended property fields. This issue occurred in the Export Utility as well. The state of the "Save text with images" setting was not being retained when saving the settings as default. Deduplication The change to support a Microsoft SQL backend (introduced in v6.1.54) caused documents in existing cases not to get their DupStatus values switched from N to P if documents from a new case added in append mode caused the status of an existing doc to switch from a non-duplicate to a parent. Document Numbering The numbers assigned during a batch Document Numbering process were incorrect (e.g. gaps or starting value differed from the value specified) when running the batch with an active page-level grid (standalone or embedded). Early Data Analyzer Analysis/Processing An issue was resolved that would cause the analysis agent to hang when processing a corrupt file. An archive item with no hash value (cannot be decompressed) that follows a duplicate (in order of extraction) will be flagged as a duplicate to the previous item. Outlook mail stores with corrupt folder entries do not process entirely unless ScanPST is run on the PST to correct the folder entries.

10 10 Release Notes Case Settings The "Set included fields as default" functionality was not working properly. Early Data Analyzer Web The expander used to show the other files within a portfolio PDF in the document list was not appearing in the Web interface. Export The application was hanging when attempting to export with more than 1000 searches with tags in the case. Installation The program files for Early Data Analyzer Web were not being removed during an uninstall of the application. Tagging Attempting to tag more than 2500 searches at one time was causing the application to hang. ED Loader A certain line feed character combination was causing corrupt attachments when encountered during MIME processing. An "Invalid procedure call or argument" error was occurring when starting an ED Loader session with the time zone set to "Kuala Lumpur, Singapore" in Windows. An automation error was occurring when attempting to start an import with an invalid character in one or more of the source names in the Source Queue. A similar error would occur when attempting to start an import with no custodian specified and custodian-level deduplication selected. Certain html-based Microsoft Office files were being assigned an incorrect file extension when the "Auto-assign suspect extensions" setting was enabled. Certain inline/embedded images in an were being extracted as attachments when converted to HTML during import. Changes made to a Microsoft Outlook recurrent series (calendar item) were being extracted as separate MSG items, which could not be launched in Outlook since they were not valid messages. In some cases, attachments may fail to extract from digitally signed Outlook messages.

11 Resolved Issues 11 Lotus Notes NSF files were failing due to an issue with views within the NSF that had no names assigned. Outlook messages with HTML content stored in the MAPI field for plain text (PR_BODY) save the raw html codes in the extracted text content. The AttachPID was not set correctly when importing PDF portfolios within archives with the "Treat archive as attachment containers" setting unchecked. When an archive was imported that could not be expanded (e.g. password-protected), and the "Treat archive as attachment containers" setting was unchecked, the archive would fail to import. ZIPX attachments were not identified in the Summarize Queue dialog. Export An "Item cannot be found in the collection corresponding to the requested name or ordinal" error was occurring when performing a PDF Conversion export with custom index fields set as Bookmark Captions in the format settings. Certain PDF files were saved with an incorrect orientation when using the easypdf driver with "Treat native TIFF/PDF as image for record (bypass conversion)" checked and combining parent/attachments on export. Exporting images with the Export Utility while the grid is active with page-level records would result in multiple copies of the same image. Sorting records in the grid prior to export in certain situations was preventing family relationships from being maintained in the load file for EDRM exports. Import The "Convert images to binary (B&W)" setting was not working when importing raw images if Imaging for Windows was not installed. When files were exported from LAW PreDiscovery to the EDRM 2.0 format, and reimported into a new LAW PreDiscovery case using the EDRM 2.0 load file, the hash values for the incoming record were being set to 0. Management Console The "Limit no. of stations for the job" setting failed to limit the resources specified under certain conditions. Search Reports A primary key violation was occurring under certain conditions when running a full text search.

12 12 Release Notes The Tag Text Hits function may time out with extremely large cases (5M+ records). When restricting results to a tag, custodians outside the scope of the tag were still showing in the search report (shown with 0 hits). TIFF Conversion When running large distributed TIFF conversions, machines could randomly run out of memory, potentially causing a "blue screen", database disconnect, and/or read/write failures. TIFF/PDF Conversion and E-printing The speaker notes were running off the page when processing certain Microsoft PowerPoint files using the "Slides and Notes (Full Page)" setting. 13 Current Issues 13 Analysis/Processing: 7zip processing is much slower than the current archive processing due to limitations of the toolkit used for extraction. This issue will be addressed in a future release. Export: The export will attempt to run out-of-date searches prior to exporting to ensure the correct documents are queued (expected behavior). However, if the export is canceled, Early Data Analyzer will complete the search execution instead of cancelling immediately. Similarly, if a search error occurs, Early Data Analyzer will continue to execute all applicable searches prior to failing the export. These issues will be addressed in a future software release. Filters: Custom hash values cannot be imported from a folder if the path exceeds Microsoft Windows file path limitations. If possible, shorten the path to the folder prior to importing the hashes. Import: Decompression of JPEG images in ZIPX archives is not supported. Warnings are logged for the affected files during the import process. Users can then perform the extraction manually (or with another tool) outside of LAW PreDiscovery. Support for this format will be attempted in a future release. Exporting to a long path (exceeding Microsoft Windows file path limitations) will cause the export to fail. The workaround is to specify an export Output Directory that does not exceed Windows file path limitations. An exception may occur when clicking the Edit link to customize the folder selection on the Import tab if the folder path exceeds Microsoft Windows file path limitations. While the files within the folders marked for inclusion should still import successfully, please perform quality control to ensure accuracy or place in a shorter path if possible prior to import. Reporting: The Document Timeline report may fail with an unhandled exception in larger cases (e.g.

14 14 Release Notes 10 million documents). Restrict the date range to include fewer documents to avoid this issue. This issue will be addressed in a future software release. Search: If the check boxes for completed, up-to-date searches are selected on the Search tab, and the Run Searches button is clicked, the software will process those searches again instead of skipping them, resulting in a potentially lengthier process time. In order to avoid this scenario, clear the check boxes for the up-to-date searches prior to clicking the Run Searches button. This issue will be resolved in a future software release. ED Loader: 7zip processing is much slower than the current archive processing due to limitations of the toolkit used for extraction. Full Text Search Reports: Sizes will not appear in the Full Text Reports in a case that is not enabled for electronic discovery due to the absence of the Filesize field. Use cases enabled for electronic discovery when utilizing the Full Text Search Reports feature. Near-Duplicate & Thread Analysis: Performing near-duplicate analysis with a tag restriction after already performing nearduplicate analysis on all documents in a case can have unexpected results. Clearing previous near-duplicate analysis results will prevent this issue. Run commands to clear the data are available please lawsupport@lexisnexis.com for details.

15 Current Issues 15 PDF Support: The PDF conversion process may fail on certain Microsoft Office documents on supported 64- bit operating systems (Windows 7 and Windows Server 2008 R2) with 32-bit Office Currently, the workaround is to run the conversion using an alternate system configuration (32- or 64-bit operating system with Office 2007 or 32-bit operating system with Office 2010). Markup (e.g., comments, arrows, lines) existing in (raw image) imported PDFs will not be viewable in the LAW PreDiscovery image viewer and will not appear in the output when printed. As an alternative, the PDFs can be imported using ED Loader and, if needed, converted to TIFF or PDF. Scanning: The File Type scanner output value may become stuck (cannot be changed from dropdown list) in certain scenarios when using the scan toolbar. Close and re-open the scan toolbar to resolve the issue. LAW will close unexpectedly when the Edit > Insert > Scanned Document function is selected if a scanner is not configured in LAW. Ensure a scanner is properly configured in LAW prior to accessing this scan function. Splitting PDFs by Bookmark: An error message will appear when selecting a record in the main LAW PreDiscovery form after performing a split PDF operation on that record. After closing the error message dialog box, navigate to a different folder and then back to the original record. The view will be refreshed, with the newly-created documents shown, and the error will no longer appear. Related Topics
