1 CHAPTER OVERVIEW The Client View Module allows a client to review active debtors and accounts online from their office. This is done by allowing the client access to their data within Debt$Net via the Debt$Net Client View Module. The client must be able to establish remote connectivity using the Internet or another high-speed connection. The client is allowed to view but not modify debtors, accounts, payments, notice history, etc. They can be allowed, however, to make entries into the account contact notes, which provide an easy communication link between the client and agency concerning an account. The module is a stand alone program and is not started from the Debt$Net main menu system. 5.1 SPECIAL REQUIREMENTS The Client View Module requires the client to have a workstation that can establish remote connectivity with your agency. In addition, it is recommended that a shortcut be added to the desktop to launch Client View. While most log into Debt$Net by launching COLLECT.EXE, clients will use the executable file CLVIEW.EXE created during installation. This is the file that the shortcut should launch. The Technical Support staff may assist you if you have questions. In addition you may wish to set up a dedicated login name on your network. A dedicated login can be set up to automatically start the Client View Module after the client has entered a password. In some networks, a dedicated login can perform the tasks required to change to the proper working directory and start the Client View Program. At the end of this chapter you will find the Client View Operational Instructions sheet. This sheet provides instructions on the basic operation of the system, and should be given to each client as a cue card to help them remember how to use the system. It explains how to get to the opening screen, select a debtor, and view the debtor and account information. 2 Debt$Net Base Working Screen and its standard function keys to access supplemental information. The agency s staff should have no trouble in providing instructions to the client on the use of the screen. Clients can only log into one list of the client s accounts at a time. It is possible to setup multiple client numbers/accounts under a single client login. This requires a different setup of the client upload cross-reference file. Contact technical support for this setup. 5.2 INSTALLATION The first step to install this ESO is to have all user s log out of Debt$Net. You must have exclusive access to Debt$Net so that the new menu options will install correctly. To install the Client View Module, insert the Client View Extended Service Option disk into your disk drive and select Install ESO s from the ESO s Menu ( ESO s ) (Figure 21-1). Debt$Net will then prompt you for the source directory for the Client View files (Figure 5-1). Figure 5-1. Install Eso s Menu Option. Figure 5-2. ESO Source Directory Prompt. The default source directory for installing Client View Module will be C:\ESO. If this is incorrect (e.g., you have downloaded the files to some

3 other directory) right click to bring up the Select Directory Form. The default directory on this form is the directory where Debt$Net is currently installed. If the displayed location is still incorrect, specify a new location using the Drive drop down list at the bottom of the form. After selecting the correct drive, click the Select button to begin installation (Figure 5-3). Figure 5-3. Select Directory Form. 5.3 CLIENT VIEW DEBT$NET MODIFICATIONS The installation program creates two new fields on the Debt$Net Client Inquire/Change Form. The new fields, Password and User Number are found under the ESO s Tab. The client must enter both his client number (assigned in Debt$Net ) and the password you set up to gain access to the Client View opening screen. You should take time after the initial installation to assign passwords to any client you wish to allow access Copyright 2008 The Computer Manager, Inc. 5-3

4 to the Client View Program. You may wish to write the client number and the password on the operational instruction card you provide the client. However, you should caution the client that only authorized personnel should be given access that information. For clients that have multiple client accounts setup in Debt$Net, it is possible to configure one login that will allow viewing of all of the client s accounts. Without this modification, you are only able to view the accounts assigned to one client number id. You must also set up a new collector in the Debt$Net Collector Maintenance area. This collector controls security on the client. The collector number is put in the User Number field on the Client Inquire/Change Form. When the client logs in, they assume the identity of the "User Number" collector and Debt$Net tracks their activity Client Password Screen The client logs into the shortcut to CLVIEW.EXE. Remote access to that workstation is arranged by the agency. After the client logs into the Debt$Net directory, the Client View Password Screen displays. This screen works similarly to the Debt$Net User ID/Password Screen except that the client identifies himself by his client number rather than a collector USER ID The Base Working Screen Upon logging in, the client is presented with a selection screen that displays the client name at the top. Selection criteria that can be used to select accounts include the debtor name, client reference number, debtor phone number, debtor SSN, and account status. After debtor account selection, they are presented with the Base Working Screen. The Base Working Screen shows you basic information about who the debtor is and what accounts he has and gives the client single key stroke 5-4 Copyright 2008 The Computer Manager, Inc.

5 access to supplemental information (Figure 5-4). On the top part of the screen, the client can view the debtor s number and name, address, phone number, birth date, employer, and spouse. Below this information are the debtor s account totals, including fees, interest, and principal balance, followed by a scroll list of all accounts on file. At the bottom of this screen is a section for Contact Notes. Figure 5-4. Base Working Screen. Select an account from the scroll list and press the Account button to access the Account Maintenance Screen. From this screen, the client may view any information regarding this account, such as date of last payment or account status, for example. Access the Debtor Edit Form by clicking the Debtor button. The Debtor Edit Form allows the client to view a debtor s information, such as address and telephone number. View the notice history of a debtor by pressing the Notices button. A scroll list of all notices sent to this debtor will appear. Copyright 2008 The Computer Manager, Inc. 5-5

6 Review payments made by a debtor by clicking the Payment button. The Transaction Selection Form appears, and you may view all payments made to this debtor s accounts. You may setup Client View to allow clients to view or add contact notes, or to have no access to notes at all. To add new contact notes to an account, click on the Notes button. When the Debtor Notes Form appears, a date and time stamp is placed on the screen. The collector s initials are also added to the line if they have been set up on the Collector Screen. In the Client Notes, enter CLVIEW NOTES: VIEW to allow clients to view the notes, or NONE to allow no access to the notes. If you want to allow the clients to have full access of the contact notes, leave the notes blank. 5-6 Copyright 2008 The Computer Manager, Inc.
