3 1. INTRODUCTION This User Guide covers the calendar management portion of the Enterprise Calendar. This is a web-based application which is also mobile friendly so you can use it from your desktop, laptop, tablet or phone OVERVIEW OF THE ENTERPRISE CALENDAR Here are the major steps describing how the calendar works: 1. An authorized user requests an event be added to the calendar by creating an event; when an event is created, the designated approver will receive an notification that an event is waiting for review. 2. An authorized user reviews and either approves or denies the request; the requestor will receive an notification when the event status changes. 3. If the event is approved, it will be displayed on the public Enterprise Calendar ROLES There are two user roles for agencies, defined here: Calendar Approver: Manages events, including adding, editing and removing events. Calendar Requester: Creates an event request to be added to the calendar. Calendar Super User: Can have Approver or Requestor rights in agency calendars if authorized. Main function is to set individual user's roles and access to agency calendars. Calendar Admin: (PAI Role) Can create calendars, retrieve calendar GUID, grant access, assign users roles and access to specific calendars YOUR USER ACCOUNT Requesting an Account Contact your agency Enterprise Calendar administrator to request an account. The Agency Calendar administrator will work with PAI Technical Support to request a new user for the calendar and have rights provisioned. Retrieve/Reset Password Account management for password retrieval and reset is handled by PAI Technical Support. Please see the Technical Support section of this document for more information.

4 1.4. TECHNICAL SUPPORT Technical Support can be obtained by visiting the Help link in the calendar application or the link provided below: ENTERPRISE CALENDAR - USER MANAGEMENT 2

5 2. LOGGING IN Go to the calendar at and use the Login function on the main menu to log in. Enter your user name and password to log in. Note: You cannot use your CWOPA account to log in, but must use the credentials specifically createdfor you for this application. If you need to retrieve your password, please see the Your User Account section above. ENTERPRISE CALENDAR - USER MANAGEMENT 3

6 3. ADMIN PORTAL 3.1. NAVIGATE TO ADMIN PORTAL Login to the enterprise event calendar application, select Admin in the top navigation MANAGING USER ACCESS AND ROLES FOR AGENCY Use the user management button to manage access to agency calendars. Select the user you wish to manage from the User Management dropdown list. Select a role from the dropdown menu. ENTERPRISE CALENDAR - USER MANAGEMENT 4

7 Select one or more calendars for the user to access. Use CRTL and left click to select multiple calendars. Note: Deselecting an agency name will remove user's access. Click the Update User button to save the settings. ENTERPRISE CALENDAR - USER MANAGEMENT 5
