2 PTRS MANUAL LOGON/LOGOFF PROCEDURES OVERVIEW The LOGON process allows the authorized time reporter and the authorized site administrator access to the Payroll Time-Reporting System (PTRS). 1. The time reporter can perform time reporting functions necessary to create time records for employees at the time reporting location. 2. The site administrator can perform the certification functions necessary to authorize payment of the time records created by the time reporter. The LOGOFF process terminates access to the Payroll Time-Reporting System. 1. For security purposes, it is recommended that the time reporter LOGOFF PTRS when payroll time reporting has been completed or when the system is left unattended. 2. The site administrator should LOGOFF PTRS when the certification process has been completed. 01/01/00 1-1
3 LOGON/LOGOFF PROCEDURES PTRS MANUAL LOGON PROCEDURES The method used to access the Payroll Time-Reporting System depends upon the type of communications software or hardware installed on the computer being used. LOGON Using the 3270: 1. Click on the Start button. A menu will appear. 2. Click on LAUSD Applications. 3. Select number 6 from the LAUSD Applications Menu. The system automatically advances through the various screens. Wait until the following screen is displayed before pressing any keys. Signon for CICS / ESA Release APPLID CICSPROD WELCOME TO CICS/MVS Type your userid and password, then press ENTER: Userid.... Groupid... Password... Language... New Password... DFHCE3520 Please type your userid. F3=Exit 4. Type the assigned User ID in the Userid field. 5. TAB twice to the Password field. 6. Type the PASSWORD. The password will not appear on the screen. 7. Press ENTER. The message, SIGN-ON IS COMPLETE will appear /01/00

TR110 LOS ANGELES UNIFIED SCHOOL DISTRICT 02/03/00 INFORMATION TECHNOLOGY DIVISION 8:01 PAYROLL TIME-REPORTING SYSTEM SCREEN NO. 1 ANNOUNCEMENT EFFECTIVE DATE: 01/03/00 PTRS IS USUALLY AVAILABLE FROM 7AM TO 6PM, MONDAY THROUGH FRIDAY. EXCEPTIONS ARE AS FOLLOWS: * EVERY WEDNESDAY - UNTIL 5PM * FIRST AND THIRD MONDAY OF A PAY PRIOD - UNTIL 5PM * ON CERTIFICATION DAYS - UNTIL 4:30 PM TO ALLOW FOR PAYROLL PROCESSING. The LOGON procedure is complete. If during the LOGON procedure, the message, INVALID SIGN-ON ATTEMPT or NO RESOURCES AVAILABLE appears, complete the instructions listed below. If the message, INVALID SIGN-ON ATTEMPT appears: 1. Press the HOME key. 2. Type CSSN. 3. Press ENTER. The signon screen appears. 4. Type the assigned User ID in the Userid field. 5. TAB twice to the Password field. 6. Type the PASSWORD. The password will not appear on the screen. 01/01/00 1-5
7 LOGON/LOGOFF PROCEDURES PTRS MANUAL LOGON PROCEDURES, continued 7. Press ENTER. The message, SIGN-ON IS COMPLETE will appear. 8. Type T0/0/0/ (Use the number zero, not the alpha character). 9. Press ENTER. The system will display the PTRS Announcement Screen. If the message, NO RESOURCES AVAILABLE appears: 1. Press ESC. 2. Press ALT+F9 keys. This will return you to the Windows 95 desktop. 3. Repeat the LOGON procedure /01/00
8 PTRS MANUAL LOGON/LOGOFF PROCEDURES CHANGE LOGON ID PROCEDURE Use the following procedure when it is necessary to change the LOGON from a time reporter to an administrator, or from the primary location to the magnet location. 1. Press F12 to EXIT each screen until the PTRS Main Menu appears. 2. Press F12 to EXIT the PTRS Main Menu screen. The message, PAYROLL TIME REPORTING SYSTEM ENDED will appear. 3. Press the PAUSE key (for 3270 users) or the HOME key (for modem users). 4. Type CSSN. 5. Press ENTER. The signon screen appears. 6. Repeat the LOGON procedure. 01/01/00 1-7
9 LOGON/LOGOFF PROCEDURES PTRS MANUAL CREATE A NEW OR REACTIVATED PASSWORD All users need a Userid and Password to enter the Payroll Time-Reporting System. The Userid is assigned and does not change. The Password is created and changed by the user. The first time the user logs onto PTRS, a password must be created. The password will expire every 90 days and the user will need to create a new password. The password does not appear on the screen when typed, so it is important that you type carefully. Five consecutive incorrect password attempts will automatically revoke your userid. Use the following guidelines when creating a password: C The password must contain a minimum of six and a maximum of eight characters with no periods, slashes or spaces between the characters. C It may contain both numeric and alphabetic characters but it must begin with an alphabetic character /01/00
10 PTRS MANUAL LOGON/LOGOFF PROCEDURES RESUME A USER ID OR INITIALIZE A NEW PASSWORD Signon for CICS / ESA Release APPLID CICSPROD WELCOME TO CICS/MVS Type your userid and password, then press ENTER: Userid.... Groupid... Password... Language... New Password... DFHCE3520 Please type your userid. F3=Exit If the password is forgotten or if five consecutive unsuccessful LOGON attempts are made when entering the password, the Userid will be revoked by the system. The message Your signon userid has been revoked. Signon is terminated will appear. The authorized user must request the userid be resumed through the Technology Helpdesk at (213) To initialize a new Password or resume a userid: enter your Userid in the Userid field. TAB to the Groupid field. Leave it blank. TAB to the Password field. Type your Userid again. (The userid and password are the same when the password is being created for the first time or when the userid has been revoked.) Press ENTER and the following message is displayed: Your password has expired. Please type your new password. The cursor is positioned in the New Password field. Type your new, confidential password. It will not be displayed, so type carefully. Press Enter and the following message is displayed: Please reenter the new password for verification. Type the SAME password again. It will not be displayed, so type carefully. Press ENTER. The message Sign-on is complete will appear. Type T0/0/0/ (use the number zero, not the alpha character) and press Enter. The PTRS Announcement Screen will be displayed. Press F11 to access the Main Menu. 01/01/00 1-9
11 LOGON/LOGOFF PROCEDURES PTRS MANUAL LOGOFF PROCEDURES The method used to logoff the Payroll Time-Reporting System depends on the type of equipment being used. LOGOFF Using the 3270: 1. Press F12 until the system returns to the PTRS Main Menu. 2. Press F12 again. The message, PAYROLL TIME REPORTING SYSTEM ENDED will appear. 3. Type CSSF LOGOFF. 4. Press the ENTER key. The VTAM LAUSD screen will appear. 5. Left click on File from the menu bar and select Exit All. If your computer will not be used for the remainder of the day: 1. Click on the Start button. A menu will appear. 2. Click on Shut Down (located at the bottom of the menu.) 3. Verify that Shut Down is selected before clicking on Yes. The system will then shut itself off /01/00
12 PTRS MANUAL LOGON/LOGOFF PROCEDURES LOGOFF Using the Microcom Modem: 1. Press F12 until the system returns to the PTRS Main Menu. 2. Press F12 again. The message, PAYROLL TIME REPORTING SYSTEM ENDED will appear. 3. Type CSSF LOGOFF. 4. Press ENTER. The message, SIGN-OFF IS COMPLETE will appear. 5. When the Auto-Dial Directory appears on the screen, press ALT+F9 to return to the Windows 95 desktop. If the Auto-Dial Directory does not appear on the screen, press ALT+F9. The message, DO YOU WISH TO DISCONNECT FROM THE HOST? (ESC, Y=YES, N=NO) will appear. Enter Y (YES) to return to the Windows 95 desktop. 6. Click on the X in the upper right hand corner of the LAUSD Applications screen to close the window. If your computer will not be used for the remainder of the day: 1. Click on the Start button. A menu will appear. 2. Click on Shut Down (located at the bottom of the menu.) 3. Verify that Shut Down is selected before clicking on Yes. The system will then shut itself off. 01/01/
13 PRINTERS PTRS MANUAL SETTING THE PRINTER (Sites with Microcom Modems only) The print process is an integral part of the Payroll Time-Reporting System. Verify that the printer is turned on and has the proper setting before printing reports and before the administrator certifies the payroll. EPSON 286E The Epson 286E printer is properly set when the "Power," "Ready," "Online," and "Condensed" lights are on. 1. Set the POWER switch to ON. The power switch is located on the back left side of the printer. The PAPER OUT light will be ON if you need to load paper. 2. Press the CONDENSED button to set the pitch. HEWLETT-PACKARD (HP) 4PLUS LASER PRINTER Setting Lines Per Page. 1. Set ONLINE button to OFFLINE. 2. Press MENU button until PRINTING menu appears. 3. Press ITEM button until FORM = appears. 4. Press + button until 66 appears. 5. Press ENTER button to select. 6. Press SHIFT + RESET button simultaneously to ONLINE. Setting Font and Pitch 1. Press MENU button until PCL MENU appears. 2. Press ITEM button until FONT NUMBER= appears. 3. Press + button until 47 appears. This selection will set the pitch to Press ENTER button to select. 5. Press SHIFT and RESET buttons simultaneously and release /01/00
14 PTRS MANUAL PRINTERS SETTING THE PRINTER, continued IBM PROPRINTER XL24 The IBM Proprinter XL24 printer is properly set when the Power, Pitch 17, and Ready lights are on. 1. Set the POWER switch to ON. The power switch is located on the right side of the printer. The POWER and READY lights come on if paper is in the printer. 2. Set the pitch to 17 by depressing the READY button. The READY light will go out. 3. Press the PITCH button until the 17 pitch light is on. 4. Press the READY button to engage the READY light. LEXMARK 2390/2391 SERIES DOT MATRIX 1. The printer must be set to the IBM mode. 2. Press the FONT button to set the printer to the desired FONT. 3. Press the PITCH button to set printer pitch to 17. LEXMARK 4039 PLUS LASER PRINTER LEXMARK OPTRA R LASER PRINTERS 1. Select MENUS (press 1st or top button*). 2. Select FONT MENU (press 2nd button). 3. Select FONT NAME (press 2nd button) and press MORE (4th button 15 times). 4. Select R46 LINE PRINTER 16 (press 1st button). 5. Select SAVE (4th button). 6. Press READY button. *Buttons are the grey colored buttons to the right of the panel. LEXMARK OPTRA R LASER PRINTER 1. Select MENUS (press 1st or top button*). 2. Select FONT MENU (press 2nd button). 01/01/
15 PRINTERS PTRS MANUAL SETTING THE PRINTER, continued 3. Select FONT NAME (press 2nd button) and press MORE (4th button 15 times). 4. Select R46 LINE PRINTER 16 (press 1st button). 5. Select SAVE (4th button). 6. Press READY button. *Buttons are the grey colored buttons to the right of the panel. LEXMARK OPTRA S1255 LASER PRINTER 1. Press the MENU button s right arrow seven times to show the PCL EMUL MENU. Press SELECT. 2. Press the MENU button s right arrow once to show Font Name. Press SELECT. 3. Press the MENU button 44 times until R45 LinePrinter 16 appears. Press SELECT to save the selection. 4. Press GO. QUICKWRITER The Quickwriter printer is properly set when the "Ready" light on the front panel is on. 1. Turn ON the POWER switch located on the upper left corner of the printer. The READY and QUALITY lights should be on. 2. Condense print by using the following procedure: QUIETWRITER Press and hold in the green START/STOP button. While holding in the green button, press the blue PRINT/MODE button 3 times. The light for QUALITY will be flashing. The READY, DRAFT, and QUIET lights will be on. Release both START/STOP and PRINT MODE buttons. The printer will be set for 17 pitch. The Quietwriter printer is properly set when the "Ready" and "Online" lights on the front panel are on. A 17 pitch font should be installed in the primary font position "A" /01/00
16 PTRS MANUAL PRINTERS 1. Turn ON the POWER switch located on the upper left corner of the printer. The READY and ONLINE lights should be on. 2. Install the 17 pitch font in the A, or primary position under the printer cover. QUIETWRITER III The Quietwriter III printer is properly set when the "Ready" light on the front panel is on. Print must be condensed prior to entering the PTRS system. 1. Turn ON the POWER switch located on the upper left corner of the printer. The READY and QUALITY lights should be on. 2. Condense print by using the following procedure: Press and hold in the green START/STOP button. While holding in the green button, press the blue PRINT MODE button three times. The light for QUALITY will be flashing. The READY, DRAFT, and ENHANCED lights will be on. Release both START/STOP and PRINT MODE buttons. The printer will be set for 17 pitch. TEXAS INSTRUMENTS 810 The TI810 printer is properly set when the "Power," "Online," and "16.5 CPI" lights are on. 1. Turn ON the POWER switch located on the back left side of the printer. 2. To turn on the ONLINE light, press the ONLINE button. 3. Set the printer for 16.5 CPI (characters per inch). Raise the lid and push the switch toward the back to the 16.5 CPI setting. The red indicator light should be out for the 8 CPI setting and on for the 16.5 CPI. TEXAS INSTRUMENTS 855 The TI855 printer is properly set when the "Power," "Online," and "Char Spacing" lights are on. 1. Turn ON the POWER switch located on the right side of the printer. When the power is turned on all lights are on until the printer automatically resets. 2. Set CHAR SPACING to COMPRESS. 3. ONLINE button should be green. If not, press button until green light comes on. 01/01/
