2 Overview This document provides information and instructions for Bulk Interac e-transfer service. Bulk Interac e-transfer service allows a business to send funds to multiple recipients within one financial transaction. Funds must be in Canadian currency and deposited by recipients at a Canadian financial institution. There is no need to know any banking information for your recipients. You just need an address! If your company hasn t been enrolled in the Bulk Interac e-transfer service yet, please contact us to get started: Business & Agriculture clients: Corporate Financial Services clients: Highlights of Bulk Interac e-transfers You can customize aspects of a bulk file, including: Easily change the sending company s name. Select how long your recipient has to accept the funds before they return to you. Add your company logo to the recipient notification s. Choose when your funds get sent: With priority processing, bulk files are processed immediately between 4:00am 7:30pm MT. There is a maximum of 1,000 transfers per file with priority processing. With regular processing, bulk files are processed overnight starting at 2am. There is a maximum of 10,000 transfers per file with regular processing. Save your work if you re not ready to submit. Use templates for recurring payments to save time and reduce errors. View status reports for both files and individual transfers. User Guide Bulk Interac e-transfers 2

5 Getting started: administrator Add user entitlements The company administrator can set up access and permissions to Bulk Interac e-transfers for other company users. ATB Online Business lets you do this with speed and convenience. To add user entitlements, sign in to ATB Online Business as an administrator. Tip: The Business e-transfer User Guide on ATB.com has additional information on setting up entitlements for regular Interac e-transfers. 1. Select Administration. 2. On the Manage Roles screen, select an existing Role or click Add a new role to create a new one. 3. Check e-transfer Bulk for each account which you want this role to access. Tip: Entitlements for sending a single Interac e-transfer is separate you do not need the Send e-transfer entitlement to create or approve bulk files. User Guide Bulk Interac e-transfers 5
6 4. Click Next. 5. Check Manage Bulk Templates to allow adding, updating and deleting of bulk file templates. 6. Inside Transaction Type table for Send Bulk e-transfer File, check Approve to allow approving of other users bulk files. 7. Check Release to allow creation of bulk files. Tip: The user role will only be able to fund a bulk file from the accounts selected for e- Transfer Bulk in step 3. User Guide Bulk Interac e-transfers 6
7 8. To require approval from another user for bulk files created this by user role, select an available option under Approval. No Approval Required: User role does not require any secondary approval and the limits are the same as what s been set for the company (for example, $10,000 maximum per transaction). Single Approval Required: Any transaction that exceeds the value specified in either limit must be approved by one other user. Amounts below both limits do not require approval. Dual Approval Required: Any transaction that exceeds either limit must be approved by two other users. Amounts below both limits do not require approval. Deny: Any transaction that exceeds either limit is denied. 9. You may set both a per-transaction Limit and a Daily Limit. 10. Click Save Role. User Guide Bulk Interac e-transfers 7
8 11. Scroll down and click Save Role again to confirm. Return to table of contents Manually create a bulk file One of the ways that users can create a bulk file is to manually enter the data directly into ATB Online Business via their Internet browser. Let s sign in and get started. Tip: If you do not see the Interac e-transfer tab, you may not be enrolled in the Interac e- Transfer Send or Send Bulk services. Please contact ATB to enroll. 1. Click on Interac e-transfer. 2. Click on Send Bulk. User Guide Bulk Interac e-transfers 8
9 3. Select Enter line items manually and click Continue. 4. Select the account to fund all transfers from the Account to Debit list. Tip: Only the accounts set up for bulk sending to which the current user has the e-transfer Bulk entitlement will be available. User Guide Bulk Interac e-transfers 9
10 5. Select the desired Processing Type. Tip: See the Processing for bulk files section in this document for more information on Interac s processing options. 6. Set the number of days before transfers will expire by changing the value in the Transfer will expire in field. Tip: If a recipient has not accepted the transfer after the specified number of days has elapsed, the transfer will be cancelled and the funds returned to your account. 11 7. By default, all notifications will be sent using the company name saved in the profile. To use a different company name, click on Use this name and enter a name in the field. Tip: When you provide a different name, it will be shown in the notification for each transfer in this file but it will not change the company name stored in the profile. 8. Enter an template ID (received from Interac) in the Template ID. There is a perline item fee associated with using an template ID. Tip: See section Using an template ID in this document for more information on setting up an template. User Guide Bulk Interac e-transfers 11
12 9. Click the notifications box to receive a real-time notification when a recipient accepts or declines a transfer in this file. All notifications will be sent to the address saved in the company profile. Tip: You can always view the History section to see when transfers are accepted and declined rather than receiving individual notification s. See the History section in this document for more information on searching and viewing history. 10. Provide all required information for each transfer in the file: Recipient Name, Recipient , Amount, Security Question and Security Answer. Personalized messages are optional. Tip: Bulk recipients are not tied to your recipient list. You cannot add saved recipient records to your bulk file. Recipients added to a bulk file will not be saved to your recipient list. 13 11. To add additional rows, enter the number of rows needed in the Add field and click Add. Tip: Blank rows will be automatically deleted when you save or submit a file. 12. Click Save at any time to save your progress. Enter a unique name in the Save Bulk e- Transfer popup and click Save. Tip: This will save your work so that you can continue working, or return later and pick up where you left off. Once your file is saved you may click Back to exit the page, or click on a different menu option to navigate away. User Guide Bulk Interac e-transfers 13
14 13. Click Back to discard your changes. You will be prompted to either save changes to continue with the cancellation. 14. Click Continue to start the submission process. Tip: You will be shown a summary of the file on the Confirm Bulk Send Details screen before confirming submission of the file. User Guide Bulk Interac e-transfers 14
15 15. If corrections are required, click Back to return to the entry screen. 16. Click Submit on the Confirm Bulk Send Details screen when you are ready to send the file. Note: If your company requires approval by another user, clicking submit will send the file to workflow instead of Interac. See Workflow for bulk files. 16 Processing for bulk files Regular processing Sending a file for regular processing means that as soon as the file is sent, it will have an initial review done by ATB and Interac. If it passes review, it is queued for processing at 2am MT the next morning. Please note: When Interac starts processing the file, they may find an error that causes the entire file to fail out of processing. If you send a file for standard processing after 1am, it will not be processed by Interac until 2am the following day, 25 hours later. To cancel the file before processing, see section Requesting a file cancellation in this document. Features of regular processing: Per transfer minimum $10 Per transfer maximum $10,000 Maximum number of transfers 10,000 Cut-off time for same-day 1am MT processing Processing (when transfers are 2am MT, next day created) File cancellation deadline Until 11pm on the day the file is submitted Cancel individual transfers Next day, after processing within the file Return to table of contents Priority processing Once you submit a priority file, it is immediately picked up by Interac for validating and processing. Please note: Individual notifications are sent as soon as Interac successfully finishes processing the file. There is no way to cancel a priority file once it has been submitted, but you can request cancellation of any transfer that has not been accepted by its recipient. 18 Until approved, the file appears in History with the File Status of Pending Approval. Tip: A user must have the Approval entitlement in order to approve another user s bulk file. Access bulk files waiting for approval from Account Summary. Tip: After seven days, an unapproved file will be automatically declined and deleted. To approve transfers: 1. From the Account Summary screen, click on Item(s) Awaiting Approval. User Guide Bulk Interac e-transfers 18
19 2. Select file(s) to be approved, then click Approve Selected. 3. Click Save Changes. 4. File is sent for the selected type of processing. Return to table of contents User Guide Bulk Interac e-transfers 19
20 Saved files Resume a saved file To resume working on a saved file, sign in to ATB Online Business and go to the Interac e- Transfer tab. 1. Click Send Bulk from the menu. All saved files are in the lower portion of the screen under Edit a file you ve already started. Tip: Saved files are those that are in progress. Once they are submitted they will no longer show in this list and cannot be re-used. 2. Click on a file name to continue editing the file. Tip: You can continue to edit and save this file as many times as you like until you are ready to send. Return to table of contents Delete a saved file Saved files that are no longer required can be deleted. Every user able to see a saved file can delete it, not just the file s creator. To start, sign in to ATB Online Business and select the Interac e-transfer tab. 1. Click Send Bulk. User Guide Bulk Interac e-transfers 20
21 2. Click the File Name to delete. 3. Click Delete File. 4. Click Delete File a second time to verify deletion. Tip: If you change your mind, click Back to return to the previous Edit Saved File screen. User Guide Bulk Interac e-transfers 21
22 5. A message will be displayed confirming the successful deletion. Click Back to return to the Send Bulk screen or select another menu option. Return to table of contents Create a template Manually add a template Note: you need the Manage Templates entitlement in order to create a new template. 1. From the Send Bulk screen, click on Add next to the Use a saved template option Tip: You can also start creating a template from the Bulk Templates screen. If you don t see this menu item, you do not have the necessary entitlement; contact your company administrator for more information. User Guide Bulk Interac e-transfers 22
23 2. Provide a unique Template Name. 3. Select the account to fund all transfers from the Account to Debit list. Tip: Only the accounts set up for bulk send for which you have e-transfer Bulk entitlement will be available. 4. Select the desired Processing Type. Tip: If a recipient does not accept the transfer before the specified number of days pass, the transfer will be cancelled and the funds returned to your account. 6. 29 Create a template from a manual file You need the Manage Templates entitlement to create a new template. 1. When manually entering a bulk file (see Manually create a bulk file section in this document), click Save as Template. Tip: Once you save this file as a template, you will need to create a new file based on that template to submit the file for processing. 2. Enter a unique template name and click Save. 3. 30 View templates You need the Manage Templates entitlement to view templates. To start, sign in to ATB Online Business and select the Interac e-transfer tab. 1. Select Bulk Templates. Tip: You can also access the list of bulk templates by clicking on the View All link next to the Use a saved template field. 2. A list of saved templates is displayed. 31 Edit templates Edit from Send Bulk screen Editing an existing template will only change future bulk files created from the template. Saved files based on a template will not be updated with changes made to the template. To start, sign in to ATB Online Business and select the Interac e-transfer tab. 1. From the Send Bulk screen, click on Use a saved template. Tip: You do not need the Bulk Template entitlement to use a template. 2. 34 3. Make your changes, then click Save Template. Tip: Fields that are greyed out cannot be edited. 42 Import a bulk file You may start a new bulk file by using one that you have created with different software, such as an accounting package. Sign in to ATB Online Business and select the Interac e-transfer tab. Tip: See the appendix in this document for more information on importing a bulk file. 1. From the Send Bulk screen, click Import a file. 2. Click Continue. 3. Select the account to fund all transfers from the Account to Debit list. Tip: Only the accounts set up for bulk send for which the current user has the e-transfer Bulk entitlement will be available. User Guide Bulk Interac e-transfers 42

Select a file to import by clicking on Choose File. The file must be in CSV format. Tip: If you don t already have a formatted file, click on Use this template to download a sample file. 46 10. If necessary, re-order the columns heading names on screen to match the original file. Tip: The default order for column headings is: Recipient Name, Recipient , Amount, Security Question, Security Answer, Sender Message. 11. Click Continue to import and validate your file. Tip: If there is a saved file with the same name as the file being imported, you will be prompted to provide a unique name. 12. On the Confirm import details screen, you can see the contents of the imported file by clicking See line items. Tip: The line item view displays buttons that let you save your work in progress or save your imported file as a template. User Guide Bulk Interac e-transfers 46

48 Cancel a submitted bulk file Requesting a file cancellation When a file is sent for regular processing, it waits in a queue with Interac until 2am MT the next morning, at which point it will be processed. To cancel an entire bulk file before Interac has processed it, follow these steps before calling ATB. 1. Sign in to ATB Online Business, click on Interac e-transfer and select History. 2. Search History for Transaction Type: Funds Sent (Bulk). Files with a File Status of Pending can be revoked by ATB. Click View for the file to be revoked. 3. Take note of the value in the File Reference ID field. User Guide Bulk Interac e-transfers 48
49 4. Contact ATB with the OAS ID and request the file be revoked. Business & Agriculture clients, call E-Services Corporate Financial Services clients, call Cash Management Support Once revoked the funds will be released back into your account within 30 minutes. Tip: A hold is placed on your account when you submit your file, but your account is not debited until a bulk file is successfully processed by Interac. Interac processes a priority file immediately, so transactions in the file that are not accepted by the recipients are cancelled through ATB Online Business. See section Cancelling in ATB Online Business in this document. Return to table of contents Cancelling in ATB Online Business Once a bulk file has been processed, you may cancel bulk initiated transfers through ATB Online Business. To start, sign in to ATB Online Business. 1. Navigate to the Interac Bulk e-transfer page and select History. 2. Select Funds Sent (Bulk) from the Transaction Type dropdown menu. 50 3. Click on View. Tip: Files must have a File Status of Processed for the individual transfers to be cancellable. 4. You can request the cancellation of any transfer with a Last Known Status of Pending. 5. Click the checkbox next to each transfer you wish to cancel. Tip: A recipient may still accept the transfer while the cancel request is being processed. 6. Click on Request Cancellation. User Guide Bulk Interac e-transfers 50
51 7. Click Request Cancellation. Tip: Click Do Not Request to abort the request and close the popup window. 8. The Cancellation Status is updated for each requested cancellation. Tip: Check back after the cancellation has been processed to see if the cancellation was successful or not. Cancellation requests fail if the recipient accepts the funds before Interac receives the cancellation request. Return to table of contents Using an template ID Request a new template Customizing the look of the notification that your recipients receive is a nice way to personalize their experience. You will work with an ATB representative to get your template set up with Interac. You will need the following assets. Tip: You may request multiple templates so they can be used in different circumstances. A version of your company logo that is 55 pixels high and 175 pixels wide. The logo must have a transparent background and be saved as a PNG file. Tip: If you are not sure whether it is transparent, insert it into a Microsoft Excel document User Guide Bulk Interac e-transfers 51
52 Provide a background colour that will display behind the logo. Tip: We need the hex number for your selected colour, such as this grey, which is #C3C3C3. An ATB representative will send your request to Interac, who will put together a draft of your customized notification . You will be able to review and approve the notification before it is finalized. Return to table of contents Add the template to a bulk file Once you have received your template ID, you can use it when you create bulk files and bulk templates. When you see the Template ID field, type in the ID for the template that you would like to use for each transfer within the file. Return to table of contents History Searching bulk files To search your Interac e-transfer history, start by signing in to ATB Online Business and clicking on the Interac e-transfer tab. 1. 53 2. Select Funds Sent (Bulk ) under Transaction Type. 3. Select a specific Status to filter the results, then click Search. User Guide Bulk Interac e-transfers 53
54 4. Change the From Date and To Date values to view results from a specific date range, then click Search. Tip: Click on History in the menu to reset the search criteria. 5. Click on a column heading to sort the results based on that column. Tip: You can only sort by one column at a time. Clicking on the same column twice will reverse the sorting direction. Return to table of contents Bulk line items You can view the details of a specific bulk file from History. 1. From your Funds Sent (Bulk) search results, click on View next to a bulk file. 2. The Last Known Status for an individual transfer within a bulk file is not real-time. The statuses are updated overnight after ATB receives a report from Interac. Tip: During the day a line item may show Pending, but have actually been accepted or declined by the recipient. User Guide Bulk Interac e-transfers 54

Regular processing means that Interac will process your file overnight. If Interac is not able to successfully process your file, you won t know until the next time you sign in to ATB Online Business. Priority processing means your file will be processed as soon as possible within the priority window. You will know within 90 minutes if Interac is not able to successfully process your file. This gives you a chance to make any necessary corrections and send a replacement file on the same business day. There may be a higher cost for priority processing. What s the difference between the Save As Template and Save buttons? The Save As Template button is available to users with Manage Templates entitlement, and allows those users to turn a bulk file into a template that can be re-used in the future to save time. Templates save all the file header information, as well as all the recipient (line item) information. When creating a bulk file from a saved template, users can easily edit the Account to Debit value, as well as the amount and message to each recipient. Any other changes will require an entitled user to edit the saved template. This is useful if you have several recurring payments that you need to make on a regular basis. The Save button allows you to save your file as a draft, so that you can continue working on it later. This button is available to all bulk transfer users. Saved files can be accessed from the main bulk screen under the Edit a file you ve started section. Once you submit your file, it will disappear from the main bulk screen. My bulk file says it failed. What happened? If you provided an incorrect value in the Template ID field, Interac is unable to apply your company logo to the recipient s. Rather than sending the s without your logo, User Guide Bulk Interac e-transfers 56
57 Interac will fail the entire file. If this happens, please re-submit your bulk file with the correct value in the Template field, or leave this field blank. Why aren t bulk cancellations immediate? Interac uses different services for sending and for cancelling bulk e-transfers. The cancellation service requires ATB to provide your e-transfer data to Interac in a format they can process. The more data being sent that is, the more line items being cancelled the longer it takes for ATB to provide it, and for Interac to process it. We advertise a 90-minute turnaround to accommodate customers submitting a cancellation request for 10,000 bulk line items. If your cancellation request is only for a few bulk line items, it will not take the full 90 minutes to be processed. Talk to me about refunds. If your bulk file is manually revoked, prior to being processed by Interac, there is no need for a refund, as your account has not been debited. The pre-note on your account (to hold the funds to pay for your bulk file) will be automatically deleted within 30 minutes. If your bulk file was processed and some line items failed, you will see a debit to your account for the full total of your bulk file and a credit adjustment for the total of any failed line items. You will see the credit adjustment posting within 30 minutes of your file being processed by Interac. If you request cancellation of one or more line items in a bulk file, a refund will be posted to your account within 30 minutes for any line items that were successfully cancelled. 58 Appendix: import bulk file format When you are importing a bulk file, there are a few key things to remember. Make sure that you do not have a header row in the file. Only CSV files can be imported. ATB s system expects six columns: o Column A Recipient Name (required) o Column B Recipient (required) o Column C Amount (required) o Column D Security Question (required) o Column E Security Answer (required) o Column F Sender Message (optional) Tip: Any data in Column G and beyond will be ignored during import.
