2 Adding a New Profile 1. Log into emerge by typing the IP address in the web browser and entering your User Name and Password. 2. From the User Tasks menu (located in the top right of the Home page), click Add People. 3. In the Personal Information section, add the Last and First Names in the designated fields. At minimum a Last Name is required. 4. An expiration date and time can be added in the Expiration Date/Time field. Note This expiration date is for the profile and not for each access control credential. If you need to set up an expiration date for a particular device you will enter that date at the access control credential level. Adding a Credential 1. In the Personal Information section, click Add New Credential on the Access Control tab. 2

3 2. Enter the same credential number in both the Hot stamp # and Encoded # fields, and then select the Credential Format from the drop down menu. If necessary, you can also enter an expiration date for this specific credential. You can add as many credentials to a profile as needed by repeating Steps 1 & Assign all necessary Access Levels to the profile. To do so, highlight an individual access level and click the right arrow to move the access level to the Selected column. If multiple access levels need to be assigned, highlight the first access and then while holding the Ctrl key highlight the other access levels to be assigned. Click the right arrow to move the access levels at one time to the Selected column. 3

4 4. Click Save to save all of the information. Note If emerge gives an error stating that a device is already assigned to another user, click on the Home icon in the top left hand corner and then Lost Cards from the User Tasks menu. Enter the credential # in the Hot stamp # field and click Search. emerge will list the person that the card is currently assigned to. Verify with the current assignee of the credential and update accordingly. Editing Information 1. From the User Tasks menu, click the People Locator. 2. In the Change or delete section, use the search fields to locate the profile that requires editing. 4

5 3. Once the profile has been located, to edit simply change the information that requires updating and click Save. Deleting Information Deleting Credentials 1. Once the profile has been located, click the Revoke this credential button (looks like a minus sign) to the left of the credential(s) you would like to delete from the profile. Revoking a credential deactivates it until it is reactivated on the same profile or another. 2. Click Save to permanently delete the credential(s) from the profile. 5

6 Deleting Residents/Profiles 1. Once the profile has been located, revoke all transferrable credentials registered to the resident. Note If all transferrable credentials are not revoked prior to deleting a profile, you will not be able to reuse the credentials. 2. Delete any information in the User Name and Password fields on the Login tab (if applicable). Note If the User Name is not removed prior to deleting, you will not be able to reuse the User Name. 3. Click Delete. Activity Log This is a log of the current portals being accessed by any residents in the system. It is a real time log and lists the name, the portal accessed and when. It also lists when access was denied and why. The Activity Log can be viewed from the home page after logging in. Processing an UNKNOWN If a resident credential is not set up or set up incorrectly in the system, an UNKNOWN entry will appear in the Activity Log when the credential is used. 6

7 To research and fix an UNKNOWN: 1. Click on the UNKNOWN link to bring up the Issue Card Using Reader window. It will tell you which credential was used. 2. Copy the credential number from the chart. In this example it is the 5-digit number (61346). 3. Go to Lost Cards on the User Tasks menu and paste the credential number into the Hot stamp # field. Click Search. If the credential has been assigned to someone, the name will appear on the Search Results list. 7

8 4. Click on the Last Name link to bring up the profile. The next step is to check that the correct Credential Format has been added to the credential. You can find the Credential Format on the same chart to the left of the credential number. In this example it is On the Access Control tab, locate the credential number in question to determine which Credential Format has been assigned to it, if any. In our example, the Credential Format assigned to this credential was incorrect. 6. To assign the correct Credential Format, click the drop down menu and select the correct format Fac Click Save to save the change. Note If the credential has not been assigned to someone, you will receive the following message: This could mean: The credential number was entered incorrectly, or An Access Control Registration Form has not been submitted or entered into the system yet.
